IMPORTANT-READ CAREFULLY: This End-User License Agreement ("EULA") is a legal
agreement between you (either an individual or a single legal entity) and Keyscan Inc. with
which you acquired the Keyscan Inc. software product(s) identified above ("SOFTWARE").
The SOFTWARE includes Keyscan Inc. computer software, and may include associated
media, printed materials, "online", or electronic documentation and Internet based services.
Note, however, that any software, documentation, or web services that are included in the
SOFTWARE, or accessible via the SOFTWARE, and are accompanied by their own license
agreements or terms of use are governed by such agreements rather than this EULA. This
EULA is valid and grants the end-user rights ONLY if the SOFTWARE is genuine.
By installing, copying, downloading, accessing or otherwise using the SOFTWARE, you agree
to be bound by the terms of this EULA. If you do not agree to the terms of this EULA, you
may not use or copy the SOFTWARE, and you should promptly contact Keyscan Inc. for
instructions on return of the unused product(s) in accordance with Keyscan's return policies.
1. SOFTWARE PRODUCT LICENSE
The term "COMPUTER" as used herein shall mean the HARDWARE, if the HARDWARE is
a single computer system, or shall mean the computer system with which the HARDWARE
operates, if the HARDWARE is a computer system component.
1. GRANT OF LICENSE. Keyscan Inc. grants you the following rights, provided you comply
with all of the terms and conditions of this EULA:
Installation and Use. Except as otherwise expressly provided in this EULA. You may install,
use, access, display and run only one (1) copy of the SOFTWARE on the COMPUTER. The
SOFTWARE may not be used by more than the number of genuine licensed copies registered
with Keyscan Inc.
Mandatory Activation. THIS SOFTWARE CONTAINS TECHNOLOGICAL MEASURES
THAT ARE DESIGNED TO PREVENT UNLICENSED OR ILLEGAL USE OF THE
SOFTWARE. The license rights granted under this EULA are limited to the first thirty (30)
days after you first run the SOFTWARE unless you supply information required to activate
your licensed copy in the manner described during the setup sequence (unless Keyscan Inc.
has activated for you). You can activate the SOFTWARE through the use of telephone; toll
charges may apply. You may also need to reactivate the SOFTWARE if you modify your
HARDWARE or alter the SOFTWARE.
Back-up Copy. YOU MAY MAKE A SINGLE BACK-UP COPY OF THE SOFTWARE. You
may use the back-up copy solely for your archival purposes and to reinstall the SOFTWARE
on the COMPUTER. Except as expressly provided in this EULA or by local law, you may not
otherwise make copies of the SOFTWARE, including the printed materials accompanying the
SOFTWARE. You may not loan, rent, lease, lend or otherwise transfer the CD or back-up
copy to another user.
Reservation of Rights. Keyscan Inc. reserve all rights not expressly granted to you in this
EULA.
2. DESCRIPTION OF OTHER RIGHTS AND LIMITATIONS.
Consent to Use of Data. You agree that Keyscan Inc. may collect and use technical
information gathered in any manner as part of the product support services provided to you,
if any, related to the SOFTWARE. Keyscan Inc. may use this information solely to improve
their products or to provide customized services or technologies to you. Keyscan Inc. may
disclose this information to others, but not in a form that personally identifies you.
Database Information. The information stored in the database and/or database backups files
can only be accessed via the Keyscan licensed SOFTWARE. Any attempts to access the
database information via unlicensed and/or unauthorized access will terminate this license
agreement. Keyscan Inc. provides no direct access to the database information.
Additional Software/Services. The terms of this EULA apply to Keyscan updates,
supplements, add-on components, of the SOFTWARE that Keyscan Inc. may provide to you
or make available to you after the date you obtain your initial copy of the SOFTWARE,
unless other terms are provided along with such Supplemental Components.
Limitations on Reverse Engineering, Decompile and Disassembly. You may not reverse
engineer, decompile, or disassemble the SOFTWARE.
Separation of Components. The SOFTWARE is licensed as a single product. Its component
parts may not be separated for use on more than one computer.
Single EULA. The package for the SOFTWARE may contain multiple versions of this EULA,
such as multiple translations and/or multiple media versions (e.g., in the user documentation
and in the software). In this case, you are only licensed to use one (1) copy of the
SOFTWARE.
Termination. Without prejudice to any other rights, Keyscan Inc. may cancel this EULA if
you do not abide by the terms and conditions contained herein. In such event, you must
destroy all copies of the SOFTWARE and all of its component parts.
Trademarks. This EULA does not grant you any rights in connection with any trademarks
or service marks of Keyscan Inc. or its suppliers.
3. UPGRADES
If the SOFTWARE is labeled as an upgrade, you must be properly licensed to use a product
identified by Keyscan Inc. as being eligible for the upgrade in order to use the SOFTWARE
("Eligible Product"). For the purpose of upgrade(s) only, "HARDWARE" shall mean the
computer system or computer system component with which you received the Eligible
Product. SOFTWARE labeled as an upgrade replaces and/or supplements (and may disable,
if upgrading a Keyscan software product) the Eligible Product which came with the
HARDWARE. After upgrading, you may no longer use the SOFTWARE that formed the
basis for your upgrade eligibility (unless otherwise provided). You may use the resulting
upgraded product only in accordance with the terms of this EULA and only with the
HARDWARE. If the SOFTWARE is an upgrade of a component of a package of software
programs that you licensed as a single product, the SOFTWARE may be used and
transferred only as part of that single product package and may not be separated for use on
more than one computer.
4. INTELLECTUAL PROPERTY RIGHTS
All title and intellectual property rights in and to the SOFTWARE (including but not limited
to any images, photographs, animations, video, audio, music, text and incorporated into the
SOFTWARE), the accompanying printed materials, and any copies of the SOFTWARE, are
owned by Keyscan Inc. or its suppliers. The SOFTWARE is licensed, not sold. All title and
intellectual property rights in and to the content that is not contained in the SOFTWARE,
but which may be accessed through use of the SOFTWARE is the property of the respective
content owner and may be protected by applicable copyright or other intellectual property
laws and treaties. Use of any on-line services which may be accessed through the
SOFTWARE may be governed by the respective terms of use relating to such services.
5. EXPORT RESTRICTIONS.
You acknowledge that the SOFTWARE is subject to U.S. and Canadian export jurisdiction.
You agree to comply with all applicable international and national laws that apply to the
products, including the U.S. & Canadian Export Administration Regulations, as well as enduser, end-use and destination restrictions issued by U.S., Canadian and other governments.
6. ADDITIONAL PROVISIONS.
FOR THE LIMITED WARRANTIES, LIMITATION OF LIABILITY, AND OTHER SPECIAL PROVISIONS. PLEASE REFER
TO THE ADDITIONAL PROVISIONS PROVIDED BELOW AND/OR OTHERWISE WITH THE SOFTWARE. SUCH LIMITED
WARRANTIES, LIMITATION OF LIABILITY AND SPECIAL PROVISIONS ARE AN INTEGRAL PART OF THIS EULA.

INTRODUCTION
System VII is the dynamic software application that regulates and monitors entry points
connected to the Keyscan access control panels. With an intuitively designed interface,
System VII is packed with a rich array of features giving you all the tools and controls you'll
need for effective management of your facilities and buildings. By setting up a
comprehensive database of cardholders, access levels, and security clearances, you determine
who has access to specific doors at specific times. System VII always keeps you in the picture.
You're fully aware of who is entering your premises at all times and you're notified of any
alarm conditions within seconds. The System VII software and access control units work
together as a cohesive system to monitor your site around the clock 365 days a year.

the screen you're viewing; it outlines the screen's purpose and the procedures to complete
it.
Context Sensitive On-line Help
The Importance of Database Backups
One of the most important and critical topics in the on-line-help is Schedule Automatic
Database Backups outlined in the System VII Client On-line Help. We cannot stress enough
the importance of backing up your System VII database at regularly scheduled intervals and
periodically copying the data to a removable storage device, such as a writable CD, or to a
network location for safe keeping. Setting up a site can entail a lot of man-hours to input all
the data, especially for sites that have hundreds, if not thousands, of cardholders. If the site
data is not backed up, in the event of a computer or hard disk failure, all your site
information can be lost. Please be sure to read and follow the steps to backup your database.
It’s time well spent.
Supplementary Documentation
The Keyscan System VII Software Installation CD has a folder with supplementary
documents. These supplementary documents can be found in the Keyscan Documents folder
on the Software Installation CD. During the installation you can also access the folder by
clicking on the Keyscan Documentation link on the Keyscan System VII Installation screen.

Virtual Server* (Communication as a service recommended for virtual server
configurations)
Keyscan’s System VII software is a 32-bit application.
*Supports virtual machine server topology providing that all licensed and required Keyscan
software applications are allocated sufficient server resources for proper system performance
and that the VM software/server is supported by qualified IT personnel.
For sites with large cardholder populations and high volumes of transactions, we strongly
recommend that you install the Database Module (SQL Server 2005 Express) on a dedicated

VII does not support touch screen panels.
Windows Network and User Privileges
If you're installing the System VII software on a network or a standalone PC, be aware of the
following possible network and user privileges that may be required with some versions of
Windows®. We recommend consulting with an IT administrator when installing System VII
software on a network.
Active network IP address and full administration privileges are required for installation of
software.
Additionally, the following network privileges and settings may be required depending on the

Remote System VII Client PCs should have read and write privileges and be share enabled
to the PC with card holder photo location. System VII system users require security
privileges.
Upgrading from System V to System VII
If you have purchased System VII and are upgrading from System V, the Keyscan Software
Installation CD has a folder with a conversion utility that transfers current System V data
and adapts it to the System VII database so that you don't have to re-enter all your site
information. The conversion utility works on a one-to-one basis and can transfer only one
System V database and convert it to one System VII database. Software installation
instructions are referred to as an Upgrade Installation.
The conversion utility will not convert Keyscan System III or System III Plus data to System
VII.
See the Installation Instructions below for the correct procedures to upgrade.
Installation Instructions
Depending on whether you are installing on a single PC or multiple PCs and whether it is a
new installation or an upgrade to System VII, the following lists the 4 possible software
installation modes:
•
New Installation on a Single PC – All the modules are installed on the same PC that may
be either a stand-alone PC or a PC connected to a network.
•
New Installation on Multiple PCs – Modules are installed individually or in groups on
multiple PCs throughout a network. Note, however, that the System VII Database (SQL
Server 2005 Express), Communication Manager, and Keyscan Client modules must be
installed somewhere on the network in order for the system to function.
•

New Installation on Multiple PCs
For a new installation on multiple PCs to derive the best system performance on a network,
it is recommended to install the Communication Manager and the System VII Database
(SQL Sever 2005 Express) on dedicated PCs. The Keyscan Client can be installed on multiple
PCs.
Note
If you have not purchased the Photo Badging module, you may install it and use the map
functions within the application to draw site plans and load them into the Alarm Response
Instructions \ Alarm Graphic Locations form in the Client module. You cannot, however,
import photobadge templates, use the photo verification feature, or import photos to
cardholder records unless you purchase and register this optional module.
Keyscan strongly advises that you do not install the System VII software modules on your
corporate server. If you are using TCP/IP communication, be sure to check that the IP
address is active. To check, type IPCONFIG at the DOS prompt.
Influences on System Performance
System performance is governed by any and all of the following circumstances:
•
physical connections within the system – the number of connections and the types of
connections: serial, network, and dial-up all influence system performance
•
the number of readers and panels per Communication Manager – the ratio will affect
performance and manageability as a higher ratio means a larger polling loop and longer
response times
•
end-user expectations – how critical is the timing for reporting alarm events and site
transactions
System performance is subjective and contingent on end-user expectations. How critical
alarm and activity reporting are, can only be determined by the end-user.

database and how rapidly it grows. Please ensure that you have sufficient hard disk space
available on the PC to accommodate database growth.
Note
The Photo Badging module may be installed, even if you have not purchased this optional
application. You may use the map component to draw site plans and load them into the
Alarm Response Instructions \ Alarm Graphic Locations form. You cannot, however,
import photobadge templates, use the photo verification feature, or import photos to
cardholder records unless you purchase and register this optional module.
Preliminary
Before you start the installation to upgrade to System VII, you will require certain
information and have to observe certain conditions as outlined:
•
Record the System V version you are currently operating. This can be found in the Client
under Help > About.
•
Record either the IP address of the PC or the Computer Name as defined under Windows
System Properties
•
Do not add or edit any cardholder records on the day you elect to perform the upgrade
installation.
•
If you plan on changing computers, computer names, or computer conventions from your
current System V database or communication configuration, Keyscan suggests printing a
Site Setup Report from the System V Client's Site Information Search screen before
starting the upgrade.
•
If you have DVR integration with System V, contact Keyscan to ensure that you have the
latest drivers. Keyscan phone numbers are printed on the Copyright page near the front
of this guide.
•
If you were using MAPI (MS Outlook) email in System V, please note that Keyscan does
not support MAPI in System VII. SMTP is the only supported email protocol in System
VII. Completing the SMTP function is covered in the Client On-line Help. If you require
assistance in this area, call Keyscan Technical Support.
•
If convenient, perform the upgrade during a period when site activity is low.
•
Be sure that you have the necessary Window's permissions to install software.
Steps to Upgrade on a Single PC
The steps to upgrade to System VII will involve multiple sets of procedures as listed:
•
installing the System VII database, and, if applicable, .NET Framework 2.0
•

Influences on System Performance
System performance is governed by any and all of the following circumstances:
•
physical connections within the system – the number of connections and the types of
connections: serial, network, and dial-up all influence system performance
•
the number of readers and panels per communication manager – the ratio will affect
performance and manageability as a higher ratio means a larger polling loop and longer
response times
•
end-user expectations – how critical is the timing for reporting alarm events and site
transactions
System performance is subjective and contingent on end-user expectations. How critical
alarm and activity reporting are, can only be determined by the end-user.

Preliminary
Before you start the installation to upgrade to System VII, you will require certain
information and have to observe certain conditions as outlined:
•
Record the System V version you are currently operating. This can be found in the Client
under Help > About.
•
Record either the IP address or the Computer Name as defined under Windows System
Properties for the PCs with Keyscan software modules.
•
If you plan on changing computers, computer names, or computer conventions from your
current System V database or communication configuration, Keyscan suggests printing a
Site Setup Report from the Client > System Settings > Site Information Search screen to
assist in the upgrade procedures.
•
Installing Keyscan System VII at remote or distant locations will involve planning a
means to get the software installed at those locations.
•
Do not add or edit any cardholder records on the day you elect to perform the upgrade
installation.
•
If you have DVR integration with System V, contact Keyscan to ensure that you have the
latest drivers. Keyscan phone numbers are listed on the Copyright page near the front of
this guide.
•
If you were using MAPI (MS Outlook) email in System V, please note that Keyscan does
not support MAPI in System VII. SMTP is the only supported email protocol in System
VII. Completing the SMTP function is covered in the Client On-line help. If you require
assistance in this area call Keyscan Technical Support.
•
If convenient, perform the upgrade during a period when site activity is low. During a
segment of the upgrade procedures you will not have communication with the access
control units.
•
Be sure that you have the necessary Windows permissions to install software.

If you intend to use the Delete backup older than # of days function in the Full Database
Backup screen in the Client software with a multiple PC setup, you must have a
Communication Manager installed and running on the same PC with the Keyscan database
(SQL Server 2005 Express). If you intend to run the Communication Managers as a service,
ensure you configure the Communication Manager installed with the database as a service
as well.
The Communication Manager installed with the database does not have to communicate
with any access control units. Just specify the Database IP Address (use 127.0.0.1) or the
Computer Name in the Database Location screen. Refer to System VII Database Location on
page 49. Ensure that the Systems Settings has Checking for Scheduled Backups enabled
(has a check mark). The System Settings utility is located in the Keyscan7 folder in the

Setup Communication Managers as an Application
After installing the software, you must configure the Communication Manager to establish
communication between the access control units and the system software. System VII has
the provision to configure one or multiple Communication Managers depending on the
number of access control units and readers. Keyscan recommends a ratio of 1
Communication Manager per 12 access control units or 100 readers. This chapter is divided
into two sections:
•
Single Communication Manager
•
Multiple Communication Managers
If your site has 12 or less access control units or 100 or less readers, refer to Single
Communication Manager.
If your site exceeds 12 access control units or 100 readers, refer to Configure Multiple
Communication Managers.
Operating Conditions
For normal on-going system operation, please be sure to observe the following conditions:
•
the PC with the SQL Server 2005 Express must be operating
•
Communication Manager(s) must be running with the PC on
The access control units will function independently if the computer software is off-line;
however, they will only retain the last 6000 transactions.
Single Communication Manager
If the site consists of 12, or fewer access control units, or 100, or fewer readers, generally you
only require a single Communication Manager, which you have already installed and set on
auto-start. You are not required to perform any further configuration steps. However, you
are strongly urged to read About the Communication Manager.
About the Communication Manager
The Communication Manager that you installed - Keyscan7CommWindow.exe - is the Main
Communication. At the computer where it was installed, you should see the Communication
in the Windows tray at bottom of the screen. This indicates the application
Manager icon
is running. Generally it runs minimized unless you have to open it to perform a diagnostic
procedure.
When setting up access control units in the Site Unit Setup form assign the panels to Main
Communication only as shown in the example screen.
Important
When setting up panels in the Client’s Site Unit Setup screen, ensure that the entry in the
Communication Server Processing field is the name of the PC with the Communication
Manager. You can verify the PC name from Windows System Properties > Computer
Name.

52
Configure Multiple Communication Managers
System VII provides the option of running up to 5 multiple Communication Managers on 1
PC. Running multiple Communication Managers is primarily for larger sites to optimize
system performance.
The following procedures review setting multiple Communication Managers as an
application. Refer to the System VII Client's On-line Help for instructions for setting up
Communication Managers as a service, if desired.
Guidelines
Keyscan's recommended ratio is 12 access control units (ACUs) or 100 readers per
Communication Manager. However, please note this ratio is merely intended as a guide and
is mitigated by reader/ACU activity and ACU geographic locations.
•
The maximum number of Communication Managers per PC is 5.
•
The Keyscan7CommWindow.exe (Main Communication) is required for using the
scheduled backup feature.
•
It is strongly recommended that if 5 Communication Managers are installed on 1 PC, the
PC should be dedicated as a communication server with no other software running.
•
No two Communication Managers can be assigned to ACUs connected to the same
NETCOM2.
•
Running multiple Communication Managers is designed principally for network
connectivity via NETCOM2s, however, if you use serial connections please note: each
serially connected Communication Manager must have a separate serial port to its
assigned ACUs.
•
Install Communication Managers in ascending numeric sequence.
•
Do not install more Communication Managers than required.
•
The Communication Managers (application) are identified in the table.

must be completed. As indicated on the previous illustration there are 12 general sets of
procedures to make a site functional. Obviously, if you don’t have elevators, have CCTV
integration, or don’t plan on using the Email alarm notification you don’t have to input
settings for those options. The remainder of this chapter attempts to give you some guidance
on setting up your site.
Pre-planning
Before you open the Keyscan Client software module and commence to input your site data,
you may wish to take some time and pre-plan how you are going set up the access control
system so it will do what it is designed to do – regulate and monitor access within your
premises based on your organizational structure. Some of the things you will have to take
into consideration are:
•
departmental work schedules so you can create corresponding time zones for access
•
organizational structure so you can create groups that correspond to departments
•
determine who can or can’t enter various system controlled doors/elevators
•
determine which days/hours authorized individuals may access system controlled
doors/elevators
•
determine if certain doors are to lock/unlock on a time zone or connected devices need to
be turned on/off by a time zone
•
determine who will be assigned administrators to oversee and monitor the access control
system
•
who would be contacted in case of an alarm or emergency
These are just some of the things you will have to bear in mind before you attempt to begin
setting up the system software.
Setup Assistance
The following support documents are available on the Keyscan Software Installation CD in
the Keyscan Documents folder to help you set up the system software:
•
a set of Programming Worksheets to draft site data and settings
•
a PDF User Guide which you can print for convenient reference ( refer to the chapter
entitled – Setup the System)
Don’t forget the on-line help in the Keyscan Client can be accessed from the menu on the
main screen or press F1 on the keyboard.
Methods of Setup
There are two methods to setup your site:
•
Manually Setup a Site – use the menus and quick buttons for accessing the screens to
configure a site
•
Site Wizard – automatically opens a pre-determined set of screens to configure a site
My Site
The Keyscan software creates a default site called My Site. Whether you elect to use the Site
Wizard or manually setup a site, you have the option to use the system-named My Site or
you can name your own site. You cannot change the Site ID of My Site. If you are setting up

multiple sites, you may wish to name your sites rather than use the My Site since it may not
be sufficiently descriptive to indicate a precise location.
Manually Setup a Site
If you elect to setup a site manually, the on-line help has a group of topics entitled Setup the
System as shown in the image below. If you follow the order of topics as they are listed, they
will assist you in getting your site functional. If you prefer a hard copy for reference, you can
print the PDF User Guide in the Documents folder on the CD.

connection to a printer so you can print a copy of the help instructions for each screen so you
have a guide to follow.
Also, the Site Wizard only provides a basic setup. For a more comprehensive site setup and
to capitalize on all the great access control tools and features in System VII, refer to the
Client help and review the full spectrum of topics listed in the Contents pane.
Remember, the Site Wizard is intended as a quick setup instrument. You can edit and amend
site settings at any time after the initial setup.
