Admin Features
The Admin section is available to anyone using the Administrator login. The default login pass for Admin
is 1234.You should change this immediately (see “Staff & Hours” on page 35 for how to change your
passwords). You use the Admin section to set up all aspects of your restaurant (printers, menus, floor
plans, staff members, and more).
Options bar
Across the top of the Admin main screen is an Options bar. If this is the first time you’re setting up your
restaurant, you can tap on each option from left to right and set up your restaurant step-wise.

Returning to your Restaurant’s floor
You can return to your active restaurant at any time by tapping < Restaurant on the top left.
Exiting Your Restaurant
If you want to exit your restaurant, open another restaurant, or re-open your restaurant, tap Exit
Restaurant on the bottom left.

Setting up or editing your Restaurant Profile
Tap Restaurant Profile to set up or edit your restaurant profile.
Information entered here will appear on receipts, reports, and other printed/electronic customerfacing/administrative items TouchBistro might generate. Ensure anything entered here is appropriate for
public consumption. For example, use an email address or Facebook screen you might want customers
to have access to.

Printer Settings
Tap Printer Settings to set up your printers.
Before you begin
Before setting up your printers in TouchBistro, you need to determine the IP address of each printer.
1. If your printer is on, turn it off.

2. Hold down the printer’s Feed button and turn the printer back on.
3. The printer will print its IP address. Keep this handy.
4. Repeat this for each printer you have.
In TouchBistro
1. With the IP addresses of each printer handy, tap Printer Settings to set up your printers.
2. You need to identify and setup up to five kinds of printers:
Global Receipt Printer
Sets which printer will print receipts. If you have multiple iPads, all iPads will default to this printer.
Global Reports Printer
Reports constitute end-of-day reports, TouchBistro generated reports giving you an overview of your
business operations, credit card reports, and more. If you have multiple iPads, all iPads will default to
this printer.
Global Bartender Printer
If the iPad user is logged in under a bartender Staff Type (see “Adding a staff member” on page 37),
any print jobs sent from the iPad will default to this printer. Since most bars are exposed to the dining
environment, a bar printer will typically be a thermal printer for silent operation.
Local Receipt Printer
Any printer selected here will override the global receipt printer for the user of this specific iPad. You
might, for example, have a patio or events room with a printer local to that room. The wait staff can be
given an iPad with the local receipt printer configured to print to the local printer.
Local Drink Printer
Similar to the local receipt printer, if your patio or events room has a local bar printer, you can
configure a specific iPad to print to that local printer.
3. Tap the button next to each printer type, for example tap the button next to Global Receipt Printer.

4. Tap the printer name that should be associated with either the global or local printer. Ensure there’s a
blue
checkmark in the printer’s row. (You can add additional printers with the Add
icon.)
5. Now tap the Information
icon to access the printer’s Details screen.
6. Tap the model of printer (for example, Star Micronics Thermal printer).

7. Adjust the number of copies you want this printer to print. By default it will print one copy. If you have
2-ply paper loaded into an impact printer, 1 copy will, of course, print both white and yellow copies.
8. Tap Program Printer.
9. In the Current IP field, enter the IP of the printer that should be used as the printer. See “Before you
begin” on page 8 for instruction on how to get the IP for the printer.
10. You’ll need specify a static IP in the Desired Static IP field. The static IP has to be unique for each
printer. The static IP takes the form 10.0.1.XX, where the XX can be anything you want (1-99), as
long as it is unique for this printer. For example a receipt printer you might set as 10.0.13. A thermal
bar printer you might want to set as 10.0.1.6. A report printer you might want to set as 10.0.1.9.
It’s good practice to leave some “space” between printers (receipt/bar/report). This way for a larger
venue with multiple printers, you can group printers into static IP “clusters”.
Note: Do not set your static IP the same as the Gateway. For example if the Gateway is 10.0.1.1, do
not set a printer for 10.0.1.1.
11. Leave the Subnet Mask, Gateway, Login, and Password fields unchanged. Use the defaults.
12. Tap Begin Setup.
13. Tap Close to return to the Printer details screen.
14. Tap Print Test Page to ensure the printer setup and initialization is successful.
15. Tap Done to return to the Select Printer(s) screen.
16. Tap Done to return to the Configure Printers screen.
17. Repeat these steps for Global Reports Printer, Global Bartender Printer, etc.

Slide HP Air Print Mode to the green position to allow report printing to Air Print compatible printers.

Before you start adding menu items, you need to configure categories. The first category you should
setup is Sales Categories. Sales Categories can be setup to help you break down your sales by
categories. For example, TouchBistro provides two default categories: Food and Alcohol. The Sales
Totals report (see “Reports” on page 58) will break out totals based on your Sales Categories
configured here. You can create additional categories for sales reporting purposes like Merchandise or
Game Rentals (say, if you’re a board game café).
To add an additional Sales Category:
1. Tap Edit Sales Categories.
2. Tap the Add
icon.
3. Enter a new sales category and tap Done.
Note: To maintain consistency with old reports, once you create these categories you cannot delete or
edit them.
Setting up Menu Categories
After setting up or reviewing Sales Categories, you need to configure Menu Categories. Menu
categories should reflect how your physical menu is organized. For example, you might have categories
like Appetizers, Sandwiches, Mains, Desserts, Soft Drinks, Liquor. Each category can have some basic
default settings that get applied to actual menu items added to the category. This way when you add
actual menu items to a category, you don’t have to set each menu item’s course/taxes/chit printer etc.

To add your categories:
1. Tap on Menu & Categories.
2. Tap on Edit Menu Categories.
3. Select one of the existing categories or tap the blue and white Add
icon next to Add Custom.

4. Add the Menu Category name and tap OK.
5. In the Menu Category Settings area, you can set the category’s details.
6. Use the Name field to modify the category name.
7. Tap Sales Category to specify one of the Sales Categories you created previously.

8. Tap the Course button. If all items in this category are drinks, taps Drinks. If items in this category
are food, select the course: Course 1 (if, say, an appetizer), Course 2 (if, say, a main), Course 3 (if,
say, a dessert). Set the course appropriate to your system.
9. In the Category Settings area, if you need items ordered under this category to print as chits to the
kitchen or the bar, tap on the Printer button (by default it is set to Don't Print).
If you remember back in the “Printer Settings” chapter (page 8), you set up which printers should print
your receipts (that is, bills/guest checks), reports, and bar receipts (that is, bills/guest checks for bararea patrons). Setting a Printer in the Category section tells TouchBistro where to send chits. Chits
are for the kitchen or bar, alerting the kitchen or bar staff what food or drink items to prepare.
Typically drink type categories are set to Don’t Print. If your wait staff prepare drinks themselves or
pass verbal orders to a bar tender, set drink categories to Don’t Print.

If you have purchased the TouchBistro KDS system, you do not need to setup a printer to print order
chits. See below for information on how to setup a kitchen display using the TouchBistro KDS system.
10. Turn off Do not print this item with the slider.
11. Tap the desired printer name. If the order items should go to a bar chit printer, tap Bar. If the order
items should print chits in the kitchen, tap Kitchen.
12. Ensure there’s a blue
checkmark in the desired printer’s row.
13. Tap Done. You will be returned to the Configure Menu Categories page.
14. Tap Taxes to specify which taxes should or should not apply to items in this category.
15. If this is a new category, tap on the Icon button to add an icon to represent the category.
16. Tap on an appropriate icon and tap Done. You will be returned to the Configure Menu Categories
page.

17. If you’re not using a kitchen chit printer and instead you have purchased the TouchBistro KDS
(Kitchen Display System), tap TB KDS to setup. Consult the TouchBistro KDS documentation for
information on how to configure your kitchen display.
18. Finally, under menu item sorting, tap how menu items under this category should be sort.
19. Your menu category will now be added.
20. You can now tap on another category on the left to add it to your list of supported categories or create
a new custom category and repeat the steps above.
21. Tap < Settings in the top left to return to the Menu Item Settings page.
Setting up Item Modification
You have your sales and menu categories set up and you’re probably primed to start editing your menu.
But there’s one more step you want to do before entering your menu. You will probably need to set up
modifiers. Modifiers are common ways patrons might want to modify a food or drink item. For example, if
you serve steak you would have modifiers like rare, medium, and well done. Drinks might be ordered with
or without ice, with/without a lemon. TouchBistro provides a large number of modifiers by default. Review
them and add your own.

1. Tap on Edit Item Modifications.
2. You will see a list of all of your current modifier groups. You can tap the modifier's associated

icon to edit or assign it to multiple menu items.

4. Name the modifier group. For example, if you serve specialty coffees like cappuccinos and lattes, you
might give your customers milk options (do they want it with soy milk? Whole milk?). So in this
example we’re adding a Milk Options modifier.
5. For forced modifiers, change the minimum number of selections required per menu item to 1 (or
higher, depending on how many forced options you would like). You would create a forced modifier to
ensure the order taker always asks the customer how he or she wants the item. In this case, what
kind of milk. If you have steak on your menu you would set the Cooking modifier to 1 to force the
order taker to ask “how do you want it done” before being able to add the item to the table.
6. For optional modifiers, keep the minimum number of selections required per menu item at 0.
7. Tap on the Add
icon, then tap Add Text Item to add modifiers.

8. Name your first modifier (e.g., Soy Milk).
9. If the modification comes with an additional cost, adjust the price (i.e., how much the modification
adds to the base price). If not, leave it at zero.
10. If you want this modifier to always be added whenever the menu item is ordered, slide Mandatory to
the green position. For example, let's say in your jurisdiction, selling a drink in a bottle comes with a
mandatory deposit. You could add a deposit modifier that automatically adds a 10 cent deposit.
11. Tap Done.
12. Continue adding modifiers (e.g., types of milk) under the specific group (e.g., Milk Options).
13. Finally tap on the blank icon to associate this Modifier Group with a representative icon.
14. Once you have added all the modifier groups, tap done. You can attach them to menu items.

Add Menu Item
If you remember back in step 7, when you tapped the Add
icon to add a kind of modifier (e.g., a soy
milk option), you also got an Add Menu Item option. You can only use this option when you’ve set up
actual menu items. You can use this to add a menu item as a modifier. That sounds a little complicated
but imagine you have created a dessert modifier group and you have modifier options like chocolate
sauce and whip cream. You also offer pie and ice cream items on your dessert menu. If you want to offer
an ice cream scoop modifier for dessert orders, tap Add Menu Item and select the ice cream menu item.
Another example, imagine you’ve set up a specialty coffee menu category. You’ve added modifiers like
soy milk, whole milk, and fat free mile. But suppose you also have a liquor menu. Some people might
want a shot of, say, Irish Cream or rum added to their coffee. You could tap Add Menu Item and make
some of your after dinner liqueurs specialty coffee modifiers.
Assign Modifiers to Multiple Menu Items
If you add a new modifier later (after you've created your menu) and need to assign it to multiple menu
items, you don't have to edit every menu item to include the new modifier.
Simply create the new modifier and from the Add Modifier Group screen, tap on the new modifier's
associated Information
icon. Tap Assign to Menu Items.

Tap the menu items this modifier should be valid for. Use the Category bar at top to select menu items
from different categories. Tap Done when you're done associating this modifier with your menu items.
Setting up Menu Items
Now that you’ve established your categories and possible ways people might request drinks or food items
to be modified, it’s now time to create your own menu items.
1. Tap on Edit Menu Items.

2. Tap on the category on the top of the page that you want the menu item to fall under. In this example,
we’re adding a menu item to the Specialty Coffees section of our menu. If this is the first menu item
you’re adding to the category, the page will be blank.
3. To add a menu item tap on the blue and white Add
icon.
4. Complete details at the top.
5. Enter the name of the menu item (e.g., Cappuccino).
6. If the item is temporarily unavailable or a seasonable item, you can slide the Hide/Disable item to the
green position. This will keep it from displaying on the menu until you toggle it off.
7. Enter a price (e.g., 4.00 for $4.00) or turn on Open $ to set a way to charge based on market price. If
set to Open $, TouchBistro will prompt the server to enter a price when the customer orders the item.
8. If you want to track profits and you know your costs for the item, enter it in the Cost field. This figure
will be used in the Food Cost/Alcohol Cost reports.
9. Tap Type to select which Sales Category this item should be in. As noted, assigning a menu item to
a Sales Category helps you run more granular reports about your sales.
10. Enter a description for your menu item.

11. Tap on Set Full Image to add an image and select the source of the menu image. Choose how you
want to associate an image with this menu item:

Let’s you use your iPad’s main camera to image the menu item.

If you’ve preload your iPad with images of your offerings, use this
option to select an image that already exists on your iPad.
Use two fingers to zoom in or out on the photo. Use one finger to
center the image. When you’re ready, tap Use in the top right.
You will be prompted to auto generate a thumbnail. If you prefer to
use a different image for your menu, you can tap on the Set
Thumbnail option.

Online image search
Description
If you prefer to use an image from the Internet, tap this option. It will
default to searching for images of the item name. Modify the results
by changing the Search text field and tap Search Online.
Tap Next Results to display more found images. Tap the image you
wish to use and tap Save Image To Library.
TouchBistro will prompt you to locate the image in your library. Tap
the image you just downloaded from the Internet. Use two fingers to
zoom in or out on the photo. Use one finger to center the image.
When you’re ready, tap Use in the top right.
You will be prompted to auto generate a thumbnail. If you prefer to
use a different image for your menu, you can tap on the Set
Thumbnail option.
Remove photo
If you already have an image displaying here, you can tap Remove
photo to remove it.
12. Tap on the Item & Print Settings tab. Most of these options are set by the category. However, you
can use this to override. For example, this might be a sushi category and all sushi items go to a
printer at the sushi bar. However, you might have some sushi item that needs to go to the kitchen
versus the sushi bar. Here you could adjust the printer.
As well, you can tap Category to change the item to another category.

Allow Returns
(Negative Price)
Slide Allow Returns (Negative Price) to the green position if this
item can be physically returned. For example, you sell your own
bottled hot sauce, pork rub, or branded t-shirt as merchandise.
Customers might want to return them. Flagging the item as returnable
ensures they can be properly accounted for when returned.
Printer(s)
By default, the item’s chit will print to the printer specified in the menu
category setting. If you need to specify a unique printer, set it up
here. For example, you have a sushi category and most items go to
the sushi bar but a few items are cooked and need to go to the
kitchen.
Tap Printer(s). You will see a list of your printers you configured
previously (see page 8). Tap the desired printer. You can also tap
multiple printers. For example, your sushi menu item requires part of
the item prepared in kitchen and part prepared at the sushi bar.
14. Tap Inventory, Modifiers & Tax.

16. Slide Item in Stock to the green position to indicate it's in stock. Slide it to the off (non green) position
to manually flag it as out of inventory. If flagged out out of stock, this will mark the item out of stock in
the order screen. You can also use this dialog box to override if the item has been automatically
flagged as out of stock but there are still items in stock.
17. Slide Enable For This Item to the green position. Enter how many items you currently have in
inventory. Slide Warn When Inventory Is Low to the green position to set up when TouchBistro
should alert the server when the inventory is low. TouchBistro will warn the server of low inventory
when adding the item to a table. TouchBistro (Pro version) will now warn any logged in managers
when an item is out of stock (that is inventory reaches zero). Tap Done to exit from this dialog.
18. Taxes default according to the category setting. Adjust if necessary.
19. In the Notes field, enter any setup type notes for you, the admin, about this item. For example,
“currently using image from the net. Get a real product shot.” Any notes you enter here won’t appear
on menus, bills, chits, reports or to wait staff.
20. The modifiers you set up can now be associated with this menu item. To add in a modifier (e.g.,
Cooking), tap the Add
icon.
21. Select from the list and tap Done.
22. Tap the modifier name to override default forced modifier count. For example, a steak menu item you
might always want to force a modifier query by your wait staff. However, a burger menu item you
might always cook well done unless the customer makes a special request. Tap Done to return to the
list of added modifiers.
23. To remove any modifiers, left swipe in the row to reveal the Delete button.
24. Tap Done to accept the list of modifiers and return to your menu item’s Inventory, Modifiers, & Tax
screen.
25. When you are satisfied with all your menu item details, tap Done on the top right corner of the screen.

Promotional Pricings
The Promotional Pricing option allows you to set up reduced prices on menu items automatically based
on time of day settings. For example, you might want to offer appetizers at a 50% discount during a
“happy hour” period.
Instead of having to manually adjust the prices via the Menu Items screen simply tap Promotional
Pricing.

4. Tap which days the promotion is available. For example, if you want the promotion available only
Monday to Thursday, tap each day.
5. Tap Start Time to set when TouchBistro should automatically apply the discount. Use the time
spinner to set then the promotion begins.
6. Tap End Time to set when TouchBistro reapplies normal pricing.
7. Tap outside of the time setting menu to dispel it.
8. Verify in the Schedule box this is your desired discount window.

9. Tap Fixed if you wish every promotional item to charge the fixed price amount. For example, every
sushi item is $1.00 for the duration of the promotional period.
10. Tap Discount if you want to automatically reduce the price of an item by a percentage (e.g., “20% off
appetizers”) or by a uniform dollar amount (e.g., “$2 off every burger”). If a fixed discount reduces a
price below zero, TouchBistro will bill the item for zero dollars.
11. When you might want to use the Hide Items slider will be dealt with below. See “Hiding Menu Items
During Time Periods” on page 33.
12. Tap Choose Items.
13. Use the Category bar to locate the items you want to discount. Then tap each item under the
category you want the promotion to apply to. Ensure there’s a checkmark
next to the item.
14. Tap Done when you’ve selected all items.
15. Tap Done again to return the list of your current promotions.

Hiding Menu Items During Time Periods
You can use the Hide Item slider hide menu items during schedule time periods. For example, suppose
your business is in a jurisdiction where you cannot offer alcohol sales on Sundays before noon (known as
“blue laws” in some areas) or maybe you want to hide breakfast items after a certain time.

Staff & Hours
Tap Staff & Hours to set up or edit who can use TouchBistro and assign each staff member access to
different aspects of the app and mirror their table/section assignments. As well, TouchBistro tracks wait
staff sales and lets you create reports.
Staff List
The staff page gives you a quick way of seeing who has signed into their iPad and how long they have
been signed in for. Slide Only show clocked in to the green position to filter your staff list to show only
staffers currently signed into to an iPad.
Tap Current to see your currently employed staff. Tap Archived to see staff you’ve flagged as Archived
(ex-staffers or seasonal). See “Adding a staff member” on page 37 to see how you can archive a staff
member.
Admin Account
When you create your restaurant you will only have an Admin account (the one you’re using). There can
only be one Admin account, although you can have multiple logins in to the Admin account from different
iPads.

Tap the Information
icon next to the Admin account and tap Edit and then Passcode to immediately
change your passcode from the TouchBistro-supplied default to something unique. Note this new
password down and keep it some place safe. If you lose your Admin password there is no easy way to
recover it. You will need to contact TouchBistro technical support.
Managing
Tap the Information
icon next to a staff member to manage his/her clockout status and messages.
Clocking Out
Staff members should clock themselves out via the front end. However, if it’s obvious a staff member has
not clocked out, tap the Information
icon next to the staff member and select Clockout. TouchBistro
will generate a Shift Totals report. Export it to CSV, email it, or print it if desired. Tap Done to complete
the clock out.
Alternatively, you can tap Force Clockout All Staff to clock out all staff members (for example at the end
of the night).

Adding a staff member
1. Tap the Add
icon to add a new staff member.
2. Enter the staff member’s name in the Name field.
3. In the Hourly Rate of Pay field, enter the staffer’s hourly pay rate if you wish to track it. Values
entered here are used in a Labour | Hours report and a Labour | Detailed Shift Report. See
“Reports” on page 58 for more information about reporting
4. If you want to give staff members a discount when they are ordering food for themselves, enter the
percentage discount in the Staff Discount field.

5. Tap Change Passcode to assign the staffer a passcode login. The passcode must be unique.
Passcodes can be a minimum of 1 number, although for security purposes, you should create
passcodes at least 4 numbers in length.
6. Tap View/edit Shifts to view the staff member’s clock in/clock out times (or edit them) as well as view
the staff member’s end of shift read. If you manually edit a shift, TouchBistro will indicated the shift
was modified, by whom, and when.
7. Tap Manage QR Code to associate a QR code with this staff member. You can print out the QR
Code and let a staff member sign into TouchBistro via the QR Code instead of entering the pass
code. If you want to email the QR code, ensure this iPad has an Internet connection and you’ve setup
the iPad’s own email app. See this document for a tutorial on using QR Codes.
8. TouchBistro will default to a unique color to represent which tables are being served by this staffer.
Tap Assign Color for Tables to pick a new color.
9. Tap Assign Default Table/Point of Sale/Floorplan if you want TouchBistro upon login of this staffer
to immediately display a specific table, point of sale, or floor. You might have TouchBistro
immediately open a table or point of sale if the staffer is logging into an iPad fixed as a terminal.
10. The Settings area allows you to enable and disable certain rights and features:

Disable Reports (Blind Read)
Disables the ability for the server to see their shift reports.
You might want to hide the ability of bartenders to see
how much alcohol they’ve sold during their shift.
Clock-In/Out Only
If enabled, limits a staff member’s ability to access
TouchBistro. The staff member can only user the clock
in/clock out function with his/her pass code on the login
screen. This option should be set for staff members that
don’t need to use TouchBistro as a POS or have any
access to TouchBistro but you would still like to use
TouchBistro to record their clocking in/clocking out.
Can Return Items
By default only a manager or admin can process a return.
This gives a staff member access to this functionality.
Archive Staff Member
If you need to temporarily disable the staffer’s access (for
example, the staffer is on vacation or seasonal staff) or
want to disable access for an ex staffer but want to retain
their data for future record keeping, slide this to the green
position.
11. Beneath settings, TouchBistro (tap and scroll up) provides several pre-configured staff types. By
default every new staff member you add is set as Staff. You can set the staff member to one of the
pre-configured types. Different staff types have different default settings. For example, setting the
staff member to Manager gives the staff member access to account creation automatically.
12. Finally, tap Done to return to the Staff List screen.
13. You can edit this staff member anytime by tapping his or her associated Information
icon.

Add a Manager Profile
Make sure you create a manager profile for yourself and additional manager profiles for staff with
managerial duties. Manager profiles can sign off on voids, run reports, and perform all end of day type
duties like an admin profile. It's advisable not use the admin profile for day to day operations.

a warning message. Manager Required will require a manager to
allow a receipt to be generated with items still flagged as unsent.

Menu items with a forced modifier can still be added to an Orders
screen without a required modifier. However, you can set how
TouchBistro deals with such items before they’re sent to a chit or
receipt printer. Tap and set. Ignore will send with the order. Warn
will warn you about missing modifiers and give you a chance to
correct if it was an oversight. Manager Required will require a
Manager passcode before the order can be sent.

If toggled off, TouchBistro will not open the dialog that pops up to
prompt the user to print the receipt, close the table, offer an email
receipt, etc.

If you have registered with a payment gateway, tap Edit Payment Gateways to set it up. Tap the
payment gateway you’ve contracted with (e.g., Moneris). A checkmark
will appear next to your
selected gateway.
Your payment gateway will have provided you with specific IDs, passwords, and codes like keys and
tokens. Tap Setup to enter these.

credit card types. Tap a credit card type to rename it.
Tap the Add
icon to add a new credit card to the list. Tap what kind of payment type the card
represents Is it a credit card? A debit card? Payment type will be used for reporting.

Edit Tax Settings

2. Enter the percentage tax you need to collect in Tax 1. If you have to collect two taxes (a
country/province tax or a state/city tax), enter the second tax in Tax 2.
3. Give each tax you have to collect a name in the Tax 1 Name and Tax 2 Name fields. The text you
enter in these fields will appear on the bill.
4. If alcohol is billed at a special tax rate, enter the alcohol rate in Alcohol Tax. When you set up a
menu category (see page 12) or menu item (see page 23), you can specify this tax be applied.
5. If your jurisdiction requires Tax 2 be calculated on the bill sub-total + Tax 1, slide Tax 2 on Tax 1 to
the green position. The bill totally will then be (Sub-Total + Tax 1) x Tax 2. If disabled, Tax 1 will be
calculated on the bill total. Tax 2 will be calculated on the bill sub-total. The bill totally will then be
Sub-Total + Tax 1 + Tax 2. (Note, Quebec eliminated this form of taxation January 1, 2013.)
6. If you have a Tax ID Number you’re to display on the receipt or you need it for record keeping, enter it
under Tax ID Number.
7. If you prefer to display menu prices with the tax, slide Inclusive Tax to the green position. The receipt
will still break out the tax if this is enabled.
8. Some jurisdictions do not tax restaurant foods (or tax them at a lower rate) if they are under a certain
pre-tax dollar value. Slide Tax 1/Tax 2 reduction on bills of a certain size to the green position to
set up this exception.
For example:
Ontario levies a 13% HST (which comprises the old 5% GST and 8% PST) on restaurant bills.
However, if the total bill is $4.00 or under, Ontario only charges the old GST. To set this up, you
would create a 13% HST in Tax 1. In the Tax 1 reduction area, set tax 1 to 5% (the old GST rate)

and set the when taxable amount on total is less than field to $4.01. So any bill between $0.01 and
$4.00 will be taxed at 5%. A bill of $4.01 and over will be taxed at 13%.
9. Tap Done when you’ve completed your tax settings and return to the Orders & Credit Card Settings
screen.
Edit Void Reasons
Tap Edit Void Reasons to customize valid reasons for a void. Tap and swipe left to delete any of the
defaults that don’t apply to your venue. Tap the Add
icon to add your own custom void reasons. Tap
Done when you’re done and return to the Orders & Credit Card Settings screen.
Edit Discounts
Edit Discounts lets you create valid discounts a server might be able to apply to a meal. For example,
you might create a discount the server can apply if the customer is inconvenienced in some way (“Fly in
soup”). Or you could create a discount where a customer can get a free dessert if it’s his/her birthday.

3. Tap whether the discount should be a percentage discount (1-100%) or a price reduction (e.g., $5
off).
4. Give the discount a name (“Birthday”).
5. Tap which categories the discount can be applied to. In the pictured example, tap Desserts if you
want to give the diner a 100% birthday discount on desserts.
6. The discount will only apply on a per item basis.

Gift Card Options
Tap Gift Card Options to administer gift cards that are compatible with your payment processor. You can
use this option to activate/reload a gift card, refund a purchase and return the value onto the gift card
used to purchase the item, or view a gift card’s balance.
Activate or Reload Gift Card
1. Tap Activate/Reload Gift Card.
2. Enter in amount the customer wants to put on the card, the card number, and CVC (found on the
back).
3. Tap Activate/Reload.
Processing a refund amount back onto a gift card
If a purchase was made with a gift card and you need to process a return and refund the purchase price
back onto the gift card, follow these steps:

2. Enter the amount, card number, CVC, and Reference number. The reference number for the payment
can be found on the receipt that was printed when paying with the gift card.

Accounts
Tap Accounts to setup and manage accounts. Accounts are tabs or credit you extend a customer or
organization. You set up your own payment schedule with these accounts.

When an account pays its balance, access the Account List screen again. Tap the account. Tap Add
Payment to process the payment.
You can also add pre-payments to the account by tapping Add Deposit. This is useful if, say, your
account wants you to host a large party and you require a deposit.
Include Tipline on Credit Card Receipt (Use Pre-auth)
Slide Include Tipline on Credit Card Receipt (Use Pre-auth) to the green position if you want to include
a tip line on printed credit card receipts. Toggle off if a tip line is not appropriate to your business.

Initial Order Number/Initial Bill Number
If you want to keep order number, bills, and guest checks generated by TouchBistro in sync with your
current records, enter the appropriate order/bill number and tap Set.
Adding a large party Gratuity or Service Charge
If you add an automatic gratuity or service charge when serving larger parties, enter the minimum number
required to trigger the gratuity addition on the Checkout screen as well as the % amount of the auto
gratuity (sometimes referred to as an “auto grat”).
Access Admin | Custom Settings | Staff Custom Settings (see page 43) if you want to give/remove the
ability of wait staff to wave or change the gratuity amount.

TouchBistro has included 29 built-in reports in 5 different categories that can be run at any point during or
after the normal business operation.
Outputting reports
When you generate a report, TouchBistro gives you the following options at the top of the report:

Perform End of Day
Before you can generate your end of day report and close your day, TouchBistro prompts you through a
checklist of items that need to be closed. Tap Cancel to exit the End of Day Checklist and close
tables/tabs/shifts as necessary. At your discretion you can tap Ignore. Tap Generate when you’re ready.
Note: tapping Ignore will not force clock outs, tabs closed, etc.
After generating your end of day report, tap Close Day to close your business day. TouchBistro will
record the date and time your day was closed.

Bills/Guest Check History
Tap to review all closed bills. Adjust the Start Date and End Date dial wheels on the top of the screen to
specify a date range. Use the optional Years slider if you need to also search on a range of years. Tap
Refresh to display bills for the given date range.
Business Days
Tap if you want to quickly set the start date to a particular business day. Adjust the dial wheel to select
the month. Tap the business day in the listing.
Search
You can narrow results by tapping Search. Enter the exact name of the waiter, order number, table
name, or account.
Reprint Range
Tap to reprint the bills listed in the Search Results.
Displaying a Closed Bill
Tap on a bill in the Search Results frame. Tap on the displayed bill to pop up several options:

to set up sections), waiter totals, food totals and alcohol totals, tax totals, discount totals, time-based
totals and category totals. Tap E-Mail to email the sales statistics. Tap Pie Charts to view each section
(e.g., Section Totals, Waiter Totals, Food Totals, and Alcohol Totals) as pie charts.
Hosted Checkout Batch Summary
Tap to close payments processed via a hosted payment page.
Reports
When you tap Reports, TouchBistro will prompt you to open a report for a business day. Tap Cancel if
you want to create a report for a date range.

To create a report, tap the report category (Sales, Accounting, Menu, Payments, or Labour). Select
which built-in report you would like to include in the category report. For example, if you are creating a
Sales report, tap items under Possible Reports to include them in the current report. Tap the red
Delete icon to remove the report. Tap and hold the selector
bars to rearrange the report order.
Reports have an associated Information
icon. Tap the icon to view sort order options. (Current)
indicates the currently selected sort order. Items in the report will be ordered by the selection. If you
would like to use this report again, tap Save Template As. After saving, you can reload this template at a
later time by tapping Load Template.
Note: You can add reports to your current report area from different categories (for example, you can add
reports from Sales, Menu, and Labour).
When you’re ready to view your report, tap Generate Report on the top right.

Customer Management
When customers pay via PayPal’s mobile payment app, their customer information is viewable here. Tap
a customer name to see additional information and edit their information or maintain notes on the
customer.
Archive Data
Tap to re-arrange your on-iPad sales data, moving older sales data into a low priority state. Archiving
your data only makes your data arranged in a more efficient manner, it is not a substitute for backing up
your data or your restaurant.

Layouts & Floorplan
The Layouts & Floorplan screen allow you to build your floor plan screen and customize your chits and
printed bills.
Edit Sections
Before you start laying out your restaurant’s floor plan, you might want to create sections. For example,
you might want to create a dining room section and a bar section and use these sections to subdivide
your main floor or other floors. Sections are used to help track sales (see “Sales Statistics and Charts” on
page 58). Additionally you can assign a waiter to sections.
To add a section tap Edit Sections. Tap the Add
icon.

Give your section a name. Optionally, tap a staff member to assign the staffer to that section. Tap Done.
You can delete a section by left swiping on the section and tapping Delete.
Edit Floorplans
To start laying out your restaurant floor plan, tables, and cash register locations, tap Edit Floorplans. By
default you will start on the Main Floor.

You’ll notice in the Sample Café that comes with the default installation of TouchBistro, the flooring has
custom walls, a bar, and plants. You can create a whole customized floor (with custom walls, planters,
etc.) by adding a 1024x768 image (representing your real floor plan minus the tables, bar stools, and
register) to your photo library and then selecting it as the picture source.
To add a new floor (e.g., a second floor, a patio, or an events hall), see Layout Tools below.

The layout tools allow you to add tables, bar stools, a POS cash register, walls, and whole new floors.

Adding a table (circular, square, or rectangular)
Tap Add Circular Table, Add Square Table, or Add Rectangular Table to represent an actual table in
your restaurant. There is no functional difference. When you tap an add table option, your table will be
added to the floor plan. By default it will default to 2 seats, be given a table number incremented by one,
and no section default.
To move the table, tap on the text area of the table and drag the table to the desired location.
To resize the table, two finger tap and expand. For example, if you want to increase a square or
rectangular table length-wise, put a finger at either end of the table and spread the table length wise.
To rotate a rectangular table, tap on one end of the table and rotate the end.
To edit table details tap and hold on the table. You can edit the following details:

Description
Duplicate
Creates a duplicate of the table with current properties. You can save
time creating similar tables by creating one and then duplicating the
table. Before you duplicate a table, ensure you’ve configured the
properties you want to duplicate with the table.
Delete
Deletes the table.
Adding a bar stool
Adding a bar stool is similar to adding a table. However, it will default to 1 seat. If you have a bar section
configured (see “Edit Sections” on page 61), tap and hold and then edit the Section property to set the
bar stool for your bar section.
Adding a Cash Register
Tap Add Cash Register to add where a fixed point of sale iPad is located. By default it will be called
Point of Sale. At the time of adding you can specify the register’s name.
Adding a Wall
Tap Add Wall to define the walls in your actual restaurant layout. Increase a wall’s length by tapping the
edit of the wall and dragging to lengthen the wall. Rotate a wall by tapping the end of the wall and then
turn the wall in the desired orientation.

Tap Change Lock Screen/Menu Background to change the TouchBistro’s background image. You

Let’s you use your iPad’s main camera to add the bill image.
Choose from photo
library
If your logo is on your iPad, use this option to select the image. Use
two fingers to zoom in or out on the photo. Use one finger to center
the image. When you’re ready, tap Use in the top right.
Online image search
If you prefer to use an image from the Internet, tap this option. It will
default to searching for images of your restaurant’s name. Modify the
results by changing the Search text field and tap Search Online.
Tap Next Results to display more found images. Tap the image you
wish to use and tap Save Image To Library.
TouchBistro will prompt you to locate the image in your library. Tap
the image you just downloaded from the Internet. Use two fingers to
zoom in or out on the photo. Use one finger to center the image.
When you’re ready, tap Use in the top right.
Remove photo
If you already have an image displaying here, you can tap Remove
photo to remove it.
Include…
Tap to include/remove certain items from appearing on your bill. A checkmark
indicates the item will
appear on your bill. Include Tip Guide lets you add/remove the three percentage tip guide you
configured at the top of this screen. Print TouchBistro Notice adds/removes the notification at the
bottom of the bill that the bill was printed using TouchBistro.

Pro Server
If you are using the pro version of TouchBistro, the Pro Server screen allows you to upload your newly
configured restaurant to your Mac server. You can then sync your other iPads.
Uploading Your Restaurant
Enter the IP address of the Mac computer running Pro Server. Then tap Upload Restaurant to server.
After uploading, you can now sync your additional iPads. You need to setup your Pro Server and network
before doing this.
Email Support
If you need to email support, tap Email Support. TouchBistro will automatically include details about your
restaurant, iPad, Internet/Wi-Fi connection, and what printers you’ve set up.

Support Features (Standard Version)
When you open TouchBistro and you’re prompted to open an existing restaurant, your existing restaurant
will have an associated Information
icon. Tapping that will give you several support options. These
options should only be used at the direction of a TouchBistro support technician.
If you are using the Pro version (with a Mac server and multiple iPads), do not use these support options.
See "Pro Server Support Features" on page 78 for information on how to run these support features on
your Mac server.
Accessing the Support Options
1. Ensure your iPad is connected to the Internet.
2. If you are not logged in as an Admin, tap Switch on the bottom left of the screen and login as the
Admin.

3. Tap Admin in the top right.
4. Tap Exit Restaurant in the bottom left.
5. Tap the Information
icon associated with your restaurant.
Repair Restaurant Data
If directed by support, tap this to scan and repair any inconsistencies found in the restaurant’s SQL data
file.
Upload Restaurant Data to Support
Follow these steps for sending TouchBistro your restaurant data (that is, your SQL files). Only send these
files if you’ve been asked by support to send your restaurant data.
Tap the Information
icon and tap Upload Restaurant Data to Support.

When you tap Upload Restaurant Data to Support, TouchBistro prompts you to add contact information
and comments to aid support in diagnosing your problem. Complete this and tap Upload.
Download Support Patch
This option lets you download a prepared patch for your restaurant data. Again, only use this option if
instructed to by TouchBistro.
If a patch is available for download, your TouchBistro support technician will email you a pass code. After
tapping Download Support Patch, enter the supplied pass code.
Send Screen Shots to Support
At times, support might need you to send a screen capture of what you’re seeing on your iPad screen.
When you’re in TouchBistro, click simultaneously the lock/power button and the Home button. Release
and you will hear a shutter sound. TouchBistro will ask you if you want to send the screen capture to
support. You can add a comment to the screen capture, helping you add additional information for
support purposes.
Note: This feature can be used for Standard or Pro versions.

Wi-Fi and Internet Connectivity Check
Tap icon to see connectivity details
Most wireless TouchBistro operations only require a local Wi-Fi connection. Some features like credit card
processing or emailing receipts also require an Internet connection. To aid support in determining if you
have a Wi-Fi connection, Internet connection, or both, you will find an Internet Connectivity Status icon
on the login screen.
Color
Status
You have no Wi-Fi and no Internet connection.
You are missing either a Wi-Fi or Internet connection. If you are using the Pro
version a yellow status might also indicate your Pro server has no connection to the
Internet.
You have both a Wi-Fi and Internet connection.
If your Connectivity Status
is yellow tap the icon to see details of what is missing.
Note: This feature can be used for Standard or Pro versions.

Pro Server Support Features
If you are using TouchBistro in the Pro configuration (that is, multiple iPads synced with TouchBistro Pro
Server) and you need to repair your restaurant data, upload your restaurant data to support, or download
a support patch, use the Support options found on your Pro Server application running on your Mac
Server.
Accessing Support Features
1. Ensure TouchBistro Pro Server is on running on the server computer.
2. Open TouchBistro Pro Server.
3. Click on Support.
4. Select the option TouchBistro Support has instructed you to use.
Repair Restaurant Data
If directed by support, click this to scan and repair any inconsistencies found in the restaurant’s SQL data
file.

Click Upload Restaurant Data to Support to send TouchBistro your Pro Server restaurant data (that is,
