Spotfire Deployment and Administration
After installing the TIBCO Spotfire
®
Server, the administrator works in both in the server and in the
Spotfire Professional Client to configure user lists, packages, and account settings.
Spotfire Deployment and Administration are composed of two distinct sets of tasks.

Spotfire deployment includes deploying packages to be downloaded automatically by Spotfire clients, creating users and groups, setting up licenses, and setting up the library.
Spotfire administration includes performing tasks like adding new users and groups to the system, manage licenses, and upgrading to new versions.
All of these tasks are performed using different tools available in Spotfire. You can find further assistance in the online help of each tool.

The Spotfire Administrator
The Spotfire Administrator (Admin) is a Spotfire user with administrative privileges. The Admin is responsible for adding users and groups, configuring licenses and preferences, and deploying new packages.
The Admin can be, but does not need to be, the same person as the TIBCO Spotfire
®
Server administrator. When the Spotfire Server is installed, the server administrator assigns Spotfire Admin privileges to a Spotfire user (and creates it if necessary). This user becomes the first Spotfire Admin. He or she can then assign Admin privileges to other Spotfire users as needed.

TIBCO Spotfire Administrative Tools
Spotfire has three tools for performing administrative tasks. Spotfire Admins must be familiar with all three tools.
TIBCO Spotfire Administration Console
Each TIBCO Spotfire
®
Server has a web-based administration UI called the TIBCO Spotfire
Administration Console. Use the Administration Console to:
●
Set up users and groups.
●
If your organization uses an external mechanism such as an LDAP server for user and group management, then you do not use the Administration Console for user and group management.
Create and upload deployments.
The Administration Console can be reached by a standard web browser using the URL http:// spotfireserver/spotfire/administration/
, where spotfireserver
is the hostname of a Spotfire
Server. If you work in a clustered environment, it does not matter which server in the cluster you use.
Changes made to one server are stored in the Spotfire Database and are available to all servers.
If your Spotfire Server cluster deployment includes a load balancer, to use the Administration Console, use the load balancer hostname in place of spotfireserver
.

TIBCO Spotfire Administration Manager
In the Spotfire client, on the Tools menu, you can find the Administration Manager. Use the
Administration Manager to:
Set up licenses and preferences.
Create new users and groups.
TIBCO Spotfire Library Administration
The Library Administration tool, also available in the Spotfire client, is used to administer the Spotfire
Library. Spotfire users publish and share analyses and data with each other using the Spotfire Library.
Use the Library Administration tool to export or import Library content, for example when you need to back up the contents, or to move content from one server to another, such as from a test instance to one used in production.
TIBCO Spotfire Server Logs and Diagnostics
For each TIBCO Spotfire
®
Server, you can view logs and diagnostics in the Server Logs and Diagnostics tool, available at the URL http://spotfireserver:80/spotfire
(where spotfireserver
is the name of the Spotfire Server.)
Log in as a user who has either Spotfire Administrator or Spotfire Diagnostics Administrator
permissions. For more information about Spotfire permissions and administrator roles, see Set Up
.

Server logs can provide detailed information about what is happening on the server, such as access logs, SOAP communication, Information Links that are used, and so on.
Diagnostics can provide information about the server itself, such as information about the database server, the operating system, Spotfire Server, the cluster configuration, the application server, the system, and the Java version.

Any changes made to the log configuration using this tool are reverted when the Spotfire Server is restarted. To change the default log level, you must manually edit a configuration file on the Spotfire
Server. See the TIBCO Spotfire Server - Installation and Configuration Manual for more information about changing the logging level.

Set Up TIBCO Spotfire
After the TIBCO Spotfire
®
Server is installed and configured, the Spotfire Admin must complete the a series of configuration and deployment tasks before users can begin to use Spotfire.
Study the Spotfire deployment model and the user and group model, and read the various tools' associated help before you begin the series of tasks required for a successful Spotfire deployment.
1. Deploy Spotfire packages.
2. Install Spotfire on a computer.
3. Set up Users, Groups, Licenses and Preferences.
4. Set up the Spotfire Library.
5. Install Spotfire for all users.
Spotfire Package Deployment
After installing TIBCO Spotfire
®
Server, the Spotfire Admin must create an initial deployment. It is also important that any client hotfixes released by TIBCO, or any other add-on software, are deployed to the server. It is important that these packages are deployed to the server for the clients to work properly.
Then, when a user logs into Spotfire, the client checks for new software packages on the server and automatically updates the client if any are found.
When you install the Spotfire Server for the first time, the default deployment area is created, and the name of that area is set to "Production". Deployment areas can then be set for groups in the Spotfire database, and when one is set for a group, all group members can access the deployments in that area.
You do not need to specify a deployment area for the Deployment Administrator and Administrator groups. These groups can access all deployment areas.
It is possible to add, delete and rename deployment areas. The default deployment area can be changed but not removed. The default deployment area is ignored for a user as soon as a deployment area is specified for a group the user belongs to. If no deployment area is set for a group, the group members get the default deployment area.
The Administrator uses the Groups tab to assign deployment areas. When a user logs into the Spotfire client, one of the following happens:
Deployment Area Specified
Specified for one, and only one, of the groups the user is amember of.
More than one deployment area is available because the user belongs to several groups with different deployment areas assigned.
No deployment area is specified for any groups the user belongs to.
Result
The user gets the packages for the specified area and is not prompted to choose deployment area.
The user is prompted to choose between the deployment areas set for the different groups.
The user gets the default deployment area.

Example: Multiple Deployment Areas
When users in the following groups log into Spotfire, the following occurs:

Group 1: Because no deployment area is assigned, these users get the default deployment area. They are not prompted to select a deployment area.
Group 2: Users get the Chemistry deployment area. They are not prompted to select deployment area.
Group 3: Users get the Statistics deployment area. They are not prompted to select deployment area.
Group 4: Users are prompted to select between the Statistics and the Chemistry deployment areas.
If a group of users cannot run a certain version of the Spotfire client, or if you want to specify a group of "early adopters" try out a new version of the Spotfire client, for example, you can do this easily by assigning a specific deployment area to those groups, so other users not in the group are not affected.
By assigning different deployment areas to different groups, you can have fine-grained control over the deployments available to any group.
A test area can be created and used as a staging server, and when confident that everything works as it should, you can move that deployment to areas "in production".
It is recommended to think carefully through how to set up the deployment areas and make sure that users are prompted as rarely as possible to choose deployment area.

Deploying Spotfire Packages
You can deploy Spotfire packages to the Spotfire Server to give end users access to more features or updated features in Spotfire.
See the online help for the Administration Console for detailed information about this tool.
Procedure
1. Open web browser and browse to the Administration Console, located at http://spotserver/ spotfire/administration
(where spotserver
is the name of one of your Spotfire Servers).
2. Log in as a Spotfire Admin.
3. Select the Deployment tab.

4. Select an existing deployment area from the Deployment Area list, or create a new deployment area to which to deploy packages.
We recommend using an area that is not in production, especially if you are upgrading from a previous version of Spotfire. For example, you can create a “test deployment area,” and then later copy the deployment from that “test area” after you have installed a
Spotfire client and verified that the deployment is downloaded and installed upon login.
5. If you have old packages in the environment, click Clear to remove all packages.
If you have any third-party packages that you know work with this version of Spotfire, you can keep these. In this scenario, rather than clicking Clear, remove any unwanted packages one by one.
6. Click Add.
The Add to Deployment dialog appears.
7. Click Browse.
The File Upload dialog appears.
8. Browse to a package file (
.spk
) or a distribution file (
.sdn
) that you want to include in the deployment.
A distribution (
.sdn
) file is composed of package (
.spk
) files that might have dependencies on one another. The
Spotfire.Dxp.sdn
distribution is the most frequently encountered example of a distribution file and is located in the deployment kit folder

9. In the Add to Deployment dialog, click OK to upload and add the file to the distribution.
The list of packages is updated with the contents of the file.
10. Remove any unwanted files from the list by selecting them and clicking Remove.
11. Click Validate to make sure the deployment is not corrupted.
12. Click Save to save and publish the deployment.
The Save Deployment dialog appears.
13. Provide a version number and a description for the deployment, and then click OK.
Installing TIBCO Spotfire on a Computer
After creating a deployment you must install a Spotfire client on your computer, to verify that the deployment works, and to get access to the Administration Manager and the Library Administration tools.
Spotfire is installed using an installer found in the
\Products\TIBCO Spotfire Installer
folder of the Spotfire distribution.
Procedure
1. Copy the Client Installer folder to your local disk, and run the setup.exe
file.
The installer starts, and the Welcome screen is shown.
2. Click Next to continue.
3. Read the Spotfire license agreement. Select the I accept radio button to accept and click Next to continue.
4. Specify the URL of your TIBCO Spotfire
®
Server. Click Next to continue.
If there are several TIBCO Spotfire
®
Servers installed, and a load balancer is in place in front of them, specify the load balancer URL.
5. Click Install to start the installation.

6. When Spotfire is installed, click Finish to close the installer.
Spotfire is now installed.
Verifying That You Can Log In
After deploying packages you should start Spotfire on your computer and log into the deployment area to which packages were deployed. In the following instructions it is assumed that packages were deployed to an area named “test”. Log in to the “test” deployment area on your server to verify that login works and that you receive Spotfire package updates.
Procedure
1. Start Spotfire
Spotfire starts and displays a login dialog.
2. Click Manage Servers, and then in the Manage Servers dialog, click Add.
The Add Server dialog appears.
3. Click Add.
4. Enter the URL to your Spotfire Server, and then click OK twice.
5. Enter your username and password to log in to the Spotfire Server.
6. Click Login.
You are logged in to the Spotfire Server. You should also receive package updates from the deployment in the Test Environment.
You might be prompted to select a Deployment Area. See the example in
.
Package "updates" might, in fact, be "downgrades", if the files deployed to the server are older than the installed Spotfire. This can be a useful in a situation where, for some reason, an administrator wants to downgrade all clients. However, it is not possible to downgrade to a lower major version, for example from 7.0 to 6.0, or even to log into a server with a deployment with a lower major version number than the client. For this reason, you must deploy 7.0 packages to the server before you can log in to it with a 7.0 client.
Copying a Deployment to the Default Deployment Area
In the Spotfire Administration Console, you can copy a tested deployment to the Default Deployment
Area.
When you receive new updates from TIBCO or from a third-party, deploy these updates to the test environment and test them before you copy them to the production environment. This way you can test a new deployment without disturbing your Spotfire users.
Procedure
1. In the Spotfire Administration Console, select the Deployment tab.
2. Select the “test” area.
3. Click Copy.
The Copy Deployment dialog appears.
4. Select to copy the deployment to the Default Deployment Area.
5. Click OK.
The content of the “test” area is copied to the production area.

Set Up Users
During TIBCO Spotfire
®
Server installation and configuration, Spotfire Authentication is set up.
Spotfire can authenticate users using either internal authentication (Spotfire Database) or external authentication (LDAP directory or Windows Domain).

If internal authentication is used, you can add and delete users and change their passwords using either the Administration Console or the Administration Manager.
If external authentication is used, users are imported into the Spotfire Database when they first log in. You cannot remove imported users from within the Spotfire system.
Users can be managed in the Administration Console or in the Administration Manager on the Users tabs in both tools. Refer to their online helps for detailed instructions.
Set Up Groups
Spotfire groups are used to organize users. Groups can be synchronized from an external source, such as an LDAP directory or a Windows Domain, or created and managed locally in the Spotfire Database.
This is set up during TIBCO Spotfire
®
Server installation.
Synchronized groups cannot be deleted from within the Spotfire system. However, you can create local
Spotfire groups and place imported users and synchronized groups in them, which is important when you set licenses on groups.
Groups can be managed in the Administration Console or in the Administration Manager on the
Groups and Groups and Licenses tabs respectively. Refer to their online helps for detailed instructions.
Roles and Special Groups
In the TIBCO Spotfire
®
system, there are a number of special groups that are present at installation and are not possible to remove. These groups define different roles. Roles can be viewed as different sets of tasks the members of the groups are supposed to and allowed to perform. To assign a role to a user, simply add him or her to one of the special groups. Note that some roles require not only membership in the group, but also that a specific license be enabled for the group in question.

Description
All users that need administrator privileges on the TIBCO Spotfire Server must be members of this group. Membership in this group grants all permissions described below in addition to administration of preferences, licenses, and user directory.
This group must have the TIBCO Spotfire Administrator license enabled to be able to administer the Spotfire system (to get access to the Administration Manager tool).
Membership in this group grants full permission to the library. It overrides all folder permissions set in the library, granting full control over all content and includes the permission to import and export library content. All users and groups that need administrative privileges in the library must belong to this group or the Administrator group.
This group must have the TIBCO Spotfire Library
Administrator License enabled to be able to administer the library (to get access to the Library Administration tool).

Description
Membership in this group grants permission to deploy packages to the server. Note that these users can deploy to any area on the server, as well as delete any existing deployment.
The number of logging configurations available can be decided by the server administrator. For more information about this see the TIBCO Spotfire Server Installation and Configuration
Manual.
Membership in this group grants permission to view server logs and diagnostics, as well as to set server logging configurations. It also grants permission to view information in the Web Player diagnostics page.
Membership in this group grants permission to Impersonate. It is recommended that users belonging to this group do not have additional privileges. See the TIBCO Spotfire Server Installation and Configuration
Manual for more information about Impersonation.
Membership in this group grants permission to view Spotfire Web Player diagnostics and to set up Scheduled Updates tasks.
Membership in this group grants permission to perform Scheduled
Updates of analysis files.
Membership in this group grants permission to create and sign custom queries for data access using data connections.
Membership in this group grants permission to author scripts.
The user must also have the Author Scripts license in order to author scripts.
Scripts executed by the Spotfire Web Player can essentially do anything deployed packages can do. Therefore you should only grant this permission to trusted users.
All users who should have access to the Spotfire Server public Web
Service API must be members of the API User group.
This is group always contains all users in the Spotfire system. No users can be removed from it, but you can set licenses for it if you like.
Set Up Licenses
Spotfire licenses control what features are available to users. Licenses are always configured per group, never on individual users. When a user logs in, only the features enabled to the groups the user belongs to appear in Spotfire. You should apply licenses to groups when you create them. Because groups can belong to groups, licenses are inherited from the parent group.

In this example, the license Spotfire Professional is set on the group ACME Spotfire Users. This license is then inherited by all groups belonging to the ACME Spotfire Users group, situated below it in this illustration. The license TIBCO Spotfire Metrics is set on the group ACME Analysts and inherited by its child groups, ACME Food Analysts and ACME Drink Analysts.
When initially setting up Spotfire licenses, it is a good idea to set licenses as “high up” in the hierarchy as possible, to take full advantage of group inheritance.
Licenses are set on the Groups and Licenses tab in the Administration Manager in the Spotfire client.

Set Up Preferences
Spotfire preferences control the Spotfire experience. Preferences define which font to use for labels, which default marker shape to use for scatter plots, and many other things. They are set on groups and inherited just like licenses.
Preferences are set on the Preferences tab in the Administration Manager in the Spotfire client. For detailed instructions on how to use this tool, see its online help.
Users can set their own preferences from the Tools > Options dialog in the Spotfire client. Preferences set in the Administration Manager come into effect if a user has not set any individual preferences for a particular area.
Set Up Connection to TIBCO Spotfire Statistics Services
Spotfire provides support for connecting to TIBCO Spotfire
®
Statistics Services.
Most settings for this configuration are set in the Spotfire client. See its online help for more information. URLs to Spotfire Statistics Services servers running S-PLUS or open-source R engines are also configurable as Spotfire preferences in the Administration Manager. On the Preferences tab, select the group for which the URLs should be set, and then select the tab Preferences. Find TIBCO Spotfire
Statistics Services in the list and click Edit. Enter the URL to the Spotfire Statistics Services server running a S-PLUS engine and/or the Spotfire Statistics Services server running an open-source R engine. For detailed instructions on how to use the Administration Manager, see its online help.
Open-source R is available under separate open source software license terms and is not part of TIBCO
Spotfire Statistics Services. As such, open-source R is not within the scope of your license for TIBCO
Spotfire Statistics Services. Open-source R is not supported, maintained, or warranted in any way by
TIBCO Software Inc. Download and use of open-source R is solely at your own discretion and subject to the free open source license terms applicable to open-source R.

Set Up the Spotfire Library
The Library is where users store and share analyses. A TIBCO Spotfire
®
Administrator, or a Library
Administrator assigned by the Spotfire Administrator, should set up the library before the users start storing analyses here.
Setting up the Library includes building a folder structure with appropriate permissions for the different groups to read and write to the different folders. By setting “owner” permissions for a certain group to a number of folders, you can delegate responsibility for that part of the Library to a certain group within your organization.
When you export and import from the Library you can select Include Permissions. If this is selected on both import and export, the imported content gets the same permissions as the content originally had when it was exported.
Permissions can be set only if the user or group exists in the new Library. Just importing does not assign a privilege to a user that does not exist. This has an extra implication: If you want to import users and groups as well as library content, you should start to import the users and groups.
Library Administrators
Library Administrators are Spotfire users belonging to the special Library Administrator group. Library
Administrators have sufficient permissons to create folders on the root level of the Library, and also have full access to the entire Library. As a Spotfire Administrator, you could make yourself a Library
Administrator, or you can delegate this responsibility to others.
Design Guidelines
The key to a successful Library design is structure. How you structure your Library is up to you.
Consider the following suggestions:

By department. For example, this would, allow all engineers to access the same analyses.
By project. This would allow all users working in the same project to access the same analyses.
Using inheritance, you could allow different sub-projects to access their parent project files, and still restrict sister-projects from reaching each other’s material.
By geography. For example, this would allow different offices to have access to different parts of the
Library.
It is usually a good idea to have the Library structure reflect the structure of your organization.

The license for TIBCO Spotfire Enterprise Player license enables access to basic features such as saving files to disk or to the library, opening files from the library, opening linked data, and exporting to various formats. While this functionality is crucial for all users, it is necessary that all users that have the TIBCO Spotfire
Professional license also have the TIBCO Spotfire Enterprise
Player license. For technical reasons, certain features under this license are also required to run Spotfire Web Player.
The license for running Spotfire Professional, which includes all the standard features in the Spotfire client, except the features included in the license Spotfire Enterprise Player.
Any groups with this license enabled must also have the
Spotfire Enterprise Player license enabled.
Users can create and edit analyses from a web client.

TIBCO Spotfire Administrator Enables access to the Administration Manager and the Library
Administration tool (the administration tools available within the
Spotfire client).
To administer the Spotfire system, this license is not enough. The user must also be a Spotfire Admin, that is a member of the special Administrator group. If the users needs full access to the library, they must also be members of the special Library Administrator group.
If you are a member of the Library Administrator group, you are granted full control over all content. By default, the Administrator group is a member of the
Library Administrator group and thus has full access control over the library.

TIBCO Spotfire Connectors
Enables TIBCO Spotfire Qualification.
Enables access to the Application Profiler tool, used for gathering information about analysis files.
Users can connect and analyze data from external systems either in-database or in-memory, using one or more data connectors.
All users with the TIBCO Spotfire Conncetors License must also have the Open Database Data and the
Manage Data Tables license features under the TIBCO
Spotfire Professional license enabled, in order to use any connectors.
Each of these licenses consists of a set of license features.
TIBCO Spotfire Diagnostics License
The TIBCO Spotfire Diagnostics license gives you access to the Application Profiler which is used for gathering information about analysis files.

Enables the Tools > Diagnostics > Application Profiler menu item.
The Application Profiler is a tool used to scan the Spotfire library and acquire information about the available analyses. With the Application
Profiler you can automatically run tests on a large set of DXP files, or answer questions about the analyses, such as the time an analysis takes to load, the time it takes to render visualizations and you can also use it to search for errors.

The TIBCO Spotfire Web Player license enables the TIBCO Spotfire
®
Web Player which is needed for users who should have access to analyses in a web browser.
The Open File and Open from Library features under the TIBCO Spotfire Enterprise Player License must also be enabled for all users who should have access to analyses in the Spotfire Web Player. Other license features under the TIBCO Spotfire Enterprise Player License and the TIBCO Spotfire Business
Author License may also be applicable.

Data Functions license, or the user can register but not test
(execute) a data function or an expression function. If you do not grant this license, you should not grant licenses for
Predictive Modeling or Insert Predicted Columns.
Execute Data Functions The user can create, edit, run, or remove a data function or an expression function. The user can edit an existing script (including the data function parameters and output), and specify where to run the data function
(locally or on a server with TIBCO Spotfire Statistics Services).
The user can access and change the settings for type of data used by the data function.
If this license is not granted, the Insert > Data Function menu item is disabled, and the Settings button in the Edit > Data Table Properties dialog is disabled.
Even if a user lacks this license, any existing analyses containing predicted columns continue to function and update based on the data as necessary. (That is, the underlying data functions continue to work.)
