Due to licensing and insurance requirements, all food and beverage to be served on Hotel
property must be supplied and prepared by Hotel. In addition no remaining food and
beverage shall be removed from the premises. At the conclusion of the function, such food and
beverage becomes the property of the Hotel. It is
Virginia State Law that alcoholic beverages cannot be brought into the hotel from the outside.
SERVICE CHARGE:

We reserve the right to change the function room unless otherwise guaranteed.
FUNCTION ROOM SET-UP
Additional charges may apply should a change in room set-up be requested after the room
set-up has been completed, per the signed contract. Fees may range from $100.00 - $500.00
plus tax and service charge based on room size and set-up.
ENTRÉE SELECTION AND ADDITIONAL CHARGES
For groups less than fifty (50) persons, a labor charge of $75.00 will be charged for meal
service. In the event that your group requires a split menu, entrée selections are limited to a

maximum of two (2) selections and will be charged at the higher price. There may be an
additional charge for this service. The hotel requires that the client produce place cards or
tickets identifying the particular entrée selected by each guest. If the hotel needs to produce
more than the initial amount guaranteed for a specific entrée, the client is responsible for
paying for those additional meals.
GUARANTEES
A guaranteed attendance and payment balance is due four (4) business days prior to the
function date and is not subject to reduction. If the Catering Office is not advised by this time,
the estimated figure will automatically become the guarantee.
Cancellation
If you cancel your function or change dates the estimated food revenue plus rental fee is due.
If we are able to re-book the space for equal or greater revenue, you will be refunded all
deposits and payments. Liquidated damages resulting from cancellation shall be due and
payable at the time of cancellation.
AUDIO-VISUAL EQUIPMENT
We will be pleased to arrange for PSAV Audio Visual Services to assist you with any audiovisual requirements for your event.
SECURITY
The hotel does not assume responsibility for damage or loss of any merchandise or articles
left on premises prior to, during or following any event. Arrangements for security may be
made prior to the event and fees will apply.
DECORATIONS
Arrangements may be made directly with the vendor of your choice. The hotel will not permit
the affixing of any item to walls, floors, ceilings or equipment with nails, staples, tape or any
other substance or device. We do not permit confetti or glitter to be used in our facility.
SIGNAGE
The Hotel reserves the right to have full control over sign usage and placement in the hotel.
To uphold to the Sheraton standards signage must be kept to a minimum and no signage may
be placed in the hotel lobby.
Shipping & Receiving
The Hotel will accept boxes/packages up to 3 days prior to the event date. A $7.50 per box
handling fee will apply. Pallet storage is $150.00 per pallet.

Indemnification
The Group shall indemnify, defend and hold harmless Hotel and its officers, directors,
partners, agents, members and employees from and against any and all demands, claims,
damages to persons or property, losses and liabilities, including reasonable attorney’s fees
(collectively “claims”) arising out of or caused by the Groups negligence and/or its members’,
agents’, employees’, independent contractors’ or Exhibitors’ negligence in connection with the
use of the Hotel facilities. The Group shall not have waived or be deemed to have waived, by
reason of this paragraph, any defense which it may have with respect to such claims.
Loss or Damage
Damage to the Hotel premises by the Group or appointed contractors will be the Group’s
responsibility. Group will accept full responsibility for any damages resulting from any action
or omission of their individual attendees in conjunction with organized group activities. The
Hotel is not responsible for any loss or damage no matter how caused, to any samples,
displays, properties, or personal effects brought into the Hotel, and/or for the loss of
equipment, exhibits or other materials left in meeting rooms.
