Sub: Procurement of Multi Functions Devices (Heavy Duty & Light
Duty digital photocopy).
Please arrange to quote your lowest rates for supply and installation of One No.
Multi Functions Devices (Heavy Duty digital photocopy) and light duty photocopier
machine as per specifications attached at Annexure I. & I/I.
Terms and conditions.
1.
Your rates should be for free delivery at site . Taxes , if any are to be explicitly
quoted failing which the same shall not be admissible at a later date.
2.
Your offer should be made valid for 180 days from the date of opening of tender.
3.
Delivery : Heavy duty Machine shell be delivered at GM PRS, CRIS New Delhi
& Light Duty Machine shall be delivered at Regional
Manager/PRS,CRIS,CCM/PM Office. Chennai
within 02 to 03 weeks from the date of placement of order.
4.
Warranty : The machine should have minimum 12 months warranty from the date
of acceptance of material. The Performa for giving this warranty by the tenderer is
also enclosed.(Annexure-II).
5.
Quotation for post warranty AMC should also be indicated separately.
6.
The availability of adequate spare parts till the end of warranty period and
subsequently for a period of minimum 5 year thereof has to be ensured.
7.
The declaration that tenderer is manufacturer/authorised agent of offered make ISO9002 certification on manufacturing unit.
8.
Delayed supplies beyond the stipulated period in the purchase Order are liable to
liquidated damages @ 0.5% per week and part there of restricted to 10% of
the value the contract at the discretion of the CRIS.
9.
Earnest money(refundable) is required in the form of DD or Bank Guarantee of
2% of the bid value(valid for 180 days) in favour of CRIS, New Delhi. The
Performa of Bank Guarantee is enclosed is at Annexure –V.
10.
In the event of failure to comply with the order, the Administration reserves the
right of cancellation and risk purchase.
11.
In case of dispute the decision of Managing Director/CRIS shall be binding on
the parties.
12.
PAYMENT TERMS : 90% payment shall be made by CRIS,
Chanakayapuri, New Delhi on delivery and balance 10% on completion of
contractual obligations including submitting performance Bank Guarantee (BG)
of equivalent value to cover the warranty period
13.
OPENING DATE : Sealed tenders shall be received in the office of CRIS on
1.11.2004 at 15.00 hrs. and shall be opened at 15.30 hrs. on the same date. It
should be clearly superscribed on the cover , the tender number, date, name of
items and consignee.

WARRANTY
We warrant that the Hardware/Software to be supplied by us hereunder shall be
brand new , free from all encumbrances, defects and faults in material, workmanship and
manufacture and shall be of the highest grade and quality and consistent with the
established and generally accepted standards for material of the type ordered, shall be in
full conformity with the specifications, drawings or samples, if any, and shall operate
properly. This warranty shall survive inspection for media and acceptance of the goods,
but shall expire three (12) months after their successful installation and acceptance by the
purchaser.
We also warrant that the function contained in the system programmes will meet
the manufacturers specification together with any clarifications given by us and also will
operate in the combinations which may be selected for use by the customer and that the
operation of these programmes will be uninterrupted and error free and all program
defects, if any , will be corrected by us.
The obligations under the Warranty expressed above shall include all costs
relating to labor, spares, maintenance(preventive and unscheduled), and transport charges
from site to manufacturers works and back and for repair/adjustment or replacement at
site of any part of the equipment which under normal care and proper use and
maintenance proves defective in design, material on workmanship or fails to operate
effectively and affectively or conform to the specifications and for which notice is
promptly given by the purchaser to the supplier.

present bond being absolute and unequivocal.
The payment so made by us under this bond shall be a valid
discharge of our liability for payment thereunder and the
contractor shall have no claim against us for making such
