At your request, an estimated invoice of your wedding will be drawn up by Asessippi Ski Area
and Resort (ASAR) in order to help you budget for your wedding. Half of this estimated
invoice is due a minimum of 90 days before your wedding. The remainder must be paid within
24 hours of the event. Late payments will be charged 4% interest on the entire bill amount.
This sum will be calculated monthly.
The number of guest must be confirmed 14 days prior to your wedding. This is the minimum
amount you will be charged, any other adjustments required will be made and an invoice or
payment will be sent to you within 24 hours after your wedding day. We accept Visa, Master
Card, e transfer and we have an Interact system on site. In the event that ASAR is required to
hold the liquor permit all alcoholic and non-alcoholic beverages must be purchased and served
by ASAR employees. All perishable foods, with the exception of the wedding cake or specialty
cakes, (subject to a $1.75 per plate cutting fee), must be purchased and served by ASAR. You
may not take any leftover food home. ____________
Prices are based on a minimum of 48 guests and you must purchase a full meal. Maximum
capacity for a sit down dinner is 200.
ASAR BAR: The minimum total beverage bill must be $300.00. The bar closes at 1:00 a.m. and
all patrons must leave by 1:30 a.m. All items from your event must leave the premises within
24 hours of your event. All food and bar items are subject to 13% tax (+15% gratuity).
BRIDAL BAR: If a MLCC permit is obtained, 2 (two) non-drinking individuals must be in
attendance at all times. These MUST be the permit holders. Drinking is permitted only in the
Sugar Shack and nowhere else on the property. There will only be (1) one warning for
anything that is detrimental to ASAR’s liquor license. Immediate termination of liquor services

PROMOTIONAL PHOTOGRAPY: ASAR may ask their photographer to come and take
promotional pictures of the event. These will usually be limited to décor. By initialing this you
agree that these pictures may be used by ASAR to promote the venue. __________________

STEPS TO TAKE
Dear bride and groom:
Thank you for choosing Asessippi Ski Area and Resort (ASAR) to celebrate your most special
day. We are eager to welcome you and work with both of you in order to create the day you
always imagined.
I’m sure you are wondering what to do next.
Step 1:
review the most frequently asked question and put you at ease with the general
procedures at ASAR.
Step 2:
read the Wedding Contract carefully; fill in all the pertinent details. Make sure to
include your full address and postal code as well as all available contact numbers for the both
of you. You must both sign the contract.
Step 3:
fill out The Preliminary Details List as best you can.
Step 4:
Send The Wedding Contract, The Preliminary Details List and a cheque for $500.00

Step 5:
Set a date with ASAR a minimum of 4 months before your wedding date. From this
meeting, information will be gathered for ASAR to draw up an estimated invoice for you. 50%
of estimated invoice is due 90 days prior to wedding.
Step 6:
The week of your respondent date, call ASAR to set up your final details
appointment. At this time we will create an outline of the day’s timing. We will also need to
know of any special menu requirements due to allergies. After this meeting there are to be no
major changes. Be prepared to pay the balance of your estimated invoice within 24 hours of
your wedding day.

Step 7:
7 days prior to your wedding, ASAR has been given the final guest count for the
meal requirements. Supply ASAR with a copy of the guest list, seating arrangement, and
timeline as well as contact persons for the day. If table linen are supplied by the bridal party
they must be at ASAR three days prior to event.
Step 8:
The Rehearsal: we offer a free rehearsal weekdays between 9 a.m.-7p.m. only.
Please only invite the guests with pertinent duties to attend. You must bring all your
decorations, music, and seating plans to the rehearsal. You must have your ceremony music
available for us at this time.

FREQUENTLY ASKED QUESTIONS
When should the groom arrive?
Groom and his attendants arrive 1 hour before the ceremony. He should give all flowers and
boutonnieres to ASAR representative. Any deliveries of flowers that need to be made should
be made between 9 and 12 noon.
Where do they go?
Groom and his attendants will stay either at a pre-designated site which we will arrange with
you. Our greeters will welcome the guests upon arrival, assist with parking and seating at the
wedding location.
Where does the bride go?
Bride and her attendants will stay either at a pre-designated site which we will arrange with
you. Transportation, if required, for the bride and her attendants will be provided by ASAR to
the wedding site.
What do I need for the ceremony?
 Always invite guests to arrive one half hour before actual start time.
 Music: We have a P.A. system at all our locations but live music is also a lovely idea.
 Programs and Ushers will be supplied by you.
What do I do for music?
Have music for processional (4-5 minutes), registry (7-8 minutes), and recessional (2-3
minutes). You must provide ASAR with all the music for the special moments (processional,
registry, and recessional) a minimum of 24 hours before the ceremony with details on how to
operate your equipment ie. Ipod.

How long is a regular ceremony?
Most ceremonies last 1/2 hour after which the bride and groom, along with the bridal party,
will have photos taken. Allow 1.5 to 2 hours for this. Be sure that you discuss with the
photographer the type of pictures wanted.
Where and what do we do for cocktails?
 Hors d’oeuvres can be served to your guests in between the ceremony and dinner
if you require. This is recommended if there is more than one hour in between.
For options, please discuss with your personal ASAR wedding planner.
 If the weather if favorable, cocktails are nice on the deck of the chalet. If weather
is not favorable, we will do cocktails in the Sugar Shacks or at your ceremony site.
We encourage you, the bride and groom, to try and enjoy about 20 – 30 minutes
before your formal photos.
 We will have the music, food, and bar set up according to your instructions and
we will be taking care of your guests. At this time you could incorporate your
signing book or album, have live music, or just some culturally relevant music
playing. Bring photos of yourselves and think of entertaining these guests while
you are busy with pictures. Cocktails should be no longer than 2 hours.
 It is not mandatory to have a cocktail and you can save time and money by going
directly into the main lodge for dinner. Standard cash or open bars can be
arranged during cocktails. We also recommend serving vegetable, fruit, and
cheese trays at this time. Canapes are another elegant choice.
Do I have to make a chart for guest seating?
No. Many of our wedding couples enjoy the relaxed atmosphere of friends and family visiting.
We do recommend reserved seating for the parents of the bride and groom. If you choose to
make a chart please ensure that ASAR has a copy of it to enable us to escort your guests to
their seats. It is recommended, if you do have several guests with special meal requirements
do have pre-arranged seating.

What happens next?
 Your master of ceremony gives housekeeping rules, your bar arrangements, your kissing
game, and explains the flow of the dinner.
o Housekeeping rules include – Where smoking area is, where drinking is allowed,
bathroom locations, etc.
 Introduction of the bridal party (not necessary), a quick toast of blessing is a good oral
queue for your servers to start. 3 course meals and most buffets take 1.5 hours.
 Guests must be moved from the room for clearing.
 Guest may return to the main room for first dance, dancing, and so on.
What choices do I have for linens and tables?
The choice for tablecloths and napkins are virtually limitless. Ivory linens are included in the
cost of your day. If you choose a different color, please let us know and we can arrange that
for a small cost.
How many people per table?
We set your tables for 8 guests. We have 32 rectangular tables that seat 8 - 10 people as well
as 20 round tables that comfortably seat 8 guests. We can arrange rental of more tables as
required.
Can we invite more guests after dinner?
Yes, our capacity in the Sugar Shacks is 200. Additional Guests are $10/person for dance only.
What is your smoking policy?
Smoking is not allowed in the main chalet, however we do have designated areas for your
guest to smoke.

How much wine should I budget for?
We recommend that you budget for 2.5 glasses per guest. There are approximately 5 glasses
per bottle.
When can I come to decorate?
You may come 24 hours before the event in most cases as long as the Sugar Shacks are
available.
Who do I contact if I have any questions?
Someone will be available for consultation anytime at all. The only stipulation is if we are
coordinating another couples wedding, we put 100% of our energy into a wedding and do not
like to get distracted. You can also e-mail us at blue@asessippi.com anytime or contact her by

Can I take pictures on the site?
Yes, we have lovely views overlooking the facility or the Shell River. We also have access to
the old Asessippi town site for photographs. You may bring your photographer for a “look
see” at any time during the week and with appointment on weekends. Please call ahead to
make sure someone is available to escort you around.
When do I meet with a coordinator?
After an initial interview you will call to schedule an appointment before you’ve printed any
invitations and no later than 5 months before your wedding. We will meet again 1 month
before and the week that your responses are due regardless of the number of responses you
have received, and then again 24 hours before your wedding day, and of course on your big
day.
Are you handicap accessible?
Yes, we have wheelchair access from our “drop off zone” directly into the building.

May we bring in our own Caterers? Asessippi Catering team is the soul service provider of
food and beverage.
Is ASAR licensed?
Yes, our entire site is licensed and comes complete with a full bar and staff. You do have the
option of carrying your own permit for your event. Please discuss this with your coordinator.
If ASAR does hold the permit the minimum total beverage bill must be $300.00. The bar
closes at 14:00 a.m. As well all bar items are subject to 13% tax and a 15% service charge.
Important notes regarding the menu
 All items are subject to 13% tax. Plus 15% gratuities.
 Meal choices can be changed up until 1 month before your event. We can help you
create menu choices.
 Special dietary choices are available for anyone with allergies or dietary restrictions.
 No peanut oil is used at our facility; please let us know if you or your guests have any
food allergies. Only some of the desserts may have been in contact with nuts.
 Final numbers must be given 14 business days before the event. This is the minimum
amount charged to your account regardless of the attendance the day of the event.
 Cake cutting service is available at $1.75 per plate. You are completely responsible to
let us know when to cut it and to let us know what if any items must be returned to you.
 Kids meals are 2/3rds of adult meals. They eat the same meal as the adults but upon
request their main menu can be changed to a more child friendly meal.
 ASAR is not responsible for personal property or equipment.
 All personal effects must be removed from the property within 24 hours of the event.
