Import Overview
The Tigerpaw Import Wizard lets you import 17 different types of new records and 5 types of updates to existing records, including accounts, price book items, subcontractors and vendors. This tool is a tremendous time-saver when initially setting up Tigerpaw or mass updating records, such as vendor price sheets. The Import Wizard is auto installed when you install the Tigerpaw Business Suite.
The wizard accepts these import sources. Refer to the "Import Sources/Formats" section in this topic for additional information about these sources.
Delimited text file extracted from the source database.
Microsoft Excel spreadsheet.
Connection to an ODBC data source, such as a SQL database.
CRITICAL: Never perform an import on your production database without first thoroughly testing the import on an ARCHIVE copy of your production database. Test imports allow you to verify the imported data and correct bad data or mismatched field mapping before importing into your live database.
Once the test imports are successful, create a BACKUP copy of the production database.
Importing bad data or values mapped to the wrong field can potentially corrupt your database and render it unusable. The BACKUP database ensures you can restore your production database if needed.
Import Types
The following import types are available:
Accounts Customer Inventory
Account Notes
Alternate Bill-to Addresses
General Ledger Accounts
Manufacturers
Alternate Ship-to Addresses
Circuits
Contacts
Price Book
Price Book Categories
Sales Tax Districts
Service Orders
SIC (or NAICS) Codes
Subcontractors
Tasks
Vendors
Account-Related Imports
For new databases, the following imports must occur after the Accounts import, as these imports require an account number, account ID, or A/R customer number to tie each record to an account.
Account Notes
Alternate Bill-to Addresses
Customer Inventory
Service Orders
Alternate Ship-to Addresses
Circuits
Contacts
Subcontractors
Tasks
Vendors
Custom Fields
These import types allow custom field imports. Custom fields defined in the Tigerpaw Business Suite automatically display as available fields in the Import Wizard.

Import Sources/Formats
The Import Wizard accepts the following formats for importing data into Tigerpaw Business Suite.
Source Format Description
Delimited plain text file File examples – .TXT, .CSV, .TAB and .ASC.
Delimiter examples – tab, semi-colon, comma, pipe and space.
Text qualifier (optional) – Identify the start and end of text field values (i.e. single quotes, double quotes, or none).
Excel spreadsheet
IMPORTANT: Microsoft Excel must be installed on the machine performing the import.
If you use Excel 2013, Excel must be open when you perform the import.
ODBC data source The Import Wizard supports any data source that is ODBC-compliant; that is, the database allows data access through an ODBC driver.
Source examples – MS Access, MS Excel, MS SQL Server, MS Visual
FoxPro, dBase and XML.
Import process – Set the source data link. Otherwise, the import is similar to importing text files.
NOTE: This format eliminates the need for import files, but it also eliminates the ability to remove bad or obsolete records from the import. All data cleanup must occur in the original source or in Tigerpaw Business Suite.

Import Process Flow
Following is a high level overview of the import process:
Import Wizard Process Flow
Following is an overview of the steps to run the Import Wizard:
7
Import Templates and Worksheets
Once your data is cleaned up and ready for import, the import process consists of 3 elements: the imported data source, an import wizard template and the Import Wizard utility.
8
Import Wizard templates save many of the settings you would manually selected in the wizard, including the mapping of each imported value to the appropriate Tigerpaw field. Every import must be run twice – once to test the import in an archive database and again to import the data into your live database.
Modifying and reusing a saved template help ensure the live import results match the test import results.
Templates also make it easy to run a recurrent import, such as price lists from a vendor. You can create multiple templates for the same import type, for example a separate price book import template for each vendor's price sheet.
Import templates are saved as .IWT files in the Import Templates subfolder of your Tigerpaw installation files. If the desired template is not already installed, download the .IWT file from the Training Resources page of Tigerpaw Academy and install the file in the Import Templates subfolder.
Online Document: Import Wizard Templates and Worksheets
Predefined import templates and matching Excel worksheets minimize or eliminate the time spent mapping imported values to Tigerpaw fields.
To take advantage of the predefined templates and worksheets, create import files from the predefined worksheets, including the exact same column order and blank columns for values not being imported. When running the Import Wizard, simply select the corresponding import template.
We provide two sets of templates and worksheets based on the export source.
QuickBooks Reports
Follow instructions in this document to create reports in QuickBooks and export the data to Excel in the format required by the QuickBooks (QB) import templates, such as QB Vendors.

Import Checklist
As you complete the checklist, resist the temptation to skip these critical steps:
Always test imports on an ARCHIVE database. This step lets you work out data and field mapping issues without affecting your live data. We have seen instances where email addresses imported into tax district fields and contact names ended up as invoice terms.
If you find incorrect field mapping or bad data corrupts the archive database, simply delete the archive database, create a new one, fix the import issue and retest the import. When you are satisfied with results on the archive database, the data is ready for your production database.
Always create a BACKUP database before importing into your live database. You may need to restore your data if you find additional records mapped to the wrong fields or the import fails and corrupts your database.
Always create a BACKUP database after importing into your live database. This step ensures you have a snapshot of your current data, should the database become corrupted before your next scheduled backup.
IMPORTANT: The only way to "reverse" a bad import on your live database is to revert to the backup version.
Training Video: Cleaning and Importing Data – Overview of the import process.
If you encounter issues importing an .XLSX file, save the file in .XLS format.
Excel 2013 only: Due to a quirk in Excel 2013, you must have Excel 2013 open on the desktop while importing spreadsheets or delimited text files.
Complete these steps for each import type:

Prepare for the Import
1. Review the import overview.
Related Topic: Import Overview (page 4).
9
10
Import Task
2. Read the Import Wizard User Guide topic for the type of data you're importing, such as accounts or price book items. Some import types require certain records to pre-exist in Tigerpaw Business Suite. For example, accounts must be set up before you import contacts or other account-related records.
3. Review the "Field Values You are Prompted to Enter on the Wizard" section of the import type topic.
Ensure the requested records are defined in the Tigerpaw Business
Suite.
In the import file or ODBC source, verify the required fields contain a value for each record.
4. Review the "Map the Imported Fields" section of the import type topic. This section contains the name, data type and any constraints for the fields available to import.
If creating a new template, use the table to map the imported field names to the Tigerpaw field names.
If importing an Excel spreadsheet in the specified format for generic or
QuickBooks imports, the imported fields are already mapped to an import template; you need only review the data types and constraints on imported values.
If importing data directly from an ODBC data source, skip to step 7.
If importing data from a delimited text file or Excel spreadsheet, continue with step 5.
5. Create the export file.
If importing from an application other than QuickBooks, download the appropriate Import Worksheet from the Training Resources page of Tigerpaw
Academy.
Online Document: Import Templates and Worksheets
If exporting from QuickBooks, follow the step-by-step instructions for the export type.

Import Task
For text files, what character is used to separate ("delimit") fields?
For text files, what character, if any, is used to mark ("qualify") the beginning/end of each text field value?
7. Verify the data to import is current, valid and accurate. Eliminate invalid, obsolete and orphaned records, and make sure data is in the correct fields.
For example, if some accounts have the city name in the Address 2 field, correct the error.
Text file or Excel spreadsheet – Clean up data in the import file.
The Import Wizard allows one row of header information. If the file contains multiple header rows, remove all but the field labels row.
ODBC data source – Clean up data in the original source, or, if this is not possible, in the Tigerpaw Business Suite after the import.
Test Imports in the Archive Database
8. Create an ARCHIVE copy of your production database. You will use this database to test the import.
Create archive: Menu bar > Tools > Options > Create Archive > Yes
WARNING: NEVER import data into your live database without first testing the import on an ARCHIVE copy.
9. Click Start > All programs > Tigerpaw Business Suite > Tigerpaw > Right-click
Tigerpaw Import Utility > Run as Administrator.
10. Run the import wizard on the ARCHIVE database.
Related Topic: How to Run the Import Wizard (page 13) – Step-by-step instructions.
Remember these key points when running the wizard:
If you followed instructions in the Import Wizard User Guide to create an import worksheet or QuickBooks export file, the Excel file is already mapped to an existing import template.
On the first page, select
Use import template
and click to choose the correct template for the import type.

Each Tigerpaw field can be mapped just once. If an incorrect value displays in Fields selected , double-click the cell to remove the value.
We strongly recommend you create a template or update the existing template when running tests on your ARCHIVE database. You can easily tweak settings during testing and reuse the final settings for the import into your production database.
11. Verify the imported data in the ARCHIVE database. Pay particular attention to details imported from an ODBC data source, which is not easily scanned for bad or obsolete data before the import.
Verify the correct number of records imported.
Spot check to ensure fields are populated with the appropriate information, e.g. the Address 1 column imported into the
Address 1 field.
Verify every field in these imported records: first record, last record, and a few records in the middle of the file. You don’t have to verify every field in every record, just enough to confirm that the import worked properly.
You can easily locate and verify imported accounts, contacts, vendors and subcontractors from the Group Explorer window.
12. If errors occurred during the import, review the import error log auto created in the same folder as the source file. This log lists records rejected for import, such as duplicate records (if you selected to reject duplicates), records lacking a required field, or an invalid account on secondary records, for example contacts or account notes.
Where possible, correct the rejected records in the text file, spreadsheet or data source.
If fields are mapped incorrectly or other errors occurred, delete the ARCHIVE database, create a new ARCHIVE, and re-import the data.
Import Data into the Production Database
13. Once you are satisfied with the test results, create a BACKUP version of your production database using the Tigerpaw Database Utility.
WARNING: This step is critical to preserving a usable database if the import into your production database fails unexpectedly, such as a power outage or bad data that corrupts the database. A backup database is especially important when performing multiple imports. If the next import damages your live database, you have not lost the previously imported data.

How to Run the Import Wizard
The rep performing the import must have access to the 'Can Import Data' security permission in the
General category.
Open Security: Menu bar > Tools > Options > Security
We recommend you run the Import Wizard outside of normal business hours, with all users logged out of the database to avoid a negative impact on system performance and eliminate the risk of conflicting saves on the same record. Setting the
Perform imports with exclusive access
field on the Security window ensures no one is logged in during imports.
For example the price book import updates an item that another user is currently editing. If the user saves the record first, the user's changes are lost when the import is saved. If the import saves the record first, the import changes are lost with the user's save.
13
NOTE: Due to a quirk in Excel 2013, you must have Excel 2013 open on the desktop while importing spreadsheets or delimited text files.

Export Customers from QuickBooks
The Customer export includes a QuickBooks
Tax item
for each account, which is imported into the
Tigerpaw Business Suite as a
Sales tax code
. A tax codes consists of one or more tax districts, such as
Omaha and Nebraska.
IMPORTANT: If you import a tax code and do not assign tax districts, no tax is charged.

Tigerpaw requires a primary rep on every account. In QuickBooks, account reps are optional.
If you assigned account reps in QuickBooks, we strongly recommend you create a Tigerpaw record for each rep before importing accounts.
Open Account Rep Maintenance: Menu bar > Edit > Master Tables > Rep > Account Reps
The following rep fields are required:
Rep name
,
Password
,
Email1
,
Security roles
and
Rep groups
. In addition, you must populate the
Accounting ID
field on the Admin tab of each rep record with the
QuickBooks sales rep name. Tigerpaw requires an
Accounting ID
value to post invoices. If the Tigerpaw
Accounting ID
does not exactly match a
Name
in the QuickBooks Sales Reps list, QuickBooks creates a new sales rep when importing accounting batch files from Tigerpaw.
The Tigerpaw Accounting ID should match the
QuickBooks Name field on the Sales Rep List.
Similarly, if the rep name imported from QuickBooks does not exactly match a rep name in Tigerpaw, the import wizard creates a new rep record for the imported value. The Import QuickBooks Customers to
Tigerpaw Accounts topic instructs you to update the exported spreadsheet to ensure the names match.

Import QuickBooks Customers to Tigerpaw Accounts
When customer accounts are assigned reps in QuickBooks, the export file contains rep initials, not names. If the import wizard cannot match an imported rep value to an existing
Rep name
in Tigerpaw,
39
the wizard creates a new rep record. For example if "Robert Harris" is a Tigerpaw rep and you import
"RJH", Tigerpaw creates a new rep record for "RJH".
To avoid creating duplicate rep records, you must replace rep initials with rep names in the spreadsheet.
We recommend you also remove the names of inactive reps. If an account's Rep value is blank, Tigerpaw assigns the default rep you specify in the wizard, typically the Company rep.
Complete these steps to import customers from the file created per instructions in the
Export Customers from QuickBooks topic:
1. Copy the
Customer
column and paste it beside the current
Customer
column. In the Import Wizard, this data is mapped to two fields:
Account name
and
A/R customer number
.
2. Relabel the second
Customer
column as
Customer number
.
3. Press CTRL+H to display the Find and Replace window. For each rep, replace the exported initials with the full rep name defined in Tigerpaw. Click to update all instances of the initials.
40
In this example, clicking Replace All updates every instance of "RJH" with "Robert Harris" in the spreadsheet.
Repeat this step for all reps in the spreadsheet.
4. If the rep assigned to an account is inactive, assign the appropriate rep or clear the Rep field to auto assign the default rep specified in the wizard.
5. Delete rows corresponding to jobs in your QuickBooks database.
6. Verify the column order matches the order in the grid below.
7. Print and complete the Import Checklist .
IMPORTANT: Select the "QB Vendors" import template in the wizard, which is mapped to the spreadsheet.

Alternate Bill-to Addresses Import
does not update existing bill-to addresses. If importing records to implement the Tigerpaw Business
Suite, run the Alternate Bill-to Addresses import after the Accounts import.
IMPORTANT: If your import file exactly matches the Alternate Bill-to Import Worksheet for mapping the imported fields (including blank columns for values not being imported), select the

Field Values You are Prompted to Enter on the Wizard
When you run the wizard, you are prompted to enter the following information.
Field Label Required Auto Applied to
Account link Yes Every record in the import file. This setting indicates the imported value used to tie each alternate bill-to address to a Tigerpaw account: Account number, Account ID, or A/R customer number.
NOTE: The account and account link value must exist in Tigerpaw. For example, if you select "Account
ID", all accounts for the imported records must already have an Account ID.
Records with an invalid account link value are rejected.
Best practice: Set the Account link
field to Account Number. Every account already has an account number, and this field uniquely identifies each account in Tigerpaw. If multiple accounts share the same account ID or A/R customer number, the Import Wizard assigns the imported record to the first account found for that account ID or A/R customer number, which may not be the intended account.

Export G/L Accounts from QuickBooks
To ensure no critical general ledger (G/L) accounts are missed, you will export and import all G/L accounts. However, the Tigerpaw Business Suite does not use every account.
Prepare QuickBooks Data for Export
If your G/L accounts are numeric, make sure every account and subaccount has a unique numeric value in the QuickBooks
Number
field. If your G/L accounts are not numeric, make sure every account and subaccount has a unique
Account name
. For example having an Automobile Expenses account and an
Automobile Expenses subaccount for the Insurance Expenses account will result in ambiguous account information in Tigerpaw.
Before importing accounts into Tigerpaw Business Suite, you will modify the spreadsheet data to ensure subaccounts and class codes import correctly.

Import QuickBooks Accounts to Tigerpaw G/L Accounts
The file setup and import process is slightly different for numeric and alphanumeric G/L accounts.
Prepare Data for Import if Your G/L Accounts are Numeric
Complete these steps to import numeric G/L accounts from the file created per instructions in the
G/L Accounts from QuickBooks topic:
1. Relabel the
Account
column as
Account Description
.
2. Delete the account number and any separator text from the Account Description column, leaving just the account name, such as Inventory Asset.
3. If you use subaccounts, apply this format to subaccounts in the

Example: Sales:Non-Warranty Labor
4. If you use subaccounts, apply this format to subaccounts in the
Accnt #
column:
Account:Subaccount, with no space before or after the colon.
Example: 47900:47903
5. If you use class codes, complete steps in the QuickBooks Class Codes subtopic.
6. Verify the column order matches the order in the Verify the Import Columns section of this topic.
7. Print and complete the Import Checklist .
IMPORTANT: Select the "QB GL Accounts Numeric" import template in the wizard, which is mapped to the spreadsheet.
Prepare Data for Import if Your G/L Accounts are Alphanumeric
Complete these steps to import alphanumeric G/L accounts from the file created per instructions in the
Export G/L Accounts from QuickBooks topic:
1. Relabel the
Account
column as
Account Number
.
2. If you use subaccounts, apply this format to subaccounts in the

5. Print and complete the Import Checklist .
IMPORTANT: Select the "QB GL Accounts Alphanumeric" import template in the wizard, which is mapped to the spreadsheet.
QuickBooks Class Codes
In QuickBooks, you can assign user-defined class codes to transactions. This feature enables you to track general ledger account balances for specific elements of your business, such as location, vendor, product line, business line (e.g. networking vs. hardware installation) or line item type (materials vs. labor). You can track only one type of classification. For example, if you define classes by vendor, you cannot also define classes by business line. QuickBooks provides several reports to track classes.
In Tigerpaw Business Suite, classes are tied to customer accounts and/or G/L accounts via the
Dept/Class/Segment
field on accounts and G/L accounts. When passing transaction information to
QuickBooks, Tigerpaw pulls the
Dept/Class/Segment
value from the customer account or if blank, from the G/L account. If you want to carry class information to QuickBooks, you must assign classes on G/L accounts in Tigerpaw. This field is optional on customer accounts.
Complete these steps to manually enter class codes into the spreadsheet before importing the G/L accounts into Tigerpaw. Entering this information in the spreadsheet is faster than keying it into Tigerpaw after the import. Assign class codes to G/L accounts based on the information you want to track in
QuickBooks. Typically, this includes certain Income or Revenue and Cost of Goods Sold accounts.
1. In the spreadsheet, add a
Dept code
column.
2. For each G/L account you want to track by class codes, create duplicate rows to accommodate each combination of account and class code. For example, you want to tie account 4000 (Sales Income) to
3 class codes: HW (hardware), SW (software) and LAB (labor). Create 2 additional rows for this account to achieve a total of 3 rows.
Follow these steps to create an additional row for an account:
Place cursor in the "row number" column and click once to select the row.
Right-click the row and select Copy.
Move the cursor down a row.
Right-click and select Insert Copied Cells.
57
3. In QuickBooks, access your class list. Use this list to assign a class code in the Dept Code column for each instance of the desired accounts.
58
In this example, the Sales Income row was copied to two additional lines and each row was assigned a different department code.

Price Book Import Notes
Import price book categories before importing price book items.
To uniquely identify each price book item being imported, you must apply one of these field mapping methods on the Select Incoming Data Fields page of the wizard.

Item ID
, the Import Price Book Without an Item ID window displays the values used to create an item ID for items not found in Tigerpaw. These values are set on the Quotes and Opportunities Options window.
Fields on this window are for information purposes only.
If you track serial numbers or inventory quantities, include these columns in the import spreadsheet or delimited text file.
These fields are currently unavailable in the Price Book import. However, you can reuse the file to import these fields for each inventory location via the Physical Inventory (PI) import within Tigerpaw.
The PI import requires a separate line item (quantity of 1) for each imported serial number.
For new items with no price in a column mapped to a price level, Tigerpaw auto calculates the price level price using the mapped price level basis. The wizard gives you 2 options to process non-zero prices mapped to a price level:
Override the price level calculation – In the Import Wizard, click and double-click a price level to enter an override on that level. Tigerpaw selects the
Price level override
field on the price level for the new item.
Import a flat price – Select
Use only non-zero dollar imported flat prices
to import the value as a flat price. Tigerpaw sets the item's price level
Selling price basis
to Flat Price and selects the
Price level override
field on the price level for the item.
If you import new price book items into your production database and then for whatever reason you don't want the items in your price book, you can run a Tigerpaw utility to delete them, so long as the items are unused.

Vendor Price Lists
Importing vendor product and price list is easy with the Price Book import, which allows you to create items, update certain fields on existing items or both. Simply save a Price Book import template for each vendor and reuse the templates when you receive price and product updates from your vendors.
The import wizard ships with predefined import templates for certain quote import vendors, such as
Iwatsu and Stardraw, so you can quickly import the vendor product/price lists.
Export Product and Service Items from QuickBooks
You can import labor, material and special items. QuickBooks items include products, services, labor, tax and other items. You will filter out fixed asset items before exporting the report. The Excel file may require additional clean up before you run the Import Wizard.
The

IMPORTANT: If you plan to set up Tigerpaw G/L codes using values exported from QuickBooks, it is critical that your accounting professional reviews the Account and COGS account values in the QuickBooks Item Listing before you run the item export.

Service Orders Import
Follow these steps to add historical service order data to existing accounts, including up to 5 notes for each service order. This import does not update existing service orders. Historical data is useful for researching and troubleshooting current issues, including work requested, work performed, system serviced, tech assigned, and service open/close dates.
If importing records to implement the Tigerpaw Business Suite, run the Service Orders import after the
Accounts import.
1. Review the Service Order Import Notes section in this topic.
2. Print and complete the Import Checklist .
IMPORTANT: If your import file exactly matches the Service Order Import Worksheet for mapping the imported fields (including blank columns for values not being imported), select the
"Service Orders" import template when running the wizard. The import template is mapped to the worksheet.
Service Order Import Notes
The account and account link value must exist in Tigerpaw. For example, if you select "Account ID", all accounts for the imported records must already have an
Account ID.
Records with an invalid account link value are rejected.
Best practice: Set the Account link field to Account Number. Every account already has an account number, and this field uniquely identifies each account in Tigerpaw. If multiple accounts share the same account ID or A/R customer number, the Import Wizard assigns the imported record to the first account found for that account ID or A/R customer number, which may not be the intended account.
The wizard auto assigns a value when one of these rep fields is blank in the import source:
Taken by – Import default rep
Rep to credit – Account rep
Primary technician – "unassigned"
