VOLUNTEER JOB DESCRIPTIONS Announcer Only for HOME meets. The announcer's job is to announce upcoming events & heats, any records broken during the meet, to provide team-score updates, and any other important announcements. Starter Assistant/DQ Recorder The Starter Assistant/DQ Recorder sits poolside and keeps track of events and heats for the Starter by crossing off completed heats on the Starter’s heat sheet. This volunteer also records swimmer disqualifications (DQs) for the Starter as each heat progresses. Lane Director Lane directors stand near the starting blocks with a 'heat-sheet' and make sure swimmers are in the correct lanes and heats for their events (this includes making sure relays are lined up properly). One lane director per team-lane is required. All Lane Directors gather to meet with officials 20 minutes prior to the start of the meet. Timer The timer's job involves the actual timing of the races. Each timer is given a stopwatch before the meet begins and gathers to meet with the officials 20 minutes prior to the start of the meet. Three timers per lane are required. The head timer in each lane is in charge of writing all 3 times on the swimmer's time sheet. Sheets are collected by the Runner and taken to the Computer Room. Back-Up Timer Back-up timers start their watches with each race and are used in case a regular timer fails to start the watch. Back-Up Timers also relieve timers who need a brief break. Bullpen The bullpen is the holding area for swimmers. Bullpen workers use 'heat-sheets' to round up swimmers for their assigned races and heats and send the swimmers to the block area. Three volunteers remain in the bullpen during the meet. Two additional bullpen 'runners' transfer the swimmers from the bullpen to the blocks. All Bullpen volunteers gather with the Bullpen Coordinator 20 minutes prior to the start of the meet. Time Sheet Judge The time sheet judge gets the time sheets from the runners, sorts the sheets by the event number, and checks that the middle time has been circled. Time Entry Checker The time entry checker receives a computer printout from the computer room and checks that all times have been entered correctly. Actual time sheets are compared against computer printouts, and necessary changes are reported to the Computer Rep. Runner The runner's job is to collect the time sheets from the lanes after each even numbered event and then turn them in to the time sheet judges. Hospitality Only for HOME meets. The hospitality workers sell heat sheets prior to the meet, serve water to all meet workers during the meet, and are responsible for picking up trash throughout the meet. This job is very important, especially on hot days! Substitute Substitutes check in with the Parent Reps at the beginning of the meet and help fill positions as needed. Substitutes must be flexible and willing to work any job assignment. Computer Entry Assistant (FULL SEASON JOB) Only for HOME meets. The computer entry person assists the computer rep in entering events results into the computer. Race times will be taken off the time sheets after the time sheet judges have finished recording. The Computer Entry Assistant must be available to work all regular home meets. Check-In Assistant (FULL SEASON JOB) This volunteer must arrive by 4:45 p.m. to assist in staffing the check-in table. During the meet, this person may also float as needed by the Parent Reps. The Check-In Assistant must be available to work all five regular meets of the season. Ribbons Assistant (FULL SEASON JOB) This volunteer assists the Awards Coordinator in labeling and sorting ribbons after each regular swim meet. Ribbon preparation is typically done during the 2 nd or 3rd practice session (in the morning) 2-3 days following a swim meet. The Ribbons Assistant must be available each week of the season. Donut Sales Coordinator (FULL SEASON JOB) This volunteer orders, picks up, and sells donuts on three practice mornings scheduled during the season (sales start at 8:30 and end at 10:30). The donut sales coordinator also organizes and turns in receipts and profits to the Parent Reps. Please see this year’s team calendar for current donut sale dates (must be available on those dates). Chick-Fil-A Sales Coordinator (FULL SEASON JOB) Only for HOME meets. This volunteer orders, picks up, and sells Chick-Fil-A chicken sandwiches during home meets (sales start at 5:30 p.m. and end when sandwiches are sold out). This volunteer also organizes and turns in receipts and profits to the Parent Reps. The Chick-Fil-A Sales Coordinator must be available to work all regular home meets.
