Emdat Mobile Design Document Login Screen Username, Password, Client: The login credentials of a valid dictating user in the Emdat system. After a successful login, these credentials are stored locally on the device. The first time a user logs in successfully, they will be prompted to sync the application. Remember Me: On a successful login, the username, and password text boxes will be remembered for the next time that the Emdat Mobile application is started. Remember My Password: On successful login, the password will be remembered for the next time the Emdat Mobile application is started. Offline: If unchecked, the user credentials are verified over the Internet with the Emdat Mobile web service. If checked, the user credentials are verified locally. This is useful if the device does not have an active Internet connection. Note that this setting only affects this screen. So even if a user has this box checked, they will still be able to sync as long as they have an active Internet Connection. The first time a user signs in, this box must be unchecked. Sync Screen Emdat Mobile maintains a local copy of some of the data in the Emdat system. This data is synchronized from the Sync screen. Download appointments that are associated with the Dictation ID for this user. Download patient records for any appointments that have a Patient ID. Download prior transcriptions for all patient records stored on the device. Update the status of previously uploaded dictations. Upload completed dictations. Schedule Screen Date Navigation Pocket PC: A user can navigate to a particular day of the week by selecting the appropriate letter in the navigation bar at the top of the screen. They can also select the date directly from a drop-down calendar by selecting the date label. Smartphone: A user can navigate to any desired date by selecting the Go to Date option on the left soft key menu. They can also navigate one day at a time by pressing the left and right arrow keys. Menu New Dictation: Creates a new dictation on the device. Edit Dictation: Opens the highlighted dictation for editing. Only incomplete dictations can be edited. This option is available under the Actions menu on the Smartphone. Remove Dictation: Removes the highlighted dictation from the device. Only incomplete dictations can be removed. If the removed entry was associated with an appointment that had been downloaded from the Emdat system, it will be downloaded again at the next sync unless it is also removed from the Emdat system via InCommand. This option is available in the Actions menu on the Smartphone. Uncomplete: Changes the status of the highlighted dictation to incomplete. Only completed dictations that have not been uploaded can be uncompleted. This option is available under the Actions menu on the Smartphone. View Details: Opens the Appointment Details screen, which shows all available details for the selected job. This option is available under the Actions menu on the Smartphone. Filters: Allows a user to view only particular appointments based on a pre-defined filter. Currently, the only existing filter is “Incomplete”, which displays all incomplete jobs in a single list. Sync: Opens the Sync screen. Options: Opens the User Options screen. About: Opens the About screen. Sign Out: Closes the Emdat Mobile application. By design, on Windows Mobile devices, pressing the „X‟ in the corner does not necessarily close the application. The Sign Out option provides the user with the ability to exit the application. New/Edit Dictation Screen Displays a list of fields that can be edited for the current/new dictation. When appointments are downloaded from the Emdat system, they usually will not have a work type, so the first time the appointment is opened, the user will be directed to this screen to select a work type. Dictation Screen Displays information related to the current job, and provides the user with the ability to modify the dictation file associated with the job. Navigation: Smartphone: Recording and playback actions can be initiated by using the number key (1-9) associated with the action on the screen. The left soft key also provides quick access to the Record/Pause actions. Actions can also be initiated from the menu. Pocket PC: Recording and playback actions can be initiated by pressing the image button associated with the action. The left soft key also provides quick access to the Record/Pause actions. Actions can also be initiated from the menu. Menu: Action: Any recording or playback action can be initiated from this submenu. Record Mode: Specifies whether the recorder should insert at the current position or overwrite from the current position when recording is initiated. Stat: Mark the dictation as „Stat‟. Delete Audio: Clears all audio from the dictation file. Complete: Marks the dictation as complete, which means that it is ready to be uploaded to the Emdat system. You cannot complete a dictation until there is an audio file associated with it. A completed dictation can not be edited unless it is first uncompleted from the Schedule screen. Save: Saves all current changes to the appointment details as well as the dictation audio file. Cancel: Returns the user to the Schedule screen. If there are unsaved changes, the user will be prompted to save before closing. Appointment Details Screen Data Fields: Much of the data associated with an appointment can only be changed through InCommand. The only fields that can be changed on the device are Appointment Date and Patient ID, but any changes made on the device will be overwritten at the next sync by changes made through InCommand. Dictation Status/Receipt Code/Transcription ID: The status of the dictation is indicated by the Dictation Status field. After a dictation is uploaded, this field will contain a receipt code. After a dictation has been verified to exit in the Emdat system, this field will contain a transcription ID. Appointment User Fields/Order Number: These fields can not be edited on the device, and will be blank for appointments that were not downloaded from the Emdat system. Menu: Prior Transcriptions: Opens the Prior Transcriptions screen, which shows a list of transcriptions for the patient with which the current appointment is associated. Sync: Opens the Sync screen. Prior Transcriptions Screen View Transcription: Opens the highlighted transcription in the View Transcription screen. Sync: Opens the Sync screen. Filters: Allows the user to display only transcriptions that match a pre-defined filter. Currently, the only filter defined is “Mine Only”, which only displays transcriptions that were dictated by the current user. View Transcription Screen Displays the current transcription in a mobile web browser. User Options Screen Rewind Amount: The number of seconds that are skipped when moving backwards in a dictation. This affects the Dictation screen. FF Amount: The number of seconds that are skipped when moving forward in a dictation. This affects the Dictation screen. Dictation Storage: The location where dictation files should be stored before uploading to the Emdat system. Unless the user specifically selects to store dictations on the device, this will default to an external storage card if there is one available. Get Appointments: Specifies the range of days (before and after today) for which appointments should be downloaded from the Emdat system. This also controls how long an appointment should be kept before being removed from the device. On sync, an appointment is removed from the device if it is older than this number, and either it has been successfully delivered to the Emdat system or if a recording was never saved for the appointment.
