This article describes how to use WebEx for virutal office hours. We describe how to access
your personal room, lock it, and control when visitors are able to chat with you.

Host Instructions - This section describes how you (the host) can set up your WebEx
and admit visitors.
Attendee Instructions - You can share these instructions with anyone who plans to
attend your virtual office hours. Remember to edit the text to include your own
personal room link.
Host Instructions
Determine Your Personal Room Link
You will need this link when sharing the attendee instructions below.
1. Visit brownmeetings.webex.com and log in on the top right.
2. You should automatically see your Personal Room info after logging in, but if you
don't, click "My Personal Room" on the left menu.
3. Click the Gear to access your personal room settings
4. Look for the piece of information labeled URL. It will be in the format
https://brownmeetings.webex.com/meet/usernamebrown.edu, where "username" is
replaced with your Brown username.
Host On a Computer
1. Visit brownmeetings.webex.com and log in on the top right.
2. You should automatically see your Personal Room info after logging in, but if you
don't, click "My Personal Room" on the left menu.
3. Click Enter Room to load your room.
4. Click Lock Room to make sure your room is locked (if it's already locked, it'll say
"Unlock Room")
5. If you have a webcam, you'll see a video on the right. Click "start my video" to share
it.
6. Click the three circles under Connect to Audio to choose how you'd like to connect you can either have the meeting call a phone number, or you can use the computer's
audio. Most laptops have a built-in microphone, but for best results, use an external
webcam with a high quality microphone or a USB headset.
7. You'll see a notification when someone is waiting in your lobby, and you can click to
admit them.
8. After you are done talking to someone, you can right click on their name in the
attendee list and "expel" them before admitting the next person.
Host On an iPhone / Android / Tablet
Initial setup:
1. Install the WebEx Meetings app
2. Click Sign In
3. When it asks for your email, type in your Brown email
4. You'll see "brownmeetings.webex.com" listed, just click it
5. Log in with your Brown username and password
Each time you'd like to host:
1. Open the WebEx app
2. Click "add meeting" (a calendar with plus sign) and Enter Personal Room.
3. You'll see a red key if the room is locked. If not, there are three dots on top right to get
to settings - you can lock the room from there.
4. Click the phone icon on the bottom right to connect to audio. Choose "Call me" to dial
your cell phone number, or "Connect using internet" to send audio over wifi.
5. When someone is waiting in your lobby, you'll see a very brief notification within the
app, and then the attendee icon will appear with a little red square. You can click that
icon to manage and admit attendees.
6. After you are done talking to someone, you can click their name in the attendee list
and "expel" them before admitting the next person.
Attendee Instructions
When you share these instructions with your attendees, remember to include your own
personal room link in step 1 of both sets of instructions.
Attend on a Computer
1. Visit my WebEx personal room link at INCLUDE YOUR PERSONAL ROOM LINK HERE.
2. Enter your name and email, and click Join. (Don't use the phone option on this first page, it
will not work because the room is locked).
3. If this is your first time using WebEx, you will be prompted to install a browser extension.
3. You will see a message that the virtual room is locked. When it's time for us to meet, I'll let
you in. Leave the WebEx window open so you can see when this happens.
4. Once you're in the room, click the Connect to Audio button. When you click this button,
you can choose to use computer audio (if you have a built-in microphone or a USB headset)
or have the meeting call your phone. Don't skip this step - we won't be able to hear each
other.
5. If you have a webcam, you'll see a video of yourself on the right with an option to "Start
My Video" - this is optional, but it's always nice to see each other.
Attend on a Mobile Phone or Tablet
1. Visit my WebEx link at INCLUDE YOUR PERSONAL ROOM LINK HERE.
2. You will be prompted to install the WebEx app and enter your name and email to join the
meeting.
3. You will see a message that the virtual room is locked. When it's time for us to meet, I'll let
you in. Leave the WebEx app open so you can see when this happens.
4. Once you're in the room, you'll see a "Connect to Audio" pop-up. You can choose to have
the meeting call your phone, or you can talk over wifi. Don't skip this step - we won't be able
to hear each other.
5. If you'd like to share video from your phone camera, you can click the camera icon on the
bottom of the screen.
