Using the Lexmark MFP Scanner to Scan and Score the
Mini Benchmark Assessment Test (BAT)
In order to take advantage of using the Lexmark MFP scanner to scan and score the
mini-BAT assessment tests given to students in grades 3-10 the teacher must first
generate a bubble sheet for each student. The student will use this bubble sheet as
their answer sheet when taking the mini-BAT test. To generate the bubble sheet the
teacher will signon to Virtual Counselor, select their class and then select the “Email
MINI Benchmark Assessment Bubble Sheets” option to generate the bubble sheets for
the mini-BAT to be administered. Bubble sheets will only be generated for those
students who are enrolled in that teacher’s class based on the data that has been
entered into TERMS. For new or transfer students, who have not yet been
enrolled in the class, a bubble sheet will not print.
Select the “Email MINI Benchmark
Assessment Bubble Sheets” option to
create an email for the mini to be
administered. The bubble sheets will be
delivered to the email you indicate.
When the email is received simply send
the attachment to your printer.

Select Mini assessment, Grade level and
Form then enter the email address where
you want the bubble sheets sent.
On the “Confirmation Page”, if you want to
email another mini click on the “Click Here To
Select Another Assessment” button. You will
be taken back to the mini selection page. Or
you can click on any of the other option on
the top right handside of the screen.

Once the bubble sheets have been printed, a teacher will use them to administer the test.
Students must use a #2 pencil when bubbling in their answers, no pen. Ask students not to
make any marks on the page other than bubbling in their answers. After testing, collect the
bubble sheets from the students and then take those sheets to the Lexmark printer where the
MFP scanning device is installed. Remove any blank sheets of students who were absent or
did not take the test. Place the tests to be graded into the automatic document feeder FACE
UP and HEAD FIRST. Press the ‘Grade Test’ icon on the home screen of the MFP touch
screen (see icon below) and the sheets will be scanned.

Wait for a confirmation page to be printed and then check to make sure all pages were
scanned correctly. In the event that there is an error, you only need to correct and re-scan
those sheets. Answer sheets successfully scanned on the first pass do not need to be rescanned. Below are some examples of errors you might see on your confirmation screen:
Error:
Unable to read both barcodes
Unable to read pdf417 barcode
Bubbles not filled
Resolution:
Look for pencil marks in the barcodes and try to erase.
If that doesn’t help, options are to print a new bubble
sheet for the student and transfer the answers and then
re-scan.

The test will be automatically scored and the results posted to Virtual Counselor. You
can view a summary of the results by signing into Virtual Counselor and selecting the
following view: “Assessment – MINI BENCHMARK”.
