introducing the hp deskjet 995c series printer
Congratulations! You have purchased an HP Deskjet printer which is
equipped with several new features:
• Advanced Bluetooth™ wireless communications feature allows
you to print with a wide range of productivity tools without a
cable connection
• Infrared printing feature allows you to print information from devices
other than your desktop computer
• Increased print speeds up to 17 pages per minute for black text and
13 pages per minute for text containing color graphics
• Greater flexibility in printing two-sided documents using the Automatic
Two-Sided Printing Module
• Better print performance using the Automatic Paper-Type Sensor
• Excellent photo quality through HP’s PhotoREt III, ColorSmart III
printing technology
HP Deskjet printers are designed to help you get the best results for your
printing needs. Read about these and other features in the following sections.

terms and conventions
The following terms and word conventions are used in quick help.
terms
The HP Deskjet 995c series printers are referred to as HP Deskjet 9xx or
HP Deskjet.
symbols
The > symbol guides you through a series of software steps.
For example:
Click Start > Programs > hp deskjet 9xx series > hp deskjet 9xx series
Toolbox to open the HP Deskjet Toolbox.
cautions and warnings
A Caution indicates possible damage to the HP Deskjet printer or to other
equipment. For example:
Caution! Do not touch the print cartridge ink nozzles or copper
contacts. Touching these parts will result in clogs, ink failure, and bad
electrical connections.
A Warning indicates possible harm to yourself or to others.
For example:
Warning! Keep print cartridges out of the reach of children.

A Note icon indicates that additional information is provided. For example:
For best results use HP products.
A Mouse icon indicates that additional information is available through the
What’s This? help feature.
To find more information about options on each tab screen, point
to an option and click the right mouse button to display the What’s This?

learning about printer features
buttons and lights
The HP Deskjet printer buttons let you turn the printer on and off, cancel a
print job, or resume printing. The lights give you visual cues about the state
of the printer.
1. Cancel button 2. Print Cartridge Status symbol and light
3. Resume button and light 4. Power button and light
5. Bluetooth wireless connection status light
cancel button
Pressing this button cancels the current print job.
print cartridge status symbol and light
The light above the Print Cartridge Status symbol flashes when you need to
check the status of the print cartridges.

resume button and light
The light above the Resume button flashes when an action is required such
as loading paper or clearing a paper jam. When the problem is fixed, press
the Resume button to continue printing.
power button and light
The Power button turns the printer on and off. It takes approximately five
seconds for the printer to turn on after pressing the Power button. The green
light above the Power button flashes when printing is in progress.
Caution! Always use the Power button on the front of the printer to turn
the printer on and off. Using a power strip, surge protector, or a wallmounted switch to turn the printer on and off may cause premature
printer failure.
Bluetooth wireless connection status light
For more information about your printer’s Bluetooth wireless communications
feature, visit HP’s Website at http://www.hp.com. Click drivers, type 995c in
the enter product name and number box, and then press Enter.
paper trays
The printer has an In tray and an Out tray. Place paper or other media in the
In tray for printing. Printed pages are deposited in the Out tray.

infrared lens
The HP Deskjet printer has a special Infrared (Ir) lens. The Infrared lens allows
printing from an infrared sending device such as a Palm Pilot, laptop, or
notebook computer.
automatic two-sided printing module
The Automatic Two-Sided Printing Module is a special hardware feature that
enables the printer to automatically print on both sides of the page. If this
feature is not included with your printer, it can be purchased separately.
manual two-sided printing
Manual Two-Sided Printing is a feature that enables the printer to print both
sides of a page using the Rear Access Door.

automatic paper-type sensor
The Automatic Paper-Type Sensor automatically determines the correct paper
type for most paper or media placed in the printer’s In tray. This feature,
particularly when used with HP paper and media, assists in obtaining the
best printing results. The feature can be used with both HP and non-HP
media; however, it is optimized for HP media. Because Automatic is the
default printer setting, the printer is able to quickly select the appropriate
paper type.
Bluetooth wireless communications
The HP Deskjet printer is equipped with Bluetooth wireless technology which
allows the printer to interact with a range of productivity tools without the
need for a cable connection.
For more information about your printer’s Bluetooth wireless communications
feature, visit HP’s Website at http://www.hp.com. Click drivers, type 995c in
the enter product name and number box, and then press Enter.

using paper trays
in tray
The In tray holds paper or other media to be printed.

Change the position of the Out tray for different printing needs.
1. Single envelope slot 2. Out tray down 3. Out tray extension
1. Out tray up
Out tray down - Leave the tray in the down position for most types of printing
and single envelope printing.
Out tray extension - Pull the tray extension out when printing a large number
of pages. Also extend the tray when you are printing in draft mode to prevent
the paper from falling out of the tray. When the print job finishes, push the
tray extension back into its storage slot.
Out tray up - Place the tray in the up position to properly load banner paper.
It must remain in the up position to print banners.
Do not use the Out tray extension with legal-sized paper. It may cause
a paper jam.

setting printing margins
The printer cannot print outside a designated area of the page so your
document content must be contained within the printable area. Follow these
instructions to set printing margins:
1. Open the file you want to print.
2. Use one of the following methods to display the
hp deskjet 9xx series screen:
• Click File > Print, then select Properties.
• Click File > Print Setup, then select Properties.
• Click File > Print > Setup, then select Properties.
The option selected varies depending on the software program
being used.
The hp deskjet 9xx series screen appears displaying three tab options:
Setup, Features, and Advanced.
3. Select the Setup tab, then select User Defined Paper Size in the
Paper Size option.
The User Defined Paper Size dialog box appears.
4. Select the appropriate width and length settings.
Paper width must be between 77 and 215 mm (3 x 8.5 in) and paper
length must be between 127 and 356 mm (5 x 14 in).
5. Click OK to return to the Setup screen.
6. Click Apply, then click OK to accept the new settings.

printing with the hp deskjet printer
The printer is controlled by software installed on the computer. The printer
software, also called a printer driver, provides dialog boxes to communicate
print requests to the printer.
printing in Windows 95, 98, Me, 2000, and NT 4.0
Follow these instructions to print in Windows 95, 98, Me, 2000, and
NT 4.0:
1. Open the file you want to print.
2. Use one of the following methods to display the
hp deskjet 9xx series screen:
• Click File > Print, then select Properties.
• Click File > Print Setup, then select Properties.
• Click File > Print > Setup, then select Properties.
The option selected varies depending on the software program
you are using.
The hp deskjet 9xx series screen appears displaying three tab options:
Setup, Features, and Advanced.
3. Select the Setup tab to choose print quality options, paper type, paper
size, and photo paper printing.
4. Select the Features tab to choose page orientation, two-sided printing,
multiple pages per sheet, and poster printing.

5. Select the Advanced tab to choose color options for text, ink volume,
print speed (Low Memory Mode), and to make color and
contrast adjustments.
6. Click OK to return to the Print or Print Setup screen.

Click OK to print.
To find more information about the options on each tab screen, point to
an option and click the right mouse button to display the What’s This?
dialog box. Select What’s This? to view more information about the
selected option.

using the taskbar icon
The Printer Settings taskbar icon allows you to determine the status of the print
cartridges and to adjust print settings such as default print quality and
automatic two-sided printing.

1. Double-click the Printer Settings taskbar icon.
The Printer Properties dialog box appears.
2. Select the available print options in the hp deskjet 9xx series screen.
3. Click OK.

locating the warning message indicator
The Printer Settings taskbar icon appears at the end of the taskbar. The color
and appearance of the icon indicate the status of warning messages.
• When the icon is blinking and outlined in yellow, unread warning
messages have been issued.
• When the icon is no longer blinking but still outlined in yellow,
previously read warning messages are pending.
• When the icon is no longer outlined in yellow, warning issues
are resolved.

1. Select the Printer Settings taskbar icon to open the Default Print Settings
dialog box.
2. Click the Warning Information button.
The hp deskjet Toolbox is opened.
3. Select the Warning Information tab to view warning messages about the
print cartridge.
4. Click Close in the top right corner of the Toolbox to exit.

1. Click the Printer Settings taskbar icon.
The Default Print Settings dialog box appears. It allows you to change the
default print quality and turn on automatic two-sided printing.
2. Select the following options:
• Print Quality: Draft, Normal, or Best
• Automatic Two-Sided Printing: If appropriate

3. Click anywhere outside the dialog box.
A dialog box appears advising that the selections made determine what
print settings the printer will use when printing. If you don’t want to see
this dialog box again, select Don’t show me this message again.
4. Click OK.
using printer settings taskbar icon shortcuts
1. Right click the Printer Settings taskbar icon.
A shortcut menu appears displaying the names of installed printers. A
check mark appears next to the selected printer. You can select another
printer from the menu to change the default printer.
2. Choose one of these options:
• Change Default Print Settings to open the Default Print Settings
dialog box.
• Click Open Toolbox to open the hp deskjet Toolbox.
• Click Exit to turn off the Printer Settings taskbar icon.

Print a single envelope using the envelope slot, or print a stack of envelopes
using the In tray.

1. Place the envelope—with the flap side on the left and facing up—into the
single envelope slot.
2. Push the envelope forward until it stops.

these instructions. Follow the instructions provided by the software program.

3. Place no more than 15 envelopes—with the flap side on the left and
facing up—in the tray.

the tray forward until it stops.

4. Place no more than 30 transparency sheets in the tray with the rough
side down and the adhesive strip toward the printer.
5. Push the transparencies forward until they stop.
6. Slide the paper guides snugly against the transparency paper and slide
the tray forward until it stops.

Use only paper labels that are designed specifically for inkjet printers.

Make sure the sheets are not sticky, wrinkled, or pulling away from the
protective backing.

these labels.

6. Slide the paper length guides snugly against the edges of the media.

understanding the print cartridge status light
The Print Cartridge Status light flashes when one or both of the print
cartridges are low on ink, improperly installed, or malfunctioning. This light
also flashes if the wrong print cartridge type is used.

If the ink level is low in a print cartridge, the Print Cartridge Status light stops
flashing when the printer’s top cover is opened. If the problem is not related
to low ink, the light continues to flash after the cover is opened.

When a print cartridge is empty, leave the empty print cartridge in the print

To replace a print cartridge:
1. Verify that the Out tray is down.
2. Press the Power button to turn on the printer.
3. Open the top cover.
The cradle moves to the center of the printer.
4. Raise the cradle latch.

If your printed pages are missing lines or dots, or if they contain ink streaks,
the print cartridges need to be cleaned.
Print cartridges are cleaned automatically using the following procedure:
1. Open the hp deskjet toolbox.
2. Select Clean the Print Cartridges and follow the on-screen directions.
If you have questions about the cleaning feature, point to the Clean the
Print Cartridge option and click the right mouse button to display the
What’s This? dialog box. Click What’s This? for more information.
If your printouts are still missing lines or dots after cleaning, the ink level may
be low in the print cartridge. If so, one or both print cartridges may need to
be replaced.
If ink streaks still appear on your printouts after cleaning, the print cartridges
and print cartridge cradle may need to be cleaned manually.
Only clean print cartridges when it is necessary. Unnecessary cleaning
wastes ink and shortens the life of the cartridge.

If the printer is used in a dusty environment, a small amount of debris may
accumulate inside the case. This debris can include dust, hair, carpet, or
clothing fibers. When it gets on the print cartridges and cradle, it can cause
ink streaks and smudges on printed pages. Ink streaking is easily corrected
by manually cleaning the cartridges and cradle.

You will need the following items to clean the print cartridges and cradle:
• Distilled or bottled water. Tap water contains contaminants that
damage print cartridges.
• Cotton swabs or other soft, lint-free material that will not stick to
the cartridges.
Be careful not to get ink on your hands or clothing as you clean.

Remove the print cartridges from the printer before cleaning.
1. Press the Power button to turn on the printer; raise the top cover.
The print cartridges move to the center of the printer.
2. Disconnect the power cord from the back of the printer.

The printer ejects ink onto paper in a fine mist, and small amounts of ink may
be deposited on the printer case over time. Follow these guidelines when
cleaning the outside of the printer:
• Use a soft damp cloth to remove dust, smudges, stains, and spilled ink
from the printer case exterior. Use water only. Do not use household
cleaners or detergents.
• Do not clean the printer’s interior. Keep all liquids away from
the interior.
• Do not lubricate the rod on which the print cartridge cradle moves. It
is normal to hear noise as the cradle moves back and forth on the rod
when the printer is new. The noise decreases with use.
The printer should be handled and stored in an upright, level position
for maximum performance and reliability.

Do not refill HP print cartridges. Refilling print cartridges causes the electronic
and mechanical components of the print cartridge to exceed their normal life
cycle. It also creates many potential problems, such as:
• Poor print quality. Non-HP inks can contain elements that clog the
cartridge nozzles and cause inconsistent print quality. Non-HP inks
can also contain elements that corrode the cartridges’ electrical
components, resulting in poor printouts.
• Potential damage. Ink from a refilled cartridge can leak onto the
electrical components in the printer. This can cause severe printer
damage, resulting in downtime and repair costs.
Caution! Damage that results from modifying or refilling HP print
cartridges is specifically excluded from the HP printer’s
warranty coverage.
To get the best performance from your printer, Hewlett-Packard recommends
using only genuine factory-filled HP print cartridges.

maintaining print cartridges
The following tips will help maintain HP print cartridges and ensure consistent
print quality:
• Keep all print cartridges in their sealed packages until they are
needed. Print cartridges should be stored at room temperature
(60–78 degrees F or 16–27 degrees C).
• If print cartridges have been removed from their sealed packages and
not used, store the cartridges in an airtight plastic container. Store
print cartridges with the nozzle-side up. Do not allow anything to
touch the nozzles.
• If the vinyl tape has been removed from the print cartridge, do not
attempt to reattach it. Reattaching the tape will damage the
print cartridge.
• Once print cartridges are installed in the printer, leave them in the
print cartridge cradle unless they are being manually cleaned. This
prevents ink from evaporating or clogging the print cartridges.
Caution! Do not unplug the printer until printing is complete and the
print cartridge cradle returns to the home position on the right side of
the printer. Print cartridges dry out if not stored in the home position.

light turns off and the printer stops printing. Realign both devices within 30
seconds and the print job will resume.
