1 Introduction
MailFountain is an e-mails and emailing server.
By its feature of e ‐ mails server, MailFountain manages the sending and receiving e ‐ mails for a specified number of people (or accounts).
It also associated with an account number e ‐ mail addresses (aliases) or redirects all received e ‐ mail to a particular address to multiple user accounts.
This corresponds to a typical use of e ‐ mail and perfectly suited to communicating more or less regularly between several peoples.
Its function of emailing server is specially designed to efficiently send e ‐ mails to a large number of recipients (from tens to hundreds of thousands or even millions).
MailFountain will automatically take care of errors and can
generate sending reports.
Throughout this manual we will take as an example a fictitious company which is called "My Company" and that its domain is " my-company.biz
”.
Figure 1 shows there are 4 people in company, and each has an e ‐ mail with his name and others referring to their function or service.
This manual is based on that organization and explains how to configure MailFountain to achieve
this result.

We wanted to gather here a glossary of terms used in the computer world in general and especially e ‐ mail.
As you can see, the words seeming complex are actually very easy to identify with a good explanation.
You will find throughout this user manual.
Domain name
The domain name (or shortened the domain), is the part located to the right of @ sign in e ‐ mails.
For example when you write to [email protected], the domain name is calexium.com
.
This name is unique worldwide and is owned by a company or an individual in exchange for an annual payment to a company registry "registrar".
User account
The user account (sometimes called a domain user ), is the part located to the left of the @ sign in e ‐ mails.
For example when you write to [email protected], the user account is info .
This is the domain administrator who adds and deletes user accounts.

When creating the domain managed by MailFountain, 2 accounts already exist.
These are "abuses" and
"postmaster".

• The abuse account is used to any person claiming to be abused by an e ‐ mail from your domain.
So any claims of a foreign person of domain name are sent to this account.
•
The postmaster account is the account which is sends and receives e ‐ mail while a problem is detected on the e ‐ mails server or for information.
Administrator
The administrator is the person who is responsible for setting and maintenance of MailFountain.
In smaller companies the administrator may be the officer, the secretary, etc.

Alias
An alias is an e ‐ mail serving as an alternative to the main address of a user account.
The account where the alias is attached can then be used to send and / or receive e ‐ mails.
This gives another public identity.
A redirection
A redirection can redirect to multiple accounts an e ‐ mail sent to a particular address.
For example, the address support@my ‐ company.biz
can be redirected to the entire team of technicians providing technical support.
Spams
Spam refers to unsolicited e ‐ mail by the recipient, bulk sent for advertising or dishonest.
However, sending advertising is not necessarily classifiable as a spam, in particular:
‐ when the recipient is part of address database legally incorporated and obtained
‐ if the recipient is a professional, that the purpose of advertising should be related to its activity in the enterprise
‐ And in all cases , the recipient must have an effective opportunity to stop receiving new business prospecting.
4 Different users
In MailFountain, there are 3 different levels of use.
Each level has its own rights, and therefore its set of available features.
4.1
The standard user
This level corresponds to a person with just one email account defined in MailFountain.
This user type is necessarily linked to one and only one domain name.
The user can send and receive e ‐ mails from its own address (consisting of their username, the @ sign and the domain name).
A user can also add / remove recipients of emailing accessible to him, and possibly send an emailing campaign.

The domain manager
This level allows the management of one or more domains.
In each domain, the manager may define the list of users and their associated aliases or add redirections.
It can also create emailing and define user rights for each user account.

4.3
The administrator
The administrator is unique and has all rights to MailFountain (except that of viewing mail of his users).
It thus encompasses all rights of an domain manager, but with a scope on all domains of MailFountain.
It may also add and
/ or delete domains, and finally set up the MailFountain.
5 The first start
To use MailFountain, you will have to setup.
MailFountain reports that it is not yet operational by the blinking green light in front of the box: 3 times every 5 seconds.
This means that MailFountain is in special mode to facilitate its configuration.
Typically just connect a computer to one of the 2 LAN ports (see picture for location) and open a browser to display the 1 st
page of the wizard.
In this mode, MailFountain work as a router, name server and DHCP server.
It will automatically assign an
IP address to the connected computer and will redirect any request of your Internet browser to its own configuration interface.
If the setup page does not appear automatically when the browser start, you can access it manually by entering the following address: http://mailfountain.local
If you still can not access it, then make sure you are connected to one of the LAN ports of the
MailFountain, and your computer is configured to automatically obtain an IP address (DHCP client).

The first step is to indicate to MailFountain its method to access to network.
In this wizard, the choices were deliberately simplified and are limited to 2 choices:
•
Automatic configuration
This mode is most commonly used.
The MailFountain attempts to detect automatically the network environment
(research by DHCP).
If your network is already managed by a router or DSL box, probably MailFountain will succeed.
The DSL or cable modems of some operators also work as it.
•
Connecting with the identifiers
This mode is useful if your MailFountain is connected directly to a DSL / cable and your connection requires the identifiers (login and password).
This can happen with some DSL box, when configured for "modem mode only".
You can also skip this step and manually configure network settings later, after completing the setup wizard (for example if no DHCP server are available), if you no need to benefit of the Calexium offer " One domain name for free for one year ", this offer requiring Internet access fully functional.
5.2
Domain name settings
This screen allows you to create a new domain name, or reuse an existing domain as your own.
This page appears only if you get the offer « a free domain name for one year ».
Otherwise, the second option is selected and you go directly to the screen for entering the domain name.

5.2.1
Option 1: Create a new domain name

If you chose the option to create a new domain name, the wizard will assist you in finding an available name and reserve it.
At the end of this wizard, a new domain name has been created and will be immediately available to send and receive e ‐ mails.
Due to Internet domain name regulation, it requires an annual subscription.
The 1st year is offered for every purchase of a MailFountain (offer subject to conditions see on www.calexium.com
).
You're actually the owner of this domain name, Calexium is only a reseller and technical contact, and you can always ask to transfer the management at the registrar of your choice.
Each year, it will be offered to renew this subscription.
You're free to do so or not.
5.2.2
Option 2: Using an existing domain name
In this page, enter the name of existing domain for which you want to manage e ‐ mails with MailFountain.
To allow a MailFountain to receive e ‐ mails for the domain, it is imperative to change the configuration of the DNS
(Domain Name Servers) to your registrar (the provider of your domain name).
You will find the necessary information in Chapter 6.3

The next page allows you to select the time zone used by MailFountain for time stamping the e ‐ mails sent and received.
5.4
SMTP server configuration
This page lets you select the mode for sending e ‐ mails through MailFountain.
In its standard configuration, MailFountain will always send directly your e ‐ mail.
It’s the most powerful and totally independent from the Internet Service Provider (ISP).
But some ISP, in their abusive political of struggle against the spam, block the port 25.
Hence that ISP permits only the use of that port for sending e ‐ mail through their own servers.
If you are in this case, select the second option and avoid sending too many mailings.
We advise you to change you ISP to which allows the 25 port open, static IP and preferably with Reverse DNS.
However, even if you select 'direct send' MailFountain will still ask you to enter settings allowing it to use the ISP's servers.
This allows MailFountain bypass some obstacles, in this case it imposed by the recipients server, who may decide arbitrarily (and without any respect for Internet standards) to block e ‐ mails from your IP address.
MailFountain seek to detect such situations and use the ISP's servers only in these cases.

There are some settings related to your Internet access that can reduce these cases, and validate your IP address from a vast majority of servers worldwide.

5.5
Create administrator password
Once the wizard completes, you'll need to log in as an administrator to view and / or modify the settings of
MailFountain.
The Administrator account username is "admin".
Enter in that page the password you want to log in.
Be sure to keep it.
If you forget the administrator password, you can always access the MailFountain by entering the security code printed on the warranty card supplied with the MailFountain.
In that case, once the security code is entered, you will be asked to choose a new password for administrator access.
5.6
Create the 1 st e-mails accounts
You come now to the final configuration step: the creation of email accounts.

Two accounts have been created for you:
‐ postmaster (Directeur du courrier) : who manages the messages, users and the problems on the e ‐ mails server e ‐ mails.
The default password is « postmaster »
‐ abuse : This account is used to receive requests to unsubscribe from mailings or any abuse complain from a recipient who receives e ‐ mail from your domain.
The default password is « abuse »
It is recommended to change the default password
To complete the wizard mode, you must at least create another account.
A "Finish Wizard" button will appear below.
6 First steps with MailFountain
6.1
Connect to MailFountain
With your Internet browser, type in the address bar http://mail.
the name of your domain , eg if your domain is mycompany.biz
type « http://mail.my-company.biz
».
The following homepage will appear.

Using the URL 'http://mail.my
‐ company.biz' work systematically if MailFountain acts as router (the router mode is active by default).
But if MailFountain is in server mode, the proper functioning of this URL depends on several parameters:
‐ The configuration of DNS for your domain name (the word ‘mail’ must prefix your domain name and the IP address must be the public IP of your connection).
‐ The ability and/or the configuration of your current router.
It must not only be able to re ‐ route requests internally, but port 80 should be redirected to the MailFountain.
Otherwise, it is still possible to access MailFountain using its IP address.
There are 3 ways to connect to MailFountain:
‐ As an administrator (Login Name = ‘admin’)
‐ As manager of one or more domains ( Multi-domains models only S200 & M500 ).
An identifier has been assigned by the administrator.
‐ As a regular user (Login Name = full e ‐ mail address)
6.1.1
Role of the Administrator
The administrator connects to MailFountain for maintenance operations such as:
•
Domain management ( Multi-domain models only )
•
User Account management
•
E ‐ mailings management
•
Share directories management
•
MailFountain settings management
To login as an administrator, you must enter " admin " as login name and password you entered at the first start of
MailFountain.
6.1.2
Roles of domain manager
The domain manager will be able to access and modify all elements related to the domain:
• User Account management
•
E ‐ mailings management
•
Share directories management
To connect, a domain manager will use the login and password that it has provided by the Administrator.
6.1.3
The regular user interface
The user connects to MailFountain for managing his account and act on the mailings he has rights.

Manage e ‐ mailings on which he has rights

To connect as a domain user, you must use your complete e ‐ mail as login name, and enter your password.
6.2
Integrate MailFountain into your network
This step is essential.
MailFountain needs to interact with both the Internet and your LAN.
To simplify this configuration MailFountain act by default as a router / firewall and can simply be placed into a head of your local network.
This is convenient if you haven’t knowledge of network setting.
But this configuration is not imposed at all, and if you have the necessary skills (internal or external), you can totally set MailFountain to fit like any other server in your network.
6.2.1
MailFountain in router mode (default mode)

In this mode, you have to not worry about almost anything.
Just make sure that MailFountain access to Internet (see
Section 6.2.1.2: Setting network) and define the simplified characteristics of your LAN.
6.2.1.1
The Ethernet plugs
In this mode, the Ethernet plug located to the right near the USB port is considered taking the Internet (or WAN).
On this one it should connect the modem
The other two Ethernet plugs called LAN correspond to your LAN.
So you can connect on it your computers, printers, etc.
Of course you can also connect a network switch in order to install more equipment (the maximum is 253 units).
6.2.1.2
Network settings
As Administrator, open the Network configuration page:

1) Make sure that the checkbox "Enable router mode" is checked.
2) Then choose the mode of Internet access.
3 choices are shown :
•
Static IP : Select this if you are part of a subnet and you have assigned a fixed IP address.
•
Automatic IP : Use this option if your connection does not require entering a pair username / password.
Some ISPs actually proposes an automatic identification with their multifunction box.
Caution, make sure the box is properly configured as a single modem (router functions disabled).
•
PPPoE : if your connection requires a username and password, then you are certainly in that mode.
3) And finally, set the LAN configuration.
Here, the only possible choice is the IP address of the MailFountain in the LAN (usually 192.168.1.1
should be very good).
For simplicity, the subnet mask network is predetermined and cannot be changed.
6.2.1.3
Router configuration
The router features of MailFountain are deliberately simple in order to remain accessible to all, but can still respond to a vast majority of situations.
By default, MailFountain is already fully configured and requires no modification of these parameters.
You will have to intervene if you have specific needs outside the framework of MailFountain.

This page lets you configure essentially 2 elements:
1) The DHCP server (that server assigns automatically an IP address to any equipment connected to your
LAN).
You can enable or disable, and set the IP address range to be granted.
2) The routing rules for incoming connections.
If you have other servers on your LAN, and that these servers must be accessible from outside (internet), then you can add rules for port forwarding to these servers.
The number rule is not limited; simply press the button "Add" and new line appear.
6.2.2
MailFountain in Server mode

As server, MailFountain is simply a device in your local network.
That is to say that properly configured, MailFountain can access the Internet.
But on the other hand, nobody can access it from outside, now this is required to allow at least MailFountain receive e ‐ mails.
You must therefore set port forwarding on your router (see 6.2.2.3
Ports to redirect)
6.2.2.1
The Ethernet plugs
In this mode, the three Ethernet plugs are equivalent and behave exactly like a network switch.
You can use it to connect other devices on your LAN.

As a server, your MailFountain must have a fixed IP on your LAN, this is the only possible choice.
You must also enter the parameters for allowing MailFountain to access to the Internet (the gateway and at least one DNS).
6.2.2.3
Ports to redirect
At least, to receive your e ‐ mail, you need to forward port 25 (SMTP) to MailFountain.
But other port will be redirected in order to exploit other features of the MailFountain.

6.3
Setting DNS for your Internet domain
To allow your MailFountain to receive e ‐ mails, we will have to inform the world where the e ‐ mails for your domain must be sent.
For this, we must set the Name Servers (DNS = Domain Name Server) to manage your domain.
If the domain name was created by MailFountain at its first start, by chance, you have absolutely nothing to do; you're ready to receive e ‐ mails.

But if you already have the domain, we'll have to change settings.
For this, several options are possible.
6.3.1
Manual configuration of your DNS
The exact procedure depends entirely of the registrar of your domain.
We can therefore only explain what the different settings to change or add.
If you're not confident with setting a DNS server, it is strongly recommend asking to a specialist to do it; otherwise a bad configuration could make your domain inaccessible.
You can also contact your registrar’s support to ensure the management of you domain name by providing the following information, perhaps they will agree to do it for you.
There are 3 parameters to add and / or modify, including 2 mandatory:
Add a type 'A' record by pointing a name (or sub domain) to the IP address of your Internet connection.
Example: If your domain is “my ‐ company.biz”, you must associate to the name “ mail .my
‐ company.biz
” the IP address of your Internet connection
1) Replace all 'MX' entries by only one referring to the sub domain you created earlier.
Example: Create an MX record referring to "mail.my
‐ company.biz"
2) Optionally, add a 'SPF' record type (or 'TXT' if the SPF is not available) containing the following data: " v = spf1 mx mx:mailfountain.net -all ".
This allows an effective method against spam.
An incorrect setting of the DNS managing your domain name may cause the unavailability of your website, your e ‐ mails and all associated services.
If you do not have a minimum knowledge, it is best to contact a specialist.
For information, here is the setting entries of the most common worldwide DNS server: bind
mail 10800 IN A 88.xxx.xxx.154
@ 28800 IN MX 0 mail.my-company.biz.
@ 28800 IN TXT v=spf1 mx mx:mailfountain.net –all
Be careful, obviously you must replace the IP address « 88.xxx.xxx.154
» by the one of your internet access and « my-company.biz
» by your real domain name.
6.3.2
Delegating management of DNS to MailFountain
If your Internet connection is a dynamic IP address (which usually changes every day), it will be essential to transfer the management of the DNS for your domain to MailFountain, and hence the records are properly updated with every change of your IP address.
Again, the procedure depends completely of the provider who managing your domain.
We must get the DNS which manage your domain.
If you don’t know how to, ask to your registrar and provide the new DNS settings.
He can do the change for you.
The DNS servers of MailFountain are:

If you have a website on this domain name, you must add to the list of sub domains from the administration interface of MailFountain.
6.4
Set up a user account
This paragraph will guide you in creating a new user account, and in setting the mailer with which you send and receive e ‐ mails.
6.4.1
Create a user account in MailFountain
To create a user account, you must be logged as domain manager or administrator.
Once connected, select the domain name that the user must be added (on a multi ‐ domain model only S200 or
M500).
The following screen will show up.
The form to create a new account requires only few parameters:
Login: is the part that prefixes the e ‐ mail.
Example, if you enter « john.doe
» and you are in « my ‐ company.biz
», you will have the following e ‐ mail « [email protected]
».
‐ Full name: Free text describing the account.
This name will appear in the rest of the interface when selecting an e ‐ mail.
Example, « John DOE » is a good choice for our previous example.
But « Chief Accountant » be equally.
It depends on your organization.
‐ Password: Is the password that will serve both to view e ‐ mail account, to send and connect to the WebMail.
This password must contain at least 6 characters.
You must enter 2 times by security.
Once the account is created, you can always edit it by clicking on the list and edit its settings (name, password, etc.).
Only the Login can’t be changed.
6.4.2
Mailer settings
To send and receive e ‐ mails with your new account, you must configure your preferred mailer (outlook, thunderbird,
Apple mail, etc.).

For the following, we will consider that your DNS is correctly configured and that "mail.
your-domaine.tdl
" is set the correct IP address of your Internet connection.
You must create a new POP3 mail account with the following parameters:

E ‐ mail address

Your account password defined on MailFountain
Moreover, it is essential to enable authentication for outgoing mail server (an option is usually in the advanced settings).
And finally, do not require encrypted or secured authentication, it is currently incompatible with MailFountain.
While testing your account if you get a connection error, it may have 2 main origins:
1) The DNS is not configured, or simply the spread of its configuration via Internet is not yet over.
For check it, open a command prompt and type "nslookup mail.your
‐ domain ‐ name.tdl" and verify that the IP address returned corresponds to yours.
2) Your router does not re ‐ route a connection from the LAN.
Indeed, using the address "mail.your
‐ domain ‐ name.tdl”, you actually go to the public IP address of your Internet connection.
But accessing to MailFountain requires that the routing rules of ports on your router are applied and the router redirects the request to MailFountain (see chapter 6.2.2.3
Ports to redirect ).
Unfortunately, some routers can’t re ‐ route a request from the LAN (whereas if the request came from the Internet, it is of course no problem).
The solution is to use the local IP address of the MailFountain instead of « mail.your
‐ domain ‐ name.tdl
».
What makes this only works if the computer is on the same network (fixed workstation for example).
In the case of a laptop is more problematic.
A workaround is to define
2 accounts with different settings: one running from the local network, the other from the
Internet.
But ideally, you must either configure the router if possible, or change it.
6.5
Send a e-mailing
A e ‐ mailing is a list of email addresses grouped under a name with itself as an e ‐ mail.
For example the list of all your customers and prospects interested in receiving a newsletter, will be named newsletter@my ‐ company.biz
6.5.1
Create a e-mailing
In the left menu.
Click on the Mailing list entry.
You will see a list of all existing mailings.

In the bottom right of this list click on Create new mailing .
A form « Creating a new mailing » will show up with 3 fields to fill:
‐ The list name must be the same format as a prefix of e ‐ mail because it will be the identity of the list during the send.
Furthermore, it must not correspond to any existing email account, alias or redirection.
Example: newsletter (the identity of mailing will be « newsletter@my ‐ company.biz»).
‐ The Show name is the name that will be displayed as the sender just before the e ‐ mail address of the mailing.
‐ His description is free and only appears at the level of the mailing.
Once the mailing is created, you can change settings and affect mainly the rights to each user.

Edit settings for a mailing
To edit the user rights of a mailing, you must click on the icon editing in the mailing list.
Two other important parameters are available:
Sending an e ‐ mail confirmation avoids a mailing is sent inadvertently.
Indeed, as we shall see, it is extremely easy and fast way to send a mailing.
The consequences of an error handling can be important (for example: send a confidential document to tens of thousands of people on a simple e ‐ mail sending error).
Therefore, by default,
MailFountain will return to the issuer of mailing a confirmation before proceeding to send the mailing to the targets.
And finally it is possible to define who will receive the replies to a mailing.
By default, this is the postmaster account, but you can choose another account.

Rights on the mailings
To interact with the mailings, it is necessary that users have the right to perform these operations.
The 2 possible operations on the mailings are:

Add and delete e ‐ mail address in the list of recipients of this mailing ( Edit right )
•
Send a mailing ( Send right )
These 2 operations are limited to persons designated by the domain manager or the administrator.
This is part of the security policy of the company.
Thus in some companies, everyone has the right to send mailings and to modify the recipients.
In others only a few people will be authorized.
The editing rights form allows you to check the box corresponding to the desired rights for each account.
6.5.4
Writing and sending a mailing
To write your mailing, simply use your favourite email software.
The only particularity is at the recipient: you send your mailing at your emailing address (eg newsletter@my ‐ company.biz
).
Once wrote, send your e ‐ mail.
This will trigger the creation of a campaign.
If sending a confirmation has been configured, MailFountain will return to your mailbox a confirmation e ‐ mail.
To start sending the current mailing, simply answer to the confirmation request (“Reply” button of your mailer), without adding or removing anything.

Alternatively, you can also validate a campaign by going on the campaign page (a “Mailing list” sub ‐ menu):

6.5.5
Progression and campaign report
A campaign has a lifetime of 5 days.
This means that during 5 days, MailFountain will try to send the contents of the campaign to all recipients.
But in some cases, "temporary" errors (called in MailFountain Warning) will occur.
When this happens, MailFountain send the next recipients until the end and return to the recipients in error at the end
Sometime, some errors are permanent (eg unknown address), in this case, no further attempt will be made.
To follow the progress of a campaign, just go to the campaigns page (“Mailing list” sub ‐ menu of).
The list of active campaigns or completed is displayed.
By clicking on the date of the campaign, we get the list of recipients and their status.
A report can also be sent by e ‐ mail to the account you chose on the top right menu.
