Whiteboard Mode
Whiteboard Mode is one of the three Modes available within Collaborate Web Conferencing sessions.
This mode includes features that allow Moderators to import and configure multiple Whiteboard Pages
to use in presentations, displaying image files and interacting in real-time with Participants.
Content is pre-loaded or uploaded into one or more Whiteboard Pages. Options on the Collaborate
toolbar and Whiteboard Action bar allow the user to upload, manipulate and navigate multiple screens,
although only one Whiteboard Page at a time is visible. Content may include presentations,
collaborative work pages and uploaded images. Participants may also display images, use pointers, write
or draw on the Whiteboard area. Moderators may also restrict this option from Participants to avoid
distraction during presentations.

Collaborate Toolbar
The Collaborate Toolbar is at the top of the Web Conferencing session window.
Mode Buttons
On the left side of the Collaborate Toolbar are buttons for the three Modes: Whiteboard Mode,
Application Sharing Mode, and Web Tour Mode. When in a particular mode, the corresponding button
will be highlighted, as shown above in Whiteboard Mode.
Information Menu
Click the Information Menu to view details about the Web Conferencing session:
Connection Speed is set upon first login into a Web
Conferencing session. There are several options available
including Cable/DSL, Dial-Up and LAN.
Signal Strength indicates the speed at which data is travelling
between the server hosting Web Conferencing and the
Participant or Moderator’s computer.
Encryption indicates whether or not the data being sent to and from the Web Conferencing session is
encrypted.
Session Time indicates how long the user has been logged into the Web Conferencing session.
Load Content
Click the Load Content button to load a PowerPoint presentation into an active
Web Conferencing session. The presentation will only be available when there are
people logged into the actual session. Once everyone logs out the presentation is no longer available.
When a new session is opened the presentation will have to be uploaded to that new Web Conference.
In order to upload a presentation, PowerPoint must be closed and the file must be available on the local
computer. If an error occurs the presentation can be converted to image files and uploaded in that
format. There are separate, more detailed instructions for this process.

Record
Click the Record button to initiate a recording of the Web Conferencing session. Once everyone logs out,
the recording will automatically be saved. Recordings take about one and a half times the duration of
the Web Conferencing session to be made available for viewing. Access those from Web Conferencing
management site.
Whiteboard Action Bar
The Whiteboard Action Bar includes the majority of buttons, menus and features that allow users to
utilize Whiteboard options. From Left to right:
New Page
Click New Page to create a new, blank Whiteboard Page.
Clear Page
Click Clear Page to erase things that have been added to the Whiteboard Page using
the Tools Palette – lines, shapes, drawings, writing, images.
Delete Page
Click Delete Page to completely remove the Whiteboard Page currently displayed.
Scaling Menu
Use the Scaling Menu drop-down to change how the Whiteboard Page fits within the content area of
the Web Conferencing session.
Page Options Menu
The Page Options menu offers the same options as explained above: New Page,
Clear Page, and Delete Page.
Navigation Buttons – Previous Page / Next Page
The Navigation Buttons allow the Moderator to move to the Previous and Next page
within a presentation, and other Whiteboard Pages in the Web Conferencing session.
Go To Page Menu
Use the Go To Page Menu to jump to a specific Whiteboard Page or Whiteboard Page Group instead of
using the arrows to scroll from one to the next.
Page Counter
The Page Counter shows which Whiteboard Page is currently being displayed and how many
pages there are.

Follow Option
Checking the Follow Option checkbox – a Moderator option - causes Participants’
screens to change when the Moderator updates the Whiteboard Page.
Example: during a presentation, when the Moderator uses the arrows to navigate from slide to slide the
Participants will see the same slides as the Moderator in the Whiteboard area of the Web Conferencing
session. There may be a slight delay depending on connection speed and resolution of the various
computers connected to the session.
By default, the Follow Option is enabled in the main room and disabled in breakout rooms. It can be
used in the main Web Conference or within breakout rooms by the Moderator leading the session.
Disable Follow to allow Participants to see the full Whiteboard navigation bar and view the
Whiteboard page(s) independently, or work in a private Whiteboard page. While Follow is
disabled all attendees in the conference will see a red border around the Whiteboard area which
indicates that they are free to work independently. When any Moderator within the Web Conference reenables Follow everyone will then see the page that Moderator is viewing.
Note: If the Whiteboard is protected or if Participants do not have Whiteboard permission enabled,
Participants will not see the Navigation bar and will not be able to navigate between pages.
Explore Mode Button
Moderators can use the Explore Mode button to move to other Whiteboard Pages and
search for content without Participants following along. When this button is clicked the
arrows turn red and a red outline appears around the Whiteboard area, indicating that
Participants are still on the page shown prior to starting Explore Mode. This permits the
Moderator to navigate through pages without the other attendees following along.
To use Explore Mode, do one of the following:

From the Tools menu, select Whiteboard and then Use Explore Mode
Click on the Explore button in the Navigation bar
To exit Explore Mode, just click the button or select Explore Mode from the menu again. The Moderator
is then returned to the same page displayed prior to exploring, synchronizing the view of all attendees. If
another Moderator within the Web Conferencing session has changed the Whiteboard Page, that will be
the synchronized display.
Tip: To show others a page to which you have roamed in the same room, disable and re-enable the
Follow option. If you roamed to a page in a different room, Follow will automatically be disabled so you
will just have to re-enable it.

Navigation Bar Options Menu / Page Explorer
Click the Navigation Bar Options Menu to open the Page Explorer tool.
The Page Explorer includes the same toolbar options described above, including arrows to move to the
previous or next Whiteboard Page or presentation slide, a drop-down list to jump to specific slides, the
Follow Option and the Explore Mode button.
All Whiteboard Pages and presentation slides are shown
in the Page Explorer window. Additional options are also
available here.

Click and drag Whiteboard Pages and slides to
change their order.
To select multiple Whiteboard Pages and slides,
click to highlight the first page then CTRL+click
to select additional pages one by one.
To select a list of Whiteboard Pages and slides,
click to highlight the first slide, then SHIFT+click
on the last slide in the list. All slides in between
will be selected.
The Work Area can be used by an individual to
view and manipulate one or more than one
Whiteboard Page, slide or presentation. Other
attendees will not see those pages unless the
user moves them into the Main Room or a
Breakout Room.
To view other menus, right-click
on one or more Whiteboard
Pages. Use the options here to
Copy, Cut, Delete and Select All
Whiteboard Pages and slides or
view Properties.
If the Moderator has created
Breakout Rooms, Whiteboard
Pages and slides can be moved
or copied between Breakout
Rooms and the Main Room.
Under the right-click menu there are also options to create a New Whiteboard Page, Open a
PowerPoint presentation from the computer, save one or more Whiteboard Pages, copy/paste
objects from one Whiteboard Page to another.

Whiteboard Tools Palette
The Whiteboard Tools Palette offers a variety of “mark-up” tools. These may be used while in
Whiteboard Mode to select objects in the Whiteboard area, direct attention to certain areas of a slide or
page, draw lines or shapes, add text, import image files and take screen snapshots.
The Palette may be
relocated (click &
drag) anywhere on the
Whiteboard screen.
A few of these Tools
offer additional
choices. The linedrawing tools and
shapes offer a wide
range of color options,
line thickness, and
transparency. The text
tool offers the same
color options in
addition to font, size
and type (bold,
underline and italic).

Loading Content into the Whiteboard
Click the Load Content button to import image files, presentations (MS PowerPoint, OpenOffice), and
whiteboard files (.wbd & .wbp).
Loading Presentations
NOTE: PowerPoint (the application and the presentation file) must be closed in order for Collaborate to
convert and import the slides.
1. Click the Load Content button.
2. Browse to the presentation file (.ppt or .pptx, or OpenOffice format).
3. Click on the file to select it and then click Open.

4. Collaborate will open the presentation and convert each slide to an image file, Whiteboard format .wbd - in order to upload the slides to the Web Conferencing session.
5. A progress bar window will appear while slides are being converted and uploaded.
6. Once the presentation has been imported
completely, the Page Explorer window will
pop up automatically, displaying the new
Pages onto which images were imported.

Loading Content Using Page Explorer
PowerPoint, Image Files, and Whiteboard Files can also be loaded using the Page Explorer.
1. Click the Navigation Bar Options Menu button to open the Page Explorer.
2. Right-click anywhere in the Page Explorer and select Open.
3. Browse to the file, click to select it and then click Open
Loading Images

Click Load Content button in the upper right corner of the Whiteboard screen.

Browse to the image file or files.

Click on a file to highlight it. To upload more than one image file use CTRL+click to select multiple
files. It is also possible to click on the first image file, then SHIFT+click on the last image file in the
list to select all files in a group rather than one at a time.

Click Open to upload the file(s).

A prompt window will pop up. Select how the images
will be imported, either as Individual Pages or all
onto the same, current Whiteboard Page.
Click Load.
The Page Explorer window will pop up automatically,
displaying the new Pages onto which images were
imported.

Saving Whiteboard Pages
Whiteboard pages can be saved to a file and re-used within other Web Conferencing sessions, by
uploading the saved file. Whiteboard pages can be saved to a few different file types:
•
WBD File - Filename.wbd - A single .wbd file may include one or more Whiteboard Pages that
can only be imported and viewed within a Web Conferencing session.
• WBP File – Filename.wbp – Whiteboard screens may be saved as a Protected Whiteboard file
which cannot be printed, saved or edited until the Moderator changes a setting on the
imported file. Protected Whiteboard files also can only be imported and viewed within a Web
Conferencing session. To allow others to Deselect the Protection Flag option under Tools >
Whiteboard.
• PDF File When Whiteboard screens are saved as a PDF file (.pdf), they are saved as one file
and can be reviewed outside of the Blackboard Collaborate environment.
• PNG File When Whiteboard screens are saved as Image files (.png), they are saved as separate
images and can be loaded individually onto the Whiteboard as images or used in any other
image processing application.
1. In Windows select File > Save > Whiteboard or
use the keystroke option CTRL+S to open the
Save dialog window. In the Save dialog window
select Whiteboard and then click Save.
In Mac select ⌘+S to open the Save dialog
window. Select Whiteboard and then click Save.
2. In the Select Pages dialog window select one of
three choices:
a. All Pages – save all Whiteboard Pages
that exist within the Web Conferencing Session
b. Current Page – save only the current Whiteboard Page
on screen
c. Selected Screens – choose from a list of all Whiteboard
Pages which pages to save. Use CTRL+click to select
multiple pages.
3. In the Save Whiteboard dialog box, browse to a folder where
the Whiteboard file will be saved.
4. Type a name for the Whiteboard file in the File Name field.
5. Choose the file type from the drop-down menu below the File
Name field.
6. Click Save.

Deleting Whiteboard Pages
Delete Current Page:
Use the Delete Page button at the upper left area of the Whiteboard action bar to delete a single Whiteboard
Page – the page currently displayed in the Whiteboard area.
Delete Multiple Pages:
1. Click the Navigation Bar Options Menu and select Show Page Explorer
to open the Page Explorer tool.
2. Click to select a Whiteboard Page and CTRL+click to select others in
order to delete multiple pages.
3. Right Click anywhere within the Page Explorer window to open the options menu.
4. Click Selected Pages and then Delete Page.
5. All selected Whiteboard Pages will be deleted from the Web Conferencing Session.

Screen Capture
The Whiteboard Tools palette includes a screen capture tool which can be used to take a
screenshot of the desktop or another application. The image is automatically pasted into a
Whiteboard Page.
1. Click the Screen Capture button.
2. A frame (capture window) will appear on the screen with four buttons in the middle.
3. Click and drag the capture window to a location on the desktop or around an application
window to indicate what portion of the screen to capture.
4. Click and drag the edges of the capture window to resize it as needed.
5. Click OK to create the screen capture, which is immediately saved to a Whiteboard Screen
within the Web Conferencing session.
6. Use the mouse to move the screen capture to the desired location and click to release it.
Click and drag again to reposition the screen capture.
Other buttons include:
1. Cancel: cancel and close the Screen Capture function and return to the Whiteboard.
2. With Delay: start a 10 second count-down, after which the screen capture is returned to the
Whiteboard and can be repositioned.
3. Refresh: This gives the Moderator a chance to open a new application or file, reposition the capture
window over it, and Refresh the capture so that the newly-opened screen is selected for capture.

Printing Whiteboard Screens
Note: If the Whiteboard is protected no one, including the moderator, can print any screens.
To print one or more Whiteboard Screens:
1. Select File > Print > Whiteboard or enter CTRL+P
to open the Select Pages dialog window.
⌘+P on Macintosh.
2. Select All Pages to print every Whiteboard Page
currently displayed within the Web Conferencing
session (and the Page Explorer window).
3. Select Current Page to print the single Whiteboard
Page currently displayed.
4. Select Selected Pages to choose from a list of all
Whiteboard Pages currently displayed in the session.

Clip Art
Clip Art and Background images may be added to Whiteboard Pages by Moderators and Participants
(with Whiteboard permission). The Web Conferencing system includes a standard library of Clip Art.
Moderators may create other Clip Art collections which can be saved and reused.
Using Clip Art
1. To add Clip Art to a Whiteboard Page click the Click Art icon on the Whiteboard Tools Palette.
This opens the Clip Art library showing a number of tabs, each of which offers a specific category of
backgrounds, images and symbols.
2. Click on one of the Clip Art images to add it to the Whiteboard Page.
3. Once the image appears, click on it to re-size or
move it to another area on the Page.
4. Click the sides or corners and drag those to make
the image larger.
5. Click and drag on the image to move it.

Creating a Clip Art Collection
Moderators can add image files to create
additional Clip Art Collections.
1. Click Tools > Whiteboard > Manage Clip
Art Collections.
2. In the Manage Clip Art Collections
window, click the button at the upper left
corner to create a new Clip Art
Collection.

3. Type a name for the Clip Art Collection into the Collection Title field.
4. Select either Clip Art Images or Background Images from the Type drop-down list.
5. Click the icon with the plus sign to add an image file to the Clip Art Collection.
6. Browse to the image file, click to select it and then click Open. Do this for each file being added to
the new Clip Art Collection.

7. Use the arrows within the Create/Edit window to change the order in which the images will appear
in the Clip Art Library once saved.
8. After all images have been added to the collection, save it to a file by clicking the save icon.
9. Browse to a desired location on the local computer or network and save the file (.jar file type).
10. The new Clip Art Collection can be saved and reused in other Web Conferencing sessions.

Manage Clip Art Collections
Within the Manage Clip Art Collections window all of the standard clip art is listed by category. Any new
Clip Art Collections added by the Moderator are listed below the standard library, under the title given
when the new collection was saved.
Options available here include:
•
Create new Clip Art Collection
•
Add a saved Clip Art Collection to a
selected collection already listed.
Multiple Clip Art Collections may be
listed under the new library, similar
to the multiple clip art collections
within the standard library.
•
Remove (delete) a selected Clip Art
Collection – this does not delete the
saved Clip Art Collection file.
•
Edit the contents (add or remove
clip art files) of an existing Clip Art
Collection.
