Steps for DMEs/DIOs to Ensure a Smooth Transition to Web ERAS Program Director’s Workstation
Step 1 – ERAS Invitation
You should have already received an invitation from us. Please contact us if you would like the invitation to
be resent. All users will need an AAMC account to access the system. Our email will provide instructions
based on your account type.
Verified AAMC Account – These users have an AAMC account and their first name, last name, and
email match ERAS’ records. Log into the PDWS with your credentials. Use forgot
username/password to retrieve account data.
Unverified AAMC Account – These users fall into one of two categories. They do have an AAMC
account or the name associated with their AAMC account differs from ERAS’ records. These users
must click on the invitation link, then log in with existing account information or register a new
account.
o Registering an AAMC Account – After clicking on invitation link, click on “Register
for an AAMC Account” on log in screen. Follow prompts and confirm account in
second email, then proceed to log in. Troubleshooting Help
Steps 2-4 – Inviting Other Users
2. Toggle to the institutional account
o Click continue on the screen that contains just your institution. Do not select any grouping
or program from the drop down menu. To reset, select clear.
3. (Optional) Designate an alternate institutional user to manage PDWS.
o Invite Alternate Institutional Super User – Go to Manage Users under the Setup module.
Select Invite User and populate user information and select Institution level.
4. Verify and invite pre-populated list of directors and coordinators from Pre-verified Users under the
Setup module
o Pre-verified list – Only users of programs that have indicated a participating status in ERAS
Account Maintenance (EAM) will appear in list.
o
Roles - Individuals listed in EAM as the program director and primary contact are assigned
the role of Program Super User (PSU) and Program Coordinator 1 (PC1) respectively. The
PC1 role cannot modify settings for data fields (citizenship, gender, felony, etc). Users
assigned an Interviewer/Reviewer role will not have access to the PDWS until the season
starts. Do not assign more than one role to a given user.
o
Manually Inviting – If an individual does not appear in the pre-verified list, send an
invitation under Manage Users in the Setup module. You will be able to invite new users
approximately 1 month before the start of the season. View chart of roles and
corresponding permissions.

Steps 5-6 – Institutional Settings
5. Data Filters – Configure settings to make the following categories viewable or hidden
o Fields: birth date, birth place, citizenship, felony conviction, gender, limitations, etc.
o Note: If programs override these settings, the institutional super user will be notified.
6. Residency Management System (RMS) Selection (Optional) – Enable transmission of matched
application data to their respective RMS vendors (E*Value, New Innovations, Medhub, and
MyEvaluations) using RMS Selection under the Setup module.

Staging – a learning environment that enables program users to familiarize themselves with the
web PDWS. The invitation and access process is identical to the actual PDWS. ERAS does not advise
inviting all users in pre-verified list. Only invite those users who would benefit from additional

Applicant Data – Much of the applicant data in Staging is de-identified, but users should
treat this information as if it were the actual PDWS by maintaining data integrity and
security. Each program contains data from their ERAS 2015 applicants.
