Invalid Leave Codes
Definition
This metric identifies students who were withdrawn with an invalid leave code, and do
not have a subsequent re-enrollment into another school in the district. Invalid leave
codes are “Left” (L) or “Did Not Arrive” (99) values.
Why is this important? Incorrect leave codes will have a downstream effect on student
projections, scheduling, grading, and attendance. It will also have a negative impact on
state reporting when it is not clear whether the student is actively enrolled.
Notes: (1) “Left” codes should only be added to a student’s record through system
automation; and (2) Code 99 is only applicable the first 20 days at the start of each school
year. Schools must make a final determination of student status for all code 99 students
by the 20th day.
Mitigation/Resolution Process:
Schools should ensure that students are withdrawn with a valid CPS leave code.
1.
Perform a search to locate and open the record of the student in question.
2.
On the Control bar (left-side bar), click Enrollments.
3.
Hover over the Comment column and click the Edit pencil that appears
4.
Click the Withdraw button and replace the “Left” code with the appropriate CPS leave code.
5.
Click OK to save.
