The DMAC District/ Campus Administrators can create logins for other user roles. • Click on RtI or Student Portfolio* *The RtI application is integrated into Student Portfolio (a free component of DMAC) to give users the ability to access additional information related to the student. Settings • If you have a district-level login, you can establish settings for the application by clicking the Settings drop-down list, or the settings icon on the right. • Prior to using RtI, settings should be established in the application (i.e., General Settings, Current Services, Data Sources, Resources, and Strategies). • Settings can be established and maintained by the following users: District Administrator, District Manager, District User. DMAC Solutions: RtI: Response to Intervention Page 2 of 14 Navigating RtI • The top of your screen displays Student Portfolio in the black bar when you have entered the following applications: Student Portfolio, RtI, PGP-I, PGPHS, and SSI. To receive detailed instructions for the plans listed, please visit our training materials section online for additional handouts. • The default screen in Student Portfolio is Student Search. • Click the Search/Students link on the top left to return to this screen at any time. • If you are logged in to DMAC as • a District/Campus Manager or User, you may choose to modify the list of students displayed in Student Search by – selecting a Campus or Grade – search for students by first/last name (or partial names) • a Teacher you will be able to see the list of students attached to them from Utilities/ Class Roster. You may search for students by first/last name (or partial names). Teachers may also sort by Class. • Clicking the RtI icon will direct you to the RtI/Student Search screen in Student Portfolio. Or you may enter RtI by choosing that application from the landing page. • The top right of your screen will provide your account information and a grid that allows you to switch applications. © 2015-16 Region 7 Education Service Center. DMAC Solutions: RtI: Response to Intervention Page 3 of 14 Advanced Filters • If you would like to see a more specific list of students, you can use the filter icon on the top right of the Student Search screen to select parameters such as demographics or plan-specific information to find students. Student Search Results • Search results for RtI include the Student’s Last Name, First Name, Grade, Review Date, MetStd, and RtI status. • All students from the search appear in an alphabetical list. The student’s performance on the most current STAAR Assessment is seen in the MetStd R/W/M/SC/SS column. (R=Reading Assessment W=Writing Assessment M=Math Assessment SC=Science Assessment SS=Social Studies Assessment) • Clicking on the Y-N in the column provides detailed information about the assessment ( - Passed - Did Not pass). • The Review Date column indicates the date the plan is scheduled for review. This will automatically populate after a plan has been initiated. • If there is a clipboard in the RtI plan column, a “formal” plan has been started. The edit icon in the active column means that a note has been entered or a service selected. If nothing is entered in the student’s plan, you will see a plus sign. © 2015-16 Region 7 Education Service Center. All Rights Reserved. DMAC Solutions: RtI: Response to Intervention Page 4 of 14 RtI status icons: Icon Description Plan - Click to view plan created for student Create - Click to start a new plan for that student, enter a note or select a Service. Import icon indicates that the district submitted their class roster early. This button allows for the RtI Plan to be imported into the current year. Please call the DMAC Helpdesk with questions at 1.866.988.6777 Modify/Edit icon indicates thats someone has entered a note or service. Click the icon to edit the plan. Delete icon produces the following message. Click ok if you want to delete that plan. Note the box by “destroy plan”. (Only for administrative roles) Restore icon allows you to reopen a previously deleted plan. • You can view a student’s individual history/portfolio by clicking on to the far right of their name on the Student Search page. DMAC Solutions: RtI: Response to Intervention Page 5 of 14 Batch Operations Note: It is not recommended to use Batch Operations to create RtI plans due to the individual nature of each plan. • Batch Operations allows you to perform certain operations for more than one student at a time. • The available Batch Operations include: • Creating plans (starting a plan - will not allow for specifics) • Updating demographics & class schedule • Deleting plans • Restoring plans • If you wish to perform a batch operation for a selected group of students, place a check mark by their names in the Search Results screen. • Click the batch icon. Note: only one operation can be batched at one time. • Select your operation from the drop-down list, and indicate if you want it performed for Selected Students, or All Students. • Click execute to complete the action. Section on Icon Description Portfolio Takes you to the student’s individual Portfolio. Students Quickly identify another student to view while in the individual plans for RtI. Profile View a pop-up box with student demographic information along with enrollment (classes) for the current year. Data View a pop-up box with historical state assessment data, local assessments through TEKScore, or TPRI/Tejas LEE. Plans View a pop-up box with all plans (RtI, PGP, PGP-Intervention, and SSI) for a student. Print Print the RtI plans for the selected student. You can also select this icon to view the plan as a .pdf to save to your desktop. Profile tab The Profile tab displays the student’s demographic and enrollment information. (even prior to implementing a formal RtI plan) • To add documentation of a service, select , choose the service from the drop-down by checking the box. You may choose more than one service. • The list will populate in the window to the left. • Note: The window to the right is an audit trail of both selection and deletion of services. • To remove a service (no longer in use) click on . You will be asked to justify the removal of a service. Enter the explanation in the comment box. This will be saved in the Notes section to the left. • The bottom portion of the window is a historical count of services received in the past. You may choose from one of those services by selecting the green plus sign. Plan Tab • Choose the Plan tab to document the Introduction, Area of Focus, Health Information, Interventions, Progress Monitoring, and Review meetings in a student’s RtI plan. • When beginning a Plan, you see the Introduction screen for the student. • Enter Date of meeting and Teacher Contact. © 2015-16 Region 7 Education Service Center. Add members outside of the school district by manually entering their names and information in the fields. Members that are employed by the district can be added by choosing view class roster > Select team members > Save • Choose save to save the record in the RtI plan. • Click the Area of Focus section in the tree under Introduction. DMAC Solutions: RtI: Response to Intervention Page 9 of 14 • Click on Health Information to add any health information that is pertinent to a student’s RtI plan. • Choose save to save the information in the RtI plan. • Choose add period to begin documenting interventions, progress monitoring, and review meetings. • NOTE: If a student has had a plan from a previous grade/campus that had a review decision of ‘continue’, after selecting the plus icon, the user will be promoted with a pop-up window asking if you want to “import the plan from that year” - you may choose Import or Cancel. If you choose Cancel, you will be directed to a blank Intervention Period to fill in as you wish. • Check any Files/Forms (.pdf files) that need to appear in the plan at this point. Choose save record in the RtI plan. (These must have been previously uploaded under Files/Forms) to save the • Choose Interventions (from the tree - on the left) to design specific interventions. • Enter text for Expected level of performance. • Enter text for Length of time to reach goal. Choose save to save text. • Choose add new to enter text for interventions. Complete information for specific intervention and click save to continue. You must activate your progress monitoring chart by clicking on Include Chart. The title will populate from the text entered under Target Area. You must label your X and Y axis at this time. DMAC Solutions: RtI: Response to Intervention Page 10 of 14 • Depending on the Area of Focus and details, one or more interventions may be added to the plan, and will appear in the Interventions window. • Interventions may be edited and deleted by using the icons. • A graph can be accessed from this screen or by clicking to view the student’s progress monitoring data. Multiple entries can be made in this area for each period as needed. Be sure to complete EACH field for the item to appear on the correct progress monitoring graph. • Chart Value will need to be entered as a whole number. Click save. • Progress monitoring can be edited and deleted progress monitoring entries by clicking add new . by using the icons. You may also choose to print later using the magnifying glass to open the window. • Select the drop-down menu to view Notes, Files, Forms or Audit activity from ‘All’ applications, or from only RtI. • To add a note attached to a student’s RtI plan, click . Select where you want the note to display by using the drop-down option, type note and click save. Notes documented through the RtI program will become “Read-Only” and can only be viewed with that plan through student Portfolio. • To view all notes and their authors, click . • You can then edit notes by clicking , or delete notes by clicking . Select where you want the file to be attached by using the drop-down option, select your file (must be saved as a .pdf), and click save. If desired, you can rename your file before clicking save. The attachment may be labeled from a Data Source in RtI. • You may view any file by clicking on screen. > view the list > choose file > choose print or choose to view Forms • Note: Your district must purchase the FormWorks® software to attach custom online forms that can be filled out for individual students. • Select Forms to complete a form and attach to a student’s record. Click . • Select where you would like to attach the completed form by using the drop-down menu. • Select Template drop-down to choose form. Note: Templates must first be established and created within the FormWorks application for them to be available. • Complete the online Form and click save. Use the drop-down to view all activity. • Columns viewed in these pop-up boxes are sortable by clicking column headers. • Note: You cannot add records in the Audit section. These are generated automatically; however, you can view them in more detail by clicking .
