Visimeet Overview
IOCOM Visimeet is a multi-party visual communication service designed to increase online meeting
productivity for business professionals around the world. Installing Visimeet only takes a few moments.
Once Visimeet is installed, our customers are able to contact anyone in their personal network, and
begin meeting face-to-face instantly.

About Visimeet
The IOCOM Visimeet service is a revolutionary new approach to video conferencing and collaboration
that works on your desktop, in your conference room, on your wireless laptop, even on your mobile
devices, all backed by the same robust architecture and powerful collaboration technology. Installing
Visimeet only takes a few moments. Once Visimeet is installed, our customers are able to contact
anyone in their personal network, and begin meeting face-to-face instantly.

Setup Assistant
The Visimeet Setup Wizard will run automatically after Visimeet is first installed. The Wizard consists of
three areas: Connection Settings, Audio Device Selection, and Video Device Selection
Connection settings:
Full Name: This is what your contacts will see in their Contact List
Server: This should already be filled out as visimeet.iocom.com
Email: The email you used to register your Visimeet account
Password: The password you set up when creating your Visimeet account. This password was
sent to you in the verification email
• Click Verify Credentials to make sure you've entered everything correctly

Audio Device Selection
Microphone: If you have a microphone installed, select it here. If you're not sure what to select, you
may leave this set to "default device"
• Speakers: Select your sound output device here.
• If you're not sure what to select, you may leave this set to "default device"
• Input Level: Verify that when you speak you can see a level indicator react the the sound. If you see
no activity in the Input Level meter, you may need to select a different Microphone device or verify that
your microphone is not muted
• Output Level: Click the Start Audio Test button and confirm that you can hear the pre-recorded
audio being played back. If you cannot hear the audio, you may need to select a different Speaker
device or verify that your speakers are not turned down or powered off

Video Device Selection
Camera: If you have a camera installed, make sure it is selected in the pulldown menu, and confirm
that you see the camera's image in the video window area
• If you do not see the camera image, please reinstall the camera according to its manufacturer's
instructions and then re-run the setup wizard from Visimeet's Tools menu
• Visimeet works with most standard webcams. If you do not have a webcam, you may purchase one
from our online store.

Once you finish with the above settings, click Apply to finish the Visimeet Setup Wizard. You can now
add a contact to your Contacts list, or join a meeting with another Visimeet user.

Visimeet Interface
The Visimeet Interface consists of the Application Icon, which appears in the taskbar on PCs or the
Dock on Macs, the Contact List, and the Menu Bar, which appears at the top of the window on PCs, or
the top of the screen on Macs.
Using this interface you can add contacts to your Contact List, Invite users to Visimeet meetings and
send Instant Messages.

Add a Contact
Follow these steps to add a single contact to your Visimeet Contacts list
Open the Contacts Menu and select Add Contact
Enter the email address of the person you wish to add to your Visimeet Contacts
If that email address is registered on the Visimeet server, that user will be notified that you'd like to
connect to them.
• Once they accept your connection request, you will see their name in your contact list.

If you attempt to add an email address that is not associated with a registered Visimeet user, you will
have the option of sending a Visimeet service invitation to that email address, inviting the person to
become a Visimeet user.
You can also import multiple contacts from your Outlook or Gmail contact file

Importing Contacts
You can import a list of contacts from your Outlook or Gmail account, or from an CSV contact file,
allowing you to add all of your contacts at once.

Open the Contacts Menu and select Import Contacts
Select Gmail, Microsoft Outlook, or CSV Importer and click Next
Enter your Gmail account information (if necessary)
In the window that appears, select which contacts you'd like to import and click Finish
Use CSV Importer if you'd like to import contacts from a program other than Outlook or Gmail. You'll first
have to export your contacts from the other email/contact program to a CSV file.

Accept a Contact Request
If another Visimeet users wishes to meet with you, they can send a Contact Request to your account.
This request will appear in your Contacts window.
To approve a contact request from another Visimeet user:
• Find the pending contact in your Contacts List or open the Contacts Menu and select Approve
Pending Contacts
• Right-click (PC) or Control-click (Mac) on the pending contact
• Select Approve Contact
Once you've approved the contact, you can invite the user to a meeting, or send an Instant Message.

Join a Visimeet Meeting
There are several ways to join a meeting with Visimeet. To initiate a meeting with another Visimeet
user, simply invite the user from your contacts list. You may also join a meeting by accepting a meeting
invitation. You can also enter an existing or scheduled meeting.

Invite a Contact into a visual meeting
You can invite anyone in your Contacts list to a visual meeting any time they're online.
Bring up your Contacts list by clicking on the Visimeet icon or launching Visimeet
Find the name of the person in your Contacts list you'd like to invite to a meeting
Right-click (PC) or Control-click (Mac) the Contact Name and select Invite to Meeting
Alternately, you can select one or more Contacts in your list, then click the Invite button at the bottom
of the Contacts list

The person you've just invited will see a meeting request window on their desktop. Once they accept
your meeting request, you'll be put into a visual meeting with that person. Use the Visimeet Meeting
Interface to control your meeting experience.

Accept an Invite
When another Visimeet user invites you into a Visimeeting, you'll receive a notice on your desktop.
Simply click the Accept button to join a meeting with that person. If you do not wish to accept the
invitation, simply select a reply from the dropdown list and click the Reply button.
Once you've entered the meeting, you'll be presented with the Visimeet Meeting Interface, which allows
you to control all aspects of the visimeeting.

Schedule a Meeting
Use the Scheduler to create Visimeet meetings in advance and send Email invitations or calendar
information to the meeting participants.
Open the Meeting menu and select Meeting Scheduler...
Click the New button
Fill out the Meeting details, including time, date, duration, etc.
Click Save
You can now use the Email or iCal buttons to send an Email notification or create a standard
Calendar event file.

Participants can join scheduled meetings up to 15 minutes before its Start Time.

Exit a Visimeet Meeting
When you've finished your visual meeting, exit the meeting to return to the Visimeet Contacts list.

Click on the Exit Door icon or close the Visimeet interface.
In the window that appears, confirm that you wish to leave the meeting.
Once you've left the meeting, you can leave Visimeet running in your taskbar or dock to ensure that
you're able to send and receive meeting invitations.

Meeting Interface
The Visimeet Meeting Interface allows you to control all aspects of your meeting. The window is nearly
identical on both the Mac and Windows versions of Visimeet, aside from the placement of the menubar,
which is at the top of the screen on Mac and at the top of the Visimeet window on PCs.
The Meeting Interface can be divided into three main areas: the Local Audio/Video, Remote Party
Audio/Video, and Data Sharing Tools.

Adjusting your Audio and Video
The Top area of the Meeting Interface contains controls for your Audio and Video settings.
These controls change the settings for your microphone and speakers, as well as your camera.

Adjusting your Microphone and Speakers
Use the Microphone and Speaker icons at the top of the Visimeet Meeting Interface to adjust your
microphone and speaker volume, or to mute your microphone or speakers.
• Click on the Microphone icon to mute your outgoing audio. No other participants will be able to hear
you when your microphone is muted.
• Use the slider next the the microphone icon to make your outgoing audio louder or quieter, if the
other meeting participants are having a hard time hearing you.
• Click on the Speaker icon to mute all Visimeet audio. You will stop hearing all meeting
participants, though they will still be able to hear you unless you mute your microphone as well

Adjust your Video
Use the Camera icon or your video window to adjust the video resolution that you're sending into the
Visimeet meeting. You can also choose to stop transmitting video entirely.
Right-Click (PC) or Control-Click (Mac) your own video window to bring up the video options
To change the resolution of the video you're sending, select Send Resolution and choose Low,
Medium, or High. Low will use less network bandwidth and is preferable on slower connections. High
will send a sharper video and use more bandwidth
• To stop transmitting your video, simply close the video window. You will see a dialog box asking if
you wish to stop transmitting
• You can also click the Camera icon in the Meeting Interface to stop transmitting or to re-transmit
your video

Manage Audio and Video from other Participants
Use the center section of the Visimeet Meeting Interface to control the audio and video coming to you
from other participants.
Here you can close and open video windows, and mute or adjust the volume of other participants audio.

Adjust Audio from other Visimeet Participants
You can use the participant list to adjust the volume of other Visimeet participants, or mute them entirely
Drag the Volume slider next to a participant's name to increase or decrease their volume
Click the Speaker icon next to a participant's name to mute or unmute their audio completely. They
will still be able to hear you unless you mute your microphone
• The green arrows next to a participant's name indicate the status of their audio. If you see a gray
arrow, that person is either not sending or not receiving audio

Adjust Video from other Meeting Participants
You can use the participant list to close or open videos from remote participants. You can also interact
directly with the video windows to move them, resize them, and close them.
Move video windows by clicking on their title bar and dragging them to a new position
Resize windows by clicking and dragging their lower-right corner to a new window size
Close video windows to no longer receive them
To reopen a video window you've closed, click on the camera icon next to the participant's name.
The camera icon will be red if it contains a video window you aren't currently receiving.

Collaboration Tools
Visimeet has a suite of tools for sharing your data and collaborating with other users in your visual
meetings.
You can send your desktop as a video into a meeting, send a screenshot of your desktop or a specific
application, and you can send instant messages or participate in group chats.

Transmit your Desktop
There are two ways to transmit your desktop as a video stream in your visual meeting

Click on Camera icon.
In the pop-up window, beside Desktop, select “Transmit”.

Click on the Pix icon in the Visimeet Meeting Interface. The Desktop Sharing option window will
or
open.

Beside Desktop, check the Send Video checkbox.
You can turn off the desktop transmit by reversing the steps above.

Send a Screenshot
Follow these steps to send a screenshot of your desktop into the visual meeting
Click on the Pix icon in the Visimeet Meeting Interface. The Desktop Sharing option window will
open.
• Beside Desktop, click the Send Screenshot icon.

Follow these steps to send a screenshot of an application window into the visual meeting
• Click on the Pix icon in the Visimeet Meeting Interface. The Desktop Sharing option window will
open.
• Use the dropdown menu to select an application window, then click the Send Screenshot icon
beside the dropdown.

IM/Chat with your Visimeet Contacts
There are two types of instant messaging/chat in Visimeet: one-to-one and group chat.
Follow these steps to start on one-to-one chat session
In the Visimeet Interface, locate the contact you would like to chat with.
Select the contact.
Click the IM button at the bottom of the Visimeet Interface.
You may also right-click on the Contact and select Send Instant Message.
• A chat window will open. Enter a message and press Enter or click send. This will send the
message and initiate the chat session.

Once in a one-to-one Chat session, you can Invite the contact to a visual meeting by clicking the Invite...
button in the Chat window.
Follow these steps to start a group chat during a visual meeting
Join a visual meeting with one or more contacts.
In the Visimeet Meeting Interface, click on the Chat button.
Enter a message and click Send to broadcast a message to all users in a meeting.
To Page a particular user (to ensure they have their Chat window open):
Open the Chat window.
Select the user from the dropdown that lists all current meeting participants.
Click Page.
• To send a Private message during a group chat:
Select a user from the dropdown that lists all current meeting participants.
Check the Private Chat option.
Send a message. Private messages appear in red.

Managing your Bandwidth Usage
Managing your bandwidth may be important depending on your network requirements or limitations, or
to improve performance while on typically congested (for instance, public wi-fi) networks.
All of the following options can be adjusted to manage bandwidth:
Video.
Close unneccessary video streams. When you close a video stream it will no longer be
transmitted to you. (To reopen video windows, see Remote Video)
Change the Send Resolution on your local video (see Local Video for more info).
• Audio
Limit overall audio bandwith by going to Tools -> Options -> Audio (Windows) or Visimeet ->
Preferences (Mac) and turning off “Transmit Wideband Audio.”
• Other
Transmit Desktop videos use a lot of bandwidth. Close these if possible.
•

Manage your Visimeet Account
Visimeet account management is done through the Visimeet customer portal. You can access the
customer portal by going to Portal -> Home in the Visimeet application.
On the customer portal, among other resources, you can change your password, subscribe to Visimeet
or change your subscription settings, and add users to your account.

Changing your Visimeet Password
Follow these steps to change your Visimeet account password
Visit the Visimeet Customer Portal by selecting Portal -> Home in the Visimeet application.
Click on the My Info tab.
Click Edit.
Find the Password field and enter the new password. Click Save.
You will need to now change the password in your Visimeet Options (Windows) or Preferences
(Mac).

Subscribe to Visimeet
All subscriptions are managed through the Visimeet Customer Portal. Follow these steps to subscribe
and/or to manage your subscription settings:

Visit the Visimeet Customer Portal by selecting Portal -> Home in the Visimeet application.
Click on the Subscribe tab.
Follow the instructions on the page.
Note: you must be an account owner (including trial users) to see the Subscribe tab on the Customer
Portal. If you do not see the tab, you are probably a user on someone elses account.

Adding Users to your Visimeet Account
Account owners may add additional users to their account through the Visimeet Customer Portal. Note
that this feature is dependent on subscription type.
Follow these steps to add users to your account:
Visit the Visimeet Customer Portal by selecting Portal -> Home in the Visimeet application.
Click on the Manage tab.
If you have available addtional user on your account, you can click Create New User on My
Account.
Enter the user information and click Save.

The new user will receive an email notification that they have been added to your account.
