Introduction
The University of Manitoba’s Faculty of School Work has implemented an online
practicum reporting system called Intern Placement Tracking (IPT). This system
can be accessed from anywhere that you have an Internet connection.
IPT allows students, field instructors, mentors, faculty liaisons and the field team
effectively and efficiently complete administrative tasks relating to the field
education program. This includes keeping relevant practicum and contact
information up-to-date and completing forms online. Only you, assigned field
team and field administrators will have access to your forms on IPT.

Logging into IPT
To login to IPT go to www.runiptca.com
First Time Users
At the IPT log in page, you will need to enter three fields:
 Organization ID: umdistance
 User name: a default user name will be emailed to you
 Password: ipt (the log in page is upper/lower case sensitive)
Once you click login, the system will prompt you to change your user name and
password.

Whenever you log into IPT, the homepage will appear. Here you can access all of
the needed areas in the database.

Once you have been connected to an agency and
field instructor the information will be in Field
Assignments.

If you are making changes to a field make sure to click on save when you are done
editing. Only your assigned field team, and administrators are able to access this
information.
Forms in IPT
Through the IPT database, field administration will make available to students and
field instructors the various forms that need to be completed at different times
throughout the practicum.
To access and complete these forms select “My Forms” on the Home Page tab.
From the menu on the left, you will see a list of forms that are currently available
to you. Click View on the form that you wish to access and it will open in a new
window.

Signing Forms
Once you have completed the form, you can add your electronic signature by
clicking on the blue request. A new window will appear to type your name and
submit signature. The form will be placed into your field instructor’s “My Forms”
to review and sign.

Saving Forms
All IPT forms can be saved on the database system at any time. This allows for
easy access and editing of forms. The “Save” button is located at the end of the
form. Longer forms will also have “save work” buttons within the form itself,
which you can also use anytime. “Save work” buttons in some forms, such as in
the time log; activate new, empty rows for the form. This means that when students
“save work” after entering the first week’s hours, a blank row for entering the
second week’s hours will appear, and so on. This way, the timesheet form will
accommodate as many weeks as required. Entering learning activities on the
learning objective forms works the same way. Each time you save your work, a
green window will pop up for a moment that confirms the information has been
saved to the database. This means you can exit the database, log-in later (anytime,
anywhere), come back to the form and all your saved information will be there for
further completion or editing. Still, it is a good idea to have a printed copy of key
forms, such as the learning objective and timesheet, as a backup. Remember to
click on "save" frequently as you complete the forms so that they are saved on the
system!
