Supported Environments
Not all Windows Environments are supported and depending on a variety of factors, Kyocera CentraQ Pro may not be the ideal choice. Please read the following limitations and considerations carefully before deciding to implement Kyocera CentraQ Pro. Windows Client – Server environment are supported with the following exclusions: •
Mac or Linux workstations or laptops are NOT SUPPORTED.
• •
Terminal services, Citrix environments are NOT SUPPORTED. Print queues using drivers other than KX Driver 6 or 6.1 are NOT SUPPORTED.
•
Cluster servers are NOT SUPPORTED.
Kyocera CentraQ Pro is intended for
Small and Medium scale environments
: • Kyocera CentraQ Pro is restricted to
200 devices per Print Server
. • Print volumes
greater than 1 job every 5 seconds
would result in decreased system performance. Kyocera CentraQ Pro
requires bi-directional communication between Server and Printer or MFP
, therefore following limitations apply: •
Implementation over a WAN is only supported if bi-directional communication is enabled on the network.
•
A network where a Network Address Translation (NAT) separates server from devices is not supported.
•
The software cannot function in networks where communications over ports used by Kyocera CentraQ Pro are blocked.
Copyright © 2018 KYOCERA Document Solutions America, Inc. All rights reserved. 9
System performance depends on a variety of factors including, but not limited to: • Print Server hardware performance factors o CPU speed and number of cores. o Available RAM and hard drive space. • Network environment performance o o Networking hardware such as Switches and Routers. Available network bandwidth may be affected by network traffic generated by applications running on the network. Kyocera CentraQ Pro is not suitable for High latency or low-bandwidth networks. Tools such as traceroute or SNMP tools can be used to measure network’s QoS (Quality of Service).
Please utilize the trial feature of the software to ensure its suitability in a specific environment.
1.7
Meter Counts
CentraQ Pro track every copy, scan and fax executed by users at the MFP panel. Print jobs sent from the print servers are accounted in whole, irrespective of any interruptions or failure in printing. For example, if a 10-page document is printed and cancelled when the 5 th page printed, CentraQ Pro would detect all 10 pages as having printed.
1.8
Licensing
CentraQ Pro requires the purchase of a software license from an authorized Kyocera or Copystar dealership. • Each Printer or MFP must be licensed prior to being used with the CentraQ Pro application. • Device licenses are available through authorized Kyocera or Copystar dealers in 1, 4, 10, and 40 packs. • Each device license creates a new slot in the applications’ licensed devices section where a new MFP serial number could be entered. • Device licenses are against the device serial number. Licenses once associated to a device cannot be re-used for another device. Licenses can be copied to multiple print servers. Licenses cannot be revoked. • Trial period: When the software is first installed, it starts a 90-day trial period during which up to 5 devices can be used for CentraQ Pro. This is intended to allow customers to try the application before purchase. Is should not be used in a production environment. 10 Copyright © 2018 KYOCERA Document Solutions America, Inc. System Overview 2.1
Print Management
Print jobs originate from Applications running on the client PC (users’ laptop or workstation). Each print job is processed by the KX Driver running either on the Print Server or on the client PC. The driver’s output (raw print data) is captured by the CentraQ Port Monitor and spooled in
%ProgramData%\Kyocera\Spool\
folder.
Tracked printing
Spooled jobs are processed by the CentraQ Service extracts user information (identity) and page counts while sending the print data to the designated printer or MFP. The counts are then forwarded to the database for storage.
Secure Printing
Spooled jobs remain in the folder until they are released by the user or deleted automatically after a certain number of days (by default 3 days). Secure print jobs are tracked and recorded in the database when they are released.
Releasing Print Jobs
Spooled jobs can be released at any printer or MFP licensed by the server. Only supported print properties will be applied. On HyPAS enabled models, print jobs can be released by: • Entering Private Print PIN number on the panel • Swiping HID card at card reader attached to via USB • Swiping HID card at associated Ethernet-connected card reader • Manually entering the HID card number on the MFP panel • Scanning QR code using a network connected mobile device on MFP On printers and MFPs that do not support HyPAS, print jobs can be released by: • Swiping HID card at associated USB or Ethernet-connected card reader • Scanning QR code using a network connected mobile device on MFP Copyright © 2018 KYOCERA Document Solutions America, Inc. 2.2
Copy, Scan and Fax Management
Copy, scan and fax jobs are executed at the MFP control panel. To identify the user who executed the job, the application locks the control panel forcing users to authenticate and identify themselves prior to using the MFP.
Authentication
Users prove their identity through one of the following mechanisms: • Entering a domain login and password on the MFP front panel. • Swiping an identity card at a card reader connected to the MFP. • Manually entering an identity card number on the MFP panel. • Two factor: Swiping an identity card at a card reader and entering a numeric PIN.
NOTE: Two factor authentication is only available with the CentraQ Pro HyPAS application.
• • Anonymous authentication for quick access to selected copier functions. Payment to Coin Vending Machine connected to the MFP.
Card Swipe for Login
When an ID card is swiped at the reader, the MFP connects to Active Directory and searches for an account containing the same ID. Once the account is found, the user is logged in to the MFP. CentraQ Pro can be configured to enable users to self-register their ID cards at the MFP, removing the need for the network administrator to configure every user account.
NOTE: Self-registration is only available with the CentraQ Pro HyPAS application.
Authorization
CentraQ Pro can restrict (turn on or off) access to some MFP functions based on user’s identity and Active Directory group membership. For example, members of certain AD groups can’t make color copies. 12 Copyright © 2018 KYOCERA Document Solutions America, Inc. All rights reserved.
Access Control Policies
Access control policies are defined by the Network Administrator. Permissions are assigned to LDAP user groups. Effective permissions are determined based on groups the user belongs to. The following functions of the MFP can be individually restricted in access control policies:
Permission Description Copy
Access to copier function This includes Monochrome, Color, Auto-color and single color.
Copy color
Permission to make color copies

Users can be allowed to login by swiping their card at the USB connected card reader. This function is enabled by checking the “Enable Card Login” check box. A “Query Account” is a user account used to execute searches in Active Directory for matching card IDs . The “Query Account Username” and “Query Accou nt Password” fields provide credentials for the “Query Account”. “Query Account Username” must be the
logon name
of the account, not the Fully Qualified Distinguished Name (FQDN) format. It is recommended to
create an account dedicated for this purpose
, and restricting its permissions to only allow reading and searching Active Directory.
NOTE: Query credentials are stored in the registry and transmitted to MFPs in secure encrypted form. NOTE : On Microsoft Exchange Server, this user account must be added to the ‘Pre -Windows 2000 Compatible Access’ group. Membership to this group allows executing queries on Exchange Server. Steps for this can be found at: http://support.microsoft.com/kb/325363.
“Card ID Attribute” field contains the LDAP name of the attribute holding user card IDs. The drop down contains a list of valid LDAP Attributes and their corresponding fields in Active Directory user properties window. 30 Copyright © 2018 KYOCERA Document Solutions America, Inc. In addition to choosing an LDAP attribute from the list, an existing custom LDAP attribute can be used for the Card ID Attribute and the Two Factor PIN attribute. Click the box next to either option and simply enter the common name of the custom attribute.
NOTE: The CentraQ Pro Settings Utility will not check the spelling of the custom attribute against Active Directory so it is important to make sure the common name is entered correctly.
Once entered, the custom attribute will remain in the LDAP list until it is no longer being used in either the Card ID Attribute or Two Factor PIN Attribute. If the custom attribute is not being used in either case, it will no longer show in the list. Two-factor authen tication can be enabled by selecting the “Enable Two Factor Login” check box.
Users will be prompted to enter a PIN following a successful card swipe. The MFP is unlocked only after the correct PIN is entered. “Two Factor PIN Attribute” field contains the LDAP name of the attribute holding the PIN codes.
Configuring Card IDs in Active Directory
Card IDs (and optionally, PIN, for two factor authentication) must be stored in user’s LDAP attributes. For Microsoft Active Directory, use the
Active Directory Users and Computers
administrative tool to set user’s attribute.
CARD ID
Copyright © 2018 KYOCERA Document Solutions America, Inc. All rights reserved. 31
In the above example, the user’s card ID is stored in Notes field, and PIN number is stored in Zip/Postal Code field. The LDAP attribute names for Notes and Zip fields are
info
and
postalCode
respectively. These must be entered in the settings utility as shown. PIN number attribute is required only if two factor authentication is enabled. For a complete list of LDAP attribute names corresponding to active directory’s fields, refer to Microsoft do cumentation.
Self-Registering Cards in Active Directory
Self registration feature can be enabled by selected the “Enable Self Registration” checkbox.
“ Self-Registration Account ” is the account used to write the card ID to Active Directory. If “Use Logged -in User Credentials” is selected, CentraQ Pro would use the user ’s credentials to register the card. If “Use Query Credentials” is selected, the credentials provided under the ‘Query Credentials’ field are used for all users. If the account has insufficient rights to update Active Directory, registration would fail.
NOTE: Self-registration is only available with the CentraQ Pro HyPAS application.
Billing Reference
Selecting “Prompt for Billing Reference Code” will force users to enter a reference code before unlocking the MFP panel. If “Auto populate reference value from LDAP” is selected, CentraQ Pro will automatically retrieve the reference code from an Active Directory attribute. For this option, please specify an LDAP attribute name in the “LDAP attrib ute” field. 32 Copyright © 2018 KYOCERA Document Solutions America, Inc. All rights reserved.
Anonymous Access
Anonymous login can be enabled by selected the “Enable Public Access” checkbox. Text on the anonymous login button can be changed by entering a new value for “Public Access Button Label”.
Copier functions like copies, scans and fax can be selectively turned on or off using the checkboxes.
Authorization
Copier function restrictions can be configured by selecting/unselecting checkboxes. Copyright © 2018 KYOCERA Document Solutions America, Inc. All rights reserved. 33
Active Directory groups can be added by clicking the “Add New Group” button and either selecting one or more groups from the list or typing a group name into the Search Term field and clicking Search. Enable “Send Application Name” option.
OPTIONAL: To enable Reference ID (Job Accounting), select the Job Accounting tab and select one of the two options 36 Copyright © 2018 KYOCERA Document Solutions America, Inc. All rights reserved.
Printer Sharing
Print queues must be shared on the network to enable users to send print jobs. Open the “Sharing” tab in the driver properties window. Enable sharing by selecting the “Share this printer” checkbox and entering a Share name. Select the “
Render print jobs on client computer
” checkbox as shown. Provide additional drivers to support other workstation platforms (such as x86 or x64).
Secure Print Queues
If a print queue is required to be dedicated for secure printing, Private Print needs to be enabled under the Job tab as shown. This need to be enabled both in driver

User Workstations
End user workstations connect to shared print queues using “Windows File and Printer Sharing” function. Using Windows Explorer, navigate to the printer share. Double-click on the printer to download the queue and driver to the workstation. Printers can also be installed remotely on end user workstations using log on scripts or through Group Policy on the server.
Disabling Secure Print on the User’s Workstation
Once a shared printer is loaded o n a user’s workstation, their driver settings will match those configured on the print server, Private Print will be enabled by default, and the end user will be prompted to enter their Private Print PIN with each print job. Users can disable the Private Print function on demand from within the Printer Properties dialog, opened from the application’s document printing interface, and unchecking the Private Print option. Their print job will now print directly to the printer. Users can also disable the Secure Print option in their default Printer Preferences by going to Devices and Printers, right-clicking the shared printer, opening Printer Preferences, going to the Job tab, and unchecking the box next to Private Print.
NOTE: Disabling Private Print through a print dialog will only disable Private Print for that one print job.
“Hard Coding” End User’s PIN
End users can also “hard code” their Private Print PIN in their driver settings which will prevent the driver from prompting the user to enter their PIN with every print job. This can be done by going into the Printer Defaults, clicking the Job tab, uncheck
Prompt for access code
, and entering their 4-digit PIN in the box under

CentraQ Pro Troubleshooting 8.1
Log Files
CentraQ Pro produces a log file to keep track of the back-end operations and provide error information that can aid in troubleshooting issues. The log file is typically kept on the root drive of the CentraQ Pro server (usually the C: drive) with a name of “cqlog.txt”.
There are two logging levels that can be produced:
Error
and
Verbose
. The
Error
logging level is enabled by default and will only capture errors as they occur to keep the cqlog.txt file size small. The
Verbose
logging level will capture most data that passes through the CentraQ Pro service and is typically only enabled when troubleshooting. If the CentraQ Server is configured to use TLS when communicating with the directory server, all passwords and sensitive data will be encrypted.
Enabling/Disabling Verbose Logging
NOTE: Enabling and/or disabling verbose logging requires that the CentraQ Pro service be restarted on the server which may interrupt normal print operations. NOTE: After a Verbose log has been created and collected, it is HIGHLY RECOMMENDED to change the logging level back to Error to prevent the cqlog.txt file size from getting too large.
This steps should be executed by a system administrator or trained Kyocera technician.
In the following steps it is assumed the root drive of the CentraQ Pro server is the C: drive. 1.
2.
3.
4.
5.
6.
7.
8.
Stop the CentraQ Pro service Open Windows Explorer and navigate to
C:/Program Files (x86)/Kyocera/CentraQ Pro
Right click on the “CentraQ .exe
.Config” file and open with Notepad Locate the line the reads:
Change the work
Error
to
Verbose
so the line will now:
Note the capital “V” in Verbose Select
File > Save
to save the file and close the window Restart the CentraQ Pro server Duplicate issue To disable Verbose logging, follow the same steps as above but replace the word
Verbose
with
Error
in Step 5. Note the capital “V” in Verbose
8.2
Connection Issues
When the MFP is turned on it will reach out to the CentraQ Pro Server and retrieve the settings. This only happens once when the MFP is initially turned on. If changes are made to CentraQ Pro on the server and the CentraQ service is restarted, each connected MFP will also need to be restarted in order to retrieve the new settings or else it won’t know what the new settings are. This is the most common reason for connection issues. To resolve, simply restart the MFP. Copyright © 2018 KYOCERA Document Solutions America, Inc. All rights reserved. 51

Moving the
CentraQ Pro Reports
tool to another server
The CentraQ Pro Reports tool can be moved to another server to allow for report creation without having to be logged on to the CentraQ Pro server. However, there is extra server configuration necessary to ensure a proper connection. You will need administrative access to the CentraQ Pro server to complete these steps. These steps are specific to the installation of SQL Express 2012 which is an optional install when installing CentraQ Pro. If the database being used is different than SQL Express 2012, please contact your administrator or the manufacturer of the database you are using to get the steps necessary to allow remote access.
Configuring the SQL Server Instance Settings 1.
After the installation of CentraQ Pro and SQL Express 2012, open the newly installed
SQL Server Configuration Manager
on the CentraQ Pro server. Once open, Click on
SQL Server Network Configuration > Protocols for
, where
is the name of the 2.
CentraQ Pro database instance. The default instance name is
SQLEXPRESS
.
Right click the “Named Pipes” protocol and select “Enable” to enable the protocol . 3.
Next, right click the “TCP/IP” protocol and select “Properties”. Click on the “IP Addresses” tab and scroll down till you see the area to enter the TCP Port. This will be the port user’s will use to remotely connect to the database and can be any port you choose that is not being used by the system. However, keep track of this port as we will need it in a later step. For the purposes of this guide, we will choose port 1433. Press “OK” when done, right click “TCP/IP” protocol again, and select “Enable” t o enable the protocol. 60 Copyright © 2018 KYOCERA Document Solutions America, Inc. All rights reserved.
