Selling a Gift Certificate in the Point of Sale
1. In the Point of Sale window, select the “Client Id” of the person that will be purchasing the gift certificate. A
Client Id must be selected in the Point of Sale to sell a gift certificate.
2. Click on the “Sell a Gift Certificate” button (shown below) in the lower left hand corner of the Point of Sale
window.
The following screen will appear:
3. Enter the amount in the “Amount” field.
4. The next step is to select the “Sold by Employee”. Select the employee that would receive credit for selling
the gift certificate. If your employees do not receive credit or commission for selling a gift certificate, select
an “Inhouse Sales” employee. The “Inhouse Sales” employee must be entered in the Employee List. This can be
reached by clicking on “Employee” in the menu bar and selecting “Employee List” from the drop down menu.
5. If you have gift cards or your own printed gift certificates that have a gift certificate number printed on the
certificate, you may swipe the card or you may enter the number that is printed on the gift certificate in the
“Gift Card No.” field. You can leave the field blank if you want Envision to automatically assign a number.
6. In the “Purchased For” field, select the client that will be redeeming the gift certificate. If you do not know
the name of the client that will be redeeming the gift certificate, select no one or use the "Add New Client"
button to enter the clients information. If a company would like to purchase multiple gift certificates for
different people and they do not have the names of the people that will be redeeming them, enter a client into
your Client List for the Company that is purchasing the gift certificates. You may change the Client Id for the
gift certificate when the client comes in to redeem the gift certificate.
7. You may enter a note if needed for the gift certificate you are selling. If the client is purchasing the gift
certificate for a specific product or service instead of prepaying, you may enter notes for which product or
service the gift certificate is for.

8. You may also set the “Expires On” if needed.
9. After entering all of the available information in these fields, click the “OK” button.
10. The gift certificate will appear in the Invoice area of the Point of Sale window. After adding any additional
items that need to be added to the ticket, click the “Sale/Cashout” button to complete the sale.
Redeeming a Gift Certificate in the Point of Sale
1. After creating a ticket in the Point of Sale window click the “Sale/Cashout” button to select the client’s
Payment Type.
2. Click on the “Gift” button (shown below) for one of the Payment Types.
The following screen will appear:
3. Type the gift certificate number or swipe the gift card. Click "OK" and if the number is valid, the amount
will apply. You can also select the "History" button to pull up a list of gift certificates under the client's name
and select the gift certificate that the client is redeeming from this list.
4. When you are finished with the ticket, click the “Cash Out” button to complete the sale.

Adding Money to a Gift Certificate
1. In the Point of Sale window, select the “Client Id” of the person that will be purchasing the gift certificate. A
Client Id must be selected in the Point of Sale to recharge or add money to a gift certificate.
2. Click on the “Sell a Gift Certificate” button in the lower left hand corner of the Point of Sale window.
3. Enter the amount in the “Amount” field.
4. The next step is to select the “Sold by Employee”. Select the employee that would receive credit for selling
the gift certificate. If your employees do not receive credit or commission for selling a gift certificate, select
an “Inhouse Sales” employee. The “Inhouse Sales” employee must be entered in the Employee List. This can be
reached by clicking on “Employee” in the menu bar and selecting “Employee List” from the drop down menu.
5. If you have gift cards or your own printed gift certificates that have a gift certificate number printed on the
certificate, you may swipe the card or you may enter the number that is printed on the gift certificate in the
“Gift Card No.” field.
6. Click the "Recharge" checkbox. Selecting this option will add the amount entered in step 3 to the total
remaining on the certificate.
7. After entering the information in these fields, click the “OK” button.
10. The gift certificate will appear in the Invoice area of the Point of Sale window. After adding any additional
items that need to be added to the ticket, click the “Sale/Cashout” button to complete the sale.

Returning a Gift Certificate
1. At the Sales Register, select the client ID.
2. Go to the "Actions" drop down and select "Return / Credit a Gift Certificate".
3. Enter the Gift Certificate number.
4. Click the "Sale/Cashout" button
5. Choose the refund method and enter the proper amount.
6. Click the "Cash Out" button to complete the transaction.

Returning a Gift Certificate
Applying Returned Purchases onto a Gift Certificate
1. Open the POS. On a new ticket pull up the Client's ID if possible
2. Ring up the items or services being returned. Sell it under the employee who initially did the sale if you
want to compensate for commission. Otherwise use an Inhouse Employee.
3. Right click on the line item and choose "Return Product / Service".
4. At this point you may receive some prompts concerning inventory, answer them accordingly.

5. Click the "Sell A Gift" button and enter necessary information. Be sure to apply the same amount that is
being returned.
The ticket invoice should look similar to the following image:

Creating and Implementing a Gift Certificate Template
You can create a template that can be printed at the point of sale if you do not intend to us Gift Cards or premade Gift Certificates. When a Gift Certificate is sold in the Point of Sale, the template you have created will
merge information into the document.
1. Open the Marketing Templates by clicking on “Marketing” from the menu bar and selecting “Marketing
Templates” from the drop down menu.
Select the "NEW" button to start a new template
Design a template. The extremely easy to use Marketing feature allows you to create a template document (like
the one shown in the screen shot below) and when printed it will automatically insert your salon information,
client information and gift certificate information depending on the types of fields you entered into your
template. When creating a gift certificate, you will most probably use the merge fields that start with “Gift
Cert”. You may also use the merge fields that start with “Salon”.
Please refer to the Envision User’s Guide for more detailed instructions on how to use and
create Marketing Templates.
2. Start out by creating the document the same way you would in any other word processor. The Marketing
Template screen in Envision is very similar to a word processor like Microsoft Word.
3. When information needs to be merged into the document, like the Gift Certificate Number, or the name of
the client that will be redeeming the gift certificate, you may use the fields in the merge drop down menu.

4. Enter a Description in the top field click the “Save Template” button at the top of the word processor to
save the Gift Certificate Template.

Assigning the Gift Certificate Template To Print
1. Select “Company” from the menu bar and select “Setup Program Preferences” from the drop down menu.
Click on “Point of Sale Options 2”, the following screen will appear:
2. In the “Gift Certificate Template” field , click the drop down and select the template you created.
3. Click the “SAVE” button to save this selection.

Now when making a Gift Certificate sale, you can Right Click on the line item in the point of sale and select
"Print Gift Certificate".

Gift Certificate List
This feature allows you to manually enter a gift certificate as well as make changes to gift certificates if
needed. You may also look up information about the usage of a gift certificate. To enter the Gift Certificate list,
click on "Client" from the menu bar and select "Gift Certificates".
The following screen will appear when you select either "New" or "Edit" from the Gift Certificate List:
Gift Certificate #
If you use gift cards, you may use this field to enter the card number. Click in this field so that the cursor is
blinking (erase the zero if there is a zero in this field) and swipe the card. The card number will automatically
appear in this field. You may also use this field to enter a specific number for this gift certificate or card.
Gift Certificate Client ID
The client that should be entered into this field is the client that will be using the gift certificate. You may
select the client from the drop down menu.
Gift Certificate Dates
Date Sold: Enter the date that this gift certificate was sold on.
Expires On: Enter the expiration date of this gift certificate.
Gift Certificate Amounts
Original Amount: Enter the amount that the client paid for this gift certificate.
Amount Used: Enter an amount that was used.

POS Ticket Information
This area will show ticket information if the gift certificate was sold through the POS window of the program.
Amount Remaining
This area will show the amount remaining that can still be used.
Gift Certificate Note
Enter a note for this gift certificate if needed.
Usage History
This area will show the ticket information if this gift certificate has been used in the POS window.
