1 . TotalFlow Path Overview
•Components
•TotalFlow Path Extensions
TotalFlow Path is a workflow automation and integration tool designed to manage Print Service Provider
workflows from job submission to delivery and billing. TotalFlow Path lets you manage multiple printing
and print-related operations from a single Web browser-based user interface.
1
TotalFlow Path provides a convenient and cost-effective solution for managing input and output
applications or devices through dynamic workflows. It accepts jobs and requirements, converts them to a
standardized form, and then submits them to an appropriate output management application or device. It
also lets you integrate notifications, approvals, and manual tasks in your workflows for better control
over job processing.
The figure below shows an example of how jobs flow through the activities in a TotalFlow Path workflow.
The workflow in the example is configured to accept jobs from PTI MarcomCentral Web-to-print system,
to allow editing the jobs in TotalFlow Prep, to wait for a manual approval of the jobs, to print the jobs
according to the requirements, and to notify the customer that their jobs are complete through a
notification email.
The TotalFlow Path system is highly flexible and can be tailored to your individual needs, so that it is
equally suitable for small and large business environments.
After TotalFlow Path is installed on the server, you can access it from a supported Web browser on
workstations in your network. You do not need to install TotalFlow Path on the workstations that you use
to access the user interface.
Compon e n ts
The TotalFlow Path base product is made up of these components:
To ta lFlow Pa th se r ve r
The TotalFlow Path server manages all job activities, including input applications that create the jobs
and output applications and devices. The TotalFlow Path server is installed on a computer with the
Windows operating system.
To ta lFlow Pa th Ma n ag e r
TotalFlow Path Manager is installed on the server computer and runs as a background system task.
The Manager lets you start and stop the service and launch the user interface. You can access the
Manager from the system tray icon located on the Windows taskbar.

The TotalFlow Path user interface is a Web browser-based interface that lets you manage the system
and all job operations. Users can access the user interface from a supported Web browser on a
Windows workstation as long as they have a TotalFlow Path user ID. The workstation must have one
of these Web browsers installed:
• Internet Explorer 9 or later
• Mozilla Firefox 4 or later
• Google Chrome 11 or later
• Safari 5 or later
TotalFlow Path is optimized for Mozilla Firefox and Google Chrome.

The HTML version of the User’s Guide is available from the Web browser-based user interface. The
User’s Guide contains topics that help users learn about and use TotalFlow Path.
You can display the HTML User’s Guide by clicking [ H e l p ] from the top menu bar of the user
interface. In addition, you can bookmark the location of the User’s Guide in your browser and open
it at any time outside of TotalFlow Path.
TotalFlow Path Extensions
TotalFlow Path extensions are custom software components that add functionality to the system,
according to your individual needs. TotalFlow Path uses extensions to communicate with devices and
applications in your print environment, to manage email notifications and approvals, and to integrate
manual tasks in a workflow.
TotalFlow Path provides the following types of extensions:
In put exte nsion s:
Input extensions connect and configure Web-to-print and other input applications. Examples of input
extensions are PTI MarcomCentral, Hot Folder Input, JMF Input, RSA WebCRD, and the Order
Submission Tool.
Se r vic e e x te n sio n s:
Service extensions connect and configure prepress and variable data printing software and integrate
notification, approval, and manual tasks. Examples of service extensions are TotalFlow Prep, PTI
FusionPro Producer, ObjectifLune PlanetPress Suite, File Output, Hot Folder Application, Email
Notification, Manual Task, Run External Application, Offline Device, and Approval.
Output exten sion s:
Output extensions connect and configure output management software and output printer devices.
Examples of output extensions are JMF Output, TotalFlow Print Manager, TotalFlow Production
Manager, Printer Connector, RICOH Pro C901 with EFI Fiery, RICOH Pro C751EX/C651EX/C751
with EFI Fiery,EFI Fiery E-41/E-81, and EFI Fiery E-42/E-82.
Several extensions are included with the installation package and are available as soon as TotalFlow
Path is installed. Some of these extensions are built-in and cannot be removed, while others can be

removed and reinstalled through the Deployment and Configuration Utility based on your individual
needs.
TotalFlow Path provides out of the box support for connecting input and output applications or devices
through the following native extensions:
E xtension
Descrip tion
1
Built-in e x te nsion s
Hot Folder Input
JMF Input
The Hot Folder Input extension supports job submission using
file copying methods. You can copy or move jobs into
directories that you specify (hot folders), and you can
configure TotalFlow Path so that it continually monitors the
directories and automatically processes jobs as they arrive.
The JMF Input extension lets you send jobs over the Hypertext
Transfer Protocol (HTTP) using Job Messaging Format (JMF)
communication. You just need to configure TotalFlow Path to
use a uniform resource locator (URL) you specify for job
submission. The URL must contain the name of the TotalFlow
Path server, the extensions port that was set up during
installation, and the JMF URL suffix that you configured for the
extension. For example, the URL you use for the JMF Input
extension can be http://hostname:28646/webJmf.
To submit jobs using the JMF Input extension, you must use an
appropriate job submission application that lets you send jobs
through JMF communication.
JMF Output
The JMF Output extension lets you connect TotalFlow Path
with other applications that can receive jobs using JMF
communication.
The JMF Output extension identifies supported applications,
submits jobs to these applications, and requests the status of
submitted jobs.
Approval
The Approval extension supports two methods of approval.
The first method is by email. When the job reaches the
[ A p p r o v a l ] activity in a workflow, the Approval extension
sends an email approval request and waits for an email reply
that has either “APPROVE” or “REJECT” in the subject line.
You can configure the email to also provide the production
print PDF file as an attachment or as a link if its size is greater
than 1 MB.
The second method is manual approval through the TotalFlow
Path user interface. When the job reaches the [ A p p r o v a l ]
activity in a workflow, the Approval extension waits for a user
to manually approve or reject the job. The user can use the
provided link to view the production print PDF file associated
with the job.

Descrip tion
The Email Notification extension lets you configure and
integrate email notification services into TotalFlow Path
workflows.
You can create a list of email templates, define the text of the
email, and use system properties to dynamically change the
content of the email before it is sent.
You can also specify which TotalFlow Path users and arbitrary
email addresses receive the email notification.
Hot Folder Application
The Hot Folder Application extension outputs a file in an
output hot folder, waits for the file to be submitted to a return
hot folder that you specify, and then sends it to the next
activity in the workflow. This is useful when you want an
external application to receive the file through the output hot
folder, to make changes to the file, and then to place the
modified file in the return hot folder for the Hot Folder
Application extension.
You can also set a time interval after which a job enters into
an error state if the file is not submitted to the specified
destination folder.
Man ual Task
The Manual Task extension lets you integrate and manage
manual tasks as part of your automated workflows.
The operator can specify when he starts and when he
completes the task. After the task is completed, the job
continues to the next activity in the workflow.
Of fline Device
The Offline Device extension lets you integrate offline devices
into TotalFlow Path workflows.
You can specify the tasks that are associated to the offline
device and whether the production print file is required to
complete the task. For example, you can use an offline device
for binding, folding, punching, cutting, delivery, attaching
covers.
R un E x te rn a l Ap p lic a tio n
The Run External Application extension lets you run an
application or a script for various job-processing tasks.
You can specify processing arguments and configure settings
for the return code values.
File Output
12
The File Output extension can be used for reference
purposes. It outputs the production print file to the folder that
you specified during configuration.

requested, provides status updates, creates packing slips and
invoices, and settles the orders after the items are shipped.
Several types of products can be ordered from PTI
MarcomCentral stores and then processed through TotalFlow
Path:
• Static
Static products are print on demand or re-order items, such as
letterheads. This type of product is usually reprinted and
shipped when ordered.
• Static with attributes
14
TotalFlow Path Extensions
E xtension
Descrip tion
This type of product is a static item with multiple attributes the
customer can select before placing the order. For example,
apparel can have different size, color, or style attributes.
• Pick
1
Pick products are items that already exist and are typically
held in inventory. When the order is placed, the product is
taken from inventory.
• Versioned
Versioned products are items that require the customer to fill in
an online form to populate fields in a template. A versioned
item has one record of data with multiple pieces of output.
Business cards are an example of versioned items. The
customer fills in the online form and then he can order as
many identical cards as he needs.
• Variable
Variable products are items that have multiple records of data
and a customized output for each data record. For example,
a customer can order a postcard and upload a resource file
of recipient names. For each recipient a different postcard is
printed with the matching information from the resource file.
You can also specify processing rules based on the type of
product ordered.
All PTI MarcomCentral orders are sent with a product ID that
identifies each unique item that you can order from the PTI
MarcomCentral online stores. Most orders are also sent with a
stock-keeping unit (SKU) that is a unique code associated with
each product available in a certain store. The SKUs are displayed
next to each item on the PTI MarcomCentral online store.
Based on the product ID provided by PTI MarcomCentral and the
production template with processing instructions associated with
the product ID, TotalFlow Path determines what information needs
to be processed for the order.
PTI MarcomCentral API version 0.9 is supported.

If you already have TotalFlow Path installed, you can upgrade to a higher version without uninstalling
your existing software.
If your system meets all prerequisites, you can run the installation program to upgrade to TotalFlow Path
version 3.1. For more information on system prerequisites, see Computer Requirements, p. 19.
If you upgrade from TotalFlow Path version 2.0 or 2.1, TotalFlow Path version 3.1 is installed in trial
mode. After the upgrade, you must install the permanent license key. If the trial period expires before you
install the license key, the application stops working. See Installing the Permanent License, p. 37 for more
information.

If you upgrade from TotalFlow Path version 3.0 and you have a permanent license, the license will be
valid for TotalFlow Path version 3.1.
You do not need to back up your data before upgrading. The upgrade process migrates all the user data
from the previous version to the new version. All system settings and system objects, such as extensions,
connections, workflows, custom activities, jobs, users, groups, rights, and default views are transferred to
the upgraded TotalFlow Path system.
During the TotalFlow Path upgrade process, all the extensions for which new functionality is available are
upgraded as well. All active licenses associated with these extensions will continue to be valid after the
upgrade.
To upgrade to TotalFlow Path version 3.1:

The Windows Firewall provides a protective boundary which monitors and restricts information that
travels between your computer and a network or the Internet. If the firewall is enabled on the TotalFlow
Path server, it might block communication between the server and the workstations in your network. To
ensure access to TotalFlow Path, you must first configure the firewall to open the ports that TotalFlow Path
uses.

• Enter a token for each of the services provided by the connection:
– [Order token:]
This token is used to receive jobs from PTI MarcomCentral through the [ R e c e i v e J o b ]
service.
– [Closeout token :]
This token is used to close orders through the [ O r d e r C l o s e o u t b y O r d e r ] and [ O r d e r
C lo s e o u t b y L i n e I t e m ] services.
– [Inventory token:]
This token is used to keep track of the available quantity for a product on the PTI
MarcomCentral store that you connect.
– [Pa c k in g slip to k e n:]
This token is used to create and update packing slips through the [ C r e a t e P a c k i n g S l ip
b y O r d e r ] , [ C r e a t e P a c k i n g S li p b y L in e I t e m ] , and [ U p d a t e P a c k i n g S l ip ] services.
– [Product token:]
This token is used to download all the available product IDs from the PTI MarcomCentral
store that you connect. TotalFlow Path then generates a default production template for
each product ID based on the product type. The product IDs identify each unique item
that you can order on the PTI MarcomCentral store and the production templates
associated with them provide the necessary processing instructions.
Job orders cannot be processed without a production template. If you do not provide a
valid product token, you must create production templates within TotalFlow Path and
associate them with incoming product IDs.
7
The product token is also used to update the available quantity for a product on the PTI
MarcomCentral store that you connect through the [ U p d a t e P r o d u c t Q u a n t i t y ] service.
– [Se ttlemen t token :]
This token is used to settle orders through the [ S e t t le b y O r d e r ] service.
– [Invoice token:]
This token is used to create invoices for orders through the [ C r e a t e I n v o ic e b y O r d e r ]
and [ C r e a t e I n v o ic e b y L i n e I t e m ] services.
You must always provide an order token. The other tokens are optional. If you do not provide
a valid token, the service associated to that token is not available for the activities in
TotalFlow Path workflows.
7) O p t i o n a l : Click [ T e s t c o n n e c t i o n ] to make sure the connection is configured correctly.
If the order token is valid, then the connection is validated. An error message is displayed for all
invalid tokens. You cannot use the services associated to these tokens in your workflows.
8) Click [ O K ] .
You see the configured connection on the [ C o n f i g u r e C o n n e c t io n s ] screen under PTI
