About SAP Jam
SAP Jam is a social collaboration and decision-making solution that brings together people, processes,
information, and applications to enable better problem-solving and decision-making. With SAP Jam, enterprises
can use social networking to allow their employees and partners to collaborate on projects, learn, and innovate
together.
SAP Jam is designed to drive results by structuring conversations and enabling people to make informed
decisions and solve business-critical problems. SAP Jam provides features such as polls, activity feeds, blogs,
video and document sharing and versioning, wikis, public and private groups to help employees quickly connect
with one another, create and share critical information.

1.4
Uploading a personal profile photo
Adding a profile photo makes it easier for people to identify you participating in SAP Jam. For example, when you
make a comment or update an SAP Jam Group, participants can see your photo right next to the comment and
quickly see who made it. This saves time when following discussions in Groups that have many participants and
extensive input.
Note
●
If SAP Jam is integrated with SuccessFactors BizX, the photo you upload to SAP Jam will be replaced if a
new photo is uploaded into your SuccessFactors profile.
●
SAP Jam administrators can turn off profile photos.
1.
Click the Profile tab.
2.
Click the camera (edit) icon in the photo frame.
3.
Click Browse to select a photo to find the photo in your local directory.
4.
Select the photo you want to upload, and click Open.
Note
The file should be smaller than 5 MB and in one of the following formats: JPEG, GIF, PNG.
5.
Adjust the size and position of the photo in the frame and click Save changes.

often you receive emails from SAP Jam. There are four general categories of emails sent by SAP Jam. From each
category, you can check or uncheck specific options to either start or stop receiving email notifications related to
specific events. The following is a list of email notification categories sent by SAP Jam:
●
High Priority Emails - These are emails that SAP Jam sends to you on activity that is considered a high
priority. For example, when somebody sends a direct message to you or when somebody posts a comment on
your profile wall a high priority email is sent. It is recommended that you keep all the options in this section
checked. However, you can choose not to receive emails for a particular type of event.
●
Medium Priority Email - These are emails that SAP Jam sends to you on events that may not require your
immediate attention. For example, when somebody comments on a feed or when somebody edits a wiki page
that you created. You can decide which events in this section you want SAP Jam to send you email
notifications about.
●
Daily Emails - These are emails that SAP Jam sends to you once a day. The Summary Email can be
customized to contain specific information depending on which options you select.

About groups
SAP Jam groups are either company-public or private areas where you and other people can upload, create, or
reference material specific to your department, project, or team. Groups provide a space to interact around a
specific topic or with a limited number of people. SAP Jam administrators can enable users to create their own
groups. If this option is enabled in your SAP Jam configuration, you can create a group to start collaborating on a
topic.
Group Overview page
A Group Overview Page is the default landing page for a group. This page is used for summarizing the group
purpose, people in a group, and the group's content. This can be very helpful if your group has regularly updated
goals, a running task list or any group-related information that gets updated frequently. You can also create
multiple pages for the group Overview section to help organize information and facilitate navigation in the group.
You can create an Overview page for your group using the content editor that SAP Jam provides. With the content
editor you can customize your Overview page, insert content, and add dynamic widgets to it. You can also toggle
the page header on and off and easily set a group photo the same way you set your profile photo.
Note
Only group administrators can create and edit a Group Overview page.

Group Trash
When an item is deleted from a group, the item is placed in the group trash rather than the personal trash. This
allows group administrators and group members to recover any group content that is accidentally deleted.
Anyone can view items deleted in the group trash, including information such as item name, type, when it was
deleted, and by whom. From the group trash, group administrators can restore or purge any items. Group
members can restore or purge the items they own as well as items they do not own provided the item level
permissions are set to Full Access and the group participation level is set to Full. Restoring and purging can be
performed individually or in bulk. Items deleted from private folders are accessible in the group trash to all group
administrators as well as group members with access to the private folders. Purging an item is an irreversible
operation.
* item ownership is defined as the user who originally uploads/shares the first version of a document, or the user
who originally creates a wiki/blog post etc.

Group templates contain an overview page as well as placeholder content and group structure including
discussion forums that help you quickly set up a group that’s optimized to address specific business
scenarios. For more information, see About group templates [page 12]
3.
Type a name for your group.
Use a name that would help users distinguish your group from others.
Note
Group names are globally unique, if there is an existing group with the same name as yours, you must
choose a different name before you can proceed.
4.
Type a description for your group.
The description captures the group's objectives and helps to inform and attract other people who might be
interested. If the group is public, the description is visible to others and they can search for the group's
description. When the group is private, the description is visible when someone is invited or joins the group.

There are three options to select from:
6.
○
Public Group - A group that anyone in your company can join, view, and make content updates to.
○
Private Group - A group where members must be explicitly invited in order to view or post group items.
This group can only be edited by SAP Jam administrators and group administrators and the group name
can only be seen by invited members. The group name, members, content, and description are not visible
to anyone not invited to join the group.
○
External Group - A group that lets you communicate with members of different companies in a private,
invitation only space. This group can only be edited by SAP Jam administrators and group administrators.
(optional) Click Advanced Options and set the following settings:
○
○
Select a Collaboration Level:
○
Read-only - Only group admins can create, edit, and post items in the group. All users can view,
download, and add comments to group content, but they are not allowed to post or edit. This group
type is not for collaboration, but only for broadcasting information.
○
Limited - Only admins can create and upload new content. All users can edit, post, comment, like, and
view group content.
○
Full - All users can create and collaborate on group content. The Group Admin can customize the
upload policy.
Set Invite Policy:
○
○
○
All members - All members are allowed to invite new members. This option is only available for public
groups.
○
All group members - All group members are allowed to invite new members.
○
Only group admins - Only the group admins are allowed to invite new members.
Set Upload policy - If you choose the full collaboration level, you can restrict the upload policy according
to your needs:
○
All group members - all members of your group can upload new content items.
○
Only group admins - only group admins can upload new content items. All group members are
allowed to comment or edit content.
Set Moderation Policy - If selected, when group members upload documents, photos, videos, wikis or
blogs, the group administrator must first review and approve this content before it is visible in the group.
This provides content publishing safe-guards to ensure content is appropriate for the business context
within a group.
7.
Click Create at the bottom of the page.
8.
(optional) From the group's page, click Group Admin and select Edit to view group settings.
You can edit the following:
○
From the setup tab, you can Customize what is available in this group. This includes enabling and disabling
the group Content Section and Forums Section.
○
From the participation tab, you can Enable @@notify. If this is selected, users can send notifications to all
group followers. As a group administrator, you can turn off the ability for members of the group to
@@notify other group members to help minimize unwanted notifications in large groups.
Note
It is possible for Group Administrators to change the group permissions to Public, Private, or External after a
group has been created.

Inviting people inside your company to a group
1.
From the group page, click Invite.
2.
Type the email addresses of the people you want to invite to the group and click Send Invite. If the people you
are inviting already use SAP Jam, you can also enter their name and the auto-complete function will help you
to quickly find the right person. You can also add a message in the Personal Message box.
Note
If the group is a Private internal group or Public internal group, you can only invite participants with your
company's email address (For example, [email protected]). Public internal groups are visible
to anyone within your company without invitation.
The invitee will receive an e-mail notification about your invitation and then can choose to accept or reject your
invitation.
Users can leave group membership if they select the Leave Group option or they can stop seeing updates from the
group in their Home feed by selecting the Stop following this group option.

Note
Once access to the group is granted, group admins can remove access to the group.
2.4
Inviting external participants to a group
You can invite participants outside your company to collaborate on SAP Jam.
Note
External participants can only be invited to join “private external groups”.
External registration process
Inviting external users to your group will kick start the registration process to allow your guest into the group. Your
guest will receive an invitation from [email protected] to register as a guest to your company's
SAP Jam network. The guest registration process requires users to have an SAP ID account. SAP ID is a central
authentication service used by all SAP websites and SAP Hana Cloud Platform applications. When the user clicks
on the "View group invitation" link in the e-mail invitation, they will be asked to either register for SAP ID or confirm
their existing SAP ID credentials before they are given access to SAP Jam as a guest user.
External interface and restrictions
External participants only have a limited view of SAP Jam. External participants can access their Home, Profile,
and Groups tab.
●
Home tab - Feed updates within the Home tab only display a summary of activities for groups the external
participant is a member of.
●
Profile tab - Within the Profile tab external participants can maintain basic profile information, contact
information and upload a photo. External participants can't browse for or follow other participants' profiles.
●
Groups tab - External participants are not allowed to create new groups or browse for existing groups. Within
the Groups tab they can only see groups they are a member of. Within a group external participants can
create content and access a limited profile of other group members (internal and external).
Note
External participants can't use search and can only find people and content of the groups they are members of.

About groups
Troubleshooting external registrations
If your guest external users have trouble registering for SAP Jam, ensure you have done the following:
●
Your guest external users have carefully read the instructions in the email invitation sent by SAP Jam.
●
Your guest external users have registered with the same email address that you used to invite them to SAP
Jam.
●
You actually invited your guests to the group instead of just forwarding a link to the group.
2.5
Allowing users to request to join a private group
A group admin can configure a private group to allow non-members the ability to request to join. This feature only
works for provisioned users, and does not work with external ‘guest’ user accounts. The feature is designed to
ease the challenge of having to specify many invitee emails individually, or when an open-invitation policy is
desired.
To do this, the group administrator
1.
creates and activates the group
2.
captures the group’s unique URL on the browser
3.
sends the URL to the intended members by other means (E-mail, communities etc.)
When someone accesses the group URL, they are taken to the group’s landing page where they can request to
join. The group administrator is notified when there are pending requests for the group. He collects all requests
under the Pending Request list where he can verify who made the requests, and either accept or deny the
requests. When there are multiple group administrators in the group, any group administrator can accept or deny
membership requests.
2.6

description, or image.

About feeds
SAP Jam makes it easy for you to stay up to date with feeds. Feeds deliver regularly updated summaries of
content. You can share and broadcast information to your colleagues in numerous ways.
Clicking on links to content in the feed allows you to quickly preview that content in a “lightbox”. A lightbox is a
type of pop-up that overlays on top of the existing page. This allows you to quickly preview the content associated
with the event in the feed to see the full context of the update. When you’re done previewing the content, the
lightbox can easily be closed and you are returned to the same position in the feed without requiring the feed page
to reload. This new navigation enhancement allows users to get to content with fewer clicks and generally speeds
up user interaction with SAP Jam by requiring fewer page loads. Viewing content from the lightbox has also been
enabled from group overview pages, allowing users to preview content immediately upon entering the group
without having to navigate into the group structure.
3.1
Home Feed
Your Home Feed is an aggregation of all the content that you have access to in both private and public groups. On
your Home Feed you will find a summary of all status updates posted by people you follow or in groups where you
are a member. If you don't want to see all the updates, click Edit Feed Settings to choose what type of group and
user activity show up in your Home Feed.

work in progress, enter the respective SAP Jam group. You can also directly post or reply to status updates from
your Home Feed, all you need to do is to enter the group name in the corresponding field. This allows you to read
and reply to updates from all SAP Jam groups you are engaged with in just one place.
3.3
Company News Feed
Status updates that are not directly addressed to a specific group appear on the Company News Feed. The
Company News Feed is public and viewable by anyone within your organization and contains all public feeds from
your company. It doesn't include any feeds from private groups.

Your Profile page filters everything that affects you. On your Profile page you can find all status updates and
content posted by you or directly addressed to you (@mentions). You can also find updates on changed profile
information. Everything you post to your Profile page is visible to everyone inside your company, but not to
external guests. You can post personal status updates, videos, files, or other content to your Profile page to let
everyone know what you are working on.
To post a personal status update type your message in the Post Update box and click Share.

4
About notifications
SAP Jam lets you explicitly bring attention to content updates, posts, or replies to posts by using the @mention
and @@notify features.
You can use @mention and @@notify within feed or forum posts, as replies to posts, or as comments on or replies
about content items.
The @mention feature lets you notify specific users in SAP Jam. You can @mention a user by typing the '@' sign
and then selecting the user’s name from the list of options that ensues. The ‘type-ahead’ capability will let you
quickly drill down on a name. Depending on the context in which you use the @mention feature, the list of user
names will be scoped accordingly: if you @mention within a group, the list of possible user names will be restricted
to the members of that group; if you @mention outside a group the list will include all users in your instance of
SAP Jam.
The @@notify feature lets you notify multiple SAP Jam users at the same time. Using the @@notify feature
notifies users depending on the context in which it is done: if within a group, @@notify will notify all members of
that group to the content or activity you are bringing attention to (use this feature sparingly in groups with large
member lists). Outside a group context, for instance on your profile wall, using @@notify will notify all users in SAP
Jam who are following you (consider the number of people you might be notifying when using this outside of a
group context).
Your personal Notifications area ensures you can find all actionable SAP Jam events either directed at you or
involving your activities in one place. This includes @mentions, replies to your comments, likes of your posts,
answers to your questions, feedback on your ideas, kudos you've received, and so on. The Notifications alert in
the SAP Jam header displays the number of notifications directed at you or pertaining to you, and clicking on the
alert icon displays a quick-view drop-down of those notifications, allowing you to act on them from there or drill in
for further information.
For group administrators of SAP Jam groups where moderated participation has been turned on, notifications
also alert you of new content that has been uploaded and is awaiting your review and approval.
For company administrators, notifications alert you to content that has been marked as inappropriate and
requires your review.

About content
Content items are wiki pages, blogs, videos, images, documents (PowerPoint, Word, Excel), polls, decision tools,
and any other file that you upload to SAP Jam. Generally, group members provide their feedback on the
information that content items contain, and use this information to collaborate and make decisions. Creating and
sharing content collaboratively within an integrated environment has a great potential for improving the way your
team works.
You can create content items in two areas depending on who you want to access your content:
●
You can add content items to an SAP Jam group - The content is available to all group members.
●
You can add content to your profile page - The content can be seen by everyone in the company.
To access content within a group, navigate to the group where the content resides and click Content in the left
navigation bar. You are directed to an overview of all content items that have been created in the group.
To access content within a person's profile page, navigate to the person's profile page and select a content
category in the left navigation bar. You will see all content items of the selected category that this person has
created.

Blog posts
Blog posts are typically used to share ideas and thoughts that are longer than the status updates can
accommodate. While others can comment on your blog posts, you are the only person who can edit the post's
contents. Blogs also have a calendar associated with them so that users can look at posts that you have made on
specific dates. You can use blog posts to do the following:
●
Post your view on thoughts on a specific topic.
●
Publish regular news and updates.
●
Evaluate and summarize events or projects for your team.
●
Provide feedback by commenting on a blog post.
●
When you don't want others to be able to edit what you wrote.

Decision making tools
Decision making tools help direct the discussion in a group. Generally, group members add their input to decision
making tools and make decisions analyzing the record of this information. For example, you can use a Pro/Con
Table to create a set of options and gather positive and negative opinions about each option. Then, group
members can use the record to help them decide which option to select.
The following decision making tools are available:
Decision Making Tool
Description
Decision
Explains a decision to be made and contains information
about it. Once a decision has been made, you can record and
lock your Decision, and select group members to sign off on
it. If things change, you can always re-open and re-work the
decision.
Poll
Allows you to ask a multiple choice question to others. When
you create a poll, you define the question and the possible
answers. The poll appears on the group feed of the group
where you created it. As people respond to the poll, results
are shown graphically as colored bars.
Pro/Con Table
Allows you to create topics and have your team members
provide pros and cons for each topic, along with the reasons
behind each pro and con. If your view is set to Summary, the
Pro/Con Table will only display the total pros and cons. If
your view is set to Full Text, the reasons behind each pro and
con will be displayed.
Ranking
Contains a question and a list of valid responses. In a Ranking
tool, you would go through the following stages:
●
Build - the question is entered, and the items to be
ranked are added to the tool.
●
Rank - each team member ranks the responses and
submits their own ranked list.
●
Freeze - the rankings are tallied and the results are
presented.

Planning tools
Planning tools help you plan and coordinate projects with team members. The following planning tools are
available:
Planning Tool
Description
Agenda

agenda organizer and any collaborators can add topics to be
discussed at the meeting, set time limits for each topic, and
upload attachments that are important to a topic.
Task
Allow you to keep track of important work to do. You can also
assign tasks to other users to coordinate team collaboration.
Tasks can either be personal tasks or tasks associated to a
project.
Timeline
Allows you to plan out major milestones weeks or months in
advance, and display these milestones to your team as a

Videos
SAP Jam lets you create videos using either screen capture or webcam. Videos are a good way to share
lightweight information about a single topic. With video, you can voice over a power point presentation, walk
people through a process, or just record a conversation. For a list of supported video codecs, see About content
[page 33]
Note
In order for SAP Jam to play a video, Adobe Flash Player must be installed in the Browser. Also, in order to

Managing content
Using folders
SAP Jam groups can have a range of information, which you may want to organize into folders. Folders let you
organize content items into collections to make it easier for group members to discover relevant information. For
example, you could create a folder for summaries of weekly meetings about an activity, to make this information
easier to find.
To create a folder, click Create in the Content tab and select New Folder.
In addition, group administrators can create private folders. Private folders are shared folders with group
administrators and selected individuals, for private collaboration. Private Folders allow members of the larger
team to break off into a private area to do individual mentoring. For example, in a team group a manager can
create a private folder for each of her employees to do one-on-one mentoring, and content sharing.
Note
Private folders can only be created at the top level of the content section.
To share a folder's location, you can forward the URL of the folder.

Setting Permissions on Documents and Wikis
SAP Jam supports the ability to set granular permissions on individual documents and wikis in a group. A
document owner is defined as the member who originally shared a document in the group (uploaded version 1).
As a document owner, you can choose one of the following permissions:
1.
Full Access (default) – other group members can view, edit, delete, rename, re-upload, restore, and download
2.
Limited – other group members can view and download, but not edit, delete, rename, or otherwise change the
document
3.
Read-only – other group members can only view. Downloads are not allowed.
A wiki owner is defined as the member who first created a wiki. As a wiki owner, you can choose from the following
permissions:
1.
Full Access (default) – other group members can view, edit, delete, rename, restore
2.
Read-only – other group members can only view (previously known as “Locked Page”)
3.
Hidden – not visible to other group members
A document owner always has full access to their own documents. A wiki owner always has full access to their
own wikis. A group admin always has full access to all documents and wikis in the group.
Searching in SAP Jam
In SAP Jam, you can search for people or information that you are looking for by typing a keyword in the Search
box. If you are searching from within a group you can limit your search to that specific group, by selecting the
option This Group.
It is also possible to filter an entire Group's content by content type by selecting one of the options in the Showing
menu. The “featured” column shows which content is most important. Featuring content also displays it in the
group home page tiles, making it more discoverable.

Managing content
Once you have submitted a search you can filter the results by adjusting any combination of the available filters.
The following search filters can help you find the information you are looking for:
●
Time created - You can select to filter for items created within the last 24 hours, last 7 days, last 30 days, or all
time.
●
Author - If you know the author of the content you are searching for or you are interested in content created
by one particular person, you can specify the author's name.
●
Group - If you are looking for content in a specific group, you can specify the group.
●
Tag - If the content is tagged, you can specify the tag.
●
Category - You can look for content of a specific type. Categories include comments, content (documents,
images, videos), conversations (discussions, ideas, questions), groups (matches group name and
description), people, and tasks.
Additionally, you can sort your results by date, relevance, likes, or views.
Using recommendations
Another way to find content or people is to use recommendations. Within a group, you can click the
Recommendations tab to see the most viewed content in that group. You can also click the Recommendations tab
in your home page to get a list of people relevant to you based on their profile information.
Using bookmarks
When looking at feed updates, you may want to bookmark some relevant feeds to look at them later. In SAP Jam,
you have the option to bookmark feed updates by selecting Bookmark in the More menu. If you later decide to
remove the feed from your bookmarks, select Unbookmark in the More menu.

Using Tasks
Tasks are action items that you can create and assign to yourself or others. Tasks let you delegate and track
important tasks that are related to feed updates. You can also submit due dates for Tasks and upon completion,
the person responsible can change the status of their task, from open to completed.
You can access your task lists from the Tasks tab on the top of the page. You can also add, edit, and delete tasks;
and expand and collapse the details of a given task inline.
The following common filters are available:
●
Working On
●
All Tasks for Me
●
Assigned to Others
●
Following
●
Completed Tasks
●
Tasks by Group
To further manage your task list, you can sort by Due Date, Priority, and Group, search for a task by keyword, set a
task to Working On by clicking on its pushpin, and complete a task by checking off its check box.
You can assign a task to multiple users in one step, and have each assignee independently work on their task and
report their individual status.
You can also attach new or existing documents in the group to a task or attach tasks directly to an item in the
group such as a document, a photo, a blog etc. SAP Jam now maintains a task list for each item.
When a user is assigned a task, they are notified through SAP Jam Notifications. Additionally, there is the ability to
manually Remind someone about an open task (previously called “Request a Status Update”), or the ability to
send automatic reminders to those who have open tasks (previously called “Auto-Nudge”).
All tasks need to be assigned to a specific group so they have clear business context.

About forum topics
Forum topics are used to group general discussions, questions and answers, and ideas to focus upon. Group
members add Questions, Ideas and Discussions to a forum topic and can change the forum topic's name. Group
administrators can create, move, edit and delete specific forums.
Group administrators can create question forums, or idea forums. Question forums are tailored for submitting
questions to a group, obtaining answers, and designating when a question has been answered. Idea forums are
tailored for soliciting ideas from a group and getting feedback on submitted ideas from other group members.
Forum topics can be open or restricted. An open forum topic allows the posting of discussions, questions, and
ideas. A restricted forum topic allows the posting of only discussions, only questions, or only ideas.
You can also attach files to Discussions, Questions, and Ideas to add more context and content to your original
posts, answers to Questions, and comments on Ideas.
7.1
Discussions
Discussions can be created within groups and consist of different threads created by users and may contain an
undefined number of interlaced answers. Discussions are associated with specific forum topics. Users who create
a new thread can assign existing tags to that thread or create their own ones. Users can watch all threads in a
group by email notification. Use discussions to do the following:
●
Post Questions and Answers.
●
Exchange opinions and discuss with a broad group of people.
●
Gather feedback.
7.2
Questions
You can create a question when you want to submit a question to a group, obtain answers, and designate when a
question has been answered with the best answer. Questions are associated with specific forum topics. When you
create a question, other group members can see it and add their answers. Then you can select the best answer
from the list, click Mark Best Answer, and the question is labeled as answered. Group Administrators can use the
column indicators to monitor if questions are getting answered and see which ones need attention. Users can see
which questions have been marked as answered.
7.3
Ideas
Create an idea item to submit ideas to the group and get feedback from its members. Idea Management can be an
effective way to get feedback and advice from employees, partners or customers that you invite to the group.
Group Administrators can create Forum Topics to collect ideas on things like how to solve workplace challenges

or which products to develop. After group members provide feedback by voting an idea up or down or provide
comments on an idea, you can look at the total amount of votes to gauge the overall sentiment of your audience
