Home Berlinger SmartMonitor SHIP S Reference number: MKT-80031-EN_3 Valid from 06/2023 Quick Setup – Monitoring for Shipment The SmartMonitor SHIP S device can be used as standalone device (scenario 1) or with BLE intercommunication (Bluetooth) (scenario 2). Intended use The SmartMonitor is designed for the monitoring of temperature-sensitive pharmaceutical goods in storage and/or transport. The device collects temperature data and gives the opportunity to manually upload the data to Berlinger’s compatible cloud solution SmartView. Additionally, the SmartMonitor SHIP S is able to communicate with SmartMonitor SHIP M and SmartMonitor SHIP L via BLE intercommunication (as a gateway device) and automatically upload the data to SmartView for immediate decision-making on product integrity. * The information is applicable for SmartMonitor SHIP S. Read the technical specifications for detailed information on the product. SmartMonitor SHIP S Modular real-time device for shipments. Slim featured and single use. • Slim featured: temperature monitoring. • Real-time temperature monitoring: via gateway device (SmartMonitor SHIP L or SHIP M) and Bluetooth interaction. • Manual read out: upload the data manually to SmartView via USB. • Single use: more information on device disposal in chapter DISPOSAL. Battery information & use Battery shelf life: Before first usage: Period from device delivery to customer (on stock), to first start of the device. Within the battery shelf life periode, the device battery run time is ensured according to the technical specification, if stored within the specified storage temperature (device off). Battery expiry SmartMonitor SHIP S: once the battery shelf life has been exceeded, the battery has expired. The battery expiry date is printed on the front of the device. If the battery is expired, the device cannot be started. Information on recycling can be found in the chapter DISPOSAL. Battery run time: Time between start of the device until depletion of the battery. Actual run time depends on environmental factors, such as temperature and communication technology. A comparison from the consumer environment: Impact of temperature: if a mobile phone is exposed to very hot or very cold temperatures, it drains the battery quickly. Impact of connectivity: if a mobile phone is connected via Bluetooth with other devices and exchanges data, it can have an impact on the battery. The device can longer be started. Devices can be returned to Berlinger for disposal. Air freight In order to use SmartMonitor devices for product monitoring in air freight (device on), the SmartMonitor device must be approved by the respective airline. Before using the SmartMonitor on a shipment, please check the airline approval list on the SmartSystem user support page. If the airline you would like to use, has not yet approved the SmartMonitor, please contact Berlinger at [email protected]. Airlines may require the SmartMonitor or batteries to be declared on the AWB (Airway Bill). Disclaimer: Berlinger is not liable for approval to use the SmartMonitor on board of your selected carrier and the correct declaration of the SmartMonitor. Find the battery specifications per SmartMonitor device type in the technical specification. Contact your airline for support of the correct declaration. Page 10 of 46 User Manual SmartMonitor SHIP S - 1_en 2.4. Communication Using SmartMonitor SHIP S as a standalone Download the device configuration via USB before starting the device. After stopping the device, the data must be uploaded to SmartView via the built-in USB plug. Using SmartMonitor SHIP S in combination with a gateway device (SmartMonitor SHIP L and/or SHIP M) The device configuration and data are synchronized to the cloud via a Bluetooth gateway device (e.g., a SmartMonitor SHIP L). In order not to falsify temperature measurements, communication is limited to certain intervals set in SmartView. Page 11 of 46 User Manual SmartMonitor SHIP S - 1_en 2.5. Device cleaning The device shall not get in close contact with volatile chemicals such as ! Important: solvents or other organic compounds. Especially high concentration and long exposure must be avoided. Ketenes, Acetone, Ethanol, Isopropyl Alcohol, Toluene, etc. are known to cause drift of the humidity reading. Page 12 of 46 User Manual SmartMonitor SHIP S - 1_en 2.6. Device handling warnings The configuration can be changed in SmartView while the SmartMonitor ! Important: device is running and may not yet have been delivered to the device. This may impact the alarm status displayed on the device. Air Pressure • Excess pressure or vacuum can damage the device. Attention • The SmartMonitor measures the ambient temperature and not the quality of the monitored goods. Its purpose is to signal if product quality evaluation is required. • The battery cannot be removed or replaced. Check the technical specification for detailed battery information. Contact Berlinger support at [email protected] for refurbishment options. • Risk of fire or explosion if the battery is replaced by an incorrect type. Battery • Risk of explosion if the battery is disposed of in a fire or hot oven. • Leaving the battery in an extremely high temperature surrounding environment can result in an explosion or leakage. • Do not subject battery to extremely low air pressure that may result in an explosion or the leakage of flammable liquid or gas. • Instructions required by IEC 62368-1 regarding coin cells. Compatibility • SmartMonitor device only works in combination with the SmartView software (version 6.0 or higher). Damage • If the SmartMonitor device is damaged, don’t use it and contact Berlinger support for refurbishment options. General • Ensure that the user manual instructions are followed before using the SmartMonitor for monitoring. Without proper starting, the measurements will not be available. Ingress Protection • IP65: Protect from dust ingress and water spray from any direction. The manufacturer shall not be held liable. Liability • if the device was used beyond the manufacturer’s given limitations. • for any claims due to improper storage or use of the device. • for any problems with the temperature-controlling and/or -cooling unit. • for the quality of any monitored goods. • for incorrect readings if the device was used beyond its expiry date. Mechanical force • Avoid violent shocks and impacts. Microwave • Do not expose the device to microwave radiation (risk of battery explosion). Multifunctional button • Do not apply force as it will damage the button. Safety • Berlinger recommends training of all persons that handle the SmartMonitor device and/or SmartView. • The USB plug is a sensitive part of the device. • If you are not using the USB plug, keep it covered to protect from water, dust, etc.. USB plug • For manual read out, remove the USB cap and connect the plug to your computer. • Do not apply force as it will damage the connector. • Temperatures outside the device operating temperature range may damage the device and/or reduce its performance. How to configure your device To configure the SmartMonitor device with the desired configuration (see user manual SmartView for instructions), wake up the device from sleep mode with a short press of the multifunction button. Manual configuration Step Screen Description 1 Remove the USB cap and plug the SmartMonitor SHIP S into the USB port of your computer. 2 When connecting the SmartMonitor to your computer, a pop-up window of SmartMonitor (BERLINGER) will appear. If the pop up window does not appear, locate the BERLINGER USB-Drive on your computer and open it. Log into SmartView with your credentials. In SmartView, navigate to “Devices” under the section “Monitoring”. 3 In the search function, type in the serial number of the device that you would like to configure. ! The serial number is printed on the front of the SmartMonitor. 4 Click on the serial number to open the device page. Page 20 of 46 User Manual SmartMonitor SHIP S - 1_en 5 Click the “More” button under “Status” next to the configuration policy. 6 Select “Download”. Once the configuration policy file has been downloaded successfully to your computer, it can be found in the Download folder. 7 Save the device configuration file in the BERLINGER USB Drive. 8 Disconnect the SmartMonitor from your computer. 9 To check if the download has been successfully completed, short press the multifunction button. The scroll text should display the correct configuration name. The device is now ready to be started. ! If the download was unsuccessful, the SmartMonitor display will show an incorrect configuration name e.g., CONFIG NAME DEFAULT. Page 21 of 46 User Manual SmartMonitor SHIP S - 1_en 4.2. How to start monitoring To start monitoring, press and hold the multifunctional button start monitoring, press and hold the multifunctional button for longer than 3 seconds ! To until the letters are replaced with stars (“*****”). Nr. Screen Description 1 Upon device interaction, the device will indicate to the user that long-press of the multifunctional button is required for start. ! If long-press released too early, during the start process, the screen will be displayed. 2 Upon long-press device interaction, the start screen will be loaded. 3 Hold the button until the letters are replaced with stars (“*****”) from left to right. 4 If no start delay is configured, in case of a successful start, record sign ( ) will be on and tick* ( ) will be displayed. The 5-digit text field will display the temperature. Page 22 of 46 User Manual SmartMonitor SHIP S - 1_en Start delay a start delay is configured, the device starts with alarming only after start delay ! Ifcountdown. The remaining countdown is indicated on the display in days:hours:minutes format (if >24h: DDdHH, if <24h: HH:MM). SmartMonitor start prevention If the SmartMonitor displays “DO:SETUP” on the screen, a start prevention is defined in SmartView and a manual device configuration is required. When the function is enabled, the SmartMonitor cannot be started by pushing the multifunctional button as it is preventing the start of the SmartMonitor until assigning and downloading of another, startable configuration policy in SmartView. Check here for WARNINGS on device start. * The tick can be hidden by disabling the alarm status function in the configuration policy in SmartView. In this case, the field remains empty. How to place your device * As the device needs some time to acclimatize, setting up a start delay in SmartView during configuration is recommended. How to place the SmartMonitor: Step Picture Description 1 Place the device inside the temperature-controlled box/container. 2 Use the designated area for the Velcro tape on the back of the SmartMonitor to place the device securely. ! Start the SmartMonitor before closing the box. Next step: start your device. Page 24 of 46 User Manual SmartMonitor SHIP S - 1_en 4.4. How to stop your device To stop the device, long-press the multifunctional button. No. Screen Description 1 Upon device interaction, the device will indicate to the user that a long-press of the multifunctional button is required for stop. ! The stop icon indicates that the device has been successfully stopped. Manual read out If manual read out is required, perform the following steps to transfer the monitoring data to SmartView: Step Screen Description 1 Remove the USB cap and plug the SmartMonitor SHIP S into the USB port of your computer. Page 25 of 46 User Manual SmartMonitor SHIP S - 1_en 2 3 When connecting the SmartMonitor to the computer a pop-up window of SmartMonitor (BERLINGER) will appear. If the pop-up window does not appear, locate the BERLINGER USB Drive on your computer and open it. Log into SmartView and locate the “Data upload” functionality under the tab “Monitoring”, “Devices”. Choose “Data upload” on the top right corner. 4 Click “Choose Files and select the files displayed in the BERLINGER USB-Drive. 5 Click “Choose Files and select the files displayed in the BERLINGER USB-Drive. 6 Once the files have been added select “Upload File(s)”.Check Process Result to see if your files have been successfully uploaded. Follow the instructions in the SmartView user manual to obtain and place the response file on the device. 8 Disconnect the SmartMonitor from your computer. When the upload has been successfully completed, the display of 9 the SmartMonitor indicates “DONE”. ! If DONE is not shown the display, repeat the steps 1-8. SmartMonitor SHIP S with BLE intercommunication SmartMonitor SHIP S can become a real-time device when using BLE intercommunication (in combination with a gateway device). * Recommendation: One gateway device can be used in combination with up to 10 SmartMonitor SHIP S devices. Multiple gateway devices can be used in the same shipment. The “5 rules for success” when using the SmartMonitor SHIP S with BLE intercommunication: Nr. Rule 1 SmartView sublicense Description All SmartMonitors must use the same SmartView sublicense 2 Cellular SmartMonitor SHIP L or SmartMonitor SHIP M has cellular connectivity enabled 3 BLE Bluetooth must be enabled on both SmartMonitor SHIP S and SmartMonitor SHIP L or SmartMonitor SHIP M 4 Started All SmartMonitors (including the gateway device if any) must be started 5 Radio range All SmartMonitor devices must be within BLE range (typically up to 15m without major obstacles). Cellular network must be available. It is possible to use SmartMonitor devices (e.g., SmartMonitor SHIP L, SmartMonitor SHIP M and SmartMonitor SHIP S) in combination, while using the same CONFIGURATION POLICY for SHIPMENT or SECTOR. How to start monitoring When using SmartMonitor SHIP S with BLE intercommunication, start your gateway device (SmartMonitor SHIP L or SmartMonitor SHIP M) by following the steps as described in the user manual SmartMonitor Automatic configuration To start monitoring with the SmartMonitor SHIP S, press and hold the multifunctional button. ! Do not apply force as it will damage the multifunctional button. Nr. Screen Description 1 Start all SmartMonitor devices used in the shipment by long-press of the multifunctional button. 2 Bluetooth must be enabled in SmartView. Make sure that the Bluetooth sign is displayed on all devices used in the shipment. The Bluetooth must be enabled in SmartView. For detailed instruction on how to enable Bluetooth, go to the user manual SmartView. ! If the Bluetooth sign is not displayed on SmartMonitor SHIP S, the device is measuring data, but at the end, a manual download needs to be performed to readout the data in the SmartView cloud.
