Introduction
Once you have set up your system options and lookups, you are ready to assemble the following warehouse information and enter it into the system.
Note: Before you can effectively enter receiving and picking orders into the system, it is important to establish site locations, items, initial item quantities, customer information and vendor information, so that it is available for selection in the receiving and picking order forms.
•

Creating Locations for Each Site
•
•
Locations reside within a “Site” and are added to a site at the Locations form. When you create locations for a site, the warehouse space is divided into specific areas. The following information is required to add a location, and must be entered in the Locations form:
Site: the warehouse/facility where this location resides.
Location Identifier: a unique system identifier that you create for this location, entered in the Location field.
84
•
•
Chapter 6
Initializing the Warehouse
Description: a description of the location (i.e., forward pick, staging, receiving, picking, storage).
Quarantine designation for the location: check the box in this field to designate this location as a quarantined location. If a location is assigned a “quarantine” designation, items cannot be stored or moved from the location without a workstation override.
Adding a
Location to A
Site
A location is added to a Site at the Locations form. Select Manage >
Inventory > Locations to display the Locations form.
1.
2.
3.
If you have multiple sites enabled, and have the rights to view and modify all sites, click the Site drop-down arrow in the Site field, and select the Site to which you are adding a location. (If only one site is entered in the database, the Site field is disabled. If you do not have site viewing rights, the default site is automatically entered in the Site field.)
Click the Add button found along the bottom of the form. A new location line is entered in the data section of the form. The Site field is automatically filled and the cursor is placed in the Location field. Enter the
Location ID in the Location field.
Press the <Tab> key to advance to the Description field. Enter the location description (i.e., forward pick, staging, bulk storage, receiving) in the Description field.
Assigning a Location Quarantine
A location may be assigned a quarantine designation. A location with a quarantine designation cannot be used to store or move items. Check the box in the Location Quarantine field to assign a quarantine designation to a specific location:
Note: IntelliTrack ISRP allows overrides to quarantine locations.

Adding a Picture of the Item
When you enable the Pictures option in the System Options form\Options tab, you are able to link an image file of the item to the item number in the
Item Data form (for more information about the Pictures option, please

). The image file must be a supported image file type (.wmf, .emb, .dib, .bmp, .ico, .BMP, .EPS, .GIF,
.JPG, .PCT, .PNG, .WMF) in order to import it into the application. The
ISRP application directory (C:\Program Files\Intelli-
Track\ISRP) contains an Images folder to store your image files; however, you may import image files from any directory on the network.
Note: The ISRP application references the image file; this means that the image file does not need to be placed on each individual PC that uses the application. When placed in a single network directory that is available to all users, the image file can be referenced by all users from this directory on the Item Data form.
To add a picture of an item in the Item Data form, the form must be in Add or Edit mode. If the form is in Add mode, enter the item information such as item number and description before adding the picture. If the form is in
Edit mode, this information will already be entered in the form.

Establishing an Item Unit of Measure Range
When you enable the Multiple UOM feature in the System Options form\Features tab, you are required to enter a UOM value in the Item Data form. (If this feature is not enabled, the system will not use any UOM values.) The multiple Unit of Measure (UOM) feature enables you to handle a single item’s various units of measure (UOM). All UOM entries in the
UOM lookup table are displayed in the field’s UOM drop-down list. (For more information about UOM entries in the UOM lookup table, please
refer to “Unit of Measure” on page 56
). The operator must first establish the
UOM range (each, box, case, or as defined for that item) for each new item.
To establish the UOM range for a new item:
1.
2.
3.
4.
5.
6.
Click the Units of Measure tab to bring this section of the form to the front.
Click in the first UOM field.
Click the drop-down arrow in the UOM field and select the UOM for this item from the drop-down list that appears. Press the <Tab> key to advance to the Each Count field.
Enter the unit quantity in the Each Count field. [For example, the each count for the default system unit of measure {Each} is one (1). If you entered another value in the UOM Lookup table such as Case, and you assign the Case UOM to this item, the each count for a case of this item must be entered in the Each Count field. For example, the each count for a case of this item could be ten (10).] Press the <Tab> key to advance to the Unit Cost field.
Enter the value of the unit of measure in the Unit Cost field. (For example, if the value of the each count of this item is $1.00, the value for a case that contains 10 count of this item would be 10.00.)
Repeat steps 3–5 for each of the item’s UOMs.
Assigning a
Primary
Location for the Item
You are able to assign a primary location to this item. This means that the item will be associated with this location in the application reports and inventory tracking features. The item’s primary location is set in the Pri-
mary Location tab.
To assign a primary location to an item:

If you want to change the Each Count amount for a UOM, click Yes to close the dialog box, implement the change, and clear the form.
If you do not want to change the Each Count amount for a UOM, click
No to cancel the change. The dialog will close and your cursor will be in the Each Count field for the UOM you are editing.
Press the <ESC> key on your keyboard to default to the previous number, if desired; the previous number returns and the record resets;
—Or—
Re-enter the desired number in the Each Count field. When you are ready to tab off this section of the form, or when you click the Save button, the dialog box appears again, asking you if you wish to change the Each Count amount. Click Yes to change the amount, reset the record, and close the dialog box.
If you need to delete an item from the database you may do so from the
Item Data form. Be aware of the database constraints: you cannot delete an item record if it is part of inventory. If you try to delete an item that is part of inventory, a dialog box appears indicating that this item is in inventory and cannot be deleted.
