Welcome to ‘The Public Sector Show’. This exhibition will be held in Halls S11 - S15 at The ExCeL London on the 23 June
2015.
This manual contains all the information you should require to organise your participation at the show, however this is not
designed to replace our personal service. Our team will be happy to answer any questions, and can be contacted via the
details below.

It is a contractual requirement that under no circumstances your stand is dismantled in any way or products removed and remains
manned until after the show closes.

It is the exhibitor's responsibility to remove all stand materials, packaging and waste from the hall. Any items not removed

by 2000hrs on Tuesday 23 June, will be removed and disposed of and the removal charge will be passed onto the
exhibitor.
SHELL SCHEME INFORMATION
YOUR STAND – SHELL SCHEME
You should read this section carefully if you are a shell scheme exhibitor as it details all the items that you have paid for. As
a shell scheme exhibitor you will get the following as part of your stand package;






Grey carpet
White foamex walling (height limit within the stand is 2.43m)
1 x 500w socket**
2 x spotlights
Name panel with company name and stand number
Pre show overnight cleaning
** Your socket is sufficient to charge laptops / phones ONLY. Any additional appliances (including plasmas) WILL REQUIRE
the ordering of extra electrics – it is your responsibility to order this. Failure to do so will result in power failure to other
exhibiting companies surrounding your stand. This will incur a cost penalty due to other complaining stands.
IMPORTANT NOTE: Exhibitors and contractors will NOT be allowed to commence their build-up until they have complied
with all the requirements of the Health & Safety at Work Regulations 1992 and returned the Risk Assessment Form.
Please note, items of the shell scheme stand package are not interchangeable or transferable, nor will cancellation of an
item qualify you for a refund.

Carpet and Floorcoverings
Shell scheme stands will be provided with grey carpet as part of their stand package. The colour of this carpet can be
changed at your own costs by contacting JMT Indisplay website. If you order your own carpet, please ensure you request
the supplier to remove the carpet after the show, otherwise the cost of removing this will be passed back to the exhibitor.
Cleaning
All stands, gangways and public areas will be cleaned and vacuumed before the show opens.
Electrics
Our official electrical contractor, Full Circle, is responsible for, and will carry out, all electrical work on all stands. Prefabrication will be permitted but connection to the mains and on-site wiring must be carried out by Full Circle. It is
necessary for a fuse box to be fitted to every stand. This is now an industry standard and unfortunately is unavoidable.
Stand Connections: There will be no power supply during build up and breakdown, and power will be switched on at
0800hrs on the open day of the show. Power to stands will be switched off 30 minutes after the show closes. If you wish to
order temporary power during the build up or overnight, please contact the Full Circle.

Furniture
No furniture is included with your stand unless otherwise agreed.
JMT Indisplay offer a range of furniture which you can hire; this includes office, modern and lounge furniture which will
help you create a relaxing, business or café style atmosphere on your stand. There is a package list put together which is
included in this manual, where we have arranged preferential rates for you.

Graphics
Panel Dimension Detail: 40mm Quad 4 Shell with 80mm Leading Post. If you wish to produce graphics for the wall panels,
please make note of the panel dimensions in the shell scheme specifications section below. We have a reliable graphics
provider who will be onsite during build up. If you would like their details, please contact the Organiser.

Name Panel
All shell scheme stands will be provided with a name panel on each open side of the stand which will display your company
name and stand number. In order to ensure we print your details correctly, please complete the name panel section within
the exhibitor profile form. If you do not complete this section of the form we will use the company name we have on your
contract. Any alterations that need to be done due to this section not being completed will incur a charge to the exhibitor.

Shell scheme Accessories
Exhibitors are responsible for the interior design and treatment of their stand. The official Standfitting Contractor will be
happy to submit quotes and designs for any interior construction work, graphics, shelves, counters, etc. If you do order any
additional items from the shell scheme accessories form please also complete and submit the shell scheme accessories
plan.

Walling
The shell scheme stand is made up of foamex panels slotted into a coated aluminum framework. The number of open sides
you have is dependent upon your location on the floorplan.
What does a shell scheme stand look like?
Space Only Stands
We have you listed as a shell scheme exhibitor on
our records, so the above information will be
relevant to you.
We have omitted the space only stand
information here. Space only stands are just that.
There is no walling, stand fittings or electrics
provided and space only exhibitors are
responsible for providing all of this at their own
cost. The design of the space only stand is the
responsibility of the stand holder and must be
such that it can be erected and dismantled within
the time available.

BADGES, PASSES & VENUE INFORMATION
Access
Vehicles must make their way to the Traffic Administration Office on Sandstone Lane, postcode E16 1WW. Please park in
the holding area in front of the Traffic Administration Office, then proceed to the Traffic Administration Office in person.
Drivers will be issued with a Lorryway Access Document (LAD). This will detail the date, show name, name of the stand,
stand number, vehicle registration number and a time limit for unloading or loading. Drivers must adhere to the specified
time limit.
You will be then be directed to a queuing system where you should wait until space is available on the lorryway to unload.
On completion of unloading/loading, vehicles must be removed to the relevant parking area or leave the site immediately.
We recommend that staff making deliveries bring trolleys to transport goods to & from their stands. This will reduce the
amount of time it takes to load and unload and so assist the free-flow of traffic.
Porters will be available for the breakdown period on a first come, first serve basis. Please contact the organiser’s office
onsite.

Please note: Exhibitor badges are for stand personnel only i.e. those working on your exhibition stand and not for
members of staff attending as visitors.
Contractor Badges
Please send your external contractor details to the Organiser pre-event. This will guarantee their entry into the hall and
save time on the morning of build up. Contractor badges will be valid during the build up and breakdown periods of the
show only. Contractors will need to collect a badge from security upon their arrival at the venue. Contractors will need
proof of participation in the show if their details have not been sent to the Organiser beforehand.
Courier companies do not require contractor badges.
Banking Facilities
There are two HSBC Machines at the West End of the boulevard, Barclays and HSBC ATM’s situated on Level 0 of the
boulevard and one ATM at the East end of the Boulevard by N6/S6. All machines accept all bankcards.
Business Facilities
The Business Centre is located on level 0 of the boulevard.
Car Parking
ExCeL London offers on-site car parking directly beneath the venue. All onsite parking is pay and display and the daily
charge for one car is £15 for 24 hours. Please note that all pay and display machines will be found on stand-by which will
activate as soon as you insert your card or cash.
Cloakroom
The Cloakroom will be free of charge and located just next to the show entrance. Cloakrooms are open half an hour before
show open and close an hour after show finish or until no items remain.

Deliveries & Collections
You will not be able to deliver any items in advance of the event. Deliveries to the venue can only be made between:

All delivery drivers need to report to the Traffic Office in order to gain access to the lorry ways.
All packages must be labelled correctly to ensure they are delivered to the correct hall.

Any deliveries not clearly addressed as above are likely to be returned to sender. Organiser’s may sign for your delivery if
no representative of your company has arrived yet and the full and correct information is on the label of each item.
If you have a courier company collecting your goods at the end of the show, please remember items must be collected by
8pm. No packages can be left in the hall after this time.

Disabled Facilities
ExCeL has wheelchair access to all areas of the hall. For information see the ExceL Website.
Wheelchair access is now available from Europacar, based on the Boulevard at S1 entrance.

First Aid
If you require first aid assistance, please contact the Organiser's Office, any steward or Organising staff on the show floor
or the Venue First Aid rooms on 020 7069 5556. These are located on Level 0 in the Boulevard and at N9 in the Boulevard.
In case of emergency, it is imperative that you contact the Organisers or a security staff member as your first port of call.
Their venue knowledge can save vital time in the event of an emergency.

Accommodation
Our appointed hotel booking contractor has negotiated discounted rates with a range of local hotels near the venue. If a
suitable / preferred hotel is not listed please call the accommodation supplier, or CLICK HERE to view the order form.
Audio Visual and Computer Equipment
Any sound must not exceed a reasonable volume. Audiovisual speakers must not cause any obstruction to the gangway.

Catering
Any food or drink consumed on the stand should be purchased through the venue’s appointed catering company. The
contractor below holds the sole right to supply all food and beverages consumed onsite. They can supply a full range of
food and beverages to your stand and arrange waitress service if required. If you would like to bring in your own food or
drink, you should speak to the caterers direct as there may be a corkage charge. If you are intending on holding a
demonstration on your stand please inform the organiser.
Data Scanner
To ensure you get the most out of the event and collect as many leads as possible, you should consider hiring a badge
scanning device. Provided by our registration services company data capture their system enables you to collect, manage
and track sales leads quickly, easily, accurately and securely.
Using data capture allows you to:

Instantly capture the identity of visitors to your stand, including those not carrying business cards
Avoid the common problems which can occur at exhibitions, such as misplacing or misspelling the prospects'

Insurance
Exhibitors are required to take out adequate insurance cover for;
 Exhibits & contents of stand
 Public liability / third party risk
 Expenses incurred due to cancellation, abandonment or postponement of the exhibition for caused not within
the Organiser’s control
 Interior stand construction / Goods whilst in transit

Your existing insurance company should be able to arrange this cover for you. Alternatively you may want to order this
specialist insurance via Event Assured. Please CLICK HERE to order.
Any loss or damage that may occur during the show should immediately be notified to the Organiser’s office. Whilst the
Organiser’s and venue will take every precaution to protect exhibitors’ property during any event, we are not responsible
for any loss or damage. The minimum insurance level at the event is for each company to have Public Liability insurance
(with a minimum level of £5 million).
Internet connections
The internet contractor can provide internet connections, telephone and fax lines. Please be aware that bringing your own
wireless internet equipment into the venue, we cannot guarantee it will work, and you may be asked to stop using it if it
interferes with other users. Please contact the Internet contractor directly.
Free basic wifi is available across ExCeL. This free service is suitable for very basic internet requirements only. The wireless
network is not secure, and not supported.

Photography
The exhibition photographer will be visiting each stand during the show. However, advance orders may be placed prior to
the show. Please contact the photographer directly for a quote.
Rigging Info
It may be possible for banners and trusses to be rigged above the stands. However, please check with the Organiser as
there may be some height restrictions and a media charge may apply. All banners and trusses must be hung at a height
agreed with the Organiser and the banners must not be wider than 50% of the width of the stand. You are responsible for
the cost of the production of the banner and the cost of the rigging. Please ensure the banner is produced with pockets for
scaffold poles.
Shell Scheme Accessories

HEALTH AND SAFETY GUIDE
Health and Safety Declaration / Risk Assessment
Each and every UK exhibitor with five or more employees must complete a Health and Safety declaration to state that
there is a health & safety policy within the organisation. Exhibitors are reminded that among the statutory duties which
they have under health and safety law, the following are most important, although this list is by no means exhaustive;




Your duties under the Health & Safety at Work etc, Act 1974 are in no sense reduced when an employer is
exhibiting at an exhibition and must be complied.
A written company Health & Safety Policy should exist if the company employs 5 or more employees, see section
2(3) of the Health & Safety at Work etc, Act 1974.
A risk assessment must be carried out for your stand. This must include build up, open days and breakdown and
you should consult and include information from your appointed contractors.
One or more competent safety advisors must be appointed by an employer (exhibitor) to assist them to discharge
their health and safety responsibilities. Exhibitors must also ensure that any appointed contractor(s) and sub11
contractors abide by all regulations in the exhibitor manual together with all legal regulations under the Health &
Safety at Work etc, Act 1974 and any other relevant legislation.
Risk Assessment
As an exhibitor you have a legal requirement to assess risk appertaining to your participation in any exhibition. Each and
every exhibitor (space and shell) must undertake a risk assessment prior to the exhibition, identifying the hazards present
on-site and ways in which you will then minimise and control those hazards. You do not need to use our form if you have
your own template.
When doing a risk assessment think about and consider what you will be displaying on your stand and decide if there is
anything that could cause anyone any harm e.g. trailing wires, hot water, heavy boxes, trip hazards, etc. And then think
about how you will prevent these things from harming anyone. Do this for the build, exhibition and breakdown of your
stand. Weigh up whether you have taken enough precautions or should do more to prevent harm. The important aspect is
whether a hazard is significant, and whether you have covered it by satisfactory precautions so the risk is small.

Electrical Installation Regulations
All electrical work must comply with the following regulations of the venue and the Organiser. For details and regulations,
please refer to the E GUIDE.
Food & Drink Sale / Sampling
Please note that you are not permitted to retail food or drink for the public to consume at the show unless written
permission is obtained from the Catering Contractor. A charge may be levied.
You may sample food & drink to visitors provided it is your product and it is free of charge. The standard acceptable
sampling sizes are:



Unwrapped food - bite size proportions
Individually wrapped items
Drink - 85ml container
All food safety and hygiene regulations must be complied with. It is your responsibility to make sure that you are operating
in compliance with the Food Safety Act 1990, the Food Hygiene Regulations 1990 and Food Safety Regulations 1995 as
enforced by the Environmental Health Officer and such other authority as appropriate.
Promotions, Treatments & Massage
If you are having any stand promotion that involves massage, reflexology or any performers, you must submit details of
their insurance policy and of any professional qualifications. Please contact the Organiser to discuss this. There is a 30 day
deadline prior to the show to obtain a license if any of these are required.

Health & Safety Checklist
Have you remembered to…?
 Appoint a Safety Adviser to co-ordinate your health & safety exhibition policy?
 Photocopy the Emergency Procedures CLICK HERE & circulate this to all the staff
 members who will man your stand.
 Complete & return a copy of the Health & Safety Declaration / Risk Assessment form
 Appoint a competent and reliable Stand Contractor (like our official supplier Full Circle)? Ensure that they
 complete a suitable Risk Assessment and pass on all stand-fitting regulations to them?
 Plan your time during Build-Up & Breakdown? Can your stand design be erected and dismantled safely and within
the set-time?
 Provide suitable training and information to your stand staff & contractors?
GENERAL INFORMATION
Balloons
Helium balloons must be secured by some means and a dilapidation charge to cover retrieval will be made if any become
loose. If possible use balloons that are fitted with a slow-release valve. Storage of Helium canisters must be discussed in
advance with the Organiser.
Canvassing
All exhibitors are advised that unless they have a contractual agreement with the event organisers, all promotional activity
including literature distribution is restricted to the limits of their stand. For details of sponsorship opportunities available in
the halls, please contact the Sponsorship Manager
Children
Under no circumstances will any children under the age of 16 years be allowed in the halls during build up or break down.
There will be no exception to this. The exhibition is a trade event and the nature of the exhibits during the open period will
reflect this, as such it is not a suitable environment for under 16s.
Dilapidations
Exhibitors are responsible for all panels, walls, columns, flooring, Shell Scheme stands, hired accessories etc within their
stand area and any damages will be made good at the exhibitor's own expense. All exhibits and standfitting materials must
be cleared from the venue and charges will be levied for the removal of any abandoned articles, including carpet tape.
Please do not attach anything to the fabric of the building.

Gangways
Emergency gangways MUST be kept clear at all times and anything left in any gangway will be deemed as rubbish by the
cleaners and removed. Please ensure that your contractors are briefed on this matter.
Lost Property
Lost property will be with the show security during show tenancy, and then will be passed to the Security Suite. Please call
020 7069 4445 to retrieve. Lost property is kept for one month.
Security
Exhibitors are advised to not leave any items of value on their stands during build up, breakdown or the open period if your
stand is to be left unattended. Please take particular care at all times with personal items such as mobile telephones and
laptop computers.
Any incidents of theft must be reported to the Organisers immediately as it will be necessary to complete a security form

and report the incident to the police. Please note that neither the Organisers nor the venue can be held responsible for any
loss or damage to stands or exhibits.
Vehicles / Trailers on stands
The Organisers must be notified of any mobile units and motor vehicles being brought into the halls. Please contact the
Organiser well in advance of the event should you want to bring in vehicles / trailers, so that a suitable delivery/collection
time can be arranged. There are certain, non-negotiable regulations that need to be adhered to, and these will be sent to
you pre show.
Waste Disposal
You are required to remove all excessive building rubbish, carpets and floor coverings from your stand area and the venue

by 8pm on Tuesday 23 June 2015. These must not be dumped or disposed of in the hall or any other part of the venue.
Any rubbish left in the hall will be skipped by the cleaning department and a charge of £500 per skip load will be charged to
the relevant exhibitor. We will be taking digital photos of each area as proof and an invoice will be sent to you after the
event. Please contact the Organiser for a quotation on skip hire for excessive waste.
