USA Fax1-908-469-4547 CHAPTER ONE About Fax Machines If you're a first-time fax machine user, fax operation might seem a little mysterious. You'll soon get used to the unusual fax tones on your phone line, and be able send and receive faxes easily. Fax Tones and Handshake Whensomeoneissendinga fax,thefaxmachinesendsfaxcalling tones,(CNG tones)-- soft,intennittentbeepsat 4-secondintervals.You'llhearthemwhen youdialand press_, and theycontinuefor30secondsafterdialing.During that time,thesendingmachinemustbeginthe"handshake"withthe receiving machine.Eachtimeyouuseautomaticproceduresto senda fax,youaresending CNGtonesoverthephoneline.You'llsoonlearntolistenforthesesoftbeepseach timeyouanswera phoneonyourfaxline,soyoucan knowif youarereceivinga faxmessage. Thereceivingfaxrespondswithfaxreceivingtones-- loud,chirpingsounds.A receivingfaxchirpsfor40secondsoverthephoneline,andthe screendisplays "RECEIVE." Ifyourmachineissetto theFAXONLY Mode,itwillanswereverycall automaticallywithfaxreceivingtones.Evenfftheotherpartyhangsup,yourfax machinecontinuesto sendthe "chirps"for40seconds,and the screencontinues to display"RECEIVE." Tocancelthe receivingmode,press[_i_. Whenyourfaxmachineisin FAX/TEL (F/T),it answerswitha shortbeep.After this beep,the faxmachinelistensfor CNGtones,and thenrespondswithreceiving tones. Thefax"handshake"isthetimein whichthe sendingmachine'sCNGtonesand the receivingmachines"chirps"overlap.Thismustbe forat leasttwoto four seconds,so the faxmachinescanunderstandhoweachissendingand receiving thefax.Thehandshakecannotbeginuntilthecall isanswered,and theCNG tonesonlylastfor 30secondsafterthenumberisdialed.Therefore,it'simportant for thereceivingmachineto answerthecall in asfewringsaspossible. Document................................. support Special Line Considerations Roll Phone Over Lines Arolloverphonesystemis a groupoftwoor moreseparatetelephonelinesthat passincomingcallstoeachotherif theyarebusy.Thecallsareusuallypassed downor "rolledover"to the nextavailablephonelinein a presetorder. Yourfaxmachinecan workin a rolloversystemaslong asit isthelastnumber in the sequence,sothecall cannotrollaway.Donotputthefaxmachineon any oftheothernumbers;whenthe otherlinesarebusyand a secondfaxcall is received,thefaxcall istransferredto a linethat doesnothavea faxmachine. Yourfaxmachinewillworkbeston a dedicatedline. CHAPTER TWO Two-Line Phone System Atwo-linephonesystemis nothingmorethantwoseparatephonenumberson thesamewalloutlet.Thetwophonenumberscanbe onseparatejacks(RJ11)or combinedintoone jack (RJ14). Yourfaxmachinemustbepluggedinto an RJ11 jack. RJll andRJ14jacksmaybeequal in sizeand appearanceand bothmay contain4 wires(black,red,green,yellow).Totestthetypeofjack,plugin a two-linephoneandseeif itcan accessbothlines.Ifit can,youmustseparatethe lineforyourfaxmachine. Converting Telephone Wall Outlets Therearethreewaysto convertto an RJ11receptacle.Thefirsttwowaysmay requireassistancefromthetelephonecompany.Youcan changethewalloutlets fromone RJ14 jackto twoRJll jacks. Or, youcanhavean RJll walloutlet installedand slaveor jumpone ofthephonenumberstoit. Thethirdwayisthe easiest:Buya triplexadapter.Youcanpluga triplexadapter into an RJ14outlet.It separatesthe wiresintotwoseparateRJll jacks(Line1, Line2) and a thirdRJ14jack(Lines1 and 2).PlugthefaxmachineintoLine2 ofthe triplexadapter. Installing Fax Machine, and Two-Line Telephone Two.Line TAD, When you are installing a two-linetelephone answeringdevice(TAD)and a twoline telephone,your fax machine must be isolatedon one line at both the wall jack and at the TAD.The most common connection is to put the fax machine on Line2. The back of the two-lineTADmust have twotelephone jacks:one labeled L1or L1/L2,and the other labeledL2.You will need at leastthree telephone line cords,the one that came with your fax machine and twofor your two-lineTAD. Multi.Line See Fax Only Mode p. 29 Connections (PBX) Mostofficesusea centraltelephonesystem.Whileit isoftenrelativelysimpleto connectthe machineto a keysystemor a PBX(PrivateBranchExchange),we suggestthat youcontactthe companythat installedyourtelephonesystemand askthemtoconnectthefaxmachineforyou.It is advisableto havea separate lineforthefaxmachine.Youcanthenleavethe machinein FAX ONLY Modeto receivefaxesanytimeofdayor night. CHAPTER TWO If thefaxmachineisto beconnectedto a multi-linesystem,askyourinstallerto connecttheunit tothe lastlineon thesystem.Thispreventsthe unitfrombeing activatedeachtimea telephonecallis received. Aswithallfaxunits,thismachinemustbeconnected toa twowiresystem.Ifyourline hasmorethantwowires,propercomlection ofthefaxmachinecannotbemade. Ifyouare installing themachinetoworkwitha PBX: 1 See Fax Only Mode p. 29 It isnot guaranteedthat theunitwilloperatecorrectlyunderallcircumstanceswitha PBX.Anycasesofdifficultyshouldbe reportedfirsttothe companythat handlesyourPBX. 2 Ifall incomingcallswillbe answeredbya switchboardoperator,itis recommendedthattheAnswerModebesetto MANUAL. Allincomingcalls shouldinitiallybe regardedastelephonecalls. 3 Theunit maybeusedwitheitherpulseor tonedialingtelephoneservice. Custom Features on Your Phone Line If you have Call Waiting,Ring Master,VoiceMail,an answeringservice,alarm systemor any other custom feature on your telephone line, it may create a problem in the operation of yourfax machine. Connecting a Telephone Device (TAD) Answering Sequence Whenyouhavea TADon thesametelephonelineas thefaxmachine,theTA1) answersall calls.Thefaxmachine"listens"forfaxcalling(CNG)tones.If it hearsthem,thefaxmachinetakesoverthecall and receivesthefax.If itdoesn't hearCNGtones,the faxmachineletstheTADcontinueplayingyouroutgoing messageso yourcallercanleaveyoua voicemessage. See Fax Handshake p. 2 TheTADmustanswerwithin4 rings(therecommendedsettingis2 rings).The faxmachinecannothearCNGtonesuntiltheTADhas answeredthe call,and with4 ringsthereareonly8-10secondsofCNGtonesleftforthefax "handshake." Makesureyoucarefullyfollowinstructionsin this manualfor recording youroutgoingmessage.Donotusea "toll-saver"ringsettingonthe TAD. .... CHAPTER TWO Outgoing Message (OGM) Timing is important in recording this message.The messagesets up the waysto handle both manual and automatic fax reception. 1 Record 5secondsofsilence at the beginning of your message. (This allows your fax machine time to listen for the fax CNGtones of automatic transmissionsbeforetheystop.) 2 Limityourspeaking to 20seconds. See Easy Receive p. 3o 3 Endyour 20-secondmessage by givingyour RemoteActivationCodefor peoplesending manual faxes. For example: "Afterthe beep,leave a messageor send a fax bypressing * 5 1." Connecting an External Telephone Yourfax machine is equippedwith a handset that youcan use as a regular phone. However,you can also connect a separate telephone (or telephone answeringdevice)directlyto your fax machine.
