1. HOW TO LOG ON
You must log on to the system before it will allow you to make sales.
Enter your PIN number using the numeric keys or swipe your card.
The <CLEAR> key allows you to clear a number typed in error.
If you typed in your PIN then press the <ENTER> key to complete the log on.
You will now see the sales screen. This is the screen where you enter orders.
If another operator has already logged on, you must log on using your own
operator number, before you begin to make sales.
Press the <CHANGE OPERATOR> key
on the top left of the sales
screen.
Enter your PIN number using the numeric keys or swipe your card. The
<CLEAR> key allows you to clear a number typed in error. Press the <ENTER>
key to complete the log on. You will return to the sales screen where you can
now begin to enter orders.
If there are several operators using the same screen, you should always
ensure that you ‘change operator’ each time you place an order.
2. HOW TO PLACE AN ORDER
All of the sales keys are located in the Sales Square
on the right of
the screen.
The sales items on display are changed by selecting a different menu from
among the Menu Options keys
down the left side of the screen.
Select the items required by pressing the appropriate sales key. Each item will
appear on the grey Orders Section,
subtotalled as each item is added.
2.1 How to search for a sales item if it cannot be found on the menus. Press the
<SEARCH> key.
This will allow a ‘fuzzy’ search so that you can enter
on the keypad one or two parts of a description and the system will show you any
items where the description contains your search words.
Search example 1.
If you enter STRAW into the search you will receive any items which contain the
letters STRAW (see below)
Search example 2.
If you enter STRAW ING into the search it will find any products that contain
these two sets of letters STRAW and ING (see below)
2.2 To add an item to the order using the barcode:
To sell an item using the barcode scanner, make sure you are on the normal
sales screen and then scan the barcode of the product. If the barcode is
recognised then the product will be added to the Orders section.
2.3 To cancel order items or an entire order:
To cancel any item, press the <CANCEL> button below the grey Orders
Section of the screen.
All the items on this order will now appear on the Sales Square
To cancel individual items, press the item in the sales square
To cancel the entire order, press the <CANCEL ORDER> key.
You will
be asked if you are sure you want to do this. Press the <YES> or <NO> key as
appropriate.
2.4 To add multiples of an item:
Once you have selected an item from the Sales Square, you can add multiples
of the same item by pressing the <MULTIPLY LAST> key
the screen.

You will be asked to enter the number of items required, using the numeric
keypad screen. The <CANCEL> key takes you out of the keypad screen. You
must press the <SAVE> key when you have entered the number of items. The
item line and price on the Orders Section will be adjusted.
This feature may not be needed for all repeat items. It may be quicker to
simply press the sales key two or three times. However, if you have a large party,
or you have several popular items, this feature can save you a lot of typing.
3. HOW TO MAKE A SALE
3.1 To pay for an order:
Press the <SUBTOTAL> key
on the top right of the screen.
The Sales Square will display a numeric keypad on which to enter the amount
tendered. The payment options are displayed in pale blue on the right side of the
screen.
- To apply a discount If you want to apply a discount you should do so at this point. Press the <ADD
DISCOUNT> key
below the keypad.
If no discount is to be applied, you can move directly to making a payment.
A discount options screen will appear.
If you select either the <5% DISCOUNT> or <10% DISCOUNT> key,
the
discount will be calculated immediately. If you select either the <ADD
PERCENTAGE> or <ADD AMOUNT> key,
you must enter a percentage
figure or a specific amount, using the numeric keypad screen. The <CLEAR >
key allows you to clear an amount if you mistype. Press the <OK> key when you
have entered the discount. It will then be calculated, applied to the bill and
displayed below the last item in the Orders Section.
The numeric keypad is redisplayed for you to enter the payment for the adjusted
subtotal.
- To make a credit card payment If this is a credit card payment, enter the amount using the numeric keypad.
The <CLEAR > key allows you to clear an amount if you mistype. The amount
entered will be displayed on the TENDERED line. Press the <CARD> key.
Press the <YES> key to proceed with the card payment. Pressing the <NO> key
will return you to the payment options screen.
- To make a cheque payment If this is a cheque payment, you must enter the amount of the cheque, using
the numeric keypad. The <CLEAR > key allows you to clear an amount if you
mistype. The amount entered will be displayed on the TENDERED line. Next
press the <CHEQUE> key.
If the TENDERED amount is greater than the
SUBTOTAL amount, the difference will be displayed briefly on the CHANGE line.
If the TENDERED amount is less than the SUBTOTAL amount, the difference
will be displayed on the DUE line to await further payment.
- To make a cash payment If this is a cash payment, you may enter the amount tendered using the
numeric keypad. The <CLEAR > key allows you to clear an amount if you
mistype. The amount entered will be displayed on the TENDERED line. Next
press the <CASH> key.
If the TENDERED amount is less than the
SUBTOTAL amount, the difference will be displayed on the DUE line to await
further payment.
For cash payments only, you may choose to press one of the <fast cash>
keys
displayed at the bottom of the screen. These keys display the four
amounts most likely in the event of a cash sale depending on the order total.
Pressing one of these <fast cash> keys will automatically record this as a cash
sale and you do not need to also press the <CASH> key. The amount entered
will be displayed on the TENDERED line. If the TENDERED amount is greater
than the SUBTOTAL amount, the difference will be displayed briefly on the
CHANGE line.
3.2 To view previous orders:
To view previous orders, press the <PREVIOUS ORDERS> key
at
the top of the screen.
Press the <PREV> or <NEXT> keys at the bottom of the screen until you see the
order you are looking for. Orders are displayed on the sales square in bill format.
When you find the correct order, you can verify the order items, the bill totals
including VAT, and the payment method. Press the <PRINT> key to obtain a
duplicate bill. Press the <CLOSE> key to return to the sales menus.
3.3 To give a refund:
To give a refund, press the <REFUNDS> key
at the top of the screen.
The background colour for the menu options and the sales square will change
to red. Select the items to be refunded by pressing the appropriate sales keys.
Each item will appear on the Orders Section, with the price shown as a negative
value.
To complete the refund, press the <SUBTOTAL> key
at the top right
corner of the screen.
A payment options screen will be displayed. It will differ from the normal payment
options screen because the background colour remains red as a constant
reminder that you are about to process a refund.
Select the type of refund by pressing the appropriate key. The refund total will be
displayed as a negative amount on the SUBTOTAL, TENDERED and DUE lines.
4. HOW TO CLOSE DOWN
You must have manager status on the system in order to close it down.
The close down must be performed only once to terminate a sales period. It
will analyse sales by product group, since the last period close down. The sales
values should correspond with the payment analysis for the sales period.
Once the period close down has been performed, all totals, including previous
orders will be cleared in preparation for the new period. You will therefore be
unable to view previous orders once the close down has been performed.
Press the <MANAGER> key

4.1 To perform an X-Reading:
Press the <X-READ> key.
A payments analysis will give you a
breakdown of the payments, including refunds, for the period to date, by payment
type.
4.2 To perform a close down:
Press the <CLOSE DOWN> key.
A sales analysis will give you a
breakdown of sales, by product group, for the entire period. It will then close the
period and clear all totals, including previous order information.
4.3 To exit the system:
Press the <EXIT> key.
This will take you out of the EPOS system.
