Introduction
Web parts are the ‘building bricks’ of Glow, used on Glow pages either to hold
information or to link to additional functionality. The first part of this guide
describes the function of each web part available in Glow, whilst the tutorials later
in the guide explain in step-by-step instructions how to modify the display of web
parts and how to create additional web parts, such as surveys.
This document assumes a working knowledge of the Glow portal. If you need
further information regarding the basic working of Glow, please refer to the Glow
Groups Training Guide or the Site Collection Administration Training Guide.
To complete the tasks in this guide you will need to be logged on to Glow as a
user with administrator rights to a Glow site. This could be a Glow Group that you
have created, your My Glow area or, if you are a Site Collection Administrator, it
could be the school site or a role-based site.
Some variations in functionality occur depending upon the internet browser used
to access Glow and where significant differences arise these are explained in the
text.

Web part galleries
Every site within Glow, such as the school site, Glow Groups and My Glow, has a
default layout of web parts and pages. The administrator of the site can add
further web parts by clicking on the Modify Shared Page menu. The ‘Add Web
Parts’ menu will open displaying three galleries each containing web parts. The
number of web parts in each gallery is indicated in brackets next to the gallery
name.
The three galleries are:

Web Part Page Gallery
This gallery contains any web part that has been closed on the current page. A
closed web part can be restored complete with the information it contained.
‘Establishment’/My Glow Gallery
The gallery name is shown as ‘My Glow’ when a user is viewing their own My
Glow site, otherwise it will be displayed as the name of the user’s establishment.
In the 'Establishment’/My Glow Gallery there are usually thirteen web parts

available by default. These display information or images. Additional web parts,
such as surveys, can be created from the ‘Advanced Settings’ menu and these will
be added automatically to this gallery.

Image
(advanced)
Used to link a remote image file
and display it in on a Glow site,
for example by inserting a URL.
Right mouse click on an image
and select Properties or Address
to obtain the URL.
Members
Displays all the individual users
and groups with access to the
current site.
This is particularly useful to add
to My Glow or a Glow Group.
News
Displays news of interest to the
members of the site. Important
items can be targeted to
members and will then display in
their Latest news web part on
their home page.
The view of the News web part
can be changed.
Page viewer
Displays a web page, file or
folder.
Enter a URL to display a blog or
wiki.
Pages
Lists pages within the site.
List web part
List web part
Picture Library
Used to store and display
multiple images. Any picture
held in an Image web part in the
site will automatically be
displayed in the Picture Library.
Images deleted from the Picture
Library will also be removed
from the Image web part.
The view can be changed to a
slide show or thumbnails.
Text Editor
Used to display formatted text,
graphics, tables, flash files and
videos.
For more detailed help refer to
the Text Editor Training Guide.
Web links
Appears on the Noticeboard page
of a Glow Group or the
establishment site by default.
Used to display links. Can be
added elsewhere in the group or
site but will display the same
web links.
To create an additional web links
web part use the Advanced
Settings menu.
Appears on the Noticeboard page
of an establishment site or Glow
Group. Used to list events.
On the establishment site the

The Virtual Server Gallery contains other applications which can be added to Glow
sites. This gallery contains around 40 web parts by default, including:
1. Web parts related to information in the school’s Management Information
Systems. The data available will be dependent upon the school’s use of MIS.
2. Web parts related to Glow Learn.
3. Web parts which give added functionality.
4. Web parts to display information.

Enables groups of users with a

chat room, which can be
moderated or unmoderated.
The Glow Chat web part can only
be used in a Glow Group.
Glow Groups
The Glow Groups web part
appears by default on a separate
page on establishment sites and
Glow Groups. It shows a list of
the Glow Groups at the selected
site.
If the Glow Groups web part is
added to another page of the
same site it will display the same
information.
Glow Learn learning
Appears on pupil role-based
sites.
Allows pupils to:
A Learning Space is a specific

Tutorial 1: Modifying web parts
It is possible to modify the default appearance of web parts. Regardless of which
site the web part is on, the method is always the same.
1.
Navigate to the site in which you want to modify a web part.
2.
Click Modify Shared Page and select Modify Shared Web Part. Select the
web part you want to modify.
3.
Alternatively, click the drop-down menu
at the top right corner of the web
part then select Modify Shared Web Part.
4.
A side pane is displayed, which is split into sections.
5.
If there is a + next to these section headings click on the + to open up a
series of options. (If there is a – next to them then these options will already
by visible).
Appearance options:
Title:
The title can be edited directly or, if it is long, click the Browse button
to
the right of the field to display the 'Text Entry - Web Page Dialog' window.
Height:
Choose whether the web part should have a fixed height and what this height
should be, or whether it should resize depending upon the size of the window
in which you are running Glow.

Width:
Choose whether the web part should have a fixed width and what this width
should be, or whether it should resize depending upon the size of the window
in which you are running Glow.
Frame State:
Choose whether you want the frame (the box containing the web part) to be
minimised or displayed normally.
Frame Style:
Select the required frame style for the web part (for example, whether or not
you want the title bar and border to be displayed). To edit this web part when
the border has been removed, click Modify Shared Page and Modify
Shared Web Parts, then select the web part you want to modify.
Layout Options:
Visible on Page:
By default this box will be checked and the web part will be visible on the
page. If you want to hide the web part, deselect the box.
Direction:
This controls alignment of the information displayed in the web part. Choose
'Left to Right' to left align or 'Right to Left' to right align.
Zone:
This selects the area of the page in which the web part appears.
Part Order:
If one area of the page is occupied by multiple web parts, this controls the
position of the web part relative to other web parts. Larger numbers place the
web part towards the bottom of the area selected.
6.
For some web parts, the Advanced and Miscellaneous sections also appear.

Click Apply to view the result of your changes.
8.
Make any amendments necessary then click OK.

Tutorial 2: List web parts
Many of the web parts in Glow contain list data. Essentially, lists contain tabular
data that can be displayed in rows and columns using an appropriate web part.
The following web parts contained in the ‘Establishment’/My Glow gallery are list
web parts:

What’s on
List web parts allow you to:
•
set alerts to notify you of any changes to the content
•
determine which fields of data are displayed in the web part
•
set permissions for the web part independently of the site permissions.
Setting an alert
1.
Navigate to the site in which you want to set up an alert.
2.
Click on the name of the web part in the title bar.
3.
The web part will be displayed in full screen view.

Click on Alert me.
5.
Select what type of changes you wish to be alerted to and how frequently you
wish to receive alerts. Email alert messages will automatically be sent to the
email address stored in your Glow profile. Click the Change my email
address link if you want alerts to be sent to a different address.
6.
Click OK and then click the Back to link in the top left hand corner of the
screen to exit from full screen view.
Changing the view of a list and the data displayed
1.
Click on the name of the web part in the title bar.
2.
The web part will be displayed in full screen view.

Click Modify settings and columns.
4.
Scroll down to the Views section of the window.
5.
Click on Create a new view. Select Standard View to display the data in
report format or Calendar View for date-related data.
6.
The ‘Create View’ window will open. Enter a name for the new view, such as
‘New layout’.
7.
In the Columns section select the fields of data that you want displayed in the
web part. Select or deselect, as appropriate.
8.
For the selected fields only, set the order in which you want the data to
appear.

9.
Scroll down to the Style section. From the drop-down menu select a style for
the web part.
10. Click OK at the foot of the window to save your changes.
11. Click the Back to link in the top left-hand corner to exit full screen view.
12. To apply the new view click on the drop-down arrow on the title bar of the
web part and select Modify Shared Web Part.
13. In the Selected View menu click on the name of the new view that you have
created.
14. Click OK on any warning message that is displayed and then on OK at the
foot of the menu.
15. To make any further changes to the layout or choice of data fields click on
Edit the current view.

Setting permissions on an individual list web part
Permissions can be applied to an individual list web part within a site. This allows
the administrator of a site to give users different permissions on one web part
than they have on the rest of the site. For example, a Glow Group administrator
might give pupils the right to upload examples of their work to the Documents
web part in the Glow Group whilst leaving their permissions on the rest of the
Glow Group as ‘Reader’ or ‘Reader with Discussions’.
Permissions can also be set to allow access to the web part for Glow users who
are not members of the site containing the web part.
1.
Click on the name of the web part in the title bar. The web part will be
displayed in full screen view.
2.
Click on Modify settings and columns.
3.
Click Change permissions for this list.
4.
Click Add Users.
5.
In step 1, add the Glow usernames (e.g. gw07smithjohn3) of all the users
you want to be able to access the web part. Separate usernames with semicolons.
6.
In step 2 choose the level of permissions you want to assign e.g. ‘View
items’.
7.
Click Next.
8.
In step 3, confirm the users’ details and if necessary enter each person’s
email address.
9.
If any of the users listed in step 1 do not have access to the site containing
the web part, then use step 4 to send each user a link to the web part.
10. Click Finish and then click the Back to link in the top left-hand corner to exit
full screen view.

Tutorial 3: Advanced Settings web parts
The Advanced Settings menu allows further web parts to be created. Included
here are web parts, such as Tasks and Surveys, which are not contained by
default in the web part galleries.

From this menu it is also possible to create new instances of existing web parts,
such as Web links or Documents. These are default web parts within many Glow
sites – however, if the web part is added more than once to the same site, it will
contain the same content. If you want, for example, to have separate lists of web
links on different topics, then it is necessary to create a new instance of the Web
links web part from the Advanced Settings Create menu.

Creating a new list web part
1.
Navigate to the site where you want to create and add a new web part. Click
Advanced Settings.
2.
Select Create. A list of web parts that can be created is displayed.
3.
Select the type of web part you want to create, such as Web links.
4.
Enter a name for the new web part. Note that this name must be unique
within the site (for example, as a Glow Group contains by default a web part
named Web links, it is not be possible to create a new web part in the Glow
Group with the same title. Instead the web part title could reflect the type of
links to be listed in the web part, such as ‘Useful Geography web sites’.)
5.
Enter a description, if you wish, but this is not essential. There is no need to
alter the Navigation setting. Click Create.
6.
The new web part will open in full screen view. Click the Back to link to exit.
7.
To add the new web part to the site, click on Modify Shared Page, then
select Add web parts then Browse.
8.
Select the ‘Establishment’/My Glow’ Gallery, where the new web part will now
be stored. Add the web part to the page in the usual way.

Creates a form library when you have XML-based business forms,
such as status reports or purchase orders, that you want to
manage. These libraries require a Windows SharePoint Servicescompatible XML editor, such as Microsoft Office InfoPath.

Picture Library

problems. You can assign, prioritize, and follow the progress of
issues from start to finish.

part to hold a different set of news items can be created

Bus Timetable
List web part
Contains information about local bus routes serving a school or
other establishment. Depending upon your rights, you may only be
able to view bus timetables, or you may be able to add, edit and
delete bus timetables.
Lunch Menu
List web part
Contains information about the lunch menu at an establishment.
Depending upon your rights, you may only be able to view the
menus, or you may be able to add, edit and delete menus.
Contacts List
List web part
The same web part contained by default in the
‘Establishment’/My Glow gallery. An additional Contacts web
part to hold a different list of details can be created here.
Cover Duty
List web part
Informs teachers and other school staff who will be covering

Duty Rota
List web part
Informs teachers, teaching assistants and non-teaching staff who
will be covering duties such as lunch break supervision. The list
can be sorted in ascending or descending order by column name.
Custom List
List web part
This creates a list with only the Title column, and you can add the
required columns. Could be useful for linking to the form web part
e.g. to filter data by a specified column.
Survey
List web part
Unlike many of the other web parts the Survey web part is not a
default option within the ‘establishment’ or ‘virtual server’ gallery.
It is necessary to create the survey first; it will then appear in the
‘establishment’ gallery.
Basic Page
Additional page or
site
Creates a basic page when you want to add a simple web page to
this site. You can modify the page by adding text, pictures, and
tables using The Rich Text Editor.
Web Part Page

Sites and
Workspaces
Additional page or
site
Create a Web Part Page when you want to add a web page to this
site that displays one or more web Parts.
Creates a site or workspace when you want a new place for
collaborating on web pages, lists, and document libraries.
Using the Survey web part
1.
Click on Advanced Settings and select Create.
2.
Click on Survey.
3.
Enter a name and description for the survey. There is no need to alter the
Navigation setting.

In the ‘Survey Options’ section decide whether users’ names should be
displayed in the survey results and whether a user can respond more than
once.

Click Next.

In the ‘Question and Type’ section enter the text of the question and select
the answer type.

Under ‘Optional settings for your question’, modify the default settings, for
example entering the answers for a multiple-choice style of question.
8.
Either click Finish or click Next Question, if you want to add further
questions to the survey.
9.
Click the Back to link in the top left-hand corner of the screen to exit full
screen view.
10. The new survey web part is stored in the ‘Establishment’/My Glow gallery,
from where it can be added to the page in the usual way.
11. Click on the drop-down arrow on the title bar of the web part and select
Modify Shared Web Part. In the Toolbar Type menu select Full Toolbar:
this will add a ‘Respond to the Survey’ link to the web part. If you want to
see the results of the survey graphically, click on the Selected View menu
and choose Graphical Summary. Click OK at the foot of the menu.
12. If you want to amend the survey or add further questions click on the name
of the survey in the title bar of the web part, and then click Modify survey
and questions.

Deleting a list web part from the ‘establishment’/My Glow Gallery
1.
Navigate to the relevant site and click on the title of the list web part you
want to delete. The list displays in full screen view.
2.
Click Modify settings and columns. The Customise page will open.
3.
In the General Settings section click Delete this list (or appropriate Delete
text depending upon the type of list).
4.
You will be asked to confirm the deletion, and where relevant will be warned
that you will lose all documents or other content contained in the list. Click
OK.
Adding a basic web page
A basic page can be created which allows you to add text and an image.
When a basic web page is created it is added to the document library as an HTML
document and could be viewed by clicking on the link in the documents web part.
A link could also be made in a text editor web part either to the existing
documents web part or to the page in a new documents web part created using
Advanced Settings. Linking from the text editor web part could effectively act as a
pop-up window with further information.
