About Dynafleet Online Help
The online help in Dynafleet Online, also referred to as a WebHelp, is a platform-independent help system based on HTML. The Help system has been enhanced with a dynamic table of contents and search
and index features to provide you with advanced navigational features.
The available WebHelp functions are described below.
Table of Contents
The Help system’s table of contents (TOC) is available from the Contents button located in the upper
left-hand corner.

A page
represents a category or a main topic.
represents an individual topic.
The folder icons are expandable; all topics included in a main topic are displayed.
When you click a page icon the corresponding page is displayed in the right pane.
Index
The WebHelp index is based on Microsoft's HTML Help standard and can be reached by clicking the
Index button in the upper left-hand corner.
The index consists of a list of topics and keywords sorted numerically/alphabetically. When you click on
a keyword, the topic is displayed in the right pane.
If an Index entry corresponds to more than one page in the Help system, a Topics Found dialogue box
appears, listing the pages. Simply select the item you wish to view and click Display.
To search the Index, you can type part or all of a word or phrase in the entry box at the top of the
Index page.
Search
This is a powerful full-text search feature enabling you to find information quickly and easily. Just
enter the word(s) that you wish to search for and click GO; the topics including the word(s) will then
be displayed in the list below. To display a topic in the right pane, click on a keyword.
Related Topics
Navigational links work somewhat like the “See Also” references in WinHelp — they cross-reference
other topics containing related subjects.

User-Interface
First you need to log on to the system with your user name and password.
The interface may be navigated from its separate areas.

Navigation tabs - start by selecting your working area.
Resource view - select if you want to work with vehicles, drivers or users.
Working view - The information will be presented in this area.
Alert icons - The icons will be lit when new messages or alert calls for attention.
Navigation
To navigate in Dynafleet Online (DFOL), use the tabs in the upper row in the system. By clicking on a
tab you'll gain access to its designated function. The contents of the tabs are here described as views.
Depending on the type of user you are logged on as (e.g. administrator, user), you have different
access to different views.
To your left you'll find the resource view, i.e. drivers, vehicles and users. When you, for example,
want to send a message to a user, you need to click the
with. The same scenario applies to vehicles.

Reloading views
If, when working in one view you move to a different area, the information in the first view will remain
until you return. To reload the "start page" in a certain view, click the tab twice.

Selecting and choosing
If you want to select more than one object, you can use either ctrl or shift. The selection procedure
works in a way very similar to how selection is done in Windows. I.e. you can select several items at
once by using the shift key or one by one by using ctrl. It is also possible to use ctrl-shift selection to
keep a previous selection and at the same time selecting several items at once. Shift selection is only
possible within a group or fleet, i.e. it is not possible to select items from different groups using shift
select. However, you can select several groups at once using shift.
Drag and drop
To choose the selected objects and include them in a report, click on the icon or text description of the
objects and drag them to the report view. You can also use the arrow
objects to the report view.

You do not need to double-click when you go from one tab to another or if you select a vehicle instead
of a driver etc.
Right-clicking
When the text tells you to right-click, it refers to your right mouse button.
In some views you can right-click. By right-clicking you get access to further functionality, creation of
new folders in the messaging feature for example.
Printing
If a
is available, that page can be presented in a printer-friendly way. After clicking the icon a new
window with the printer-friendly version will show with a new printer icon.
Groups
By creating groups you can organize your vehicles and drivers.
1. Right-click on a main group of vehicles or drivers and select New group and enter a name for
that group.
2. Drag the vehicles or drivers you wish to include in that group.
You can delete the groups by right-clicking and selecting Delete.

In the resource view, click on the customer (multifleet) icon to see a list of your fleets. Right-click on
the fleet you want to work with, selecting Go to fleet. When the fleet is active you can get back to the
multifleet view by selecting the customer and then right-clicking on it, selecting Go to customer.
On customer (multifleet) level you can create and modify multifleet users/administrators and fleets.
On fleet level the same functionality is available as when being logged on as a normal fleet administrator.
User
Being logged on as a multifleet user, you can create reports and manage service plans.
System Overview
The Dynafleet Online system makes possible for dispatchers to communicate with vehicles in a fleet.
For this communication to start the vehicle needs to be equipped with a Dynafleet mobile unit. The
information between the system and the vehicles computer goes via the mobile phone network.
The vehicles can be setup to export data to the system on a regular basis or the dispatcher can choose
to download the data manually. The information, which is downloaded from the vehicles, is stored in a
remote database.

Overview reports
The overview report can be used to get an overview of your vehicles and drivers performances. It
shows the time, mileage and fuel consumption of each vehicle/driver for a specified time period, and
also shows some parameters that give information about driving style. (Economy, idling etc.). The
report is useful when you want to get the overview and compare certain parameters for different
vehicles and drivers.
The overview report gives you an overview of your vehicles/drivers performances and for the selected
time period it shows the following main parameters:

In addition to this, it shows the relative values in % of time with engine on for different engine- and
vehicle "modus", like "Economy", "Idling" etc.

In the Overview reports selection view you can choose to "Include driver data" in the Vehicle reports
and to "Include vehicle data" in the driver reports. If several drivers have driven one vehicle, the
report will then for each vehicle show the result per driver and the sum for the vehicle. If one driver
has been driving several vehicles the report will then for each driver show the drivers result per vehicle
and the sum for the driver.
Report Profiles
You may apply a profile – or template (long haul, distribution or construction) – when creating the
report. When a profile is applied to a report, the applicable report details are highlighted with green, yellow, orange. Green indicates above target performance, yellow indicates near target performance and
orange indicates below target performance.
The feature is available in both the driver and vehicle versions of the report.
Applying report profiles
To create a report using a report profile, select the desired profile from the Report Profile field before
generating the report. Default profiles for long haul, distribution and construction usage are available.
See Managing report profiles for information about creating and editing your own report profiles.
Once created, the contents of the report will be highlighted in accordance with the limits defined in the
applied profile. The generated report will display the boundary values used and text explaining
whether lower or higher values are better for each highlighted field. Note! Only those fields which
have been included in the report profile will be highlighted on the report.
These reports can be viewed online and printed. When exporting reports to Excel, additional columns
displaying “RED”, “YELLOW” or “GREEN” will be added to the spreadsheet in order to represent the performance levels.

While viewing the report, you may wish to acquire more details about a specific value. You can click on
the field values displayed as links to drill down to a more detailed report level. See Drill down reporting
for more information.
Field descriptions
Total time: The total hours in the selected time period.
Total distance: The total driving distance.
Total fuel: Total volume fuel.
Average fuel: Average fuel consumption
Average AdBlue: Average AdBlue consumption
Average speed driving: The average speed while driving
Average brake counter: The average number of times the vehicle's brakes has been used
Average stop counter: The average number of times the vehicle has stopped
PTO time: Time used for Power Take-off (time while engine is running and labour is performed).
Idling time: Time used on idling.

Coasting time: Time of coasting.
Cruise control time: Time driven using cruise control.
Vehicle overspeed time: Time driven over speed limit defined in vehicle settings.

Automatic time: Time driving with I-Shift gearbox in automatic mode.

Low distance: Distance driven with convoy weight below 13 tonnes.
Medium distance: Distance driven with convoy weight between 13 tonnes and 28 tonnes.

Summary report
The summary report gives you a detailed summary of the vehicles and drivers performances for the
selected time period. It shows the average speed, time, mileage and fuel consumption for each vehicle
and driver, and in addition you get a detailed listing of different parameters that enable you to analyse
the driving style. The figures are listed both with absolute and relative values. The report is useful
when you want to have the whole picture, and being able to go in to details and compare different
vehicles or drivers.
The summary report gives you a complete summary of the available information. It shows the following main parameters:

Exception report
The Exception report is very useful when you want to look at certain parameters (as average fuel consumption) and you want to analyse the exceptions from your set targets. The report allows you to set
your targets for all parameters (fuel consumption, idling, overspeed etc.) and present vehicles, drivers
or groups in illustrative graphical reports and compare them against each other and against your targets.
The targets are set up as measuring points and with these reports you can compare results or check
how a result is compared to origin goals or targets.

While viewing the report, you may wish to acquire more details about a specific value. You can click on
the field values displayed as links to drill down to a more detailed report level. See Drill down reporting
for more information.
Fuel & AdBlue report
You can extract detailed reports on fuel and AdBlue consumption. This is useful to calculate total fuel
and AdBlue volumes for a specific vehicle or a group of vehicles during a custom time interval. You can
use these report in statistic use or for presentations. When generating a graph report, vehicles with
AdBlue will have an additional graph in the report.

Mileage report
You get detailed information on driven mileage from a specific vehicle or driver. You can include drivers
in the extracted report of a vehicle to compare drivers in one vehicle. When you create a report you
will receive information on Total mileage, driving, PTO and Idling.
Time report
If you create a Time report you can see how a driver or a vehicle behaves in question of driving time,
idle time etc. This can be useful for statistics and presentations.
Environmental report
The environmental report is useful when you want to document and present your vehicles' emissions,
for instance in company environment reports or for specific transport operations. It calculates the different emissions based on fuel consumption and engine- and vehicle specifications from the Volvo
vehicle database or the vehicle's Euro classification.
You can choose different kinds of measuring units when generating environmental reports depending
on your purpose; Total and Per kilometre/miles. Depending on your choice you get different reports.

Emissions are average values and may vary depending on vehicle usage.
Euro 4 and Euro 5 reference emissions are calculated using EU standard maximum emissions.
SO2 emissions depend on fuel sulphur content. Refer to the column that is headed by the sulphur
content that reflects the fuel quality used in the vehicle.

If AdBlue consumption is not available, NOx emissions do not include the increased emissions
when driving without AdBlue.
“High exhaust emissions” might be due to operating the vehicle with an empty AdBlue tank or
because of a malfunction of the SCR system. Both conditions result in high NOx emissions.
The report doesn't take into account the positive effect of the optional Volvo particle filter on Euro 5
engines.
Emissions on non-Volvo vehicles are provided for information only and are calculated using EU
standard maximum emissions.

Odometer report
A report tailor-made to extract updated odometer readouts from your vehicles. It shows the odometer
reading closest to the date you specify. If you rather want the latest odometer reading, select Last
known.
Drill down reports
While viewing the report, you may wish to acquire more details about a specific value. You can click on
the field values displayed as links to drill down to a more detailed report level. See Drill down reporting
for more information.
Field descriptions
Odometer reading: The odometer reading closest to the chosen date, or the latest reading if Last
known has been selected.
Closest date: The date of the reading.
Missing days: The odometer reading value is accumulated over time. If there are gaps in the time
period, the number of missing days is shown in this field.
Activity report
The activity report presents driver activities based on the parameters selected on the tachograph. The
report is useful when you want to present figures for respectively driving, working, waiting and resting. You may also choose to include information about the historical infringements for the driver when
the selected Activity resolution is Activity.
Field descriptions
Driving: Time used for driving.
Working: Time used for working (and not driving).
Waiting: Time used for waiting.
Resting: Time used for resting.

Resolution
The Driver Activity Report can be displayed in three variants or "Resolutions".
Day: The driver activity on a 24h basis. Multiple drivers can be selected and the result can also be displayed as a graph. In the graph view a summary pie chart is shown for each of the selected drivers.
Activity: One activity per row.
Login/Logout: One logged on session per row.
The last two resolutions are limited to one driver at a time and will not be available as a graph.
Activity selection
Activity selection is used to select whether the report should show detailed activities or not. Note that
only vehicles with the service package Driver Times support detailed activities.
Activities only: The plain activity report.
Activities with details: An activity report showing a breakdown of each activity into details where
possible.
Details only: A report showing only the details and not the main activities.
Report options
If the activity resolution is activity, you may also select to include information about historical
infringements.
Infringement history: Shows an infringement history table.
WTD report
The working time directive report presents driver activities based on driver activities downloaded from
vehicle and driver card, with manually modified activities. The report shows working, availability, and
resting times for drivers. It also gives an overview of the number of times the working time directive
rules has been violated.
At the end of the report there is a total of all of the different activities. "Working time" is the sum of

The report contains the following fields. The rule fields are only visible when the resolution is week.
Working time: The time spent in activities working and driving.
Availability: The time spent in activity availability, i.e. waiting.
Resting: The time spent in activity resting.
Night rule: The number of times the night rule has been violated. This field is only visible in week resolution.

Breaks rule: The number of times the rest and break rule has been violated. This field is only visible

Resolution
The working time directive report can be displayed in two variants or "Resolutions".
Week: The driver activities summarized on a weekly basis. Multiple drivers can be selected.
Activity: All activities for the driver are shown. The report can only be generated for a single driver at
a time.
Tracking report
The tracking report displays position and event related data for a vehicle or a group of vehicles for a
selected time period.
Field Description
The report contains the following fields.
Vehicle: The name of the vehicle.
Event time: Time of the event.
Event trigger: The trigger of the event.
Driver name: The name of the driver using the vehicle at the event time, if known.
Driver activity: The driver activity at the time of the event.
Activity details: The detailed activity at the time of the event. Note that only vehicles with the service package Driver Times support detailed activities.
Odometer: The odometer reading of the vehicle at the time of the event.
Fuel: The total fuel reading at the time of the event.
Fuel level (%): The current fuel level in the fuel tank in percent of maximum.
Accumulated duration: The accumulated duration, i.e. the time of the event relative the first event
of the report.
Accumulated distance: The accumulated distance since the first event of the report.
Accumulated fuel: The accumulated fuel reading since the first event of the report.
Location: The location of the vehicle at the time of the event. This field is only visible if Location has
been included in the report parameters. The field shows the country, city, county, and street address.
Note that the address lookup may take some time, so the report generation may take a long time if
this field is included.
Lat / long: The latitude and longitude at the time of the event. This field is only visible if Lat/long has
been included in the report parameters.
Temperatures: The temperature readings at the time of the event. This field is only visible if Temperatures are included in the report parameters.

Weights: The weight readings at the time of the event. The field is only visible if Weights have been
included in the report parameters.
Filter Triggers
The user can choose to limit the report to only show events generated by the selected triggers. At
least one trigger must be selected. Select more than one trigger by holding down shift or control while
selecting triggers. The available triggers are:
Driving: An event received due to a tracking trigger of type "start driving".
Stop: An event received due to a tracking trigger of type stop.
Driver activity: An event received due to a change of driver activity.
Login: An event received due to a driver login.
Logout: An event received due to a driver logout.
Distance: An event received due to a tracking trigger of type distance.
Time, moving: An event received due to a tracking trigger of type time moving.
Time: An event received due to a tracking trigger of type time.
Position request: An event received due to a position request.
Order: An event received due to an order update.
Alarm: An event received due to an emergency or breakdown alarm
Driver activity alarm: An event received due to a driving times alarm.
Geofence approaching: An event received due to the vehicle passing a Geofence approaching
boundary.
Geofence leaving: An event received due to the vehicle passing a Geofence leaving boundary.
Geofence arrived: An event received due to the vehicle passing a Geofence arrived boundary.
Driver activity details: An event received due to a change of detailed driver activity.
Fuel level change: An event received due to a change in fuel level higher than 10% while the
vehicle was standing still.
Temperature alarm: An event received due to a tracking trigger of type temperature.
Cargo door: An event received due to a tracking trigger of type cargo door.
Defrost: An event received due to a tracking trigger of type defrost.
AdBlue low level: An event received due to a low AdBlue level. It is the same alert as on the
vehicle's cluster.
High exhaust emissions: An event received due to either a malfunction in the SCR system or that
the vehicle is running without AdBlue, resulting i high NOx emissions.

Select POI
It’s possible to limit the events to only events close to a point of interest. Any position more than 500
meters from the point of interest will be excluded from the report. Only one point of interest may be
selected.
Limit on number of rows
The tracking report is limited to a maximum number of rows to avoid long response times. If the selection generates a report that contains more rows than the limit, the report will be restricted and information about this is shown in the report header together with the event time of the last included event
in the report. To get the rest of the data for the selected search criteria, set this event time as the start
time for a new report generation.
Details report
A detailed report contains information about the data on a specific vehicle, such as make, VIN and alias
(the displayname of the vehicle).
The information provided in the table is entered manually or retrieved from VDA.
Log data management
If you are creating a report and find missing data intervals you can download the lacking information
using Log data management. If data is missing, previous downloaded data has failed and left an
"empty space" in the log file.
1. Click Reports to enter the reports view.
2. Click on either the vehicle or driver icon to choose which kind of data you want to complete.
3. Select the vehicle or driver you wish to view from the resource view to your left.
Creating and viewing reports
In the report view you are able to select different report types. You may want to view driver activity for
the last day or over a period of time. The examples below are driver reports. The procedure is the same
concerning vehicles.
1. Click the Reports tab to enter the reports view.
2. Select the report type you want to view. The reports available for drivers are listed below the
driver icon

3. Select the driver/group of drivers you want to view by selecting the driver(s) from the resource
view and clicking the arrow icon
. To select multiple drivers, hold down the CTRL key. You
can also select the drivers(s) by dragging them.
4. Select the report type you want to view, if different from the previously choice.
5. Select the time span for which you want to view the report. By clicking
, you choose dates.
6. Select report mode, if you want the report to be generated as a graph or as a table.

If you want vehicle data included in the report, select the Include driver or vehicle details check
box. The vehicle data will not be included if you create a graphical report, however. The same applies to
drivers when you create a graphical vehicles report.
You will get a notice that you can't create a report unless you select one or more drivers.
New reports in the reports view
If you are in the report view and you want to create a new report, update the information and click
.
Printing reports
You can print the report after you have generated it. The system will create a printer-friendly version
of the report you just generated.
In order to print the reports you need to have a printer connected to your computer and the report
must contain data.
1. Generate the report you want to print.

Drill down reporting
Drill down reporting enables you to use links in reports to access more detailed report data. The
detailed reports will be displayed using the same filters – time interval, vehicles and/or drivers – as
used in the original report.

Favourite reports
If you create the same reports on a regular basis, you can create favourite reports. These reports are
available in the start view under the Reports tab. When creating a favourite report you can choose to
subscribe to it. Having subscribed to a report you will automatically receive it by e-mail without logging
onto Dynafleet Online.
In order for you to see information about the report without having to open the email and read the
message, additional information like fleet name and the favourite report name is visible in the subject
field. The following information is available in the email body; report type, created date, date interval
and selected vehicle/driver/groups.
The favourite report name is also the name of the report file attached in the email.
Save favourite reports
1. Click the Reports tab to enter the reports view.
2. Start by creating a report of your choice, selecting a report type and the information you want to
be included.
3. Generate the report by clicking

to save your report.
5. Type a unique name for your report.
Renaming favourite reports
If a favourite report has been misspelled or if you for some other reason wish to rename one of your

Managing report profiles
Report profiles are used in correlation with Summary or Overview reports in order to compare the
actual performance of a vehicle or driver with a defined target performance. Selected values in a report
are color-coded to provide a quick performance overview. You can create a report profile in two ways –
by altering an existing profile or by creating a new one. Profiles are available to all users associated
with the fleet.
Creating a new profile
1. Press the Edit report profiles
button next to the Report profile drop-down box. A list of
existing profiles are displayed in the report view.
2. Press the New button. A profile with the default name “New Profile” is added to the list.
3. Provide a unique name for the profile.
4. For each field you wish to include in the profile, place a checkmark in the Active checkbox. Only the
fields you select to include in the profile will be color-coded in the report.
5. For each field, enter values representing the upper and lower boundaries. Note that positive – or
above target – values should be inserted in the green column while negative – or below the target values – should be inserted into the orange column. It is not possible to set upper or lower values for total
distance, total time or total fuel measurements.
6. When you are done, press the Save button at the top of the profile list.
The profile can now be applied to a summary or overview report.
Copying an existing profile
1. Press the
button next to the Report profile drop-down box. A list of existing profiles is displayed in the report view.
2. Select an existing profile and press the New button. The selected profile is copied and all fields are
editable.
3. Edit the desired fields and provide a unique name for the profile.
4. Press Save.

Removing a report profile
1. Press the
button next to the Report profile drop-down box. A list of existing profiles is displayed in the report view.
2. Select an existing profile and press the Delete button. A confirmation dialogue is displayed.
3. Click OK to delete the profile. The profile is removed from the list.
Subscriptions
Subscribing to a report
When subscribing to a report you will automatically receive it by e-mail without logging onto Dynafleet
Online. When creating a subscription you set up a schedule for when you would like the report
(weekly, monthly, etc.). The reports will be sent to your predefined e-mail address. If you want the
reports to be sent to another e-mail address, you will have that option. You can add up to 10 email
addresses.
The recurrence of the favourite report is displayed in the Reports tab.
You can only subscribe to the reports you created as favourites.

Hiding columns
It is possible to hide columns in the overview and summary reports. The hidden columns are handled
independently for the vehicle and driver reports. To select which columns to see/hide, click on the
Column selection icon in the create report view. Make sure that the columns you would like to see are
checked and click save. The column selection will be used the next time a report is created, favourite
reports will also be affected. For more information on the columns, see each report type. To create a
short report select only the columns with an asterisk after the column name.

Service plan
Modifying service occasions
If a service occasion becomes invalid you can modify the information. To modify an occasion, alter its
statuses (e.g. you can set a VOSP occasion as planned to keep track on it). You also have the option to
delete occasions.
1. Click Service Plan to enter the Service Plan view.
2. Select a service plan to modify.
3. Enter the correct information and click Save.
If you want to delete an occasion, select the occasion and click Delete.
Saving service occasions
You can keep track of a special task in the service plan by saving a service occasion. By doing this you
know when different vehicles are up for service.
1. Click Service Plan to enter the Service Plan view.
2. Click
to create a new occasion.
3. Enter the correct information in the boxes presented. Those marked with an asterisk (*) are mandatory.
4. Click Save to save the occasion.
Viewing service plans
In Dynafleet Online (DFOL) you are presented with a tool for planning service for your vehicles. The
service plan presents a list of scheduled tasks, manually entered or retrieved from Volvo Service Plan
(VOSP).
A vehicle can have four (4) different statuses depending how the parameters are set.

Preliminary
Any service plans received from VOSP are set as preliminary. In order to set
the plan as planned you need to modify the occasion.
Planned
An occasion has to be set as planned in order to have it shown overdue or as a
warning.
Finished
After a vehicle has been taken into service as planned you upgrade the plan to
finished.
Overdue
If a vehicle is not taken into service you will receive an overdue warning.

Views in service plan
Entering the Service Plan view you will see it divided into two areas. The upper part includes your
search criteria and the lower part shows all occasions overdue and any vehicles with odometer warnings regardless of your selected criteria.
Upper area
When you select a vehicle(s), whose service plan you want to view, the planned services are presented in the upper area of the screen.

Lower area
When you enter the service plan view you will find a list in the lower part of the screen. This list
includes all vehicles in need of a service regardless of any search criteria. The listed vehicles are from
your fleets.
Messaging
Assistance Request
If a driver is in need of fast assistance or need help immediately he can send for an assistance request.
Instead of sending a regular message through the system he presses a “panic button” inside the
vehicle. This triggers a message flow and users of the system will be notified.
When configuring the system you have the option to forward alarms to Volvo Action Service. If this
configuration is made, each alarm is automatically sent to both Volvo Action Service and the users.
This is extended security if there are no users on line at the time of the sent alarm.
When an assistance request is sent from a vehicle an icon (assistance icon) is lit to you lower left. You
can access the request by clicking on that icon or by clicking the message tab.

E-SMS
To simplify work methods or improve mobility for example you can handle messaging tasks with your
regular email client, MS Outlook for example. When you use your email client messages, emergency
alarms as well as regular messages, are sent from the system to the mail client. In the same manner
messages can be sent from the mail client to vehicles. This can be helpful if you need information in
your other work flows.
Activate message forwarding
To work with your email client you have to activate the forwarding functionality. When this is done all
messages are forwarded to a specific email address and emergency messages are sent as a copy. This
is done until the function is de-activated.
You activate the forwarding function when you create a user.
Preconditions
Each vehicle must be given a Dynafleet email address that is unique within the fleet.
Each user must be given a system-unique email address.
Each fleet needs a system-unique name.
These conditions combined provide information about email addresses. An vehicle email address would
look like [vehicle email alias].[fleet email alias]@dynafleetonline.com.
Sending messages from email client to vehicle or Dynafleet user
In your daily routines you can send messages through your regular email client to a vehicle or to a
Dynafleet user. When the system receives the message it forwards it to the right recipient.
Preconditions
When you send a message to a vehicle, the message cannot be of more than three sms’s. All information longer than this will be dropped. The same applies to messages sent to Dynafleet user.
Sending messages from vehicle or Dynafleet user to a mail client
If a user’s configuration allows messages to be sent to a standard mail client, all messages ill be forwarded to that address. In such case, all messages are forwarded from the system to the mail address.
Break down or emergency alarms forwarded to mail client
If a user is forwarding messages to a regular client, all emergency calls are forwarded. All alarms are
still stored in the shared alarm folder in the system however.

Message folders
By default new messages are sent to the Inbox and sent messages are put in the Sent items.
However, you can create and delete your own folders to organize your messages.
Creating new folders
1. Click the Messaging tab to enter the messaging view.
2. Right-click the inbox folder and choose New folder.
3. Type a unique name for your new folder and click Save.
The new folder will be put last in the folder list.
Deleting folders
You can delete the folders you have created but not the system folders. Any messages inside the
folders will be put in the deleted folder. You can undelete any messages in the deleted folder. The
folder you deleted is permanently removed however.
1. Click the Messaging tab to enter the messaging view.
2. Right-click on the folder you wish to delete and select and choose Delete folder.
Moving messages between folders
After creating folders you can organize you messages by moving them to different folders.
Select the message you wish to move and drag it to the preferred folder.

Sending messages
By sending messages you can communicate with vehicles as well as users. When writing a message
you have a limited number of characters at your disposal. To users and vehicles with device type Dynafleet Gateway & Driver tool, you can write 1000 characters. To other vehicles, you can write 384
characters. The messages sent to these vehicles may be split into several SMSs depending on length.

You can send the same message to a group of receivers at the same time. This will affect communication costs, however.
1. Click the Messaging tab to enter the messaging view.
2. Click
to start writing a new message.
3. Select receiver from the resource view to whom you wish to send it to. You can select multiple
receivers in one message. The receivers can be vehicles or users.
4. Write your message. To your lower right you will see the number of characters used, and how
many you have at your disposal.
When you write a message that is longer than the maximum number of concatenated SMSs allowed
for a vehicle and choose a vehicle as a receiver after you have finished writing, you will receive a warning and will be able to edit the message before you send it.
If you write a message with characters that are not supported by a vehicle's device type, you will
receive a warning and will be able to edit the message or recipient list before sending the message.
Message read acknowledgement
When a message has been sent to a vehicle it is possible to see when the message has been read in
the Sent folder.
The possible states are:

Delivered unread (message received by vehicle) and delivery date/time
Delivered and read (message read by driver) and delivery date/time
The detailed message view shows the delivery date/time, and the date/time of reading by the driver
along with the driver name.
Note that this is only applicable for vehicles with Dynafleet Gateway & Driver tool device and service
package Messaging.
Viewing and handling messages
When you click the Messaging tab, the messaging view will be displayed. By default new messages are
displayed first. Unread messages are in bold. By clicking on a message the contents of the message is
displayed in a text box below.

Enter a word in the search field and press Enter. The search term must be at least three characters.
When the search is finished, the number of messages that contain the search criteria is displayed in
parentheses next to the folder name. When you open a folder, the search string is highlighted in the
message column. The search function is general and applied to all folders.
To end search, click the Clear search icon/button.
It is possible to enter more than one word in the search field. The space character, between the words,
will be interpreted as an "AND" operator, meaning that only messages containing all words will be
returned in the search results.
Search in a selected folder
You can perform a search on the contents of a specific folder by right-clicking on it and choosing the
Search folder option from the context menu. A search field is visible under the list of mail boxes. Enter
a search string and click the Search button. The search results are displayed in the open folder. To
clear the search, click the Close button in the Search dialogue.
Forwarding messages
You can forward a message to another user or a vehicle.
1. Click the message you wish to forward.

Forwarding messages to Email
Messages in your Inbox, Assistance, and Emergency folders can be forwarded to another email
address by configuring message forwarding. Message forwarding can be configured in the Messaging
settings in the Messaging tab. You can also forward Vehicle events and Driver time warnings.
Note! A forwarding Email address must be registered by a Fleet Admin for the user. You must have a
registered email address for message forwarding to work. Your fleet administrator must register the
email address for you.

Set Window focus for incoming messages
You may select whether or not you want the Dynafleet window to take focus automatically. If you

Deleting message
You can delete messages. Select the message to delete and click
. The message will be sent to the
trash box and remain there for three days before final termination.
You can also delete many messages simultaneously. You may choose to delete all read messages
before a selected date or delete all messages between two dates by right-clicking on a folder and selecting Delete messages.
Auto delete
It is possible to auto delete messages in folders in the messaging tab and for the Driver time warning
messages in Driver activity tab. This is configurable in Messaging settings. You can choose to auto
delete messages that are between 1 and 52 weeks old. By default messages older than 52 weeks will
automatically be deleted.
Moving message
You can organize your messages by moving them to your own folders. Select the message you want
to move and drag it to your preferred folder.
Replying to message
1. After reading a message click

2. The recipient is already in the listbox.
3. The original message is included in the reply. You can leave it or delete it before you write your
own message. Write your message in the text box. You will see a decreasing number to your
lower right indicating the number of characters you have at your disposal.
4. When finished writing, click
to send your message.
The message will be put in the outbox until sent, after which it is put in the sent items folder.
Vehicle event message
A vehicle event message is a message that is automatically generated when a certain vehicle event
occurs. Geofence event messages are of this type. When a vehicle event message is generated, the dispatcher(s) having the vehicle assigned to them will get a copy of the message in their vehicle event
folder. The message contains information about when and where the event took place and of what
type it was. In the message there is a button that will show the vehicle position
event on the map.

When Message history is open, you may view the conversations and messages sent from dispatchers and the vehicle. It is possible to compose a message to the vehicle or dispatcher by clicking
on the Compose message icon

You can also compose a message to the vehicle by clicking the Compose message icon
the vehicle section of the message history.

Maps
Finding vehicle on maps
When working in the map view you have the possibility to locate a vehicle and have it displayed on the
map.
1. Click the Maps tab to enter the map view.
2. Click
from the resources view and choose a vehicle to find on map.
3. Right-click the selected vehicle and choose Find on map.
If the vehicle you selected is within the map boundaries you will see a grey circle around the vehicle
you selected. You will also see an arrow pointing towards the direction the vehicle is driving. If a
vehicle has a clock next to the symbol the data has not been updated for the last hour.
Geofence
Geofence is only available in the service package Positioning.
Geofence is an abbreviation of geographical fence. A geofence notifies the driver and/or dispatchers
when a vehicle enters or leaves a specified area, i.e. a geofence. The geofence consists of three boundaries:

Approaching is the largest boundary. An event will be triggered when the vehicle enters the area.
Leaving is smaller than the Approaching boundary. An event will be triggered when the vehicle
leaves the area.
Arrived is the smallest boundary. An event will be triggered when the vehicle enters the area.
Create a geofence
To create a geofence, do the following:
1. Click on the geofence button
in the map view. A geofence is created and a popup window
with instructions for creating a geofence opens.
2. Click on the centre point of the new geofence and hold the mouse button down. Drag to define
the size and shape of the Approaching boundary. The Leaving and Arrived boundary sizes can be
adjusted later.
3. When the Approaching area has the right size, release the mouse button. A dialogue for entering
information about the geofence opens.

Default messages
A button to automatically create messages for approaching, leaving
and arrived based on the geofence name.
Approaching message
The text message presented to the driver and/or dispatcher(s) when
the vehicle enters the Approaching area.
Approaching: show to

When selected, the driver will receive an Approaching message when
the vehicle enters the Approachingarea.
Approaching: show to
dispatcher
When selected, the dispatcher(s) to whom this vehicle has been
assigned will receive an Approaching message when the vehicle enters
the Approaching area.

The text message to be presented to the driver and/or dispatcher(s)
when the vehicle leaves the Leaving area.

When selected, the driver will receive a Leaving message when the
vehicle leaves the Leaving area.
Leaving: show to dispatcher
When selected, the dispatcher(s) to whom this vehicle has been
assigned will receive a Leaving message when the vehicle leaves the
Leaving area.
Leaving size
The size of the Leaving area in percent of the Approaching area. Default
value is 50%. The size of the Leaving area may not be larger than the
Approaching area and not smaller than the Arrived area.
Arrived message
The text message that is presented to the driver and/or dispatcher(s)
when the vehicle enters the Arrived area.
Arrived: show to driver
When selected, the driver will receive the Arrived message when the
vehicle enters the Arrived area.
Arrived: show to dispatcher
When selected, the dispatcher(s) to whom this vehicle has been
assigned will receive an Arrived message when the vehicle enters the
Arrived area.
Arrived size
The size of the Arrived area in percent of the Approachingarea. Default
value is 20%. The Arrivedarea may not be larger than the Leavingarea.
Note: At least one receiver must be selected, and the corresponding message must be filled in.
Please avoid creating geofences with sides less than 100 meters in either direction, due to limitations
in GPS accuracy.
Modify a geofence
To modify a geofence, right click on the geofence in the resource view and select Modify geofence. Only
the fields Name, Approaching message, Leaving message, Arrived message and the six different receivers can be modified.
Note: Locked geofences (with a small padlock on the icon) cannot be modified (or deleted) since they
have been sent to at least one vehicle.
Delete a geofence
To delete one or more geofences, select them in the resource view, right click and select Delete
geofence.

Geofence groups
A geofence group contains zero or more geofences. These groups can be sent to one or more vehicles.
An individual geofence cannot be sent to a vehicle without being put into a group. A vehicle can have
one geofence group at a time. An empty geofence group cannot be sent to a vehicle.
Distribute geofence groups
1. Click on the Distribute geofences button in the administration view. A page is displayed showing
all vehicles and which geofence groups they have been sent.
2. Click the check boxes in front of the desired vehicle(s) to indicate that geofence groups will be
sent to it/them.
3. Select the geofence group to send in the drop-down list.
4. Click the send button.
5. Press the refresh button to make sure that the send status for each truck is Delivered and
acknowledged. This usually takes less than a minute. However, sometimes it may take a while
longer for the send status to become Delivered and acknowledged, e.g. if the vehicle is turned off
or there is a problem with the communication. If the status still does not change, try sending the
geofence group again.
Show geofence(s) on map
1. Select one or more geofences.
2. Right-click on the geofence and select Show on map. This will show all selected geofences on the
map.
Note: The map will only show the geofence(s) on the current map view. Geofence groups can also be
shown in this way.
Find geofence on map
Right-click on one geofence in the resource view and select Find on map. The map view will be opened
and the map will be zoomed and panned to show the selected geofence.
Vehicle status
The Vehicle status page consists of three tabs, one showing the send statuses for distributed geofence
groups, one showing the send statuses for tracking pattern configuration, and one showing the send
statuses for position requests. These are just for information about which vehicles have which
geofence groups, how the tracking patterns are configured for each vehicle, and the current send
status of the latest position request for each vehicle.
It is only possible to change the geofence groups or to configure tracking patterns through a fleet
administrator account. Position requests can be done both as a user and an administrator.
Maps
With this feature it is possible to locate vehicles as well as be of assistance if a driver needs help in finding a service station or a motel. You are able to pan the maps, zoom and creating favourite views etc.

Points of interest
When working with POI’s you are able to locate delivery spots for a certain customer, motels, etc. You

You might want to create your own categories of your POI’s to organize your work.
As a non-administrator of the site you need to create subcategories in order to create your own POI’s.

POI categories are created as you create a new POI.
Creating Point of interest
When creating your own POI you can define locations that you find suitable for your purposes. You can
create the POI’s in your own predefined categories or in the default folder.
New POI and category

Finding the closest object
When working with maps you can find nearby objects in the map relative to the object you chose or to
the centre of the map. A list of the ten closest objects with their distance and direction to the selected
map object are presented to you. When the vehicle option is selected, driver times information is visible. Information like driving time remaining until next possible infringement and driving time remaining for the current driving session is presented in the main table. Other driver times information,
prognosis of driving time remaining for one/two week(s) and infringement information, are presented
in the tooltip for each table row.

2. Choose a vehicle to which you want to measure or select a geographical centre point.
3. Click
to find the objects closest to you choosing in the previous step.
The system will provide a list of the closest objects ordered by distance. You can only do this operation
if there is at least one object in the system.
Requesting vehicle positions
When requesting vehicle positions you gather information about the vehicles current position. When
requesting vehicle position you also update the system with vehicle information.

Vehicle tracking
In Dynafleet Online you can keep track of the vehicles in your fleet(s). With the "snail trail" feature
you can see the exact driving route of a specific vehicle.
When activating a tracking pattern you choose from five different patterns to keep track of a specific
vehicle.
Snail trails
When viewing a “snail trail” you view the historical position data of a vehicle on the map view. By
doing this you can follow a specific vehicle and find abnormalities in a normal route. You can view historical data up to 100 positions back in history or up to 100 days. Default value is 10 positions back in
time. When you watch a trail of a vehicle you can tab between the different measuring points to view
historical data of a vehicle.
Setting up snail trail properties
Before you can follow a vehicle you need to set up the properties of the trail. The parameters which are
to be configured are time span or positions and number of measuring points.
How to
1. Select vehicle or vehicles from the resource view

4. Select the properties of the trailing functionality and finish by clicking Save
Viewing snail trail
When a vehicle has been set up for viewing snail trails you can vie history data of that specific vehicle.
When you view the trail you gain access to specific data on specific occasions. Since you see the trail as
graphics in the map view it is easy to spot deviations in normal routs.
When you select a trail of a vehicle the map zooms to fit the trail.
How to
1. Select vehicle or vehicles from the resource view

to view the trail of the selected vehicle.
When you view the data of a vehicle for a specific time or place you can view all different data of the
time or place in question.
Viewing object properties
When working with maps and locating a vehicle you can view the properties of the selected vehicles.
In order to view the properties the object has to be visible on the map to proceed.

Working with map views
When you click the Maps tab, a map appears displaying your working area. From this view you can find
vehicles, track them and see their current status.
If there are areas you view frequently, you can save these as favourite map views.
Panning
You pan the map by holding down the right mouse button while moving the mouse pointer around on
the map.
By clicking anywhere on the map you centre it on this point.
Zooming
With the different zooming tools you may change the magnification of the map. You can do this to get
more or less detailed information about a certain spot in a map view.

Zooming with zoom slider
You can zoom in and out by dragging the zoom slider up and down. The zoom slider is located on the
right-hand side of the map.
Zooming with mouse wheel
You can zoom in or out by using the mouse wheel while the mouse pointer is positioned over the map.
Map views
To increase efficiency, you can save favourite map views and access them from a drop-down list.
Saving a map view
1. Zoom/pan to the area on the map that you wish to save.
2. Press the
button.
3. Type a unique name for the view.
4. Click Ok.
To access the saved view, select it in the drop-down list and press the
button.
Tip: By saving a map view centred over your home office, you always have the option to return to that
view after you have zoomed in on another location.
When a saved map view is no longer useful you can choose to delete it.
Deleting map view
1. Select the view you wish to delete from the drop-down list.
2. Press the
button.
Initial default map view
The initial map view for a fleet is dependent on the fleet's market. The first time a Fleet user or a Fleet
admin selects the map tab in the new fleet, the map view is centered on the country corresponding to
the fleet's operational market.

Search on map
Search on map
You can use the search on map feature to find a specific address to use in combination with other map
features.
1. Press the Search on map
button. The Search on map form is displayed.
2. Enter the search criteria into the text field. You may enter an address or the name of a location, for
example, Eiffel Tower or Pizza Hut.
3. Press the
button. A list of matching addresses are returned and plotted on the map. You may
press the Clear button if you wish to clear the form and perform a new search. You may press the
Close button to close the Search on map form.
4. Right-click the icon on the map to view the menu options.
5. Choose the desired action – Create point of interest, Navigate to destination, Find closest object,
Plan route or Cancel. Depending on your selection, an appropriate dialogue will be displayed to enable
you to complete your desired action.
Sending a navigation destination
You may send a message to a vehicle that includes a navigation destination for the driver and vehicle.
In order to send a navigation destination message to a vehicle, the vehicle must have the Messaging
package, and a compatible navigation device must be installed. When the driver receives the navigation destination message, the driver can select to use the destination in the navigation device.
You can send the same message to a group of vehicles at the same time. However; this will affect communication costs.
1. Click the Maps tab to enter the map view.
2. Click
to choose a destination on the map. The Navigate to Destination dialogue will
appear prompting you to select a target position on the map.
3. Place your mouse cursor over the desired location on the map and click the left mouse button to
choose the location. Note: You may still use the zoom tools to adjust the map view while the Navigate to Destination dialogue is open.Once you have chosen the destination, it is marked on the
map with a red flag icon. The Navigate to Destination dialogue expands to display the destination
address and the corresponding latitude and longitude for the address.
4. Select the vehicle(s) or vehicle group to send the navigation destination to by choosing the
vehicles or groups from the Resource view. You may select multiple vehicles to receive one
message.
5. Write your message. At the top right of the text area you will see the number of characters used,
and how many you have at your disposal. The destination address accounts for the number of
used characters before you start typing your own message.
6. Click send to send the message. The destination message is sent to the vehicle.
Viewing sent messages
When a destination message has been sent to a vehicle it is possible to see if the message has been
read in the Sent folder on the Messaging tab.

Navigation destination messages can be identified by the
icon. You may select the message to
view the latitude and longitude and click on the
button to view the position on the map.
Note that this is only applicable for vehicles withDynafleet Gateway & Driver tool device.
Cancel navigation destination message
If you decide not to send the navigation destination message, you can use the
control or the close
button to close the Navigate to Destination dialogue. The navigation destination message will be
cancelled and the icon representing the chosen location will be removed from the map.
Driver times information
The navigate to destination dialogue is enhanced with driver times information. Information like driving time remaining until the next possible infringement and driving time remaining for current driving
session is presented in the main table. Other driver times information, prognosis of driving time
remaining for one/two week(s) and infringement information, are presented in the tooltip for each
table row.

Route Planning
Route Planning
Using the map, along with the route planning features, you can create a route and, if desired, view
driving directions.
Note! The route cannot be sent to the vehicle. The calculated route does not take into account any
attributes of the vehicle that may make the route inappropriate, for instance, due to the height of
bridges or restricted access to roads due to weight.
Creating a route
1. Access the Map tab.
2. Press the Plan a route
button.
1. Enter the starting point in the field labelled A. You may type in the address or press the
button
to add an address by selecting the location on the map. You may also right click on the map and select
the Add waypoint option.
2. Enter the destination in the field labelled B.
3. The route is displayed in the map, represented by a blue line. The start point and endpoint icons on
the map correspond to the labels on the Plan route form. Driving directions are displayed at the bottom of the form.
Note! You must have at least 2 points to create a route
Add a waypoint
When you have added two waypoints to a route, a new data entry field is automatically added to the
Plan route form. You can add a waypoint to an existing route by pressing the
button next to the
new, empty field, entering an address in the field, or selecting the Add waypoint option from the rightclick menu on the map.Add as many waypoints as necessary. When viewing the route on the map,
the first point is displayed as the origin, the last as the destination, and any intermediate points are displayed along the route.
Re-ordering waypoints
You may change the order of any points along the route by dragging them up or down in the waypoint
list until they appear in the desired order. The map will be updated to reflect the order.
Remove a waypoint
Use the button next to the fields in the Plan route form to remove a waypoint from the route. The
selected point will be removed from the form and the map view.
Viewing vehicle destination properties
It is possible for you to view the estimated time of arrival (ETA) for vehicles that are travelling towards
a navigation destination. When the driver of the vehicle selects a destination to navigate to, the ETA

properties in the map view display the intended destination and update the ETA to reflect the time and
distance remaining before the vehicle arrives at the destination.
The vehicle must have the service packages Messaging and Positioning, and a compatible navigation
device must be connected. The driver in the vehicle must have chosen to navigate to a destination
provided in a navigation destination message in order for the ETA to be calculated. Vehicles that are in
the process of navigating to a destination are represented by the
icon.
In order to view the ETA properties the vehicle has to be visible on the map.
1. Click the Maps tab to enter the map view.
2. Select the vehicle on the map. On the lower-left corner of the map, icons representing the property categories are displayed.
3. On the lower-left corner of the map, a list of the available properties will be presented.
4. Click the
button.
Updates of estimated arrival time
The ETA property view displays the date and time of the latest trigger, the type of trigger, the ETA
(hh:mm), the distance to the destination, and the actual destination. The estimated arrival time is
updated each time a new position – or trigger – is received.
It is possible for the driver to change the navigation destination using the navigation device in the
vehicle. If the destination is changed, the ETA properties view will display the new destination as well
as the updated ETA for the vehicle.
If the driver cancels the navigation to the destination, if contact with the navigation device is lost or if
the vehicle has reached the destination, ETA properties will no longer be updated.
Viewing the destination location
You may select the
button to view the destination location on the map. When the button is
pressed the map is centered on the destination point. The destination is marked with a

Integrated Data Views
Integrated Data Views
The integrated data views allow you to view vehicle tracking data or driver activity data in the
vehicle/driver properties view while working in the Map tab.
Integrated driver data view
You may view driver activity information while working in the map. To view the driver data in the map,
you must first select a vehicle and open the driver properties view.
1. In the driver properties view click the
button. The advanced driver properties view is displayed.
2. Select the type of reference. Selecting Since midnight will result in the display of driver data from
the current day. Selecting Session will display information about the driver’s current driving session.
Total times are displayed to the left of each type of driver activity. The distribution of the activity during the driving session or day – depending on the reference – is displayed in a chart. You can hold your
mouse pointer over the displayed activities to see additional information about the activity; including
the duration, start time and stop time . Use the scroll bar to move through the hours of the day. The
current time is marked with a vertical red line.
Returning to the standard property view
Clicking the
button will close the advance driver properties view.
Navigating to the Driver Activity view
You can navigate to the Driver Activity tab by clicking the
button in the expanded driver properties view. The driver selected in the properties view is automatically selected when the Driver Activity tab is opened.
Integrated vehicle activity data view
In order to view the vehicle activity data, a vehicle must be selected based on its last known position –
“Find on Map” – and the vehicle properties view should be open in the map.
1. Select the Show vehicle activities
button. The extended vehicle properties, consisting of a list
of vehicle activities and related details are displayed. You may need to use the scrollbar to see the
entire list.
2. Select whether you want to view an Aggregated report by selecting or deselecting the Aggregated
checkbox. In the aggregated version of the report, only periods of driving, periods of stop, login events
and logout events are displayed. Periods and events are aggregated from the interval specified in the
Map settings. E.g. showing the aggregated periods from the last 100 tracking points might result in a
list of 10 periods.
3. Select a row in the list. The position(s) corresponding to the selected row are highlighted in the snail
trail on the map and the map is panned to display the selected position(s).
4. Select the

buttons to page through the historical positions.

By default, the activities for the vehicle since midnight are displayed. You can select to show activities
from the last 24 hours, since midnight, or last n positions by accessing Map Settings
ging the Historical position setting. Your selection will be used each time you log on.

Tracking overview
You can open the tracking overview by pressing the
button. All fleet vehicles are displayed in a
table, sorted by name, with the latest vehicle and driver activity data.
It is possible to sort each column in ascending or descending order by clicking on the column heading.
The desired sort order will be saved and reused at your next login.
The tracking overview filter enables you to filter the data in the table based on a selected filter type
and search string.
Clicking on a single row is the equivalent of selecting a vehicle. The map is panned to the vehicle's position and the vehicle activity data is displayed in the properties view.
Use the Close button to close the tracking overview view.
Hide and show vehicles on map
It is possible to hide vehicle(s) on the map:
1. Right click on one or more selected vehicles in the resource view.
2. Select Hide vehicle(s) on map. The selected vehicles are no longer displayed on the map.
To show the hidden vehicle(s) on map:
1. Right click on one or more selected vehicles in the resource view.
2. Select Show vehicle(s) on map. The selected vehicles are displayed on the map.

Vehicle tooltip
To get a quick view of the driver times prognosis, hold the mouse over a vehicle icon. If there are driver
times available for the selected vehicle, they will be presented in the vehicle tooltip. If driver times are
not available only default vehicle information will be shown.
Driver activity
Driver activity
This feature is not available in some markets.
From the tab Driver Activity you can keep track of your drivers. You gain access to driving time,
driver activities etc. You can set up intervals detailing when to get new information and view multiple
drivers at the same time.
By listing the information you can see if the driver violates any European driving rules.
You have the option of viewing the information for the current driving session, last driving session, the
current day, current week, last two weeks or month. When viewing the current driving session, last
driving session and current day, you can also see the sum of the driving times for the current week
and last two weeks.
It is possible to change the time resolution by clicking on icons. When a driver is selected in the Driver
Activity view, the advanced driver properties are displayed at the bottom of the window. Changing the
time resolution also affects what is displayed in the advanced driver property box.
It is possible to summarize different activity time blocks in the advanced driver property box by either
left-click on one activity block or press Ctrl and right-click on several activity blocks.
The sum of the driver’s activities is displayed at the bottom in the driver properties view.
You may deselect the time blocks by pressing Ctrl and left-clicking. You can also turn off the summation by clicking on the driver in the Driver Activity view.
In the Driver properties box, you are able to step back and forward in time with preselected time intervals (today, this week or this month).
The Driver properties box also contains information about driver times prognosis and historical infringements. Clicking on the infringement icon will automatically open the infringement management view
filtered on the selected infringement type.
There is also a possibility to show/hide columns in the table view. To select which columns to
show/hide, click on the Driver activity column settings icon

You can list according to the predefined listings or your own custom selections.

Driver times prognosis
A ‘floating’ time period that is not based on calendar intervals, but on the logged driver activities analysis according to the EU driving rules legislation. It presents the information in a time period that
depends on the individual driver’s activity analysis. Purpose of this choice is to follow up the current
driver activities as they evolve while it happens. It gives the user a clear insight in the immediate availability of all the drivers.
Previous driving session
A "floating" time period that is not based on calendar intervals, but on the logged driver activities analysis according to the EU driving rules legislation. This time period lists the data for the second last
know driving session for each driver. With this historical data it helps the user to predict longer term
availability of the drivers.
Today
Displays the driver data for the current 24 hour period starting at 00.00 and ending at 23:59.
This week
Displays the driver data in the current week. A week starts Monday 00.00 and ends Sunday 24.00.
Last two weeks
Displays the driver data within a two week interval (the week before current week and current week).
This month
Displays the driver data for the current month.
Custom definition
Displays the driver data within a period of time selected by the user.

Include last activity in the MDTP export
It is possible to export driver data in the Driver activity tab with MDTP export. The receiving system,
Solid, only saves finished activities. However, the last activity is almost always unfinished, resulting in
the last ongoing activity being discarded. The MDTP export adds an additional unfinished activity so
that the last "real" activity will be recorded successfully.
WTD - Working Time Directive
This feature is not available in some markets.
The working time directive introduces limits on weekly working time, the amount of work that can be
done at night, and the amount of work that can be done before taking a break.
The following rules are implemented in Dynafleet Online.
- A driver may not work more than an average of 48 hours per week in a period.
- A driver may not work more than 60 hours in a single week.
- A driver may not work more than 10 hours in any 24-hour period, if work is done at night. The limit
may be changed in the working time regulations settings view.
- A driver needs at least 30 minutes of breaks if working between 6 and 9 hours in any 24-hour period.
- A driver needs at least 45 minutes of breaks if working more than 9 hours in any 24 hour period.
A break should be more than 15 minutes to count as a break.
A period may either be a rolling period, or a fixed period. The periods are configured in the working time
regulations settings view.
The working time calculations are based on the driver activities with the possibility to override these
activities with manually added activities.
The existing driver activities are: Driving, Working, Waiting, Resting and Not Logged In. Not Logged In
is considered as Resting when calculating the weekly working times. Driving and Working are considered as Working. The activity Waiting is called Availability when modifying an activity.

Working Time Directive View
The working time directive view is accessed from the driver activity tab by selecting the crossed hammers icon,
.
The header of the working time directive view looks slightly different depending on the period type setting. A fleet with fixed periods has a view with the available periods in a drop down box. A fleet with a
rolling period has a view where the length of the period is displayed in the header.
The drivers are added to the view by selecting the drivers in the resource view and pressing the
icon.

the driver.
The latest 24-hour column shows the amount of
work performed today starting at 00:00.
The night work column shows the amount of work
in the last 24-hour period calculated from current

The current week column contains the number of
working hours for the current week so far, starting
at Monday 00:00.
Average
The average column shows the average working
time in the period. The current week and any
remaining weeks are not included in the calculations.
Remain-
The remaining column shows the maximum
allowed working hours per week for the remaining
weeks in the period including the current week.
The value is limited by the 48 hours average work
per week rule and the 60 hours maximum work per
week rule. Note that the hours worked in the current week are not included in the calculation.

the period not including the current or following weeks.
- The night work column will be highlighted if the driver has worked more than the allowed night work
hours in the last 24 hours and night work has been performed in the last 24 hours.

- The latest 24 hours column will be highlighted if the driver has violated the rest & breaks rules today,
i.e. after 00:00.
Refresh button
The refresh button will be enabled when new driver activities are available for the selected drivers
regardless of the selected time interval.
Modify Activities
It's possible to modify the activities used for the calculations by adding activities and overriding existing activities. The modified activities only affect the working time directive view and reports. The activities are modified by the modify activities dialogue accessed by the
directive view.

The dialogue shows the activities for a single driver on a selected day. Selecting another driver from
the driver drop down box updates the dialogue to show the new driver's activities. It's only possible to
select drivers added to the working time directive view.
Change the day by selecting a date from the date picker in the activity list, or use the previous/next
buttons. The activity list shows the activities for the selected day. Activities with start or end time outside the selected day may be shown if the activity spans the selected day.
Modify activities by selecting a start/end date and time as well as an activity type and press the save
button. Select an existing activity to fill in the start/end date & time and the activity type. Select an
activity while holding down the control key to fill in the end time only.
Note that it’s not possible to modify activities unless data has been downloaded and exists in the system with an end time later than the modified activity’s end time.
Restore Activities
The modified activities may be removed, thus restoring the downloaded driver activities. Press the
icon in the working time directive view to access the restore original data dialogue. The dialogue is similar to the modify activities dialogue and start/end date and time selection works the same way.
After the start and end times have been selected, press the restore button to restore activities for the
selected period. Note that it’s possible to restore parts of a modified activity. This will result in an adjustment of the start or end time of the modified activity.
Data Priority
The activities used for working time regulation calculations are activities received from the driver card,
and activities manually added via the modify activities dialogue.
Already entered manually modified activities may be overwritten by new data received. This happens if
new activities are received from the driver card and the priority is higher, unless the activity type of
the new data is not known or ’not logged in’.

Driver card download
This feature is not available in some markets.
You can perform a Driver card data download to download driver data from the driver cards. To
open the Driver card data download page, navigate to the Driver activity tab and click on
.
Select one or several drivers in the resource navigator and add them by either dragging and dropping
or clicking the add button (
). To see the download status for a driver, click on the expand icon ( ).
This will present an overview of days since the service was activated on the fleet (to a maximum of
two years). You can choose to limit the time period by specifying a date range using the From date
and To date fields and clicking the refresh button (
). Each day have one of the statuses defined in
Tachograph data download statuses. To see more information about the status of a day hover over it
with the mouse to see a tooltip.
If driver data is downloaded using the Driver data upload function, it will also be visible here. The
Driver data upload feature also allows a driver to upload driver card data from a vehicle, but without
using the tachograph. To use the Driver data upload functionality, the feature must be enabled on
the fleet and on all vehicles in which the feature should be used.
Perform Driver card data download
To download driver data from a driver card that is inserted in a vehicle, perform a Driver card data
download from the Driver activity tab.
To perform a Driver card data download, follow the steps below:
1. Click the expand icon ( ) for the driver you wish to start with and select a time period by selecting
one or several days. Instead of selecting one or several days you can select to download all missing downloads by simply clicking the download missing button for the defined time period. You
can do this for individual drivers or all selected drivers. To select all of the drivers click the select
all and download missing buttons at the top of the screen.
2. Click the download selected button.
The download is initiated and begins processing. It can take a little while before you see how the download is proceeding. Click the refresh button (
) to see any changes.
Downloaded data will be stored for a maximum of two years from the download date (unless deleted
by the user), after that it will automatically be deleted. This also applies to exported data.

Export driver data
You can export the downloaded driver data and store it on your local computer. The files can then be
further analysed by third party software if necessary.
To export driver data, follow the steps below:
1. Click the expand icon ( ) for the driver you wish to start with, and select a time period by selecting one or several days.
2. Click on the export button (
). You are able to choose a file name format in a drop down list
before you select to export the information. Default the file name format corresponds to the customer’s country. The different file name formats are described in File name formats.
3. Save the exported information. If you cancel the export at this stage, the selected days will still
be marked as "Exported".
The information is now exported and the selected days are displayed as "Exported".
Delete downloaded driver data
You can delete the downloaded driver data for a defined time period if desired.
To delete downloaded driver data, follow the steps below:
1. Click the expand icon ( ) for the driver you wish to start with, and select a time period by selecting one or several days.
2. Click the delete button (

the screen.

This feature is not available in some markets.
It is possible to view information or warnings about your ongoing or future downloads on the Data
download history and status page. You can also see information about failed downloads and warnings about missing downloads.
To view data download history and status, follow the steps below:
1. Click the Driver activity tab to enter the Driver activity view.
2. Select the Data download history and status tab (
). You are able to filter the list of downloads on type of download, type of event, date, and status of the event.
Information about events for all types of downloads are displayed in chronological order with the latest
at the top.
When a warning is received, the notification icon in the lower left part of the screen is lit. To acknowledge a warning, open the Data download history and status page, find the highlighted warning in
the table, scroll right and click the acknowledge button (
open the Data download history and status page.

As a fleet user you can view all the fleet’s company cards and if they are online. The View company
cards tab is located on the Driver activity screen. To navigate to it, click the Driver activity tab and
select the View company cards tab (

Launch Card reader application and insert company card
In order to perform a remote download from a vehicle, the company card first needs to be online. To do
that you need to launch the Card reader application and insert the company card in a connected
card reader. The Card reader application is available as both a Java web start application and as a
stand-alone Windows application (Windows service). The stand-alone Windows application will be
installed locally on your computer and it will allow you to use your company card without launching
the Card reader application from the browser each time you log in. Both applications rely on Java, and
may require a Java update in order to work.
To launch the Card reader application (Java web start), follow the steps below:
1. Click the launch Card reader application button (
). The Card reader application will now
start.
2. Insert the company card in the card reader and make sure that it is displayed in the Card reader
application.

1. Click the Download and Install Card reader application button
2. If the installer did not start automatically after it has been downloaded, double-click on the file in
your download directory
3. Follow the installation wizard to complete the installation and reboot Windows. Java version 1.6
is required to install the stand-alone Card reader application.
4. After reboot wait until the Card reader application icon has appeared in Windows system tray.
5. Insert the company card in the card reader and open the stand-alone Card reader application
from the system tray and make sure the card appear as connected in the application.
The company card is now online and possible to use for downloading data from all its assigned vehicles.
It is important to leave the necessary company cards online to allow the scheduled downloads to take
place automatically. If a scheduled download is about to take place but cannot access the necessary
company card, the download will be put in a pending state until the card is made available again
through the Card reader application. If the card is not made available within a predefined amount
of time the scheduled job will fail.
The Card reader application is independent from the Dynafleet user application which means that
once it is started the Dynafleet web page can be closed and re-opened at the user’s convenience.

Infringement histogram
The infringement histogram view presents graphical infringement information for all drivers assigned
to you. There are three infringement statuses: Acknowledged, Not acknowledged and Incoming.
There are also different types of infringements, by holding the mouse over the bars you will see a
description of the infringement type. You can also change the histogram time range by choosing one
of the options in the toolbar. Clicking on the histogram bars will switch to the infringement management view filtered on the selected infringement type.
Infringement management
The infringement management view presents detailed infringement information with an option to
acknowledge infringements and, at the same time, send a message to the driver / vehicle. There is an
option to sort/group the result on different columns. You can acknowledge more than one infringement simultaneously.
Tachograph data download statuses
These are the different statuses available for tachograph memory download, driver data download and
speed file download.

Orders
Viewing order information
Orders provide instructions and information about tasks that must be completed by the driver. Orders
are created using the application programming interface. When an order has been created, its status
and the details of the task can be viewed on the Orders tab.
Viewing orders on the resource navigator
You have access to viewing orders in the resource navigator. The orders are grouped by Transport customers. The transport customers that you have access to are displayed in the resource navigator.
1. Click the

2. Orders, if available, are listed under the transport customer by order number.
Selecting orders from the resource navigator
You may select orders from the resource navigator and add them to the order view with the arrow
button.
You may select and display up to ten (10) orders at a time.
You can remove orders from the order view individually by selecting the order and clicking the
arrow. You can remove all displayed orders from the order view by clicking the
button.
Viewing order details
The orders you have selected are available in the orders view. For each order, the following information is displayed.

Order number – Hold your mouse over the order number to display a tooltip with the assigned
user's last and first name and assigned vehicle's name.
Customer reference – Hold your mouse over the customer reference number to display a tooltip
with the customer information (name, open hours, phone number, fax number, email, contact

Order status – Displays the current order status.
Activity type – Displays the current order item. If there is no ongoing activity, the last completed
order item is displayed.
Task status – Displays the current or previous order item status.
Date-time – Displays the date/time when the current task status was set.
Destination – An icon provides a link to find the destination on the map if a destination is associated with the order item. Hold your mouse over the find in map icon to display a tooltip with the
POI description and the distance, as the crow flies, from the current vehicle location.

Configure DTM and Driver activity details
Due to driving regulations a driver needs to take brakes on regular basis. By setting up DTM alarms,
DTM warnings and Waiting/working alarm minutes, you can monitor if a driver needs a break from the
driving period. It is also possible to configure whether it should be possible to enter Driver activity
detailsin the vehicle. This setup can be found in the administration view.
You can only set up DTM alerts for vehicles equipped with a Dynafleetunit.

A list with all vehicles in the current fleet and their configuration will be shown.
Select the vehicles to change and click the configure button.
A popup window with several choices is shown.
Make your selections for DTM Alarms, DTM Warnings and Driver activity details by checking/unchecking the boxes. Select the number of minutes (or select Off) for Waiting/working
alarm.
7. Click Send. The settings will be sent to the selected vehicles.
Creating drivers
The purpose of this function is for you as an administrator to be able to add new drivers in the system.
You set up information about the drivers. The drivers can afterwards be modified or deleted.
After you created a driver you need to assign the driver to a user.

3. Enter the information regarding the driver and click finish.
You have the possibility to quit the process at any time by clicking Cancel and no data will be stored in
the system.

belonging to a fleet. The transport buyer user has temporary access to a limited part of the portal features in order to view vehicles on the map and order information. In order to create a transport buyer
user, the transport buyer profile must be enabled on the fleet. The fleet must also have the API feature enabled in order for transport buyer customers to be created.

Assigning drivers and vehicles to a user
A user may work with multiple drivers and vehicles. You must first assign them to the user. There are
three different ways to assign drivers and vehicles:

Assigning vehicles to transport users
If the transport buyer profile is enabled on the fleet, and if a transport buyer user exists, you may
assign vehicles to the user. A transport buyer user has limited access to the assigned vehicles. You
may not assign drivers to a transport buyer user.
Once you have selected the vehicles that the transport buyer may have access to, you must select the
timeframe for when the vehicle information shall be available to the user. You can assign the same
time frame to multiple vehicles or set individual timeframe's for each vehicle. The timeframe may contain both past and future dates.
There are three different ways to assign drivers and vehicles:

Right-click on a user and select Assign in the context menu.
l Select the vehicle(s) and press Change Date to select a date from the calendar. This date
represents the last date that the vehicle's data will be visible to the user. Click Ok to save
and close the calendar.
l Click Save.

drivers.

Creating vehicles
As an administrator it is possible to create new and change existing vehicles by using the Vehicle registration functionality. All details about the vehicle and the Dynafleet unit are registered when creating
the vehicle.
Create a new vehicle by following these steps:
Step 1
1. Click the Administration tab to enter the administration view.
2. Click
to start adding a new vehicle in the system.
3. Enter the correct information for the displayname and VIN.
4. Click next.
The system will try to download information about the vehicle from a central database. If the information was successfully found, this will be presented in step 2. Otherwise an error message will be displayed and the vehicle can't be created.
Step 2
Review the downloaded information and fill in the required fields, vehicle phone number and e-mail
alias.
The remaining fields are optional but should be filled in when possible.
The vehicle profile field determines how the driver scores are calculated in the mobile application.
Step 3
1. Enter information for the vehicle settings. You can use the default values, modify them or choose
a template. See Vehicle settings. It is possible to copy service settings from another vehicle.
2. Click next.
Step 4
At this stage you need to read and accept the license agreement. The license agreement gives information regarding pricing and user agreements.
You can quit the registration at any time by clicking cancel. The information will not be saved.
Initial setup
The Initial setup function is used to set up communications with the device. When clicking view, a
page is shown with the selected vehicles and their current send statuses for the initial setup. Select
the vehicles that need an initial setup and click send. A message is sent to the device with instructions
on which phone numbers and addresses to use. Click on refreshto update the view.

Manage services
This works in the same way as the initial setup but is used for managing services. The actual services
that are sent to each vehicle depends on which service package the vehicle has. This is needed to prepare the vehicle's unit for the different functions in Dynafleet Online.

Default language: The language that will be used when no driver is logged in.
Settings for vehicles with FMS interface or Datamax
Upper speed limit (km/h): Upper speed limit (km/h).
Settings for vehicles with FMS interface (not applicable for Volvos with Datamax)
Lower economy limit (rpm): Lower limit (revs/min) for economy driving.
Upper economy limit (rpm): Upper limit (revs/min) for economy driving.
Upper engine load limit (%): Limit for engine load (with regard to the torque) in percent.
Upper engine limit (rpm): Limit (revs/min) for engine over-rev.
Advanced settings
LCD contrast (%): The contrast of the LCD display.
LCD backlight (%): The intensity of the LCD display backlight.
Standby time (min): Maximum time for idling. Applicable only if acoustic warning is used.
Number of cached drivers: The number of drivers that the Dynafleet unit remembers without asking Dynafleet Online.
Auto logout timeout (min): The number of minutes of inactivity before the driver is automatically
logged out.
Clean out timeout (days): The number of days an inactive driver is kept (cached) in the system.
Use GPS filter: When selected GPS positions are filtered. Sometimes the GPS system can receive
erroneous listings. By checking this box the system filters these coordinates.
Digital tachograph driving logging: There are two different tachograph driving logging
algorithms: Any driving (devices until 2011) and Longest activity (devices from 2011). The combo box
is greyed out for vehicles without a tachograph.
Cargo door sensor selection enabled: When selected, the Cargo door will trigger event log messages if the cargo door is open.

Using vehicle settings templates
There is an option of using a template when creating vehicle settings. There are several templates to
choose from when creating new settings.
Do the following to select a template:
1. Select a template from the list.
2. Change any values that need to be changed.
3. Click next or submit.
Creating and modifying vehicle settings templates
To create, modify or delete a vehicle settings template, navigate to the create vehicle settings page or
the modify vehicle settings page. Note that it is not possible to modify or delete system templates
(common for all fleets in Dynafleet Online). System templates are created by Volvo.
Create
1. Click on the create button
to add a new vehicle settings template to your fleet. A new window
will be shown with the values from the previous page prefilled.
2. Fill in the desired values and click save.
Modify
1. Select an existing fleet template.
2. Click on the modify button
. A new window will be shown with the values from the previous
page prefilled.
3. Make the desired changes and click save.
Delete
1. Select an existing fleet template.
2. Click on the delete button
. A confirmation popup will be shown asking if this template should
be deleted.
3. Click OK. The template will be permanently deleted.
Deleting drivers
If you are logged in as an administrator you have the possibility to delete a driver or group of drivers.
1. Click the Administration tab to enter the administration view.

Forms
Forms are used to handle the basic structure of the content in messages or order tasks sent through
the Dynafleet Online API. Forms are created in the editor and then distributed to the vehicle’s unit.
There are two different kinds of forms, Message forms and Order task forms. Message forms are the
base for form message handling between office and the vehicle and its purpose is to allow a structured
way of sending information. Order forms are used when working with orders from an integrated system. An order form can be used to handle information about a specific task in an order.
This functionality is only available to administrators on fleets using the Integration Package (APIenabled fleets)
The Forms editor
In the forms editor you can create, modify and delete forms.
Select the forms you would like to modify or delete from the Fleet forms list and click on the modifyor
delete button. NB: you cannot delete or modify forms that have been downloaded to vehicles.
Form type
By pressing the new button the New form view is opened.
Give your new form an appropriate name and select between the form types Message and Order task.
Once selected, the form type cannot be changed. You also have to select whether the new form is a
Regularor an Extended form.
Each form type is limited in size. The size differs depending on whether you have selected an Order
task or Message form type and if it is an Extended or a Regular form.
The Form size is the total length of all the form’s Field Names.
The Message size is the maximum length of the form’s message content.
Form field
Each form type consists of one or several fields that can be added, modified or deleted.
Press the add button to add a new field to your form. A pop-up window named Add field opens.
Enter the field’s name and the maximum length of the content. Under Max you can see the size limitation of the Name / Length parameters. NB: A number of characters are used as overhead for each
field.
Set whether the content in this field is optional, mandatory or read only for both Mobile and Office.
Note that Mobile and Office cannot be read-only at the same time.
Don’t forget to save your entries.
Distributed forms
In this view you check and distribute the forms you have created to your fleet’s vehicles.
Start with adding vehicles from the resource navigator to the Add/select vehicle list. Select the
vehicles you would like to work with from the list and press the view button. These vehicles will appear
in the Forms in vehicles view.
All available forms are present in the Fleet forms list.

Use the
button to add the forms you have selected from the Fleet forms list to your vehicles. The
Send status will be set to Not sent.
The
button will remove forms from your vehicles.
NB. No forms will be added or removed from the vehicle until you have pressed the send button. The
send status will be updated when you press the viewbutton.
The select all button will select all forms in the Forms in vehicleslist. This can be used to remove all
forms from your vehicles if a major update is needed.
Remove all forms
To remove all forms from the selected vehicle(s), click one of the buttons; remove all message forms
or remove all order item forms. To view the send status of this request, click on the view send status
button. The send status view is split into two sections, one for each form type (message or order
item).
Modifying drivers
If you for some reason need to change information about a certain driver you have the option to
modify the data.

Modifying vehicles
It is possible to modify information regarding previously entered vehicles. This functionality is found
under the Administration tab.

5. Modify the information and click next. Caution: If you modify the onboard device id (not always
possible), historical data about the vehicle might be lost. Changing the vehicle profile may result

Refresh data from VDA
This function contacts a central database to see if any information about the selected vehicle has
changed. If any changes are found, the vehicle information is updated automatically. A window will be
shown with the result of the update.

Tracking patterns
In order to get a trail of the vehicles on the map, the vehicles must have a tracking pattern assigned to
them. This is done in the Tracking setup view that is accessible on the administration tab. Click the
icon to show a list of all vehicles supporting tracking patterns.

Field descriptions
There are several fields to enter data into. For some of the pattern types, all are visible (Distance &
time, Tracking, Tracking & Driver activity, Temperature), but for the others, some fields are hidden
depending on the triggers.

Whenever the vehicle has travelled this distance, odometer will trigger.
Time
Whenever this time has passed while driving, time with movement will
trigger.
Start trigger
This is the minimal speed necessary to trigger start.
Stop trigger
This is the amount of time needed standing still to trigger stop.

The date when this tracking pattern should be activated.
Stop date/time
The date when this tracking pattern should be deactivated.
Please note that the combination 10 km for Odometer and 10 minutes for Time is not allowed since
that would produce too much data.
Working Time Regulations Settings
The working time regulations settings view can be reached by selecting the working time regulations
settings on the fleet administration page. Only fleet administrators may view this page.
The working time regulations settings enable the administrator to
- Select rolling or fixed periods.
- Define the length of rolling periods if rolling period type is selected.
- Define fixed periods if fixed period type is selected.
- Change night time.
- Change maximum allowed working hours in a 24 hour period when working nighttime.

The settings are common for all drivers in a fleet.
Important! Note that the time zone setting of the fleet have impact on the calculations; calculations
of data on week resolution, rest and breaks violations, and nightly working time violations are not recalculated on old data after changing the time zone setting.
The rolling period length can be set between 17 and 52 weeks.
It’s possible to create fixed periods when the fixed radio button is selected. A descriptive name for the
period, the start date, and the end date must be selected and then added to the list of fixed periods by
pressing the add button. A fixed period always starts and ends on a Monday 00:00, so it’s only possible
to select Mondays in the date pickers. Fixed periods may not overlap in time. Note that changes to the
fixed periods are not saved until the save button is clicked.
Address books
Public address books
Public address books are used to share lists of contacts between vehicles. This can e.g. be useful for
vehicles that drive the same routes. The public address books are created in the administration view
and cannot be modified in the vehicles. An address book may contain up to 300 contacts. Each contact
has a name, and at least one of the following entries: mobile phone number, other phone number or
e-mail address. A public address book entry cannot be modified by the drivers.
If a public address book is modified, the system asks whether the modified address book shall be
resent automatically in case it was already sent to at least one vehicle.
Distributing public address books
Enter the Public address book distribution page via the administration page. Select the vehicles to
which you'd like to send an address book, select the address book in the drop-down list and click the
send button. If an address book has been changed since the distribution to a vehicle, the Needs synchronization column says Yes. In this case, all that needs to be done is to send it again.
Private address books
Private address book are created and managed in the vehicle by the driver. These are synchronized on
login/logout to make sure that the driver always has his/her own address book regardless of which
vehicle he/she drives. The maximum number of contacts for a driver's private address book is specified
in the create/modify driver setup.
Note that only vehicles with service package Messaging support public and private address books.
Internet Onboard
Internet Onboard can allow access directly to the Internet through the Dynafleet unit in the vehicle,
using one or many of the available protocols. The protocols are: HTTP, HTTPS, FTP, WAP, IMAP, POP3,
SMTP.
Internet Onboard requires a third party device to be connected to the Dynafleet unit with a special
cable. The cable can be purchased at your local Volvo dealer.
Enter the Configure Internet Onboard page via the Administration page. Select the vehicles you'd like
to configure and click the configure button. Select the desired protocols and click send. To remove all
Internet Onboardfunctionality from a vehicle, just don't select any protocols at all and click the send
button.

Driver Coaching
Driver Coaching is a function that guides the driver, e.g. by telling him/her to shift gear when driving
uneconomically.
Enter the Driver Coaching settings page via the Administration page. Select the vehicles you'd like to
configure and click the configure button. Make the desired changes and click send. The following
choices are available:
Outside economy range - How many seconds the driver can be outside of the economy range
before being notified.
Idling - How many minutes the vehicle can be idling before the driver is notified.
Excess speed - How many seconds the driver can drive faster than the specified maximum speed
before being notified.
The values for economy range and maximum speed are configured when creating or modifying the
vehicle.
Each of these three settings can be disabled by deselecting the corresponding checkbox. To completely
disable Driver Coaching, deselect all three checkboxes.
Note that only vehicles with service package Driver Times support Driver Coaching.
Onboard API
Onboard API is a service where the Dynafleet unit broadcasts vehicle data (position, fuel, etc.) on a predefined port over UDP. It is then possible to connect an external device (PC/PDA) to the Dynafleet unit
over USB to gain access to the data.
Enter the Onboard API settings page via the Administration page. Select the vehicles you'd like to configure and click the configure button. Select the desired Log interval and Broadcast port and click send.
To remove all Onboard API functionality from a vehicle, make sure that the Disable Onboard API checkbox is selected and click the send button.
Driver Data Upload
Overview
With the Driver Data Upload functionality, a driver can upload driver card data from the vehicle to
the system. Only one upload per driver and day can be performed. Note that a day in this meaning is a
GMT day. The uploaded data can be found in Driver Activity under the Driver card download tab
together with driver card data downloaded using the Tachograph download feature.
To be able to use Driver Data Upload, it must be enabled on the fleet. If you'd like to use this functionality, please contact our local Dynafleet team.
Navigate to the Driver Data Upload activation by clicking on the Administration tab, then clicking
the distribution button for Driver Data Upload under the Manage vehicle settings section.

Assign company card to vehicle
To be able to perform a download from a vehicle the vehicle needs to be assigned a company card. It is
possible to use multiple company cards for companies that are registered as separate legal entities or
to handle different home locations of certain vehicles and still have full control of the company cards
availability.
To assign a company card to vehicles, follow the steps below:

administration view, then click the manage button for Company cards under Digital tachograph.

Create Company card
In order to perform a download from a vehicle, the vehicle needs to be assigned a company card. The
company card must be registered in the application. To register a new company card that you wish to
assign to one or several vehicles you must first create the card.
To create a company card, follow the steps below:
1. Click the create button.
If an unregistered company card is inserted in a card reader and the Card reader application is
running you’ll be able to select the card and click create and the card’s serial number will be preset.
2. Enter company card information.
3. Click the create button to confirm the entered company card information.
The company card is now created and displayed together with the fleet’s existing company cards.
A company card has the following fields:

You can delete a company card that’s no longer in use. If the company card is in use, all its assignments will be removed and all ongoing download jobs will be revoked.
To delete a company card, follow the steps below:
1. Select the company card you wish to delete, and click the delete button.
2. Confirm the deletion by clicking the ok button.
The company card is now deleted and removed from the fleet’s list of company cards.

Tachograph download
Overview
Tachograph download consists of three related services which each rely on a 2009 introduced technique and EU legislation that allows data to be transferred from a digital tachograph via wireless connectivity to a back office system. The three services are:
Driver card download
The first service is the possibility to download driver card data remotely via the Dynafleet communication channel. This service requires digital tachograph version 1.3a in the truck. With this service the data from the driver card will be downloaded to the Dynafleet Online servers automatically
(scheduled) on regular intervals or manually on request. The driver card remains in the tachograph so
no action from the driver will be required. The data on the driver card must be "unlocked" by means of
company card authentication. The authentication will be done remotely and therefore the company
card must be made available to Dynafleet Online by means of a card reader connected to a computer
at the transport company’s home base.
Tachograph memory download
The second service, which work very similarly to the Driver card download, is the remote download possibility of the Digital tachograph mass memory. Authentication by means of a company card is done in
the same way as for the driver card download. For all remote download services only one company
card is necessary but multiple cards is possible in case your company is split into different legal entities
or geographically spread. Downloads will again be automatic and scheduled or manual.
Tachograph speed file download
The third service is the possibility to download the last 24h of speed profile information from the digital
tachograph for in-depth analysis of driving behaviour. This functionality will be charged additionally to
the monthly invoice.
Activate the service
In order to perform any remote download from vehicles, the Tachograph download feature must
first be enabled for the fleet. You can contact your local sales organization to have this feature enabled
for your fleet. In addition to this, the fleet administrator can activate the Tachograph download on
the individual vehicles of his choice. The download functions allow the office user to retrieve the
Tachograph memory and the Driver card information through either automated scheduled tasks
or manually, but the administrator can also allow the driver to take the initiative to start the data
transfer at his/her convenience.
Activating the Tachograph download will make all three services available, though they can later be
configured separately.
Navigate to it by clicking the Administration tab to enter the administration view, then click the distribution icon for Tachograph download under the Manage vehicle settings section.

Activate Tachograph download on vehicle
If Tachograph download is enabled on the fleet you will be able to activate it on all vehicles supporting the feature.
To activate the Tachograph download on vehicle, follow the steps below:
1. Select one or several vehicles for which you wish to activate the feature and click the configure
button.
2. Make your choices by clicking the checkboxes.
3. Confirm the activation by clicking the send updates button.
The Tachograph download feature activation is now sent to the selected vehicles.
Deactivate Tachograph download on vehicle
You can easily deactivate the Tachograph download feature for those vehicles that should no
longer be able to use the service.
To deactivate the Tachograph download on vehicle, follow the steps below:
1. Select one or several vehicles that you wish to deactivate the feature for, and click the configure button.
2. Unselect Activate driver card download and tachograph memory download. Deactivating this will also deactivate any possibility for driver initiated downloads.
3. Confirm the deactivation by clicking the send updates button.
The Tachograph download feature is now deactivated on the selected vehicles.
Tachograph download schedules
Overview
As a fleet administrator you are able to set up a schedule for when Driver data downloads and
Tachograph memory downloads should be performed. You can also set up a time limit for how
many days that can pass without any download being performed for a driver or vehicle before a warning should be generated.
Configure tachograph memory schedules and warnings
You can set up a schedule for when vehicle information should be downloaded through a Tachograph
memory download and how many days should pass between two downloads before a warning
should be generated. Click the Administration tab to enter the administration view, then click the
vehicle button for Manage schedules and warnings under the Tachograph remote download
schedule section.

Viewing invoice specifications
Viewing invoice specifications
If an invoice has been created, the invoice specification can be viewed on the Invoice details tab. It is
possible to view the invoice, search for details related to specific fleets and/or vehicles, as well as produce reports in both Adobe PDF and Microsoft Excel formats.
This section describes viewing and understanding the invoice specification.
Viewing invoice details
In order to view invoice details, an invoice receiver and billing period must be selected.
1.
In the Invoice receiver selection box, select the name of the customer or fleet. When a selection has been made, the Select period drop-down box will be refreshed with a list of dates for
which invoices exist. If no invoiced periods are available, it will not be possible to view invoice
details.
2.
Select the date corresponding to the billing period for which you wish to view the invoice specification.
Note! It is only possible to view one billing period at a time.
When you have selected a billing period, the currency applicable to the invoice is displayed next to the
Select period drop-down box, for example EUR or GBP. A report is generated and can be viewed under
the Invoice specification heading on the Invoice details tab.
You may need to scroll – both left and right as well as up and down – to view the entire contents of the
specification.
Understanding the Invoice Specification
When an invoice period is selected, the Invoice specification is populated with the following:

Customer number –the customer's PARMA number.
Period – represents the end of the billing period selected in step 2, above.
Reference no. – Identity of the invoice specification that is also printed on the invoice.
For each row of the invoice specification, the following details are available.

Exporting invoice specifications
If an invoice specification has been created on the Invoice details tab, it is possible to export the
invoice specification in both PDF and Microsoft Excel formats.
Exporting to Microsoft Excel format
You may export an invoice specification to Microsoft Excel format in order to save or send report data.
In order to view the exported invoice specification in Microsoft Excel, you must have an appropriate
program installed on your computer.
1. Click the Export to Excel button. If installed, Excel opens and displays the invoice specification
in a single excel worksheet.
Note! The Export to Excel button is disabled until an invoice specification has been generated.
The first row – or header – of the invoice specification displays the following information:

Customer name – the name of the customer who is the recipient of the actual invoice.
Customer number – displays the customer's PARMA number.
Period – representing end of the billing period for which the invoice was produced.
Reference no. – The identity number of the invoice specification that is also printed on the
invoice.
Exporting to Adobe PDF format
You may export an invoice specification to Adobe PDF format in order to save or send report data. In
order to view the exported invoice specification in PDF format, you must have a PDF reader installed
on your computer.
1. Click the Export to PDF button. If a reader is installed, a new browser window opens containing
the PDF version of the invoice specification.
Note! The Export to PDF button is disabled until an invoice specification has been generated.
The first page of the PDF version of the invoice specification displays the following information:

Once an invoice specification has been generated on the Invoice details tab, it is possible to perform
searches that limit the invoice details to a specific fleet or vehicle.
This section describes how to search for fleet and/or vehicle specific information in the invoice specification.
Note! When viewing the invoice details after performing a search, the total amount of the invoice is
not displayed.
Searching for specific fleets
1. In the Fleet text box under the Search heading, enter the name of the fleet for which you wish
to view invoice details. You may also enter a part of the name you wish to use as search criteria.
Using partial names may generate multiple matches. All fleets with names containing the
entered text will be returned in the search results.
2. Press Search. The Invoice specification is reloaded. The invoice details are limited to include only
the fleet name used in the search.
Searching using the vehicle name
1. In the Vehicle text box under the Search heading, enter the name of the vehicle for which you
wish to view invoice details. You may also enter a part of the name you wish to use as search criteria. Using partial names may generate multiple matches. All vehicles with names containing
the entered text will be returned in the search results.
2. Press Search. The Invoice specification is reloaded. The invoice details are limited to include only
the vehicles that match the entered search criteria.

search strings may generate multiple matches. All vehicles with registration numbers containing
the entered text will be returned in the search results.
2. Press Search. The Invoice specification is reloaded. The invoice details are limited to include only
the vehicles that match the entered search criteria.

Performing a combined fleet and vehicle search
1. In the Fleet text box under the Search heading, enter the full or partial name of the fleet for
which you wish to view invoice data.

or partial data corresponding to the vehicles you wish to see in the invoice specification.
3. Press Search. The Invoice specification is reloaded. The invoice details are limited to include only
