Cash and Hosted Bars
For each Bar (Cash or Hosted) there will be a Bar/Cashier Set-Up Fee of $150.00 for the first 2-hour period.
After the initial 2-hour period, there will be a $40.00 per hour charge for each Bartender and each Cashier. There is a
minimum of two hours for each. Bartenders and Cashiers are staffed at a ratio of 1 each per 100 guests.

GENERAL INFORMATION AND POLICIES
Alcoholic Beverages
The Broadmoor, as a licensee, is responsible for the sale and service of all alcoholic beverages and the administration of
state regulations. The Hotel’s alcoholic beverage license requires the Hotel to (1) request proper (photo) ID of any person of
questionable age and refuse alcoholic beverages to any person under age or who cannot produce proper identification, and
(2) refuse alcoholic beverage service to any person who, in the Hotel’s judgment, appears to be intoxicated.
HOTEL POLICY DICTATES THAT UNDER NO CIRCUMSTANCES WILL OUTSIDE FOOD
OR BEVERAGE BE ALLOWED TO BE BROUGHT INTO THE BROADMOOR.
As the sole licensed purveyor of the Hotel, it is our responsibility to enforce the Colorado State Law of not allowing
individuals or groups to bring liquor from outside sources onto the Broadmoor premises.
Food and Beverage guarantees are required (3) days prior to your event by 12:00 Noon as follows: Saturday, Sunday, and
Monday Guarantees are due on Wednesday, Tuesday Guarantees are due on Thursday, Wednesday Guarantees are due
on Friday, Thursday Guarantees are due on Monday, and Friday Guarantees are due on Tuesday. The Broadmoor will be
prepared to serve the guarantee number plus 5% for guarantees of 299 or less and 3% over 300. The general account will
be billed for the guarantee number or the actual number of attendees, whichever is greater.
Audio/Visual Policy
Cash Concessions
J&S Audio Visual Inc. is the sole provider of audio-visual equipment and services to The Broadmoor. J&S Audio Visual Inc.
accepts no liability for damages and claims of any kind resulting from malfunctions of rented equipment other than refund
of the rental fee of the malfunctioning equipment. Cancellations received within twenty-four (24) hours or upon delivery
of equipment will be billed one full day rate. Rental equipment supplied by J&S Audio Visual Inc. must be operated or
supervised by our technicians unless otherwise agreed upon. All audio-visual is subject to a taxable service charge
of 22% and 7.63% Sales Tax.
For all Cash Concessions, there will be a service charge of $45.00 per Attendant for each hour the concession is open and
will be charged to the Group General Account. There will be a minimum of three Attendants for Concessions serving up to
300 Guests. One additional Attendant is needed for each 100 Guests over 300. Menus are at the discretion of the Hotel and
all items listed are exclusive of applicable Sales Tax/PIF.
Decorator, Exhibits
J&S and The Broadmoor must be notified, in advance, of any outside company or producer coming on property; and
reserves The right to advance approval of all specs, including electrical requirements from all outside contractors. J&S Audio
Visual Inc. will provide a minimum of one technician (at current labor rates with a 4-hour minimum) who will cooperate with
the contractor and oversee the set-up, operation, and tear down of the production.
The Broadmoor requires that all Production Company and Decorator set-up and tear down in the International Center,
Colorado Hall, Broadmoor Hall, or Rocky Mountain Ballroom be supervised by Hotel Security at a cost of $40.00 per hour.
Broadmoor Hotel Security is required for ALL Exhibit and Display shows. Security must be scheduled during all non-show
hours. Security is recommended on a 24-hour basis and during the move-in and move-out phases of all shows and should
be arranged no less than 10 days in advance. For all Large Event Production and Exhibit Set-ups, the client and a Broadmoor
Representative must attend a walk-through inspection both Pre and Post show. The Broadmoor will provide all paperwork.
Food and Beverage
Outdoor Event Guidelines
All Food and Beverage arrangements are subject to a taxable service charge of 22%, applicable Sales Tax/PIF. We would
appreciate your menu selection at least three weeks prior to the date of your functions. Menu prices are subject to increase
in the event the cost of Food, Beverages, or other costs of operation increase at the time of procurement or execution of the
function. The Client grants the right to the Hotel to raise such prices or to make appropriate substitutions with prior written
notice to the Client.
In the best interests of your guests, The Broadmoor reserves the right to relocate any scheduled outdoor event indoors.
This decision will be based on current and forecasted weather conditions from the National Weather Service. All Weather
decisions will be made 5 hours prior to the start of your function.
Outside Vendor Policy
All Buffets served for less than 40 people will be assessed a $4.50 surcharge per Person. Breakfast and Lunch Buffets are
based on a 90-minute meal period; Dinner is based on two hours. There is a $2.00 per person per half-hour surcharge to
extend these Buffets. Plated Breakfasts served Buffet Style will be assessed a $6.00 per Person surcharge. All Theme Break
Pricing is based on a 20-Minute period.
Culinary Chefs for Pasta Stations, Omelet Stations, Carving Stations etc. are based on one attendant per 100 guests. Each
Chef or Attendant will be charged a rate of $175 per attendant.
Choice of Entrees
When menus are split between two different entrees, the Hotel will charge the guaranteed number times the higher
priced entrée. The group coordinator (client) is responsible for providing the Hotel with a means to determine
the entrée choice for each guest.
Food and Beverage Attrition
As outlined in your Letter of Agreement, The Broadmoor will hold agreed upon Function space for your events. Once
contracted, you are responsible to hold each function as outlined in your letter of agreement. No food/beverage portion of
this program may be moved off-site or canceled. Attendance may be decreased by up to 20% when the same percentage
of guest rooms is released in allowable attrition by the attrition deadline. Should the number decrease by more than the
allowable guest room attrition prior to your function The Broadmoor reserves the right to relocate said event and charge the
Master Account for the difference based on a same meal period average check.

Music at outdoor locations must conclude by 10:00PM. The event may continue until 11:00PM. Music at the Outdoor Pool and
Cheyenne Lodge must be kept at reasonable levels. Amplified music at any Terrace or outdoor location adjacent to guest
rooms will not be allowed.
Receiving & Storage
Due to limited storage space, The Broadmoor cannot accept shipments for exhibits and trade shows. They are referred to
our designated decorator, Freeman. The Broadmoor can accept shipments of boxes by Meeting Planners for convention
purposes. FedEx Office is now our Package Handling Service Provider for all Group Packages.
Event Packages
Packages delivered to the Hotel for Guests attending an Event are received by FedEx Office at the Hotel’s Shipping/
Receiving Office or Loading Dock. Guests attending an Event at the Hotel may request to have their Packages delivered by
FedEx Office to their Meeting Room at a designated date and time, at which time a delivery fee will be applied.
Guests are encouraged to ship their Outbound Packages from the Business Center, unless other arrangements have been
made by the Conference Manager. If a Carrier other than FedEx is to be used for Shipping, all Documentation required by
the Carrier of choice must accompany the Package as only FedEx Supplies are available in the Business Center. Handling
Fees are applied to Outbound Packages, regardless of the Carrier, in addition to Shipping/Transportation Charges.
Receiving hours are between 7:00 AM-7:00 PM Monday thru Friday, 8:00 AM-5:00 PM Saturday and Sunday,
unless other arrangements are made for Freight Trucks.

*For Inbound/Outbound Pallets or Crates, the Receiving and Delivery Charges are consolidated into a single
Fee of $150.00, which is applied to each Pallet/Crate handled. A Labor Fee of $70.00 per hour will apply for breaking
down pallets, building pallets, or excessive package handling/moving due to a Customer’s request. The Labor Fee
can be charged in 15 minute increments.
Signage
All signs must be professionally printed or painted. Handwritten signs are not permitted. Any last minute or additional signs
can be ordered through your Conference/Catering Manager. Charges vary according to size. All signs must be displayed
from easels. Placement of signs is restricted to meeting room areas. No signs are allowed in the Main, South, or West
Lobbies or affixed to the outside of any building. No pins, tacks, or adhesives of any kind are permitted on any Hotel wall or
door. A nominal charge will apply if the use of high-lift equipment is required to hang banners or signs.
Telephone
Should your group require a telephone in the banquet or meeting room, there will be a hook-up charge at the following rate:
$75.00 in a location with an existing phone line, and $200.00 in a location without an existing phone line.
Credit
Payment on general accounts is due upon receipt. Any account balance not paid within 30 days will be assessed a service
fee at an annual rate of 18%. To expedite the handling of any general account discrepancies, we suggest an appointment be
arranged with our Convention Billing Department to review the account prior to departure.
