System Navigation
A consistent approach has been taken in designing all the screens you will encounter when using the system. The sample screen above demonstrates many of those standards such as:
In addition to following traditional Windows design standards other visual cues make using the system easier.
Cues such as the use of color make it easier to see information and to determine if it can be changed. All user data is displayed in sunken boxes. Within the boxes, green text with a white background indicates you can change the data whereas black text with a gray background indicates read-only. Labels are always displayed to the left or top of the data item and are black text. Data items of similar types are grouped together with frames and have a blue title in the top left corner of the frame.
The navigation control at the bottom of most screens allows the user to move between records such as clients, vendors or transactions. The VCR-type buttons work just like you might expect - moving from the first to the last or next and previous records. "Record 2 of 12" simply means that you are currently editing or viewing the 2nd vendor (alphabetically) and that there are only 12 vendors entered at this time.
** To add a new record, click the New button on the Records menu at the top of RPM or the New Record
button on the Navigation Bar at the bottom of the current screen. **
Use the Search box to find information in the currently displayed records. Type in a value to search for and use
Enter to search. Use Enter again to find subsequent matches.
The record selector at the left of most screens indicates the status of editing for the current record. For screens that use grids which show multiple records on a screen, the record selector is located at the left of each row but has the same functionality. The symbols that you will see on the record selector are described below.
This indicates a new record that you can enter information in.
This indicates the currently selected record and no changes have been made to the record.
This indicates that a record has been been modified but not saved. To discard changes made and restore the original data, select the Undo option from the Records menu or use the ESC key on your keyboard. Use the ESC key once to clear out information you entered in the current field. Use the ESC key twice to clear out the entire record you have entered but not saved.
** Use the ESC key on your keyboard if you start entering information and do not want to save it **
This indicates a record that is locked (being changed) by another user.

System Navigation
The following are examples of additional screen objects referenced throughout this text. It will be easier to follow the documentation once you have an understanding of what the objects look like.
Record Selector - used to show the status of the currently selected record (possibly status values defined above).
Delete Record Button - used to Delete a particular row (record). Click the Delete Record Button next to the record (row) you want to remove and click Yes to confirm the deletion.
** To delete a record, click the Delete Record to the left of a record on a grid. **
Drop Down List - allows you to either start typing an item in the list to move to it rapidly or use the down arrow to the right to open the list and then choose an item from the list.
Navigation Bar - used to indicate where you are in the database such as current record and the number of records. Also lets you move to the first, previous, next or last record.
Check Box - used to indicate a Yes/No value. In this case it indicates whether to Pay the check to the client or not. Checked means Yes, unchecked means No.
Grid - a list of data rows (each with a record selector) that lets you see more than one record on the screen at a time.
3
RPM User Guide
Scroll Bars - vertical and horizontal are used to scroll both up/down and left/right when more data exists than can be seen on the screen at one time.
Button - used to begin a process or close a form as shown by the text on the button.
Radio Button - used to select only one item out of two or more possibilities.
Calendar Date Picker - this will display when you enter a date field. Use it to select a date from the calendar instead of manually entering a date.
4
Ribbon Menu
The above menu is the default ribbon. The Spell Check button will be added to the Records menu whenever you are on the Client Case Notes or Client Notes tab. The spell check functionality comes from Microsoft Office 2010. You must have Microsoft Office 2010 installed to use spell check in RPM.
When viewing reports, an additional ribbon will be available as shown below. You must have MAPI Compliant email to use the Email button for reports.
Finding Records
To use the Find button, first click the field on the screen that you want to search in and click the Find button on the
Records menu.
Find What - enter the information you are searching for (for example, social security number, date or amount - the Find What format must match the format on the screen).
Look In - select Current Field to find in the current field. Select Current Document to search all fields on the screen.
Match - select Whole Field to find based on matching the entire value. Select Any Part of Field to find based on a partial match. Select Start of Field to find a match to the start of a field (such as the start of a last name).
Select Find Next to find the first match. Select Find Next again to continue searching for additional matches.
Sorting Records
To sort the records shown on the screen, click in the field you want to sort on and click Sort Ascending or Sort
Descending on the Filter/Sort menu. Use Remove Sort to remove the sort. You can also close and re-open a screen to restore the original sort.

Filtering Records
To filter records on the screen, click in the field you want to filter on. Use the Selection drop down option on the
Filter/Sort menu to filter records:
Equal to the current value
Not equal to the current value
Containing the current value
Not containing the current value
This is an example of filtering based on a date. If you click a date on the Transaction Information screen, you can filter the records that equal or do not equal that date.
This is an example of filtering based on a transaction category. If you click the Trans Type category on the
Transaction Information screen, you can filter records that equal or do not equal that category.
I
Using the Filter button on the Filter/Sort menu will give you additional filtering options depending on the type of field you are filtering. With a date field, you can select multiple dates. Under the Date Filters option, you can select ranges such as This Week, Last Week, This Month, Last Month.
Use the Toggle Filter button on the Filter/Sort menu to remove any filtering. You can also close and re-open a screen to remove the filter.
6
Logon to the System
You will be assigned a user-id and password by the system administrator. The password is case sensitive. For example, "PASSWORD" is not the same as "password". Press the OK button when ready to continue or cancel to exit the system.
If you forget your password, it can be reset by your system administrator.
Getting Started
Checking Account Types
RPM can be set up to use both mass and individual checking accounts. Regardless of which you use, RPM will track the actual balance for each individual client.
Using a mass account has some benefits. There is only a single account to reconcile and you can print a single batch check to a vendor for multiple clients. You may also be able to get an interest bearing account due to the larger balance and this interest can be automatically distributed to the clients.
Mass Account - this is a bank account shared by one or more clients. The Representative Payee collects deposits from clients and places all deposits into a shared account. Checks are printed for all clients from the shared account.
All transactions are tracked through the shared account but RPM keeps track of the individual client's transactions and balance.
Individual Account - this is a bank account belonging to one specific client. The Representative Payee collects deposits from the clients and places them into each client's own account. Checks are printed for each client from their own account. Individual transactions and balances are tracked for each client.
Entering Clients and Initial Balances
The following items can be done before you start using RPM for live transactions:
1. Enter all of your existing clients on the Client Information screen (View, Clients). At a minimum, the information on the Basic tab should be filled out before entering transactions. The remaining tabs can be filled out at any time.
2. Print the report under Reports, Client, Client List to verify that all the client name and address information has been entered correctly.
3. Enter vendors on the Vendor Information screen (View, Vendors).
4. If you want to send a single check to a vendor for multiple clients, click the Batch Checks option for the vendor. Do the same for the different client types under Utilities, List Maintenance, Client Type. If both the vendor and client type are set up for batch checks, the batch check option will be turned on by default when you enter a transaction for that vendor and type of client. Otherwise, you can check it manually on each transaction you want as a batch check.
5. Set up the categories you want to use for deposits and payments under Utilities, List Maintenance, Deposit Type and Payment Type. If you want to word them differently later, it's not a problem since the changes will be reflected in any existing transactions already using the category.
6. Use the Schd Pmts and Schd Deps buttons to set up any recurring scheduled payments and deposits. Enter the
Next Payment date or Next Deposit date for the first time you will process transactions in RPM.
7. Set up your checks for printing using the Check Layout screen under the Utilities, Set Up menu.
7
RPM User Guide
When you are ready to go live:
1. Reconcile your bank account. You will need the reconciled balance for each client and any remaining uncleared checks and deposits.
2. Use the Enter Deposit button under the Transaction Information screen (View, Transactions) to enter each client's current reconciled bank balance.
3. Use the Reconcile screen to mark all of the existing deposits as reconciled. The Cleared Balance on the Reconcile screen should match your current reconciled bank balance.
4. Use the Enter Deposit button to enter any remaining uncleared deposits.
5. Use the Enter Payment button under the Transaction Information screen to enter any remaining uncleared checks.
Enter the original check number in the Payment Method or select EFT for electronic transactions with no check number.
6. Print the report under Reports, Balances, All Balances - By Client to make sure all client balances in RPM match your existing balances.
8
Client Information
Select Clients from the View menu to open the Client Information screen. The information on this screen is organized using tabs. Click the desired tab to view that information for the selected client. The information on each tab is explained in the following topics.
** To add a new client, click the New button on the Records menu at the top of RPM or the New Record button on the Navigation Bar at the bottom of the Client Information screen. **
Basic Tab
The client information screen contains basic information about each client. The Select Client drop down list is used to quickly move between clients by name. As you start typing a last name, the list automatically begins finding a match and moves you to the client you want to see. You can also use the navigation bar at the bottom to move between clients one at a time or to quickly move to the top or bottom of the alphabetical client list.
The Filter Clients options allow you to see active, inactive or all clients for a selected support type. To view all clients
(active and inactive), click the All option. To switch between support types, select another support type from the
Support Type drop down. To see clients for all support types at one time, delete the selected support type.
Client type and support type filtering can be added for a user ID on the Users screen under the Security menu. If client types and/or support types are assigned to your user ID, you will only be able to view those types of clients. If no client types or support types have been assigned to your user ID, you will be able to view all clients. The top right of the screen will display Access Limited to assigned Client Types and/or Support Types if your user ID has been set up for client and or support type filtering.
By default, clients are sorted alphabetically by name. To change the sort, click in the field you wish to sort on and select the Ascending or Descending option from the Filter/Sort menu.
Fields on the Basic tab are explained below.
Name - client's name in First, Middle Initial, Last name order.

Vendor Address - select the vendor address. If the vendor has only one address, it will be used by default. If the vendor has more than one address, select the address you wish to use for the transaction. Leave the selection blank if you don't want to print an address on the check.
Mail to Client - select this option to print the client's mailing address on a check.
For a check paid to a vendor, the client's mailing address will print on the check instead of the vendor's address. Use this to mail a check to a client that is paid to a vendor.
For checks paid to clients, select this option if you want the client's mailing address to print on the check. If you do not select this option for a check paid to the client, no mailing address will print on the check. This can be used to separate checks that should be mailed to a client from those that will be picked up by the client.
Set the default for this option with Mail to Client Address for Pay to Client checks on the System Settings tab on the System Setup screen under the Utilities, Set Up menu.
Batch Check - select this option if you want to print multiple transactions on a single check. This will group all checks to a vendor in the same account and for the same date on a single check. You can also select Batch
Check for client checks to print a single check to a client for more than one Payment Type. This option will default to checked if the selected Vendor is marked as Batch Checks on the Vendor Information screen and the client type for this client is marked as Batch Check on the Utilities, List Maintenance, Client Type screen. You can check or remove this option for any scheduled payments manually.
Payment Amount - the amount of the transaction that will be generated. If the amount varies, you can change the actual payment amount each time and leave the remaining information the same.
Total Due - this amount should be used if the client owes a total and will make payments until the total is paid.
For example, if the client owes $1000 and the vendor has agreed to payments of $100 per month, enter a
Payment Amount of $100 and a Total Due of $1000.
Remaining Balance - this only applies if a Total Due has been entered. The Remaining Balance is automatically calculated whenever payments are processed for these items.
Start Date - enter the date you want the payment to start. The system will calculate the initial next payment date based on the start date you have entered.
End Date - enter an end date only if you want the payments to end by a certain date. This can be left blank if the payment should continue indefinitely. If a Total Due has been entered for the payment, the End Date will be automatically calculated and cannot be changed. To immediately end an existing payment, enter an End Date prior to the Next Payment date.
Next Payment - the next payment date will default to the start date when you first add a scheduled payment.
After that, the next payment date will be calculated based on the frequency. If the payment needs to be interrupted for any reason, you can modify this date to skip payments.
Sort by Client - select this option to sort a check paid to a vendor by the client's name instead of the vendor name when printing the check. Set the default for this option with Sort Vendor Check by Client Name on the
System Settings tab on the System Setup screen under the Utilities, Set Up menu.

so the clients do not need to be entered as vendors.
Use the Select Vendor drop down list to find the record for an existing vendor.
The Filter Vendors options allow you to see active, inactive or all vendors. To view all vendors (active and inactive), click the All option.
By default, vendors are sorted alphabetically by name. To change the sort, click in the field you wish to sort on and select the Ascending or Descending option from the Filter/Sort menu.
To add a vendor, click the New button on the Records menu at the top of RPM or the New Record button on the
Navigation Bar at the bottom of the Vendor Information screen.
To delete a vendor, click the Delete button. Once transactions have been entered for a vendor, you cannot delete that vendor.
If you are no longer using a vendor, click the Inactive check box to mark the vendor inactive. Vendors can only be marked as inactive if there are no active scheduled payments assigned to the vendor. Reconcile Bank Statement
Select Reconcile from the View menu to open the Reconcile Bank Statement screen. This screen is used to reconcile a selected account. Use the Select Account drop down list to view the transactions for another account. Mass accounts will be listed first followed by individual accounts. Mass accounts will be listed alphabetically by account name. Individual accounts will be listed alphabetically by client and account name.
By default, only active accounts will be shown. To see all accounts, select the All Accounts option.
Payments will be shown in check number order. Deposits are sorted by date and amount. To change the sort, click in the field you wish to sort on and select the Ascending or Descending option from the Filter/Sort menu.
The Statement Ending Date should be entered from the ending date on your bank statement. The completed reconciliation will be saved using this date. To view or change a previous reconciliation, use the Select Completed
Statement Ending drop down list. Any previously reconciled items will be displayed as well as any remaining outstanding items through the outstanding items thru date.
The Outstanding Items Thru date will default to the same date as the statement ending date. Outstanding transactions will only be included on the reconcile screen if the transaction date is on or before the outstanding items thru date.
You can change this to a later date if you need to see outstanding items on a later date.
The Beginning Balance shows the total items reconciled prior to this statement ending date. This should match the beginning balance on your bank statement. If it does not match, you should verify that previous reconciliations are correct. Use Reports, Reconciliation, Account Statement List to view reconciliation totals for previous statement ending dates. If any previous months are no longer reconciled, use Reports, Miscellaneous, Audit Events and select the Transaction Update audit event to see if any previously reconciled transactions were changed back to unreconciled. Select the Reconcile Bank Account audit event to see a history of completed reconciliations.
The Cleared Balance shows the reconciled account balance including the Beginning Balance and any items cleared on this statement. The Ending Balance should be entered from the ending balance on your bank statement. As you mark items as cleared, the cleared balance will be updated. The Difference is calculated automatically by subtracting the cleared balance from the ending balance. When the cleared balance and ending balance match, the difference will be zero and the reconciliation will be complete.
Click the Clear check box to mark any items as cleared. The Difference will be updated as you clear items.

Import ACH Deposits
Select Import ACH Deposits from the File, Import/Export menu to open this screen. This screen is used to import deposit transactions from a file provided by your bank.
There are two standard formats available.
The CSV file is a comma delimited file with the following fields:
Transaction Date
Amount
Social Security Number/Claim Number
Deposit Type
Client Name
The fixed length text file is a text file with the following format:
Transaction Date: 8 characters, positions 1- 8
Amount: 10 characters, positions 9 - 18
Social Security Number: 9 characters, positions 19 - 27
Claim Number: 3 characters, positions 28 - 30
Deposit Type: 50 characters, positions 31 - 80
Client Name: 50 characters, positions 81 - 130
If your deposit file is not in one of the above formats, your specific file format will need to be added as a custom format to RPM. Regardless of the format, all of the above fields must be included in your deposit file to be able to import deposits automatically into RPM. Contact our office for more information about customizing RPM for your deposit file format.
Import
The first step is to import the file provided from your bank. Select the import file using the Select File button.
Once the file has been selected, click the Import button to import the file into RPM. When the file has been imported, the date of the file will be displayed in the Last Imported Deposit File Date.
64
File
Report
The second step is to run the Unmatched and Matched Deposit reports. Select the report you want to run and click the Report button.
The Unmatched Deposits report shows deposits from the file that will not be posted for one of the following reasons:
There is no RPM client matching the social security or claim number in the deposit file. The client must be added or the social security number or claim number must be entered for the client on the Client Information screen.
There is a matching client but the client is not assigned to the selected account. The account must be added for the client on the Client Information screen.
There is a matching client but the client is inactive. The client's status must be changed to Active on the Client
Information screen.
Errors shown on the Unmatched Deposits report should be corrected before continuing the post process or those transactions can be entered manually.
The Matched Deposits report shows deposits for which there are matching client social security numbers or claim numbers in the system. These deposits will be imported to the appropriate client when the deposits are posted.
Post
The third and final step is to post the deposits. By default, the date from each imported transaction will be used as the deposit date. Change this to a different date by selecting the Other Deposit Date option and entering the date you want to use instead. Click the Post button to post the deposits into the RPM transaction register.
After the deposits have been posted, you can report on transactions included in a specific import file using Reports,
Transactions, Imported Deposits.
Use the Reset Transactions screen under the Utilities, Transaction menu to remove the deposits imported for a selected process date. This can only be done if the transactions have not been reconciled.

Configuration
The Configuration button will only be enabled if you have a custom NACHA deposit import file set up for configuration.
You can use this option to configure any additional deposit types that are added or changed in your file after the initial configuration.
Each deposit type that has been imported in any of your deposit files will be shown. To configure a deposit type, you have to assign the location for the SSN/Claim Number and the Client Name as well as the corresponding RPM
Deposit Type to be used for that type of deposit. The Report button will print a report showing the detailed deposits in the last import file. You can use that report to find the location of the SSN/Claim Number and the Client Name. There are three possible locations for the information:
Detail ID (up to 15 characters) - this often contains the SSN/claim number.
Detail Name (up to 22 characters) - this often contains your company name or the client name.
Addenda Info (up to 80 characters) - this is not always available. If it is available, it may contain the SSN/claim number and/or the client name.
The position numbers are shown on the report for each column: Detail ID, Detail Name and Addenda Info. Once you enter the Located In and Start and End positions for both the SSN/Claim Number and the Client Name, you can run the report again to see the results. When you close the Import Configuration screen, you should import the latest file again if you made any changes to the configuration.
Not all deposit types will contain a SSN/Claim Number for importing deposits. If you have a type that does not contain that information, you can check the Not Used option to ignore that type. Those deposits will show on the Unmatched
Deposits report and will have to be entered manually in RPM.

Page Size
All measurements are in inches.
The Check Height is the vertical size of the check less any margin. For Voucher checks, this will usually be 10.5. For
Standard checks, this will be 3.5. For Continuous checks, this should be the actual height of a single check/stub from your continuous forms.
Margins/Select Printer
Click the Select Printer button to assign the printer you will be using to print checks.
Set your desired margins on the Print Options tab. These margins will then be reflected on the Check Layout screen.
Set all the margins to 0 and print a Test Check to default the margins to the smallest available margins for your printer.
Click the Page tab to set up the check printer information. If you do not select a printer, checks will be printed to your
Windows default printer. To send the checks to a specific printer, click Use Specific Printer and click the Printer button.
If you are using a dot matrix printer, you must also set up a custom paper size for that printer and then select that
Paper Size on the Page tab. Instructions for setting up a custom paper size for your printer vary with different versions of Windows and can be found on Microsoft's Knowledge base web site at http://support.microsoft.com/search/.
Click OK to close the Page Setup screen after you have made your selection. The printer selection must be made at each workstation from which you will be printing checks. The printer selection must also be re-selected at the workstations whenever you install an upgrade to the RPM program.

Field Positions
The Field Position values determine where each field is located on the check. The Top value is the distance of the field from the top of the check after the margin. The Left value is the distance of the field from the left edge of the check after the margin. For example, if your date field should print 1.25" from the top of your check and your top margin is 0.25", enter a Top value for the Date field of 1. If your date field should print 6.75" from the left of your check and your left margin is 0.25", enter a Left value for the Date field of 6.5. To prevent fields from overlapping, the Top values should be at least 0.2 apart. For example, if your Mail To Top is 1.8, your Address Top should be 2. All fields print on a single line and need to be at least 0.2” apart on the check except the following:
Address prints up to 3 lines (address 1, address 2, city/state/zip) - height 0.6"
Check Stub - height 2.5"
Signature - height 0.5"
Message prints up to 3 lines - height 0.5"
Company Info prints up to 4 lines - height 0.625"
Bank Info prints up to 3 lines - height 0.4"
To easily position the fields on your check, use the Test Check button to print a sample check. If a field is not printing in the desired location, measure the difference from the top left of the current location to the top left of the desired location and add or subtract that amount from the Top and Left values on the Check Layout screen.
If you want to print a dollar sign with your check amount, check the box by the $ sign for the Amount field. If you do not want to print a dollar sign with your check amount (if the dollar sign is pre-printed on your checks), uncheck this box.
If you want to print the memo field on your check, check the box for Memo. If you do not want to print the memo field on your check, uncheck this box. The memo will always print on the check stub if you have stubs selected to print.
If you want to print a single check stub, click the check box for Stub 1. Enter the Top and Left values for the check stub. If you want a second check stub, click the check box for Stub 2 and enter the Top and Left values for that check stub. Information shown on the check stub includes: company information, pay to, check number, date, amount, account manager (if sorting by account manager) and bank account number. The check stub also includes up to 7 detail lines showing the amount, client, check memo and category for each line item on the check.
If you want to print a "Void After X Days" label on your check, check the box for Void Message. Enter the number of days to print in the void message.
Electronic Signature
If you want to include electronic signatures on the check, check the box for Signature 1 and/or Signature 2. Set the position for these fields and then use the Select File button(s) to select the signature file(s). Signature files should not be larger than 3" X 1/2".
Check Message
If you want to include a message on your checks, check the box for Message, set the positions for the message and enter the Message Text you want to use.

Optional Fields
The Optional Fields are only enabled if Print Check Numbers is selected for the Check # option under Check Format .
If you are using pre-numbered checks, the Optional Fields will be disabled and cannot be used. For pre-numbered checks, you will want to have all of this information pre-printed on your checks: check number, company information, bank information, pay to label, dollars label, signature line(s) and encoding. Encoding includes the check number, bank routing number and bank account number.
If you have individual accounts, the client name will automatically print on the check following the Client Name Label.
This should be positioned below the Company Information. The height of the Company Information is 0.625" so the
Client Name Top value should be 0.625" more than the Company Info Top value in order to print below the Company
Information. For mass accounts, the Client Name and Client Name Label will not print on the check - only the
Company Information will print on the check. The Company Information is set up for 4 lines of information. If you want to print a second instance of the Company Information, check the Company Info 2 box.
To print encoding (check number, transit and account numbers) on your checks, you will need to use the optional fields. If you are using pre-printed checks without the encoding, you can turn off the fields Bank Info, Pay To Label,
Dollars Label, Signature Line 1 and Signature Line 2. If you are using blank check paper, you will want to select those fields to print.
Enter a value in the Check # Min. Length to zero fill your check numbers in the encoding line so they will all print as the same length. For example, some clients may use 4, 5 or 6 digit check numbers. Enter 6 as the Check # Min.
Length to print all check numbers with 6 digits. Check 1000 will then print as 001000 in the encoding line.
To print encoding on your checks, you also have to use a MICR font and MICR toner. If you don't own a MICR font, you would need to purchase one. Get information on the MICR font for Windows and download a free trial version at www.micrfonts.com/micr.htm. This is the only MICR font currently supported by RPM. After installing the font, select it using the Select Font button.

Check Sorting
The Check Sorting tab is used to set the order in which checks will print. Checks can be sorted by the following:
Bank Account (optional)
Client Checks
Account Manager (optional)
With or Without a Mailing Address (optional)
Client Name, Date or Date, Client Name
Vendor Checks
Account Manager (optional)
With or Without a Mailing Address (optional)
Vendor Name, Date, Client Name or Date, Vendor Name, Client Name
The first sort option is by bank account. This option is only available if Print Check Numbers is selected for the Check
# option under Check Format. If you are using pre-numbered checks, this option is not available since you can only print for one bank account at a time. If this option is selected, checks will print in bank account order and within each account client checks will print followed by vendor checks. If this option is not selected, client checks for all accounts will print followed by vendor checks for all accounts.
There are three possible selections for sorting checks paid to clients. The first option is to sort by account manager.
The second option is for sorting checks with or without a mailing address. If this option is selected, client checks without mailing information will print first followed by client checks with mailing information. The third option is for sorting by client name and then date or by date first and then client name.
There are also three possible selections for sorting checks paid to vendors. The first option is to sort by account manager. The second option is for sorting checks with or without a mailing address. If this option is selected, vendor checks without mailing information will print first followed by vendor checks with mailing information. The third option is for sorting by vendor name, date and then client name or by date, vendor name and then client name.
Use Reports, Transactions, Unprinted Checks before printing checks to see the order in which your checks will print.
Change the sort settings on the Check Layout screen and run the report again to see how the changes will affect your check sorting.

Backing Up Your Data
All current data for RPM is usually stored in a single file, RPMData.mdb (for a Multi-Company license, each additional company data file will be followed by a number: RPMData2.mdb). The data file is located in your RPM Server folder.
Select System Info from the Help menu in RPM to see the location of your Data File.
** Your data file should be backed up daily or as often as you use RPM. **
All archived transactions are stored in a separate file in the RPM Server folder, RPMData_Archive.mdb (for a Multi-
Company license, each additional company archive data file will be followed by a number: RPMData_Archive2.mdb).
This file is only updated when you run the Archive/Balance Forward process and should be backed up periodically or at least after you run the Archive/Balance Forward process.
If you have RPM installed on a network, your RPM Server folder may be automatically backed up as a part of your regular network backup. If you do not have an automatic backup, use the backup data option in RPM. If you have a
SQL license, your data will be stored in your SQL Server and should be backed up from there.
Backup Data
Select Backup Data from the File, Backup/Restore menu to open the backup data screen. All users must be out of
RPM in order to run the backup.
Use the Select File button to select your backup file name and location. Once the file has been selected, click the
Backup button to backup your data. You will receive a message when your backup is complete. Both the current and archive data files will be included in the backup (RPMdata.mdb and RPMData_Archive.mdb). Click the Close button to close the backup screen.

Installation Instructions
RPM is designed to run either as a stand-alone application on a single computer or from a network.
The first step installs the RPM server and database files. The second step installs the RPM client on each workstation. The installation should typically be completed by the network administrator. You must be logged onto the computer as a user with administrator rights in order to run the installation.
Step 1 – Server Install a) Download and save the RPM trial RPMServerSetup500.exe program from the link on our web site. After you save the file, double-click on it to run the installation. Make sure you have appropriate security to create folders on your network. b) Follow the prompts until you get to the Destination Folder screen. The folder will default to “C:\RPM Server”.
You should change this to a folder located on your network file server (for example, F:\RPM Server). Users need
all rights to the RPM Server folder in order to run RPM. Depending on your version of Windows, mapped network drives may not appear in the file dialog unless UAC is turned off during the installation. Alternatively, you can type the full UNC path in the dialog. d) If this is the first time you have installed RPM on this computer, you will be given an option to automatically initiate step 2 and install the RPM Client. If you select this option, skip to step 2b below. Otherwise, continue on with step 2a.
Step 2 – Client Install
This step must be run on each workstation that will be using RPM. It will install an icon for RPM on the user’s desktop and a menu option for Representative Payee Manager in their Windows program menu. You must be logged onto the computer with administrator rights to run the client installation. Users without administrator rights will be able to run
RPM but cannot install the program. (If you would like to run the RPM Client on a terminal or citrix server, please email [email protected] for detailed instructions) a) When you installed the server software, a folder named “Client Install” was created beneath the folder you specified. From that “Client Install” folder, run RPMClientSetup.exe to begin the client installation (for example,
F:\RPM Server\Client Install\RPMClientSetup.exe). b) Follow the prompts to install the application in the default location. The default location is “C:\RPM Client”
( “C:\Program Files\RPM Client” for Windows XP). Do not install the client files in the same folder as the server
files in step 1. c) Follow the remaining prompts until complete.

Administrator Utilities
The following items can be found under Start, All Programs, Representative Payee Manager on your computer with the RPM Client installed.
Optimizer
The Optimizer is a utility that can be used to compact your RPM database and repair any errors. You can run this utility from your Start menu by selecting Start, All Programs, Representative Payee Manager, Optimizer. Before the process begins you will receive a message telling you that RPM must be shut down and asking if you want to continue. Click Yes to run the Optimizer. When it is complete, you will receive a message stating it has completed.
Refresh Client
The Refresh Client utility will update your RPM Client software with a new copy from the RPM Server. This utility is generally only used if directed to do so by RPM technical support personnel.
You can run this utility from your Start menu by selecting Start, All Programs, Representative Payee Manager,

Scheduler
The Scheduler application is used for entering times when the RPM system will be unavailable. You can run this utility from your Start menu by selecting Start, All Programs, Representative Payee Manager, Scheduler.
If you are using RPM during these times, you will be automatically logged off of the system and will not be allowed back in until the time has passed. In the above example, the system is unavailable on Fridays from 11pm to 11:30pm.
You could use these times to schedule backups of the data or to get all users out of the system to install an upgrade or run the Optimizer application.
To change the times, type the begin and end times on the appropriate day of the week in the formation hh:mm
AM/PM. To remove an unavailable time, highlight and delete the begin and end time.

User Maintenance
The User Maintenance application can be used to clear users who have exited RPM abnormally. You can run this utility from your Start menu by selecting Start, All Programs, Representative Payee Manager, User Maintenance.
RPM tracks when you log on to the system. You cannot log on to RPM using the same user id on more than one computer at the same time. If you exit abnormally, your user id may not be cleared from the system. In that case, the
User Maintenance application can be used to clear users from the system. Click the Clear check box next to the User
ID and click the Reset button to clear the user and allow the user to get back into RPM.

Company Connect
Open the CompanyConnect application in the RPM Server folder to start the Company Connect utility. This is only available if you have an RPM Multi-Company license.
This utility is used to set up RPM databases for separate companies. If you have more than one database, each user will select the Company Name to use when they open the RPM Client. If you only have one database, it will be opened automatically when the user opens RPM.
If you are no longer using a company database, mark it as Inactive. Do not delete the data files from your RPM Server folder.
Use the Repair button to compact and repair any one of your RPM company databases. All users in that company must have RPM closed in order to run the repair process.

SQL Connect
Administrator Utilities
Open the SQLConnect application in the RPM Server folder to start the SQL Connect utility. This is only available if you have an RPM SQL license.
This utility is used to set up the connection to each RPM SQL server database. If you have more than one database, each user will select the Company Name to use when they open the RPM Client. If you only have one database, it will be opened automatically when the user opens RPM.
A SQL database must be created with the create database SQL script before the connection can be set up. See the
SQL installation instructions for details on creating an RPM SQL database.
Select the SQL Driver to use. This driver must be installed on all RPM Client computers. You can check the driver installation in Control Panel under the ODBC Data Source Administrator Drivers tab. The SQL Native Client driver can be installed from the RPM Server\Client Install folder (sqlncli.msi or sqlncli_x64.msi). Newer SQL drivers can be downloaded from Microsoft.
SQL Server must be configured for SQL Server and Windows Authentication mode.
The User ID and Password for each database should be from the CreateSQLDatabase script unless you created a different user id and password for the database manually. The User ID should have db_owner rights to the SQL database.
The SQL connection will be validated after you enter the connection information. Once a valid connection has been saved, the users will have access to that company in RPM. If the SQL password or any other information changes in the future, use this utility to update the connection configuration.
Use the Test button to test an existing SQL connection.
